1 Introducing Jade Property Suite

Jade Property Suite is a Windows software program for real estate agents. It allows you to manageyour real estate and contact data from a single application on a desktop computer or internal network.With the suite of tools included in Jade, you can produce printed materials and web listings instantly.The designs used in almost everything Jade generates can be modified by you.

Jade Property Suite is shipped with sample data to allow you to experiment with it straight away. Bymaking a few changes to this data, your initial experiments will be more meaningful.

To enjoy a more personal view of the database, right from the start,· Set up your Agency Detailsand· Edit the menu of Locations· Change the Windows default currency if necessary.

The minimum system requirements for Jade Property Suite are:

4.2 Install Jade Property Suite

1. Download the latest version from jadetools.com.2. Double click the installation file and follow the instructions.

· If you are upgrading to a more recent version, install it over the current version.

Once you have installed Jade Property Suite, you will want to customize it to suit your business.

4.3 Install Jade Property Suite on a Network

Before you start, - You should backup your data. - A person familiar with your network should carry out this task.

Installing on the host computer: 1. Log on as Administrator on the computer that will host the shared database.2. Install Jade Property Suite on this computer.3. Take a note of where the Jade Property Suite folder is located. You can find this in

Administration menu > Database > Jade Data Location4. In Windows Explorer:

· Share the Jade Property Suite folder.· Set permissions on this folder so that all network users have full read and write access.

Installing on another networked computer: 1. Log on as Administrator on the computer. 2. Install Jade Property Suite on this computer. 3. Connect to the shared database:

· In Jade Property Suite select the Administration menu > Database > Jade Data Location. · Select the Shared (network) option · Under Jade main folder, select the shared folder. (e.g. "\\HostComputerName\Jade Property

Suite")

Notes: · Each computer must have the same version of the software installed (do not put Jade Property

Suite 5 one one computer and Jade Property Suite 6 on another).

5 Customizing Jade Property Suite

Most of the options for customizing Jade Property Suite are outlined below. You might want to usethe following as a checklist when customizing Jade to suit your business. As Jade is used by realestate agents all over the world and on every continent, the software is very flexible.

What you should customize first:· Your Agency Details· The default currency (if necessary)· The Master Records. This is where you change the contents of the drop-down menus to make them

suit your business.

Making the interface more comfortable and efficient:· The Properties Grid. Each user can have the Properties Grid laid out to suit their needs. Columns

can be added, removed and moved.· The Contacts Grid. Each user can have the Contacts Grid laid out to suit their needs. Columns can

be added, removed and moved.· The Property Print Button. The items you print most frequently for a single property can be added

to this button and menu. · The Default Minimum and Maximum Price. Define a default price range that makes sense in your

market.· The Properties Search Panel. Decide whether or not you want the Search Panel to open when you

launch Jade.· The Custom Fields. Extra fields - If you need them. You can change the label on these fields.)

The design/content of the files Jade generates:· Print Templates. Jade includes a full-featured report editor for customizing the print templates.· Web Pages. The web design, categories and web search can all be customized with the in-built

editors.· Enquiries Options. Changing the email message and letter for responding to customer enquiries.

Website and email settings:· Web Publish Options: Selecting the Web Design, Web Categories and Output folder Jade uses for

creating web pages.· Your Web Server: Your website's hosting details ( to publish your listings to your website.)· Email Options. Sending to your own default email application or sending via SMTP.

Other options:· Set or Change the Application Password· The Data Loaded Filters. Create more options for loading data. (Loading fewer records will

increase performance).· Change the way Jade processes large images when loading them

5.1 Enter Agency Details

1. Select Agency Details from the Administration Menu2. Enter the name of your Agency or Brokerage as you would like it to appear on all materials

generated by Jade. 3. Enter your Sales Tax or VAT No. if these are used on your invoices.4. Load the logo graphic you want to be used on materials generated by Jade. For best resolution,

use a bitmap, jpeg, tiff or png file. 5. Edit the Disclaimer that will be used on published property details.6. On the Branches tab, fill in the details for each branch.7. On the Agents tab, create a record for each agent and then link it to your contacts database. If

there is no contact record for that Agent, you must create at least a skeleton record.8. On the Property Defaults tab, select your branch and set it as the Default Branch. 9. Enter the default City and County/State for your branch's properties (each time you create a new

record this will be filled in automatically to save time).10.Enter the prevailing rate of Sales Tax or VAT used for billing.11.Finally, return to the Agency tab, select whichever branch is your head office as the Main Branch.

If your Agency has no branch offices: You need to create one branch and select it as both the Main Branch and the Default Branch.

5.2 Change the Default Currency

Jade Property Suite uses your default Windows currency. If you are not seeing the correct currencysymbol in price fields, you need to change the Regional Settings for Windows.

In Windows, open the Control Panel (Start > Settings > Control Panel).· Open Regional Settings.· Open the Currency tab.· Select your currency.

5.3 Customize the Drop-down Menus

The drop-down menus used to enter data in a property record are based on master records that youcan edit. These lists should contain your own business terminology.

To change the lists used in menus:· Select Administration > Database > Master Records.

Cautionary note:If you delete an item in a list, this field will become blank in every property that has it selected. So, if you spot a typing error in one of the master records, do not be tempted to delete the item.Instead, correct the error by renaming it.

Advice and Tips for customizing the Master Records

1. The Status listKnowing the current status of a property is critical for effective use of the database. The status is alsodisplayed on web pages, brochures, flyers, window cards and reports.

There are 4 essential stages in the life cycle of a property transaction that you should reflect in theStatus list: 1. Active (For Sale, For Rent etc), 2. Partially Completed (Sale Agreed, Under Offer, Contract Pending etc) 3. Completed (Sold, Rented, Leased etc),4. Inactive (Provisional, To Be Confirmed, Off Market, Withdrawn, Expired etc)

Each property must have a status. So, your list should include at least 1 appropriate status for eachof these 4 stages.

2. The Markets listThis is where you define the markets that you serve. Obviously, your main market is the real estatesector. Within that sector, you serve certain segments. The most usual segmentation is intoResidential and Commercial. If your business is highly specialized, you may need to segment inmore detail. However, for the majority of agencies, a simple, two or three-way split is the bestapproach. Every agency is different. The best way to decide on the market is to ask yourself, "howdo I currently segment my customers?".

The default list (before you change it) is as follows:ResidentialCommercialLand & Sites

When you search for a property, you will frequently use the Market along with other fields. Forexample, to find all residential property currently for sale in Newtown, your search would look likethis:

Status: For SaleMarket: ResidentialLocation: Newtown

Example of a customized Markets list: In this example, the agency has a significant market for investment properties. With a large numberof people looking for derelict properties to renovate, these customers are worth treating as a separatesegment.

A typical search for investment properties for sale in Newtown would look like this:

Status: For SaleMarket InvestmentLocation: Newtown

Note: A common error is to put the market value into the Property Type. For example, it would bewrong to create a list of property types for investment properties e.g. derelict house, derelict ranch,derelict villa etc. Instead, 'house', 'ranch' and 'villa' should appear in the Property Types list. TheMarkets list should have an item called 'Investment' or 'Derelict' or 'Renovation'. This will allow you toclassify any property by combining the two:

Market: InvestmentType: House

3. Changing the Floors listThe naming convention for Floors (stories in a building) changes from country to country. Check thatthe floor level matches the description for your locality.

For instance, what is known as the 'Ground Floor' (level 0) in one country is called the 'First Floor' inanother. The floor level is used in brochures to automatically group rooms by floor.

4. Changing the Image Subjects list'Image Subjects' are used to classify property photos and graphics. It is generally best to leave thislist intact.

5. Changing the Closing Events listThis is your list of milestones or stages for closing a property transaction. The default list is long andshould be edited to reflect the information you normally record about closing.

6. Changing the Price Types list:This list is used to describe the value in the price field. Each property can have its own price type. The price type for a particular property is displayed on the default web pages and many of the printedmaterials e.g. Price: 200,000 or Guide Price: 200,000 etc.

The Property Print button is for printing templates for the selected property only. It can be customizedto save you time.· Open the Print Templates Manager from the Administration menu.

There are two parts to the Property Print button:· The button itself. It prints the default template for this property. · The drop-down menu. It contains a list of the templates you frequently use with a single property To change the default template for the Print button: · On the right panel, open the Interface tab.· Browse for the template you want to set as the default property template for the print button. 5.9 Set the Web Publish Options

The options you have selected for Web Publishing determine how Jade generates the images andweb pages for your website listings.

From the Administration menu, select Web Publish Options - Select the Web Design, Web Categories and output folder you want Jade to use for web publishing.

When you use Jade for the first time, the default Web Design, Web Categories and output folder areselected. These can be used without modification if they suit your needs.

The Default Web Design does not have search activated. If you want Jade to create a search enginefor your property listings, you will need to activate search (Edit Web Design > Search tab).

5.10 Set up the Web Publish Location

When you set up an account with a web hosting provider, they supply you with the details you needto transfer files from your computer to their computer.

Your web host will usually allow you to transfer files in two ways - via a web-based interface or byconnecting from your computer. To set up web publishing in Jade, do not include "ftp://" in the FTPserver box (this is for using the web host's web-based interface and will not work for connectingdirectly from your computer). If your web host has told you that your FTP server is "ftp://etc." removethe "ftp://" part. The name should look like this: "somedomain.com" or ftp.somedomain.com".

· Open Web Publisher.· From the Tools menu, select Publish.· In the Publish window, select Options > Publish Location

Step One:Enter the information your web host gave you for uploading files to your website.

If you do not have the information needed, ask your web host for the following:

· FTP server (e.g. "yourwebsite.com" or "ftp.yourwebsite.com")· User name (e.g. "[email protected]" or "xyz123bc")· Password· The folder on your web host. (e.g. /var/www/html/ or /www/html/ )· Port (usually 21)

Step Two:Add a sub-folder for the web pages generated by Jade as follows:

· My web host has told me to put all files in /www/html/ · I will put Jade's web pages in a folder called 'properties'.So, in the remote folder box I put /www/html/properties/

· My web host has told me to put all files in /var/www/html/· I will put Jade's web pages in a folder called 'listings'.So, in the remote folder box I put /var/www/html/listings/

Tip:Sub-folders have a forward slash (" / ") at the start and end. If you omit these, the web host'scomputer will not understand where you want to put the web pages.

5.11 Change the Environment Options

From the Main Toolbar, select Tools menu > Environment Options.

Search Tab:· Set the minimum and maximum price that should be used in the Search Panel.· Set the minimum and maximum number of bedrooms that should be used in the Search Panel.

The Confirmations tab: · Choose whether or not you want to be asked to confirm your decisions before adding a property to

an enquiry's Hotlist or to a Selection.

The Main Image Tab:· Control when the status should be written across the image on the Main tab. This helps you to

recognize an active property instantly.· By default, For Sale and To Rent are not selected. In other words, 'active' properties do not have

anything written over the thumbnail.· If you wish, you can reverse the logic by selecting the active statuses and de-selecting all others.· You can also remove this feature entirely by de-selecting all statuses.

5.12 Change How Jade Sends Email

Jade allows you to send email with your default Windows email application (e.g. Outlook, OutlookExpress etc). This option is selected by default and normally, you would not change this.

If, for some reason, you do not want to use your default email application, you can choose to sendemail directly from within Jade.

To switch on this option, select Email Options from the Administration menu. Drop the menu andselect SMTP. This opens a window where you can enter your outgoing server details. You can findthe outgoing SMTP server settings for your main email account in your email software.

5.13 Edit the Data Loaded Filters

When you select an option in the 'Data loaded' menu, Jade 'fetches' that set of records. In effect, thisworks like a 'quick search' menu.

The database will perform better if it does not load hundreds of records at the same time. So, if youhave a large database, you can speed up performance by setting your own filter options.

· The Filters you create are added to the Data loaded menu options.· These Filters will be available to all users sharing the database.· The last filter selected on a user's computer before closing, will be used the next time the user

launches Jade.

To Edit the Data Loaded Filters:

From the Administration menu, select Data Loaded Filters ...· Select 'New'.· Select 'Click Here to Add New Condition'.· The blue words are the elements that you can change.· Select the first word and choose the first part of your condition from the menu.· Select the second phrase and choose the most appropriate option from the list.· Rename your filter. (Give it a name that is easily understood).· Close the window.

The Data loaded menu will now include the filter you have just created:

5.14 Change the Database Image Options

Jade Property Suite automatically processes large images. In the Database Options windowexperienced users can control how Jade handles the images you load in the database.

· Select Options from the Administration > Database menu

If, occasionally, you do not want very large images to be resized automatically:Check 'Ask if image is larger than' and set your own limits. The default resize setting is to always to reduce the size of any image larger than 1000 by 1000pixels.

If you never want large images to be resized:Check 'Don't resize'. The default setting is unchecked. Only check this in very exceptional circumstances.

To change the way Jade processes large images to JPEGs:To increase or decrease the size of the high resolution JPEGs created by Jade for printing, adjust thecompression level. How you respond to enquiries can be customized by selecting Enquiries Options from theAdministration menu.

6.1 The Postal Mail Response Letter

When the customer making an enquiry wants to receive a letter in the post, 'Respond by Postal Mail'should be selected in the Enquiry.

Selecting the 'Respond' button will generate a letter addressed to the customer with short details ofthe hotlisted properties.

To select the print template that generates the postal response:From the Administration menu, select Enquiries Options.· Open the Postal Mail Response tab.· Use the button with the 3 dots to browse for the Response template.

By default, the A4 template is selected. If you are in the United States, you might prefer to select theUS Letter version of the 'Response' template.

You can make your own version of the letter. If you do, remember to give your version its own name(e.g. Our Response Letter) and to select that version in Administration > Enquiries Options > PostalMail Response.

How to make your own version

· From the Administration menu, select the Print Templates Manager.· Open the Enquiries > Letters folder.· Here you will find Response Letter (A4 Paper) and Response Letter (US Letter Paper).· Clone the template for your paper size. (Highlight the template and select Template > Clone)· Rename the cloned version (Highlight the template and select Template > Rename)· Double click your template. The template will open in the Print Template Editor.

To edit the letter: · Right-click over the letter text (Click the button on the right hand side of your mouse over the letter

text). This will open the Rich Text Editor.

You will see that the letter consists of merged fields and some text. You can change the text veryeasily. Simply replace or edit this part of the text:

In response to your inquiry, I believe the attached might be of interest to you.

If you would like further details or would like to arrange an appointment to view, do not hesitate to get intouch.

Yours sincerely,

After you have made your changes, close the Rich Text Editor. It will prompt you to save yourchanges - make sure you accept.

Then, close and save the template itself.

In the default email response message, a summary of the hotlisted properties is generated. If youwant to integrate a clickable link to the property details page on your website, this can be done onceyou are updating your web pages frequently.

Hotlisted properties can be linked to a) the search pages on your website or b) the pages in your toplevel category.

The code that generates the link should be placed somewhere between $JadePropertiesBegin$ and$JadePropertiesEnd$.

a) Linking to Search pages on your website

Method 1: Link directly to the web search details page (you must be using Jade's web search on yourwebsite).The code to generate the link would be like this in your email response template:

To change the way that Jade excludes properties from Enquiries matching:From the Administration menu, select Enquiries Options > Enquiries matching tab

· The blue words are the elements that you can change.· Select the first word and choose the first part of your condition from the menu.· Select the second phrase and choose the most appropriate option from the list.· Close the window.

Notes:When Jade matches Enquiries to Properties, it first filters out any properties that should never beincluded. For example, you will probably never want properties that are 'Off Market' to be included -even if they do match a customer's preferences. You decide what properties should be blocked, byediting the Enquiries matching filter.

The Default filter (before you change it) is as follows:1. Promote is True2. Status is For Sale

This means that only properties that are 'For Sale' and have the 'Promote' checkbox selected will beused in matching.

6.4 The Email Response Settings

The default settings for responding to an enquiry by email can be changed.

Here you can choose:· To send plain text emails or emails with attachments. · The listings template for the attachment.· The quality of the PDF attachment.

To change the Enquiry Email Response settings:· From the Administration menu, select Enquiries Options.· Open the Email Response tab.· Set the default method of responding by email (text only or text with PDF attachment). By default,

email with a PDF attachment is automatically selected and the Listings 3 X 3 (A4 Paper) templateis used for the PDF attachment.

· If you want to choose a different listings template for the matched properties (e.g. a US letter sizetemplate or a different layout), browse and select the template you want. (Choose from theProperties > Promotion > Listings folder).

· If you want the PDF attachment to have a smaller file size, lower the PDF quality. The normaldefault quality is 'Medium'. This can be decreased or increased. The higher the quality, the biggerthe email attachment. Try to keep the file size as small as possible. Your customers may notwelcome emails with very large attachments.

Use the Print Templates Manager to organize and set up the defaults for your printed materials.

All of the templates used for printed materials and PDFs can be viewed, edited, cloned, organizedinto folders and renamed via the Print Templates Manager.

To open the Print Templates Manager: · From the Administration menu, select Print Templates Manager....

In the Print Templates Manager you can:· Find a Print Template by opening the folders.· Set Preferences for a Print Template by highlighting the template and selecting options.· Open a Print Template in the Editor by double-clicking the template.· Organize Print Templates by creating, moving and renaming both templates and folder.· Import and Export Print Templates by highlighting a folder and selecting Import or Export from the

How you arrange the templates for Contacts, Companies, Enquiries and Properties in the PrintTemplates Manager is how they will appear in each of their respective print windows.

Open the Print Templates manager via the Administration menu.· Click on the 'plus' sign to the left of a folder to open it.

· Original Jade Templates that have not been modified are denoted by a green icon · If you have made changes to a template, the icon is white

To Make a Clone of a Print Template: · Highlight the template.· Select Clone from the Template menu or from the right mouse button's speed menu.

7.1.3 Set Preferences for a Print Template

When you highlight a Print template, its default settings are displayed on the right hand panel of thePrint Templates Manager window. The default Print range for each template can be set to reflect theway you generally tend to print a particular document.

For example:· If you usually print flyers for a set of properties, you can set the default Print range to 'Displayed

Properties'. · If, on the other hand, you normally print flyers one by one, set the default Print range to 'Selected

Property'.

Note: Some templates are designed to print multiple records on the same page and should be set to'Displayed Properties'. For example, the property 'Listings' templates show a set of properties oneach page. In this case, It would not make sense to set the print range to the selected property.

Additional settings for property templates:· Set up the Property Print button to print a particular template when you click the button. · Select the templates that you want listed in the Print button menu.

A print template can be exported or imported as a file. This is useful if you want to send someoneelse your print template design.

To Export a Print Template: · Highlight the Print Template you want to export. · Select Export from the Template menu. · Browse for the location on your computer where you want the copy saved. · Select Save.

To Import a Print Template: · Highlight the folder where you want to store the Print Template. · Select Import from the Template menu. · Browse for the Print Template on your computer (the file extension is .rtm). · Select Open.

7.2 Editing a Print Template

To open the Print Template Editor:· From the Administration menu, select the Print Templates Manager.· Double click the template you want to edit (or select Edit from the Template menu). The template

will open in the Print Template Editor.

The Jade Print Template Editor is a sophisticated application for creating and editing databasereports. It offers three views of the report: Data, Design and Preview.

The Data TabThis is where the database queries used in the report can be seen and manipulated by advancedusers.

The Design TabThis is where the layout, appearance and content of the print template can be edited. Here you can:· Format Text· Change colors· Line up components· Center components· Resize components· Edit Field Labels· Change Fields· Insert Fields

The Preview TabThis shows you how the output will appear when printed.

Notes: Saving your work Save your changes frequently when editing the Print Templates. Every time you are happy with amodification, you should save. "Undo" support is not available for all changes. After using Preview,previous actions cannot be 'undone'. Restoring an original print templateWhen you edit an original Jade Template it loses its green icon. This is to distinguish print templatesthat have been changed by you from the ones supplied with Jade. If you need to restore the original,highlight the template in question and select Revert to Original from the Template menu.

Distinguishing your templates from Jade originals When you install a new version of Jade it may contain enhanced and/or new print templates. Thesewill not overwrite files of the same name if the latter have been edited. For example, your editedversion of a brochure will remain intact while the enhanced Jade version of the template will beinstalled and will have a green icon beside it.

To format text in a print template:

· Open the template in the editor's Design View.· Select the text you want to format by clicking it once. · While it is selected, use the text formatting tools to change its appearance:

Use labels in a Print Template to display static text that is not drawn from the database. Open the template in the editor's Design View.

To change the text in an existing label:· Select the label you want to change.

· With the label still selected, change the text in the label box:

To create a new label:

· Select the label icon.

· Click the white space on the template where you want the label to be placed.· Position the label by dragging or nudging.· With the label still selected, change the text in the label box (for a new label the Label box shows

Label1 as its default text - replace this).

7.2.3 Change Colors in a Print Template

Open the template in the editor's Design View.

· Select the component you want to change by clicking it once (to select several components atonce, hold down Ctrl key while clicking on each one).

· While the component is selected, select the appropriate tool (Font, Fill or Line) and open its colorpalette using the arrow to its right.

Text Highlight Color Change the background color of text

Fill Color Change the color of the fill in a shape or region

7.2.4 Hide Agency Details in a Print Template

You can make components of a Print Template invisible. This is a quick and very easy way to changea template without changing its layout.

To hide any component in a Print Template without deleting it:· Select the component, right click and deselect Visible.

Example:How To hide the Logo, Agency Name or Slogan on a Print Template:If you want to print on your own headed paper, you can hide the Agency details so that a blank spaceis created for your paper head. In this way, you do not need to delete anything:

· Open the template in the editor's Design View· Select the logo, Agency Name and Slogan· Right click and deselect Visible from the speed menu. (This makes the selected component

invisible).· Preview the results.

Note: To hide the Agency or Branch details at the bottom of the template, follow the same procedure.

Tip:Create two versions of the same template: - one for printing on letter head, the other for printing onblank paper.

7.2.5 Insert a Field Component in a Print Template

Open the template in the editor's Design View.

1. From the data aware component toolbar, select the component you want to create:

DBText component For a text field e.g. fields that contain oneword, number or line of text (most fields are ofthis type).

DBMemo component For a memo field e.g. Description,CustomMemo1, Notes

DBImageFilename For an image loaded into Jade.

2. With the component selected: - Click on a white space in the template where you want it to appear.- Position the component by dragging or nudging.- Choose the pipeline (e.g. Properties) from the query menu.- Choose the field you want from this pipeline using the field selector menu (e.g. Propertystatus):

3. Right-click the component and ensure that the following options are selected:

To Align components with one another: · First, select a component to align with by clicking it once.· While it is selected, hold down the Ctrl key on your keyboard and click the components you want to

line up.· (Keep the Ctrl key held down until you have finished selecting).

· Choose the way you want to align the components with the first one you selected.

Your options are:

Align Bottom Align them with the bottom of the first component

Align Top Align them with its top

7.2.8 Resize Components in a Print Template

Open the template in the Editor's Design View.

To Resize One Component:· Select a component by clicking it once.· While it is selected, move your mouse over it so that the resize cursor appears.· Drag the cursor to the desired size (as soon as you start dragging, the handles disappear).

Increase Width

Increase Overall Size (the best way to increase size while keepingproportions)

Increase Height

· Preview the results of your changes by selecting the Preview tab.· If you are satisfied with this change, select File > Save before making any further edits.

To Make Two or More Components the Same Size:· Select all components that you want to make the same size by holding down the Ctrl key on your

keyboard and clicking the relevant components. (Keep the Ctrl key held down until you have finished selecting).

· Use the Size icons to choose which way you want to resize the components:

7.2.9 Custom Printing Settings

The Page Set Up window allows you to define custom print settings for a template. To view theseoptions, open the template in the editor and select File > Page Setup.

PrinterIn the templates shipped with Jade, this is set to 'Default' (in other words, the printer selected in theWindows Control Panel as the default printer).

CopiesThe number of copies that should be printed. In the templates shipped with Jade, this is set to 1. Ifyou have a report that is always printed in duplicate, change the setting to 2.

CollationWhen printing multiple copies, each copy will be printed as a separate set of pages. You might notwant to use collation when printing multiple copies of a single page template like a flyer. Forexample, if you want to print 3 copies of 2 flyers, you might want them in two bundles.

Document NameThe name of the print job as it will appear in the Print Manager.

DuplexFor printers that support duplex, this setting determines how double-sided printing will be used.

OrientationEither landscape or portrait.

Paper Height & Paper WidthThe dimensions of the selected paper, based on the paper selected. If these values are enteredmanually and no corresponding paper size is found, the paper is set to 'Custom'.

MarginsMake sure that the components of the template (Design tab) will fit on the page with any new marginsettings. If, for example, your layout plus the margins exceeds the width of the paper, thecomponents that no longer fit will be deleted.

7.2.10 Previewing Changes to a Print Template

In the Print Templates Editor, click the Preview tab.

Zoom ControlsUse the Zoom controls or type a percentage value. For example, type 300% and press Enter on yourkeyboardto the viewer.

Navigation ControlsUse the Navigation controls to specify which pageis displayed.

If 'Show Outline' is enabled in the template, you can clickon the Outline page nodes to navigate to a page.

Find TextUse this button to display the Find Text toolbar thatcan be used to search and highlight words thatappear in the report.

7.2.11 Change a Component's Source in a Print Template

You can change the source of a particular field component without editing the layout of a printtemplate.Open the template in the editor's Design View.

1. Select the field component you want to change on the template by clicking on it once.2. With the field still selected, click the arrow to the right of the query selector and choose the sourcequery.3. With the field still selected, click the arrow to the right of the field selector and choose the newfield.4. The source of the component will now be the field you selected.

Note: If the field you want is not available you can add a field to the source query.

7.2.12 Sort Properties in a Print Template

Topic Level: Advanced Report Design

In properties templates, the results are usually sorted by PropertyID. You can change this by editingthe print template's query. To see the query, open the template in the Editor and look at the Data tab.

The Properties query box is the one you need to edit. Each query box has a toolbar with icons. The

icon will open the sort order options. If you cannot see this icon, pull the right side of the querybox to reveal its full toolbar.

Once you have the sort options open, you can select a field for sorting by scrolling through the fieldsin the top panel and double-clicking the one you want. This will drop it to the bottom panel. Thebottom panel shows the fields you have chosen for sorting. To remove a field from the bottom panel,double-click it.

Example1: · The PropertyID is in the bottom panel and you want to remove this. You double-click it. The

PropertyID field is removed. · You want to sort by City instead, so, you scroll through the top panel until you find City. You then,

double-click it. City drops to the bottom panel. · You select OK to close the query box. · Switch to the Design Tab and select File > Save.

Example2: · You want to sort properties first by City, then by Price. You add first the City field to the bottom

panel and then the Price field.

Example3: · You want to sort properties first by City, then by Price in reverse order (highest to lowest). As in

example2, you add both fields to the bottom panel and then, you tick the 'reverse order' box to theright of the Price field.

You can sort by several fields by following the above procedure.

7.2.13 The Images Sub-report

Topic Level: Advanced Report Design

Each property has one default image. The other images are displayed by a sub-report.

The data source of each report or sub-report is called its 'Data Pipeline'. In a properties template, thedata pipeline for the main report is the properties query. The data pipeline of the images sub-reportis an images query linked to properties These queries have been defined on the Data tab. On theDesign tab > Report menu, you can see the data pipeline selected for the report or sub-report youhave open.

When a print template has an images sub-report, you will see its tab at the bottom of the DesignView. Clicking this tab will open the sub-report.

To change the layout of columns and rows in the images sub-report:The images sub-report is set up to display the images in a table. What you see on the sub-report is asingle cell of a table.

· Open the sub-report tab.· Select File> Page Setup > Layout tab.

Here you can edit:· The number and width of the columns;· The precise starting position of each column;· The spacing between rows;· How the columns should be filled/traversed ( i.e. from top-to-bottom first or from left-to-right first).

For the images sub-report left-to-right is usually best.

If you want your images to be bigger or smaller, you need a table cell of an appropriate height andwidth to accommodate it. First adjust the layout, then change the image size.

After making changes, right-click the image component and make sure that the following attributesare selected:

- Autodisplay- Center- Maintain Aspect Ratio- Stretch- Visible

Note: If you have the Report Tree open, you will have easy access to all of the sub-report'scomponents. If you make a change to a value on the Report Tree, press the paragraph return key onyour keyboard to enter it.

7.2.14 Edit a Query in a Print Template

Topic Level: Advanced Report Design

The Data tab is where the queries used in the report can be seen and manipulated. On this tab,advanced database users can create, modify and import/export a data view.

The templates that are in the Properties folder must be based on a query of the Properties table.Similarly, the templates in the Contacts folder must be based on a query of the Contacts table andEnquiries templates must be based on a query of the Enquiries table.

When you save a print template, the following are saved in the file:· The Data View that defines the query of the database.· The Design layout that defines how the data is presented.· The Default Print Range for printing records (as defined in the Print Templates Manager or in the

template itself).

The Data View tab

Each query in the data view has its own toolbar:

Here is what each of the icons represents:

Preview the results returned by the query.

Database tables used in the query.

Database fields selected in the query.

Calculated fields in the query.

Groups applied in the query.

Filters applied in the query.

Sorting applied in the query.

The join between this query and another.

The SQL for this query.(NB. Do not edit the SQL directly as this willrestrict what you can do in this template's Data View in future)

To add a new field to a query:

· Select the fields icon on the relevant query.· Double click the field you want in the top panel (fields already selected are shown in the bottom

panel).

7.2.15 Dynamic Components

Topic Level: Advanced Report Design

With the Print Templates Editor you can create highly dynamic report layouts by using componentsthat expand or contract to accommodate the information they contain.

The following dynamic attributes are available for SubReport, Memo, RichText, and Regioncomponents:

StretchWithParent

Allows a shape or line to expand or contract based on the change in height ofthe band or region in which it is contained.

ShiftWithParent Allows any non-stretching component to move up or down based on thechange in height of the band or region in which it is contained

ShiftRelativeTo Used to specify the vertical positioning which should take place betweenmultiple stretching components in a band.

StopPosition(for subreports)

Used to set the position on the page where a child type subreport will stopprinting. Allows a child type subreport to be confined to a rectangular area ofthe page.

BottomOffset Used to create white space between multiple stretching objects which havebeen linked together using the ShiftRelativeto property.

OverFlowOffset Controls where a stretching component will begin printing when it overflowsonto additional pages. This property can be used to print an object at adifferent starting position when it overflows onto additional pages.

ReprintOnOverFlow Used to print non-stretching components again when stretching componentsare printing on additional pages.

7.2.16 Simple Calculations

Topic Level: Advanced Report Design

Simple calculations can be performed using a Database Calculated Field component (DataComponents Toolbar).

· Performs simple calculations without any coding· Provides Sum, Average, Minimum, Maximum and Count functions· Performs calculations that can be group-based or report-based

CountTo number the detail bands:· Place a DBCalc component in the detail band of a report. · Right-click over the component and select Calculations...· A dialog will be displayed. · Set the calculation type to Count and click OK.

When you return to the Report Designer, the DBCalc will contain this caption: 'Count(*)'. There is noneedto select an individual field for the DBCalc because the Count function does not require one.

Preview the report. Each detail band will be numbered.

Grand TotalTo calculate a grand total:· Add a summary band (select Summary from the Report menu).· Place a DBCalc in the summary band.· Right-click over it and select 'Calculations'.· Select 'Sum'.· Assign the DBCalc to the appropriate data pipeline and field.

Group TotalTo calculate group totals, place a DBCalc in the group footer band and assign it to the appropriatedata pipeline and field. The Reset Group will be assigned automatically.

Each time the group breaks, the group total will reset to 0.

Cumulative SumTo calculate a cumulative sum in the detail band, add a DBCalc in the detail band and assign it to theappropriate data pipeline and field.

Topic Level: Advanced Report Design

The Print Templates editor contains a Report Wizard that allows you to quickly create an entire reportlayout. However, you can also create a report by dragging and dropping a selection of fields from theData Tree.

The Data Tree has two tabs:- In the top tree view, the ‘Data’ tab contains a list of data pipelines to which the report has access (e.g. Properties; Rooms; Features etc).- In the bottom list view, all of the fields for the currently selected data pipeline are displayed.

Fields can be selected in the bottom list view and dragged to any part of the report layout.

The Layout TabThe second tab of the Data Tree is called 'Layout'. This tab allows you to control the behavior ofdrag-and-drop. Here, you decide what should be created when you drag fields from the data list anddrop them onto the report.

Once you have set the drag-and-drop behavior, it will be remembered the next time you open thePrint Templates Editor..At the bottom of the Data Tree window, the Layout tab allows · Select All to create labels, fields and borders.· Select Vertical to create vertical labels and fields· Select Fields to create fields.· Select Grid to create fields surrounded by borders.· Select Font to open a window where you can select the font and style for fields.

The Design tab of the Print Templates Editor has a window in which the components of a report canbe viewed and edited. This "Report Tree" window is dockable and can be switched on and off.

To switch on this tool, select View >Toolbars > Report Tree.

The Report Tree is dockable to the left or right side of the Design view. The upper portion of theReport Tree shows the main report and any subreports nested within it. The bottom portion of thewindow is an object inspector in which the attributes of the component you have selected can beviewed and edited.

Use the Report Tree to · Organize components within each band.· Select components quickly in the report layout.· View and edit the attributes of each component.

Note: If you make a change to a value on the Report Tree, press the paragraph return key on yourkeyboard to enter it.

The Data tab in the Print Template Editor shows the database queries used in the template. This'Data View' can be saved as a *dtm file. This means that a data view can be re-used.

When you switch to the Data tab, the File menu options change. These include Import/Export optionsspecifically for the Data view.

Export: Saves the current Data view as a separate *dtm file. Import: Replaces your current Data View with the *dtm file you import.Merge: Adds the queries from another Data View to your current view.

To import or export a data view:· Select Export or Import from the File menu.(Both operations must be carried out from the Data View

tab).

To merge data views:· Select Merge from the File menu.· Browse for a data view (*.dtm) that you previously exported.

By importing a Data View, the data source for the report is changed and the references may need tobe fixed. If so, you will need to -Select the Data Pipeline for the report and for each of its sub-reports. -Select the fields using the field selector.

The Web Design decides the look, layout and navigation of your website's property listings section. This is saved in a Jade Web Design file (*.jwd).

If you want your listings organized into categories, this is handled separately in the Web Categories.

Tip:· You can create and save your own custom Jade Web Designs.· You can send/receive a Jade Web Design file as an email attachment (it does not need to be

zipped). For instance, your web design professional can send a Jade Web Design to you. Once itis on your computer, simply select it in Web Publish Options.

Step one: Edit the Search options· Open the Search tab.· Select Activate Search.· Select the fields you want the user to be able to search: Select a Searchable field on the left. Type

its label on the right (this is the text that describes the field to your website visitor).· Edit the sorting options.· Edit the texts you want to appear on the search pages.· Edit the filter that selects properties for the web search. (By default, only properties that are marked

'Promote' and are 'For Sale' are included.)

Step two: Add Search buttons or links· Select Edit > Navigation.· Select Category Pages > Search. · On the right, select Search.· Choose a button image by browsing or, leave the image box blank to use a text link.· Select Property Pages > Search. · On the right, select Search.· Choose a button image by browsing or, leave the image box blank to use a text link.· Close the Navigation Options window.

Step Three: Save your Web Design· Select File > Save

Important Notes:

1. Search only works on a web server. You will not be able to preview Search on your computer but itwill work on your website after you have published. If you click the search button when previewing thepages generated by Jade, you will probably see code. This is because your web browser (e.g.Internet Explorer) cannot interpret the code on its own. There is software (PHP) on your web host'scomputer that understands this code.

2. The overall style of the search form and search results page is based on your Category pagesettings. The overall style of the details page is based on your Property page settings. A professionalweb designer can customize the search form.

8.1.7 Modify the Web Search Filter

By default, only properties that are marked 'Promote' and are 'For Sale' are included in the WebSearch. You can change this by editing its filter:

· From the Administration menu, select Web Publish Options.· Select Edit Web Design.· Open the Search tab.· Select the Filter button.

To include properties that are 'For Rent', 'Sale Agreed', 'Sold' etc.Change the second condition as follows:· Click on the last phrase 'For Sale'.· This will open a menu showing all of the status options in your database.· Select the status(es) you want to include.

· Select OK to finish.

Example:If you choose - Status is any of these 'For Sale' , 'For Rent' - two things will happen:1. Only properties that are For Sale or For Rent will be published for the web search.2. If you have the Status field on your web search form, its drop-down menu will contain 2 options,namely, 'For Sale' and 'For Rent' so long as you actually have any properties for sale or for rent. Inother words, Jade tailors the drop-down menu to the properties that are being published.

8.1.8 Change Navigation Options

· From the Administration menu, select Web Publish Options.· Select Edit Web Design.· Select Edit > Navigation...

In the left panel, select a navigation item you want to use on your web pages.· On the right panel check Selected.· In the text label box, edit the text for this item. (Even if you decide to use a button, there should be

a text link. This will be used as the alternative text for your button image).· If you want to use a button, browse for the image. There is a collection of ready-made button

images in the Jade Property Suite > Web > buttons folder. You can select your own buttons if youhave any.

· To exclude a specific navigation item, deselect its checkbox.

Setting the 'Home' linkIf you select 'Home' as one of the navigation items for your web pages, you probably want this to linkto the homepage of your website. Use the full address to your website e.g.http://www.yourwebsite.com

When to use the CrumbtrailIf you have a complex structure of categories, the crumbtrail will prove very useful to your websitevisitors. This provides them with a clear picture of the route they followed to arrive at a particularpage. If they want to retrace their steps to a particular point, they will be able to click a link and gostraight there. Everything that helps your website visitor save time and effort is a bonus.

Here is what a crumbtrail looks like:Listings > Residential >100 - 160,000 > Croom Cottage, Sunnyside

In this example, the web visitor knows exactly where the current page is on your website and has atleast 3 options for back-tracking.

When NOT to select the CrumbtrailIf you are only using the Web Search on your website. (In other words, your categories file has nocategories in it). The crumbtrail link will be superfluous.OrIf you use a simple categories structure, there is no need for a crumbtrail. The standard navigationlinks will provide your web visitors with plenty of options and a crumbtrail will be superfluous.

8.1.9 Change the Size of Images

For web pages, Images are resized to scale, using the maximum width and height entered in the WebDesign Editor.

To increase or reduce the size of web images:· Select Web Publish Options from the Administration Menu.· Select Edit Web Design.

The images used on Category pages and Property pages can be adjusted separately.

· For Category pages, you can change the size of the thumbnails (Category pages tab).· For Property pages, you can change the size of the default image and of the thumbnails (Property

pages tab).

Using large images instead of thumbnails on property details pages:For Property pages, you can use full size images instead of thumbnails. You might do this if (a) youwant your website visitors to see your photos without clicking (b) you want to make it easy for thevisitor to print off details and photos (c) you want to reduce the number of images you are generatingfor each property.

To use full images instead of thumbnails:· On the Property pages tab, deselect 'Clicking a thumbnail opens full size image'.· Increase the size of the images e.g. width 350, height 350.

You can view the results of your changes to a Web Design by creating pages in the Web Publisher.

Topic Level: Advanced Web DesignThe standard file extension for the web pages created by Jade is *.html. Web design professionalsmay want to change this to suit the particular design of a website.

Available extensions:*.asp*.aspx*.htm*.html*.php*.shtml

· From the Administration menu, select Web Publish Options.· Select Edit Web Design.· From the Edit menu, select Web Options· Open the HTML tab and choose the default extension for HTML pages from the drop-down menu.

Previewing Web Pages that do not have an html/htm extension: To use Preview in the Web Publisher, your web browser must be set to open files of the type youhave created. For files with .htm and .html extensions, no action is required on your part. However, ifyou have created web pages with other extensions you may have to associate these files with yourdefault web browser.

For example, to always open .asp pages with your web browser: In the Web Publisher, select Tools > Browse Output Folder. Select a page with the .asp extension. Right click your mouse over the page and choose Open With..> Choose Program. In the 'Open With' window, select your web browser from the list of programs (e.g. Internet Explorer)and select 'Always use this program to open these files'.

To preview the search pages, they need to be on a web server with PHP support.

8.1.15 Set the Web Options

The Web Options are additional settings that you can use to control the way that Jade handles imageprocessing and code for your web pages. These include, adding a watermark to all of your images,changing the compression level for processing images and changing the character set for languagesother than English.

· From the Administration menu, select Web Publish Options.· Select Edit Web Design.· From the Edit menu, select Web Options

The Images tabThe web image options are additional controls over the way your images are processed by the WebPublisher.

Your logo can be superimposed on the property images used in your web listings:· Browse for the logo image you want to use for this purpose. The logo you select must be of a

suitable size. Jade does not reduce the dimensions of the image you select here.· Change the position of the logo if necessary.· Choose whether or not you want the logo to be superimposed directly or to be transformed into a

watermark.

You can adjust the compression level of JPEG images on your web pages:· Decrease the quality level to reduce the image file size. This will result in lower resolution images.· Increase the quality level to improve the resolution of the images. This will result in larger image

files.

If you are unsure how to use this control, you should accept the default value (i.e. 85).

The HTML tabIf your language is not English, and you need a different character set, you can change the documentencoding for web pages here. Set the Document Encoding to Unicode (UTF-8) or to the encoding foryour language.

The Jade HTML code includes tags that merge fields from the properties database. Normally, when you write HTML code, the actual text and images are embedded in the code itself. Inthe Jade HTML code, tags in the code (e.g. {property field= "PropertyID"}) merge data with the HTMLoutput.

Web design editing is broken down into different levels of complexity. By the time you are using theJade Code Editor, you are at the highest level of complexity. The more tasks you can perform at alow level, the better. This will make maintenance easier in the future.

The Room segment is included in the table by means of {property.rooms}. Jade generates a row forevery room in the property record. If a property has no rooms data, this table will not be created.

Example 1: Create a simple bulleted list of roomsIn this example, the only field that is used is the Room Type. The code in the Room segment wouldlook like this:

Example 3: Create a layout that includes room imagesThe Property details page can show room images as well as property images. The default designdoes not include room images and will look well no matter what has been entered on the Rooms tab.

When the room image tag is used, every room entered in the database should always have an image- otherwise the layout is not likely to be attractive. If the agency cannot commit to this, it would bebetter not to use the room image tag.

To include the room image field, insert this tag in the Room segment:{property.room.image.url}

Tip:If you do not like the changes you make, you can revert the entire segment to the default layout(select Tag > Revert to original).

8.1.16.6 How to Design a Search Form

This topic covers how to edit the layout of the search form that is generated by Jade. To create acustom search form layout you must edit the Jade HTML code for the Category Pages.

What to edit in the HTML code:If you want to change the style of the field labels, fields and buttons, change them in the Font andStyle options window.

In the default design, the only graphic design element that is hard-coded in the HTML is the table andits attributes (width, padding, background and border).

To edit the layout of the search form:In the Web Design Editor, select View > Jade HTML CodeUnder Category Pages, select the Search segment. This will display the search form code in theeditor.

Moving the position of search fields:· All of the form elements have a 'begin' and 'end' line - do not delete these tags. They allow Jade to

switch fields on and off.· When you move a field, remember to move its 'begin' and 'end' tags as well.· The Search form HTML code contains all of the searchable fields. Fields that are not selected via

the interface will not be used by Jade when generating the search form. So, there is no need todelete them (it is very likely that you will want them again in the future).

· If you add more table columns, move any fields you are not using ((along with their begin and endtags) so that they are outside the table. Jade will ignore them if they are not switched on.

How the Search Form design works:· The jade_category.css file contains the styles used in the search form and the search results

pages. This file is generated when you Create Web Pages.· The Search Form layout is generated as the search_form.html template. This is placed in a

sub-folder of the output folder: search/templates/search_form.html· The web page containing the search form is generated as the search_page.html template. This is

also placed in the search/templates/ sub-folder. (You can see the form on your own computer if youbrowse the output folder)

When files are uploaded to the web server, a) the jade_category.css styles are applied to the search_form.html template; b) the search-form.html template is merged with the search_page.html template.

Because of this separation, when you make a design change, only the file that has been modifiedneeds to be uploaded to the web server.

8.1.16.7 Create a Custom Drop-down Search Field

Jade creates drop-down menus for the web search form based on the Master Records and theproperties that are being published.

This means that, each time you publish, the drop-down menus in the search form are automaticallyupdated to reflect the available properties. As a result, the website visitor will find searching easy andproductive.

However, the search form menus can have any options you like.

You can· Add a drop-down menu to a field that does not have one created by Jade.· Use a custom drop-down menu instead of one created by Jade.

In the Jade HTML code, each available search field has its own Begin and End tags. The codebetween these tags can be edited to include a drop-down menu.

The following code example creates a list of options for the minimum price field on the search form.The menu will allow the visitor to select from a menu of minimum price values:

To Edit this code:This is a standard HTML drop-down menu with a few special Jade tags added. Any of the searchfields can have a custom drop-down menu using this model.· The option value will be used for searching and it must be correct. In other words, if the search

value is text, this must be spelled exactly as it is in the database. Copy-and-paste from the MasterRecords to be certain.

· Numbers should not have spaces, commas or decimal points. · You can add more options following the same format.

Tips regarding currency symbols:As Web browser support for currency symbols is not consistent, you might decide to replace thecurrency symbol with the universal standard abbreviation. e.g. USD (US Dollar), GBP (PoundSterling), EUR (Euro) etc.:

While you are editing the design, Jade creates a temporary 'Current Design Folder'. This allows youto preview your changes without modifying the file.

After making changes to the HTML code:· Select Web Publisher· Create Web Pages· Select Preview

Tips for previewing:

· Search can only be previewed on a web server with PHP support. So, to test how your search formworks, you will have to publish them to the web server.

· You can see the search form that has been generated (without the style sheet applied), if youbrowse the output folder (Web Publisher > Tools > Browse output folder > Search > Templates >search_form.html). Remember, these are PHP templates and these will only be merged andfunctional once they are on the web server. Links to other pages, (e;g, to the homepage or thecategory pages) will not work when browsing the output folder. However, they will work on yourwebsite.

· If your changes do not involve modifying the images, select "HTML Only" on the Create WebPages button menu. This will speed up web page creation.

· After changing the web design or categories, you may need to empty the output folder beforepreviewing your changes (Web Publisher > Tools > Empty Output Folder).

· If you are using Web Categories, you may want to preview your designs on a very small dataset.Make a copy of your categories file and then add a condition to each of its filters to limit the test tospecific properties (e.g. Where PropertyID is any of these 22,33,49).

You can edit the Property and the Category template in an external HTML editor.The code segments must be edited in Jade's code window.

· Access your external editor via the button on the HTML code window.· When you have finished, save and then go back to the Jade code window. (Refresh by switching

between nodes on the tree).

To change the external editor, select Tools > Environment options from the Main Window.

Notes:

-Some editors may re-arrange the <head></head> and <body> tags. If this happens, fix it afterwardsin the Jade code window.

-Another element of code that may be affected is the extended 'mailto' link. Typically, this is what canbe corrupted:&body='Regarding-{property field="caption"}. If this has been changed by the external editor, you might get this message when generating pages:Field "" does not exist.

8.1.16.10 Optimizing HTML for Search Engines

One of the advantages of static HTML pages over dynamic pages, is the ease with which they can befound and read by search engine robots. Specifically, the web pages generated by Jade offer thefollowing benefits to the real estate agent who wants to conform to best practice:

· The directory structure and navigation links between all of the pages are logical and easy for botha user and a robot to follow.

· The meta tags can be highly relevant and consistent with the page content.· The page titles can be unique, relevant and consistent with the page content.· Each page generated by Jade can have unique content.· The images have relevant alternate text.· The HTML code conforms to current standards.· The pages load quickly with high-quality small-sized image files.· Style sheets are linked, producing pages with less code.

The <Title> tagIn the default designs, the <title> tag is filled by the category headline on category pages and theproperty caption on property pages.

If the property captions will not make informative titles, other fields can be used instead. Forexample:

<title> {property field="type"},{property field="numbedrooms"} bedrooms, {propertyfield="location"}</title>· This will produce pages with unique titles and give the web searcher a clear indication of what the

page is about (e.g. "Single family home, 4 bedrooms, Austin" or "Detached House, 3 bedrooms,Surrey" or "Piso, 3 dormitorios, Malaga").

The Meta tagsIn the default designs, the description meta tag is filled by the ShortDescription field on propertypages and by the Category Introduction (if any) on category pages.

If either of these fields are not suitable, you can replace them with another field or a combination offields. You can add any other meta tags that you feel necessary. For instance, you can createkeyword meta tags using a series of field tags and words as described in the previous paragraph.

The Page HeadingIn the templates supplied by JadeTools, the main heading (<H1>) on property pages is the propertyCaption and on the category pages, it is the category headline. · To use another field as the main heading on the property pages, edit the property template. You

can set up and apply the Property Pages > page_headline style to format the output.· To change the text used as the category headline, edit the Web Categories.

Jade uses your Web Categories file to create a directory of inter-linked web pages for your website. When a visitor is looking for a property on your website, they will be able to find what they want byclicking on links (i.e. by browsing).

Jade creates a default structure for you. Your own structure can be completely different.

Listings- Residential- Commercial- Land and Sites

Each category/sub-category has its own editable options:

Name:The name of the category as it will appear on your website.

Headline:An optional headline that will appear on the category's web page.

IntroductionAn optional introductory text that will appear on the category's web page.

Filter:The properties that belong to this category. Properties are included/excluded based on theconditions you set here.

Filename prefix:The filename that Jade should use for this category's web page.

· From the Administration menu, select Web Publish Options.· Select Edit Web Categories.

To move a category inside another category: · Highlight the category you want to move.· Drag-and-drop it on the name of the destination category.

To move a category to the same level as another category:· Highlight the category you want to move.· Drag-and-drop it on the node of the destination category.

To change the order of categories:· All levels or a particular level on the tree can be sorted alphabetically. Select Sort from the

Category menu (or click the right button on your mouse to use the speed menu).

· Arranging the order manually is done by dragging and dropping.

Example: Moving a sub-category to another position within the category. In this example there is one category called 'Residential' and 3 sub-categories.Residential- Sunnyside- Newtown- OldtownTo move Oldtown to the top:Highlight Newtown and drag-and-drop it on the Category name 'Residential'. This will move Oldtownup to second position. Then, do the same with Sunnyside. Oldtown will then be in first position.

8.2.6 Edit the Web Category Filter

In the Web Categories Editor, you can control what properties are listed on your website. On theFilter tab, you define the conditions that Jade will use to select the properties for your web pages.

For example, the default Residential category filter finds properties that are 'Residential', that aremarked 'promote' and that are 'For Sale' or 'Sale Agreed'.

To edit the filter:· From the Administration menu, select Web Publish Options.· Select Edit Web Categories

The Filter tab is where you define how Jade must select properties for that category of listings onyour website. A filter is composed of a set of conditions. Each category and sub-category has itsown filter.

To Create a Condition:· Highlight the Category or Sub-category. · Open the Filter tab.· Select 'Click Here to add new Condition'· The blue words are the elements that you can change.· Select the first word and choose the first part of your condition from the menu that opens.· Select the second phrase and choose the most appropriate option from the list.

To Modify a Condition:· Highlight the Category or Sub-category. · Open the Filter tab.· The blue words indicate the parts of a condition that you can change.· Select the word or phrase that you want to change.· Choose the options you want from the menu that opens.

To Delete a condition:· Select the condition's number. · Select Delete Condition from the menu that opens.

To Delete all conditions for a particular category:· Select Delete Filter.

To change the order in which properties are listed:Each category can have its own sort order. For instance, one category can be sorted by Price (lowestto highest), another can be sorted by Price (highest to lowest), another can be sorted by Locationetc..· Select a category in the left panel.· On the right panel, open the Filter tab.· At the bottom of the Filter tab, choose a field to sort by.

The natural sorting order is from A to Z or from lowest to highest. If you check the 'Reverse Order'checkbox, listings in this category will be sorted from Z to A or from highest to lowest.

9.1 What Is a Property Record?

Everything to do with a particular real estate property is stored in a single record. The record istabbed to divide the data into manageable sections.

Underneath the record there are icons for operations that can be performed on a single propertyrecord. Operations that can be carried out on multiple records are accessed elsewhere in the MainWindow.

The information stored in the properties database can be used in printed materials such asbrochures, flyers, reports, letters and invoices as well as in web pages and emails.

9.2 Create a Property Record

Select Create at the bottom of the Main Window. You can either create a blank property record or,you can make a copy of the property that is currently selected.

Creating a blank record:When you create a blank record, the following fields will be pre-filled with the values you havechosen as Property Defaults:

· Town/City· Zip/Postcode· Country· Branch· Sales Tax/ VAT %

To edit the Property Defaults, see Administration menu > Agency Details > Property Defaults tab.

Creating a copy of the current record:When you create a copy of the current record, Jade copies all of the data except for events. It willalso create copies of the images.

Tips:· Ideally, you should de-select the Promote checkbox until you have the following information in the

record:Main Tab: Caption; Price; Market; Type; Location; Branch.Description Tab: DescriptionImages Tab: Default image

· You can change the Property ID from the Property Menu or by selecting Ctrl+I on your keyboard.· When you want to hold information on a property but have not yet got it on your books, set the

Status field to Provisional.· When a property is withdrawn, keep the data for future use by setting the Status field to Off Market.

9.4 Enter Property Measurements

The Floor Area and the Plot Area are entered on the Description tab of the property record.

To enter the Floor Area or the Plot Area:1. Select a unit of measurement (i.e. m2, Sq Ft, Acres or Hectares).2. Type the value e.g. 1200.5 (Note: Do NOT type 1,200.5 or 1.200,5)3. Enter a textual description of the measurement e.g. 1,200 Sq Ft approx.

To convert the value you have entered to another measurement unit:- Select a different unit. Jade will convert the measurement from one unit to any of the other availableunits.

Values versus Text: A value should be entered. This will allow you to search and match properties that fall within a givenrange.

The text fields are used on the default web page design and in brochures, flyers etc.. As yourmeasurements may be approximate (or, not guaranteed to be 100% accurate), your text can reflectthis. Your own custom print templates and web design can use the value fields instead, if you wish.

9.5 Load Property Images

You can load any number of images per property. Your original images can be in any of the mostcommonly used formats. Load your best, high resolution images. Jade will process them for printing,PDFs and web publishing.

To load property images:· Open the Images tab on the property record.· Select New...- Load a single image by browsing and selecting it.- Load multiple images by holding down the shift or Ctrl key and selecting each image with yourmouse.

Set the default image:· Click one of the image rows you have created.· Click the image button and choose 'Set as default'. · The Default Image information will have an icon beside it and this image will be added to the Main

tab.

Add captions to your images:· Type a caption beside each image (leave blank if you do not want this image to have a caption on

your flyers/brochures or web pages).

Choose a subject for each image:· From the subject menu, select what this image is about (e.g. if the image is of a room, select

'indoors').

Delete the image (to remove this image and all details about it):· Highlight the image record.· Select Delete.

Export the image:· Select the Image button.· Select Export to make and save a copy of the image.

View the image:· Select the Image button.· Select View to examine the image in detail.

Clear the image (to replace it with another):· Select the Image button.· Select Clear. This keeps the image record and allows you to load a different image. Make sure that

you replace the image.

Change the order of the images:· Highlight the image number or caption and drag-and-drop it to a different position. The order in

which you arrange the images is used in web pages and print templates.

Notes:

· When you load an image, Jade creates a copy of your original and puts it in the Property Imagesfolder. The copy is named after the PropertyID. When you delete an image, Jade removes theimage it created from the Property Images folder.

· It is generally better to store all images on the Images tab rather than on the Rooms tab.· Jade processes very large images. This means that you do not need to reduce the size of your

original digital camera images before loading them. Experienced users can change the settingsfor database image processing.

· Load your best, high resolution images. Jade processes them automatically for printing, PDFs andweb publishing.

· You can customize the image subjects menu.

9.6 Create Rooms

Each property can have any number of rooms.

To enter room information:· Open the Rooms tab.· Select New.· Select a room type. (Start typing and Jade will try to find the type for you. Or, use the menu to

select).· Type the dimensions of the rooms (leave blank if you do not use room dimensions).· Select a floor (leave blank if you do not use this information or if the property has only one storey).· Type comments about this room as you would like them to appear on web pages and printed

materials. (Leave blank if you have nothing to say about this room).· To move a room up or down, drag-and-drop it to a different position.· If you need to load a reference image for this room, select Room > Load Image. (NB: Store all

images that you want to display publicly on the Images tab).

Tip:You can edit the room types by customizing the menu.

9.7 Create an Event

You can track any number of events for each property.

To create a new event:· Open the Events tab on the property record.· Select New.· Choose the type of event you want to record. (Selecting blank will open a generic form with no

event type.) All events have these fields in common:

- a date/time at which it occurs or starts.- a date/time at which it ends (optional)- an agent dealing with it.- a notes field.

Pre-defined events have extra fields (e.g. customer, conditions etc). The types of event that havethere own special forms are:

· Inspection· Showing· Open House· Offer· Closing

Printing Events: · When you record an offer, you might print a letter to the owner giving them details of the offer

received.· When you arrange a showing, you might send the customer a letter confirming the appointment.· You might want to send the owner details for some of the events (e.g. all offers received or all

showings and offers etc). · See Printing Property Events

9.8 Renumber Properties

To renumber the selected property:· Select the Property Menu from the Main Toolbar.· Select Change ID.· Enter the new number. To renumber all properties so that the numbering system starts at No. 1: · First, if you are sharing on an internal network, close Jade on all other computers.· Create a backup for security.· From the Main toolbar, select the Administration menu.· Select the Database submenu.· Select Maintenance.· Select Renumber PropertyIDs.· Select OK.

9.9 Select Properties

To select a single property:· In the grid, highlight the property by clicking on it once.

To select multiple properties:Open Selections from the Main Window toolbar. Choose the Selection you want to modify or create anew Selection. · Open a property record or highlight it in the grid.· Click the Select button (bottom of window). Jade will ask if you want to add this property to the

current Selection. · Do this with each property you want to select.

Displaying the Selection in the Grid:· In the Selection window, select Contents > Show All Properties. This will filter the properties database so that you only see those in the Selection.

Clearing the Selection from the Grid:· Use the Display drop-down menu to display All.· This will remove the filter.

Tips: -You can create as many Selections as you like.-Use dates in the names you give to Selections e.g Booklet 20/06/02 -Use Selections for any task that requires recalling a particular search result, a temporary list, a set ofproperties for a particular Quick View, advertizing campaign or mailshot etc. -Selections are automatically saved.

9.10 Match a Single Property with Enquiries

To find potential buyers for a property, click the Match button underneath properties or searchenquiries.

The property Match button:· Open the property record or highlight it in the grid.· Select Match at the bottom of the window.

The enquiries search panel:· Open Enquiries.· Select Search.· Enter the matching property ID.

When you do either of the above, Jade will· Tell you how many enquiries match this property.· Tell you how many of these matching enquiries do not have this property in their hotlists.· Ask you if you want to add this property to their hotlists.

9.11 Add a Property to an Enquiry Hotlist

The Hotlist for a potential buyer can be maintained manually as well as by using automatic propertymatching. This means that, if a property does not match a prospect's preferences and is therefore notpicked up by automatic matching, you can still add it to the list of properties you want to inform themabout.

To add a property to the Hotlist of a selected enquiry:· Highlight or open the property.· Select Hotlist at the bottom of the window.If no enquiry is selected, Jade will prompt you to create a new enquiry.

Examples of Use:· When a new property comes onto your books you might immediately think of a potential buyer for

it. In this case, open the Enquiries Manager and highlight the relevant record. Then, in the MainWindow, select Hotlist under the selected property.

· While talking to someone over the phone or in person, you find a set of properties that you thinkmight suit them. As a result of your search, the grid now contains only properties that they might beinterested in buying. In this case, create an enquiry and add the contents of the grid to the Hotlist.

Tips:In the properties grid view you can add all displayed properties to the Hotlist of a selected enquiry.

9.12 Delete a Property

To delete the property you have opened:· From the Property menu at the top of the window, select Delete.

To Delete a property you have selected in the Grid:· Use the delete key on your keyboard or, from the Property menu at the top of the window, select

Delete.

Notes:· Only delete a property when you are absolutely certain that it is of no value to your business. · Properties that have been Sold should NOT be deleted. They contain extremely valuable

information (e.g Sales data, market demand etc.) as well as containing documentary evidence ofthe work you carried out on your client's behalf.

· If a property is taken off the market, it is better that you set the status to Off Market rather thandeleting it immediately (the property may come back on the market later and you will have all of itsdetails ready). 'Off Market' means a property that has not been sold and that has been withdrawnby the owner.

9.13 Load data

When you select an option in the 'Data loaded' menu, Jade 'fetches' that set of records. In effect, thisworks like a 'quick search' menu. The database will perform better if it does not load hundreds ofrecords at the same time. So, if you have a large database, you can speed up performance by settingyour own filter options.

To load a filtered set of records:· Select an option from the Data Loaded menu.

You can create more options for this menu by editing the Data Loaded filters.

The Jade Property Suite main window offers three different ways to view your property data.

Record view Use the Record View to edit data and show all property details.

Grid View Use the Grid View to view properties in a list that can be sorted, filtered, grouped and searched.

Quick View Use the Quick View to see property details in a web-style presentation.

· Select a property by opening the record or highlighting it in the grid.· Select Quick View on the left-hand side of the Main Window. A property details page will be

created.

To create a gallery of all of the properties in the grid:At the bottom of the Quick View window, select Create Gallery. An indexed set of property pages willbe created.

To save the Quick View:Select Save to Folder on the Gallery button menu. (Select the arrow to the right of the Gallerybutton).

9.16 What is Quick View?

The Quick View shows details of the selected property as a Web page. Using its Create Galleryfeature, you can create an instant web-style presentation of the properties that are currently open.

Its primary purpose is to provide you with a quick, easy-to-use presentation of a particular property orset of properties. Because it uses Web technology, it loads very quickly and can be viewed in anyWeb Browser.

Examples of Use :· Use the Quick View for showing a property to a client on your computer.· Create a Quick View website of properties and present it from your computer or laptop. (Save it to

your laptop using the Save to Folder option on the Gallery button menu).· Create a Quick View website for a trade show or fair and present it from a computer or laptop.· Create a Quick View website for a particular customer, upload it to your Web server and send a

link to your customer.

Tips: The design of the Quick View pages can be customized using the Web Design Editor.

9.17 What is the Grid View?

The properties grid displays records in a table. Each column is a field in the database. Each row inthe table is a property record.

· You can see what records are open by looking at the grid.· You control what properties should be included in a print job or report by first, displaying a set of

properties in the grid and then printing for 'All Displayed'.· At the top of the grid, the column headers are equipped with tools that allow you to display, filter,

sort and find properties.· You can customize the grid so it only has the columns you want in the order that suits you. Grid

layouts can be saved and loaded when you need them.· You can export the grid (as laid out) to Excel, a text file or HTML.

9.19 What Is the Property ID?

The Property ID is a unique number that identifies a property.

When you create a new property record, a new number is automatically assigned to it. This numbercan be changed, if necessary, via the Property menu. Jade Property Suite will prevent you fromchanging it to a number that already exists.

The Property ID is a whole number (integer). This means that decimal points and letters are notallowed. ( Integer numbers are especially useful for sorting records.) Jade uses the Property ID in naming many of the files it creates.

9.20 What is the Promote checkbox?

When you select Promote on the Main tab of the property record, you are telling Jade that thisproperty is available for web publishing and printing promotional materials.

Instances when you will NOT want to promote a property:

· You have the property on your books but do not have enough information yet for property detailson a web page or on a flyer.

· The seller will be away on holiday for a few weeks and has asked you not to publicize the propertyyet.

· The seller has asked you not to publicize the property. In other words, you have been asked to finda buyer via enquiries or through direct approaches.

Tip:To see properties where the Promote checkbox has NOT been selected: · Open the grid.· Find the Promote column.· Use the arrow on the right of the Promote column header to open its menu.· Select False. All properties that are not marked 'Promote' will be displayed. (If you do not see

'False' it is because none of your properties match this condition.)

To sort properties:

There are 2 methods of sorting the displayed property records:

1. The Sort By menu.

This is located at the top of the property record or grid. It allows you to sort records in ascendingorder (A to Z).

2. Clicking the column header in the Grid.

· Sort ascending (A to Z) : Click any column header once.· Sort descending (Z to A): Double-click any column header.

Performing a Secondary Sort in the Grid:· Select Grid. · Hold down the Shift key while you click the column headers.· You can continue to sort by additional fields following the same procedure.

Example 1: To sort all properties in the Grid by Location:· Select Grid. · Click the Location column header once.

Example 2: To sort all properties in the Grid by Property ID in Reverse Order (i.e. last recordfirst):· Select Grid. · Double-click the ID column.

Example 3: To sort all properties in the Grid by Location and secondly by Price:· Select Grid. · Click the Location column header. · Click the Price column header while holding down the Shift key.

Tips:You can move columns in the grid so that they are easier to see. Drag-and-drop a column headerfrom one position to another.

The properties search panel allows you to perform a quick search of the entire database.

Example 1: Find all properties for sale in City Centre between 100 and 200,000 (in your defaultcurrency):· In the Status field select For Sale.· In the Location field select City Centre.· In the Minimum Price field type 100000.· In the Maximum Price field type 200000. · Select Search.

All of the properties that match these criteria will be displayed as search results. You can view thesein the Grid, Records or Quick View.

Example 2: Find all properties in Newtown-South:· Select Clear on the Search panel to clear the last search.· In the Location field, select Newtown-South. · Select Search.

Tips: · Select Clear on the Search Panel to start a new search.· Leave fields blank if you do not want to be specific. (See the first option on any menu - it is always

blank).· The results of the last search can be displayed by selecting Search Results from the Data loaded

menu.

This topic covers the most powerful features of the properties grid. Mastering the grid can greatlyincrease your productivity - you might consider printing this topic for reference until you are familiarwith all of its features.

Searching with the Column filtersClick the small arrow to the right of the Column header you want to search (e.g. to find properties ofvarious types, click the arrow to the right of the Type header.)

You can select any combination of fields by clicking the small arrow to the right of the header andselecting the values you want.

The choices you make apply a 'filter'. When a filter is applied to the grid, this will be shown at thebottom of the grid:

· Switch your filter on and off by clicking the tick on its left. · To clear the filter, click the X box.

Finding a word in texts (e.g in the Caption, Description or Notes):· In the filter bar at the top of the grid, type an asterisk * before and after the word you want to find.

Example: If you type *beech* as a filter on the Caption field, this will find all properties with thissequence of characters anywhere in the Caption. It is not case sensitive. So, 'Beech' is the same as'beech' or "BEECH".

Saving a filter (so that you can load it in the future):· Select the Customize button at the bottom of the grid. This will open the Filter Builder window. The

conditions you have selected will be displayed (and are editable). · At the bottom of the filter window, select Save As...· Always give your filters an easily recognizable name when saving them e.g. 'properties sold 2006'

or 'land available in Oldtown' etc.

SortingClick the column header to sort properties by a particular column. Click the column header twice tosort in reverse order. To sort by multiple columns, hold down the Shift key while you click theheaders.

GroupingDrag any column up into the group bar at the top of the grid to group on that column. You can evendrag multiple columns to create subgroups.

Once you have grouped your properties in the way that you want, expand the group by clicking theplus or minus sign ( means that this group is not expanded, means that the group is expanded).

When you expand a group to show the properties it contains, these properties can be used forprinting.

Tips: The layout of the grid can be customized and saved as a file. Use a saved filter and a saved layoutin combination to prepare an export.

9.22.1 What is Web Publishing?

Jade Property Suite automatically creates web pages for your real estate listings and allows you toupload them to your website.

This decreases your dependence on outside contractors, reduces your costs and provides yourwebsite visitors with a current view of your listings.

You can customize the web pages yourself. Or, you can get a professional web designer to create asophisticated custom design (these help files include advanced web design topics).

Once you have set up web publishing, the process of creating and uploading web pages is simple.

1. Select Web Publisher from the Main Toolbar.Each category for your listings is displayed on the left panel of the Web Publisher.The listings that Jade has found for each category are displayed on the right panel. A Search category will be displayed on the left if Search has been activated in the Web Design.

2. Select Create Web Pages.You will see a progress bar that tells you Jade is generating the web pages.

3. Select PreviewWhen Jade has finished creating your pages you can see the pages that have been generated. Ifyou have activated Search, this function cannot be previewed on your computer. The search scriptsonly work on a web server so, you will have to publish your files in order to see search working.

When you are ready to upload your listings to the Web, select Publish.

9.22.3 Publish Web Pages

Jade includes an advanced application for uploading files to a server by File Transfer Protocol (FTP).

· First, Create Web Pages.· Connect to the internet (if you are not already connected).· Select Publish.· Select Find and Compare. Jade connects to your web server (on the internet or intranet) and

compares the files in your output folder with the files on your web server. Jade automatically marksthe check boxes beside the files in your local folder that have been modified. These are the filesthat will be uploaded.

· When you are ready, select Publish Now. The transfer will start.

How Find and Compare Works: When you select Find and Compare, all files that have been modified will be shown. If no files havebeen changed since the last upload, Find and Compare will produce zero results. Similarly, if onlyone file has been modified, you will see only one file and this is the only file that you need to upload.

How to select one image for uploading:Sometimes you might want to upload only a particular image and not want to upload all of the othermodified files. Files that will be uploaded automatically have their checkboxes marked. So, if youleave only one file with its checkbox marked, only this file will be uploaded*.

To upload a single image: - Run Find and Compare - Select Edit > Select All - Select Edit > Unmark checkboxes - Mark the checkbox of the image you want to upload.

*With categorized listings, the navigation links and the category count are updated by Jade everytime you create web pages. So, to preserve your navigation links, you should upload all of the pagesthat Jade has found to be modified.

Notes: It is very important that you set up the remote folder correctly. You want Jade to compare a folder onyour computer with a folder on your website. That is why you should put your listings pages in theirown folder (i.e. 'directory') on your website. For example, the 'web publish output' folder on yourcomputer might be called 'listings' and the target folder on the web server might also be called'listings'. You can name these folders differently, but it is easier to understand the system if you usethe same name for both folders. Tips:Empty the output folder from time to time (Web Publisher > Tools menu). It is not necessary to emptyit every time you create web pages.

After making changes to your web design or web categories, empty the output folder and create webpages again.

9.22.4 Adjust the Publish Options

In the Publish Options, various aspects of how the file publisher works can be adjusted. Find and Compare options

· Mark files that should be deleted from server: This is selected by default (if you are unsure, do not change this setting).

Publish Options

These options can help if you are having trouble maintaining a continuous live connection with yourweb server during publishing,

When making adjustments, it is helpful to change one option and see if it has improved theconnection performance. If there is no improvement, return that option to its default setting and tryadjusting another option.

· Number of simultaneous connections:For faster uploading, Jade can use multiple threads to upload files. The default value is 5connections. If you are having problems with your internet connection, try reducing the number ofthreads to 1.

· Timeout after no server response for:The default value is 30 seconds. If the server does not respond after this time, Jade will treat theconnection as broken.

· Retries if connection is broken:The default value is 5 retries. This means that, if the connection breaks, Jade will try to reconnect 5times before giving up.

· Send 'keep alive' signal during transfers.This is not selected by default. Select this option if you are having persistent connection problems.

Confirmations:

These are useful messages and reminders that Jade automatically displays. If you are unsure, it isbest to leave these selected.

· Confirm before publishing files (selected by default).· Warn before deleting files from server (selected by default).· Warn if remote folder does not exist (selected by default).

9.23.1 Printing Overview

There are two Print buttons for properties:

A. The Property Print button underneath the grid/records gives you a printout for a particular property.(You can customize this Print button).

B. The Main Print button on the Tool bar gives you access to all printouts and you decide if they referto the selected property or to the properties displayed.

Using the Property Print button:· Select the Print button at the bottom of the window to print the default template or, use the Print

button menu (the small arrow) to select a report from your pre-defined list.· Select the printer icon at the top left of the window.

Using the Main Print button:· Select the main Print button on the top toolbar. · Highlight the template you want to print. · Set the print range to Selected Property or All Displayed.· Select Print to preview the report.· Select the printer icon at the top left of the window.· Set the printer options.

Tips:· If you frequently need to print a report for a single property, add it to the button menu.· Change the default template for the button itself to your choice of flyer or brochure.· Some printer drivers may produce unsatisfactory results if you use 'Draft' settings. Select 'Normal'

or 'Best'.

To print a flyer or brochure for a particular property:

Method 2:· Select Print from the main toolbar at the top of Window.· Open the Properties > Promotion folder· Open the Flyers folder or the Brochures folder.· Highlight a Print template.· Check that the print range is set to 'Selected Property'· Select Print.

To print flyers or brochures for multiple properties:First, display the properties you want in the grid.· Select Print from the main toolbar at the top of Window.· Open the Properties > Promotion folder· Open the Flyers folder or the Brochures folder.· Highlight a Print template.· Check that the print range is set to 'All Displayed"'· Select Print.

Note: Always set your printer to 'Normal' or 'Best' quality when printing. 'Draft' quality printing maynot produce satisfactory results.

The "listings" templates are designed for booklet-style printing. The properties that are displayed inthe grid when you print will be included in the booklet.

· First, find the properties you want to include in your booklet. · Then, select the main Print button on the Tool Bar at the top of the window. The Print window will

open. · Open the Promotion folder and then, the Listings folder. · Choose the type of Listings template you want to use.· Make sure that the print range is set to All Displayed and that "Only Print Properties marked as

'Promote'" is checked. (The latter will ensure that you have not accidentally included a property thatshould not be publicized).

See Duplex printing for information on how to print on both sides of the paper.

Tip:If all of the images are not printing, you may need to free up computer resources. If so, close allapplications apart from Jade.

To print the events of a particular property:

- On the Events tab, select Print.- Select Details > Fact Sheet- Set the Range to "displayed events".- Select OK

Examples of use

Example 1. Print a list of closing events that is sorted by date.

· At the top of the Events grid, click the Start header . This will sort all events by date (earliest tomost recent).

· Print the Fact Sheet for "displayed events". This will print the details of all closing events for thisproperty.

Example 2. Print a list of events that are due to start over the next 7 days.

· Click the small arrow to the right of the Start header· Select Next 7 days· Print the Fact Sheet for "displayed events".

Example 3. Print a list of events that involve a particular customer.

· Click the small arrow to the right of the Customer header· Select the Customer.· Print the Fact Sheet for "displayed events".

9.23.5 Duplex Printing

Printing on both sides of the paper is called 'Duplex printing' or 'double-sided printing'. The defaultsetting in the print templates is single-sided printing. If your printer supports duplex printing, you canchange the settings in a print template so that it prints on both sides.

Not all printers have this option. So, first check whether or not your printer supports it.

To set a print template to duplex:· Tools menu > Print Templates Manager · Double-click the template to open it in the editor. · Select File > Page Set Up. · At the bottom of the window, select Duplex > Horizontal or Vertical.· Select OK > Close the template

"Horizontal" and "Vertical" refer to the way that you will be binding the pages.

Vertical Binding

If you are going to put a staple in the topcorner, or a spine along the side, youshould choose "Vertical" (binding thepages like a booklet).

HorizontalBinding

If you are going to put a ring bindingacross the top of all pages (so that pagesshould be flipped like on a flip-chart ortablet), you would choose "Horizontal".

9.23.6 Export Properties Data

In Grid View:· Find the properties you want to export.· Setup the grid to export the fields you want or, load a grid layout that you have saved previously.· From the Tools menu, select Export Grid and choose the format of file you want to create. This can

be a spreadsheet file, a text file or an HTML page.

Tips:

· Save your ideal grid layout. This way, you will be free to change the grid temporarily and restore itto your ideal layout afterwards.

· Make regular export tasks easy by using a saved grid layout in combination with a saved grid filter.

Example: Exporting properties sold this month. You have saved a grid layout called 'Sales' and a grid filter called 'Sales_this_month". By loadingboth, you will be able to export your data in seconds and without thinking:

1. Tools > Grid Layout > Load grid layout ... select your 'Sales' layout.2. Grid > Customize button > Open ... select your 'Sales_this_month' filter.3. Tools > Grid Export ...

Jade can automatically generate a PDF of any print template.

PDF file).· To see what your PDF will look like, select Preview.· Select Save... and browse for where you want to save the PDF on your computer.

Jade can automatically generate a PDF of any print template, attach it to an email, address the emailto a contact and send it to your default email application.

To email a PDF:· Select the Email PDF icon on the toolbar.· On the left panel, select the template.· On the right panel, select whether you want to use the selected property or the displayed

properties.· Choose the Low, Medium, High or Best quality for the PDF (the higher the quality, the larger the

PDF file).· To see what your PDF will look like, select Preview.· Use the button with the 3 dots to select a contact. Do nothing if you want to leave the recipient

blank.· Select the Email... button.

The message will open in your Windows email application. Here, you can edit the message andsend it in the usual way.

Note: If you want to save the message in your email application's Drafts folder: Close the message. Move itfrom your Inbox to the Drafts folder.

10.1 What Is a Contact?

A contact is anyone you deal with in the course of your business. This includes owners, buyers,agents, legal representatives and suppliers.

Contacts stored in this database are used throughout Jade Property Suite. For instance, when youselect the seller, purchaser etc for a property, you are selecting them from the contacts database.

To create an email addressed to a Contact:· Select Contacts on the toolbar in the Main Window.· Highlight a Contact in the Grid or open the Contact record.· Select the Email icon on the toolbar.

Jade will create a blank email using the contact's email address and open it in your default emailapplication (e.g. Outlook, Outlook Express etc.).

If this contact has multiple email addresses, Jade will ask you to select the address or addressesfrom a list.

Other ways you can send an email to a contact:

· Send a PDF to a contact, using the 'Email pdf' button on the Main Window.· Respond to a customer enquiry using the Enquiries Manager.

10.4 Print a Letter to a Contact

Jade includes templates for creating your own standard letters to a Contact. If you have not createdyour own versions of these yet, you can print the form letters to see how this works.

To print a letter addressed to a Contact:· Select Contacts on the toolbar in the Main Window.· Highlight a Contact in the Grid or open the Contact record.· Select the Print icon on the toolbar.· Select Letters > Form Letter (A4 Paper) or Form Letter (US Letter Paper)

To create your own standard letters:· Clone the template in the Print Templates Manager. · Double-click the cloned version to open it in the Print Templates Editor.· In the Detail band, right-click over the letter text and select Edit from the speed menu. This will

open the Rich Text Editor.

Make changes to the text in the letter. Then, close and save these changes.

When you close the template, you will be returned to the Print Templates Manager. Here, selectTemplate > Rename. Test your new letter by opening Contacts and selecting Print..

Other ways you can print a letter to a contact:

Letters to property contacts:· Open a property record (or select it in the Grid). Select Print > Reports and Documents > Letters.

Letters about property events:· Open a property record. Open the Events tab. Select Print > Letters.

Letters responding to customer enquiries· Respond to a customer enquiry using the Enquiries Manager.

There are several ways to find specific contacts. · By typing a name.· By using the contacts search panel.· By using the display menu.· By using the powerful features of the contacts grid.

To find all contacts who work in a particular company:· In the Main Window, select Contacts.· Select the Search icon from the Contacts toolbar.· Enter the Company Name.· Click the Search button

Or· In the Main Window, select Companies. · Highlight the company.· Select Contacts (on the companies shortcut bar). A message pops up asking if you want to see all

contacts for this company. · Select OK.

10.6 Find Contacts with the Grid

· Select Contacts on the toolbar in the Main Window.

Find contacts by typing a particular value:Click any column and start typing. Jade will start searching within that column as soon as you start totype. To keep searching down press CTRL-ENTER, to keep searching up, pressSHIFT-CTRL-ENTER.

Sorting:Click the column header to sort contacts by a particular column. Click the column header twice tosort in reverse order. To sort by multiple columns, hold down the Shift key while you click theheaders.

Grouping:Drag any column up into the group bar at the top of the grid to group on that column. You can evendrag multiple columns to create subgroups. For example, to group contacts by company, drag thecompany name header to the group bar.

Advanced filtering:To perform an advanced search, select the Customize button. This will open the Filter builderwindow:

Tips: · The order of the columns in the grid can be changed by dragging and dropping column headers. · Columns can be added and removed by using the grid column icon at the top left of the grid.· You can save a filter if it is going to be useful to you again. The next time you want to use it, you

will be able to open it and run it straight away.

10.7 Import Contacts

You can import contact details from From Microsoft Outlook, the Windows Address Book (OutlookExpress) or a text file.

To Import Contacts from Microsoft Outlook:· On the File Menu, select Import Contacts from Microsoft Outlook. · Jade automatically connects to MS Outlook's contacts database and finds records that contain data

on people (rather than on companies). For a record to qualify for inclusion in the contactsdatabase, the First Name, Middle Name or Last Name fields must contain data.

· If Jade finds that you are trying to import a record that already exists, you are prompted to make adecision about whether or not to import the record. If you import this record from Outlook, it willreplace the record in Jade's database.

To Import Contacts from the Windows Address Book:· On the File Menu, select Import Contacts from Windows Address Book. · Jade automatically connects to the Windows address Book and prepares the import. It is a good

idea to check the entries in your address book before importing. You may find that there are manyentries with an email address in the First Name field.

To Import Contacts from a Text File:Jade Property Suite lets you import contacts from any application that has an 'Export to Text File'feature.

· Export contacts to a text file from the other application ( e.g. Export As CSV i.e. Comma SeparatedValues).

· On the File menu, Select Import Contacts From Text File.· Follow the steps in the Wizard.

If Jade finds that you are trying to import a record that already exists, you are prompted to make adecision about whether or not to overwrite the existing record in the Jade database. Choose:· 'Yes', to replace the record in Jade's database. · 'Yes to All', to replace any record that is found to be the same in Jade as the one being imported · 'No', so that the duplicate contact will not be imported.· 'No to All', so that only new contacts are imported.

Notes on Text Files: A text file has no special formatting and is easily read by all PC programs. First, export the data fromMS Excel, MS Access etc. as a text file. Then, import that text file into Jade.

Because a text file is very simple, the database fields are not shown in columns. Instead, they areseparated by a character like a comma, a space or a tab. There are two main ways that you can setup the data as text when exporting: You can separate the columns (fields) by tabs to produce a Tab Delimited text file. Alternatively, youcan separate the columns by commas. This method produces a Comma Delimited text file, alsoknown as Comma Separated Values (CSV).

Which method you use depends on how the original data is organized. Try exporting and importing aCSV file first. Jade's Import Contacts feature allows you to preview the results of an import beforeproceeding. If the data is not appearing in the correct fields in the preview you should try out theprocess with a Tab Delimited text file.

To export contacts:1. Display the contacts you want to export in the contacts grid (by searching or filtering).2. Organize the grid so that it exports what you want and in the order you want it:

· Show or hide columns in the grid.· Change the order of the columns by dragging and dropping the column headers. · Sort the contacts if necessary by clicking on the relevant column header.

3. From the Tools menu, select Export Grid and choose the type of file you want to create. This canbe a spreadsheet file, a text file or an HTML page.

To save this grid layout for future exports:· From the Tools menu, select Customize Grid > Save Layout to File· Browse for a location where you want to save the layout and give the file a name.

11.1 What is an Enquiry?

Requests for information about your current or future listings are stored as enquiries. In effect, this isyour database of potential buyers and is an important tool for marketing your agency, your listingsand managing customer relations.

It allows you to (a) respond immediately with relevant property details and (b) follow-up the request with updates on matching properties.

When you are presenting your agency to a prospective client, the fact that you have a database ofpotential buyers is an important selling point. (Enter your prospective seller's property details and match it against current Enquiries: You will be able to say instantly how many potential buyers youhave for this property).

An enquiry record contains: · A Hotlist of relevant properties, · Rules for property matching, · Contact details of the person making the enquiry, · Instructions for responding, · How they made the enquiry, · Where they found out about your agency or listings · Who in your agency is handling the request.

Each time a new potential buyer makes an enquiry about available properties, you have theopportunity to establish an ongoing relationship. You can send these customers relevant propertydetails immediately by creating a record of their enquiry and using Jade's automatic response tools tofind the matching properties and generate the response.

There are many ways that you can use the enquiries database and its property matching tools. Jadesupports batch matching and two-way single property/enquiry matching. You can even ignore theautomatic matching features and select properties manually for each customer enquiry.

11.2 Create a New Enquiry

· Select Enquiries in the Main Window.· Select Create.· The enquiry Wizard is launched.

The Enquiry WizardWhen you create an enquiry, you gather all of the details needed to respond to a potential buyerimmediately and in the future. To make this easy, a wizard breaks the task into steps. You can cancelthe Enquiry Wizard at any time by selecting Cancel.

Step 1: Add all displayed properties to Hotlist? Select Yes if you want all properties currently displayed in the Main Window to be added to the newenquiry's Hotlist.

Step 2: Edit Hotlist This step allows you to modify the Hotlist. To remove properties, first highlight them, then, selectRemove under the Hotlist. To add more properties, use the Hotlist button at the bottom of the MainWindow. You will be able to edit the Hotlist later if you like.

Step 3: Enter customer details Fill in the customer details. All fields do not need to be filled. You must, however, record thecustomer's Last Name. If the customer is already in Contacts, select the Customer.

Step 4: Enter customer's matching preferences This is where you decide how to match properties to this customer in the future. If you do not selectany matching preferences, all properties for sale will be matched with this customer when you run abatch match.

Step 5: Choose how to respond Here you record how the customer wants to receive information from you (if at all). You can respondby email and/or by postal mail.

Step 6: Choose how and when to delete enquiry detailsIn order to keep your database of customer enquiries up-to-date it is important that enquiries aremarked as expired after a certain time. The default setting is a date 30 days from 'today'. (This datecan be adjusted later by editing the Enquiry Details). The purpose of the 'Delete on Date' option is tohelp you delete expired enquiries.

Step 7: Select enquiry source and type At this step, if you can, find out what inspired the customer to get in touch (a newspaper ad, your ownwebsite etc.). This will provide you with information about the number of enquiries that each of youradvertising investments is producing. The type of enquiry is almost always known and should be easyto fill in.

Step 8: Select agent Lastly, you must assign an agent to this enquiry. The name of this agent or representative will appearas the signature on the email message and/or letter that you will send in response to the enquiry.

11.3 Select Customer Preferences

New Enquiry WizardStep 4: Enter customer's matching preferences This is where you decide how to match properties to this customer enquiry in the future.

Each of the preference options has a check box. · Select the checkbox if you want a preference to be used for automatic matching. · Do not select the checkbox if you want the preference to be ignored.

Example of use:

When interviewing, you realize that a customer is uncertain of what sort of property they really want. · The location is probably more open than they have said. · You think that the price range they have given you is very unreliable.

In this case:· Select Match on Locations (to include this in matching).· Select multiple locations (to widen the geographical area).· Do not select the checkbox beside the price range (to eliminate this from matching).· Enter the price range (for your own information).

By doing the above, all properties for sale (irrespective of price) in the selected locations will beadded to the customer's Hotlist when you run a match.

What if I don't know a customer's preferences?Leave all options blank. The default Enquiries filter will automatically match properties that meetbasic conditions. You can edit the customer's preferences later if necessary.

Jade Property Suite will automatically generate an email message and/or a letter (depending on theresponse method(s) chosen) with details of the matching properties. The Last Response date will beautomatically set when you send the email or print the letter.

Tips:You can edit individual email messages before sending them.

To find properties that match an enquiry:· Select Enquiries from the toolbar in the Main Window.· Highlight the enquiry.· Select Match.

Note:By default Jade Property Suite will only include properties that are marked "Promote" and the statusis 'For Sale'. To change this, you must edit the Enquiries Matching filter.

To remove all properties from one enquiry's Hotlist:· Highlight the enquiry.· Select the Remove All button.

To remove all properties from all Hotlists, depending on their status:· Select Hotlist menu > Remove > Remove on Status· Use the checkboxes to find properties in all Hotlists. · Select Remove.

Note: If you tick all checkboxes you can remove all properties from all Hotlists.

11.7 Find Enquiries

The Enquiries Manager has three tools that you can use for searching: · The Search Panel. · The Display drop-down menu. · The Grid.

Using the Display Drop-Down Menu:The Display drop-down menu is an easy way to quickly find:· All enquiries (All).· Enquiries that were found by your last search (Search Results). · All enquiries for which a first response has not been sent (Never Sent Only).

Using the Grid:The enquiries grid has most of the tools available in the Properties Grid View, it has advanced filter,grouping and sorting features.

FilteringFiltering is another word for searching a database. To filter on a field, use the arrow to the right of the column heading to open a list of values used inall current enquiries.

Examples of use:· If you want to show all enquiries for a particular date, click the arrow to the right of enquiry date,

and select the date you want from the list that appears. (If the date you are looking for is not inthe list, there are no current enquiries for that date).

· Use the Custom option to build a complex query.

GroupingTo group enquiries by a specific column, drag the column header to the group bar at the top of thegrid. (E.g. If you drag the Deletion Date heading to the top of the grid, all enquiries will be groupedby the date on which they are due for deletion).

SortingYou can sort enquiries by any column by double-clicking that column header. To sort in reverse order (Z-A) double-click a second time.

Note: The grids can be customized so that only the columns you want are visible.

11.8 Delete Enquiries

Enquiries are not deleted automatically. You decide when to delete them. Expired enquiries that have'Delete on Date' selected can be deleted in a batch.

To delete a single enquiry:- Highlight the enquiry in the Grid.- Select Delete from the toolbar.

To delete all expired enquiries:- Select Enquiry > Check Deletion Dates. Jade will finds all enquiries that are marked for deletion on a date earlier than 'today' and offer youthe possibility of deleting them as a batch.

Note: Only enquiries that have 'Delete on Date' selected will be found by this check. If an enquirydoes not have this option selected, you can edit the Enquiry Details > Maintenance tab.

12.1 What is a Backup?

In general, a backup is a copy of a computer file or files.

Storing copies of important data is a standard office procedure and is a very serious security issue. Itmay be more important than locking the door when you leave the office.

The copy created by Jade Property Suite's backup feature is a compressed file and has the extension".jbk". By default, the Jade backup creates a copy of the data in your database. You can also chooseto back up your images, print templates, web design and web categories files. Unless you have aspecific reason for not doing so, you should create a backup of everything.

If you have a backup, your business can survive a disaster. Consider what you would do if youroffice were to be destroyed: In a paper-based system, this would probably mean the end of yourbusiness. If you had kept a backup of your Jade data outside of the office, you could continuebusiness from somewhere else.

You will be glad you have a recent backup outside of the office in these situations:· Computer virus infection;· Accidents (e.g. fire, water damage, data deletion);· Computer breakdown; · Power failure in the office; · Theft of computer; · Natural disaster (e.g. a flood, earthquake or tornado);· Sabotage (e.g. deliberate deletion of data).

The importance of creating a backiup frequently should not be underestimated.

1. If you are running Jade Property Suite on a network, close Jade on all other computers. (You cansee if anyone else is connected under Administration > Database > Connected Users...)

2. Select Administration > Database > Backup...3. Browse for the drive (and folder, if any) where you want to store the backup file.4. Select Next.5. Select the components you want to backup (if in doubt, select everything).6. Select Finish.7. Select OK.

Jade automatically names the backup with the date it is created. You can change this name by typingsomething else.

If you want to create several backups on the same day, you might add a number to the end of thedate e.g. E:\Jade Backup 4 August 2004 (2) .jbkE:\Jade Backup 4 August 2004 (3) .jbk

Tips: · Store backups on portable media e.g. CD, DVD, portable hard drive or ZIP drive.· Backup frequently. (How often you backup depends on how many data changes you are willing to

risk losing).· Take at least one full backup out of the office every day or every week. · Store backups in several different places (e.g. different DVDs).

12.4 Check and Repair the Database

1. If you are running Jade Property Suite on a network, close Jade on all other computers. (You cansee if anyone else is connected under Administration > Database > Connected Users...)

2. Create a Backup of your database for security.3. From the Main Toolbar, select Administration menu > Database > Maintenance > Check and

Repair..4. Select OK.

If corruption is very severe, Check and Repair may not be able to fix the problem. In this case, youshould restore your last good backup.

Tips: · If you have a computer crash or a power surge while editing a record in Jade, the database can be

affected. If necessary, Check and Repair the database after an event like this.· Check and Repair can resolve many issues that arise from anomalies in your computer system.· Your best guarantee of reliable computer performance is a good operating system.· Use a good anti-virus program like AVG. If your database has been damaged by virus infection,

make sure that you eliminate the problem.· Make sure that your computer system is protected against power surges/drops.· Make sure that all cabling (network and power) is securely connected.

When sharing the database on a network, some administrative tasks need Jade to be closed on allother computers. The Connected Users console allows you to see who is currently connected to thedatabase:

Select Administration > Database > Connected Users

Username: This is the Windows user name.

Computer Name:The name or number that identifies the computer.

Login Time:The time that the user last launched Jade.

Last Active:The last time the user performed some action in Jade.

13.1 Troubleshooting Guide

1. Reboot your computer. This could resolve the problem immediately.

2. Check that your anti-virus software or firewalls are not blocking Jade. This accounts for the majority of all problems reported. To check if Jade is being blocked:· Disable your anti-virus software and see if the problem is resolved. · If the problem is resolved - configure the anti-virus software to allow Jade. Most softwares have a

feature where you can add programs to an 'allowed list of applications' or to a list of 'exceptions'.Add jade.exe to the list. Don't forget to enable your anti-virus software again.

· If necessary, check your firewall(s) in the same way.· If necessary, check any anti-spyware software in the same way.

3. If you have a problem with web publishing, check your FTP server settings.· See how to Troubleshoot Web Publishing.

4. If you receive an error message called #11013:· See Error #11013 Access Denied for instructions.

13.2 Troubleshoot Web Publishing

1. Check that you have entered the FTP server details correctly.

· The most common mistake is to include "ftp://" in the FTP server box. If your web host has told youthat your FTP server is "ftp://etc." remove the "ftp://" part. The name should look like this: "somedomain.com" or ftp.somedomain.com".

· Make sure that the username and password are correct.· Use the Test Connection button. If this is successful, your FTP server details are correct.

2. Check that your anti-virus software or firewall(s) are not blocking Jade.

· See Troubleshooting Guide

3. Try reducing the number of simultaneous connections to 1.

· In the Web Publisher window, select Publish. · From the Options menu, select Publish Options. Here, lower the number of simultaneous

connections to 1.

13.3 Error #11013 Access Denied

"Error #11013" message

There are two situations in which you might get this error message.

1: If the error message has the Temp folder at the end (e.g. c:\docume~1\admini~1\locals~1\Temp\):

Some anti-virus softwares block 'write access' to temporary files. The ability to write to temporary filesis essential for many computer programs to work - Jade being one of them. Try to run Jade with theanti-virus software switched off. If you no longer get this error message, then you will know that thesource of the problem is your anti-virus software. See Troubleshooting Guide.

2: If the folder identified in the error message is NOT the Temp folder:

· Make sure that permissions on the shared Jade Property Suite folder are set correctly. · If you are sharing data on a network, this folder must be 'shared' and you should have full

read/write permission. · Double check that you have followed all of the steps for installing on a network.

"An error occurred while trying to replace an existing file: Delete file failed Code 5. AccessDenied"

Another application may have a lock on a file used by Jade.

· Restart the computer. This will cause the application that has the file locked to release it.· If you see this message when installing Jade, make sure that no other application is running

(always close down applications before installing software).

If your agency name is not showing correctly at the top of a flyer or brochure template, you need toadjust the font size by editing the template.

Open the print template in the Editor: · Administration menu > Print Templates Manager· Find the template you want to edit.· Double click to open it.· Click the Agency Name and change the font size.· Preview your change by selecting the Preview tab.· Close the template and select 'OK' to save when prompted.

13.7 Web hosting requirements

Web hosts usually offer a standard package for business users that will meet yourrequirements.

· Most standard packages have PHP support. You will need this to use Jade's web search foryour listings.

· Your web host can have a Windows or a Unix server. Jade generates static HTML (i.eready-made web pages and processed images) so, you do not need to worry about the type ofserver your web host uses.

· You do not need database support on your web hosting account. Your database will not be onthe web server.

In summary: If you already have a website hosted on a standard web hosting account, you should be able to useJade to publish your listings without any problem.If you do not have a website yet, get a standard web hosting account.

Note: Free web hosts are usually not suitable. You will need full FTP access in order to upload your files.

13.8 Can I Change Field Labels?

On the software interface, each database field has a label. For example, on the main tab of theproperty record, the status field is labeled 'Status', the market field is labeled 'Market' etc.

The labels you see on the interface explain the purpose of the field in question. As far as possible,the terms used are generic i.e. they are not specific to a particular country or region. With theexception of the custom field names, the interface labels cannot be changed.

Labels you can changeThe fields on the Custom tab of the property record can be labeled by you. To change the labels onthe custom fields, select Administration > Database > Custom field names

Labels in your printed materials, web pages and 'Quick View', can be changed. For example, if 'plotsize' , 'lot size' or 'parcel size' is more familiar to you (or your customers) than 'plot area', you canchange these text labels in the print templates and web design (HTML code).

SummaryYou can only change the interface labels for the custom fields. You can change the texts on your webpages and print templates.

When you search a database, the criteria you use for the search are collectively known as a 'filter'. You might think of a filter as a way of restricting the search so that only certain results can getthrough. For example, the words you type in a search engine are a filter.

13.10 My language characters are not displayed correctly

1) In Web PagesIf characters are not displayed correctly in web pages generated by Jade, the document encodingneeds to be changed:

· In Jade, select Administration> Web Publish Options > Edit Web Design.· From the Edit menu, select Web Options > HTML tab.· Set the Document Encoding to Unicode (UTF-8) or, to the encoding for your language. Jade will use this encoding when generating web pages with this web design file.

2) In the DatabaseIf characters do not show up properly in the database itself, the Windows settings need to beadjusted:

· In Windows XP select Start menu > Settings > Control Panel.· In the Control Panel select Regional and Language Options.· Select the Advanced tab.· Set the Language for non-Unicode programs to use. For example, if you want to use Greek as the

default language for inputting data in Jade, select Greek from the drop-down menu.

13.11 Moving to a new computer

When you buy a new computer, you can transfer the database and your other files quickly.

You will need:- A note of your FTP server settings and remote folder (Web Publisher > Publish > Edit Location)- The installation file for the software.- A recent backup made in the version of Jade Property Suite you are installing.

If you are transferring to the Vista operating system, you must be using version 5.5 or later. Thelatest version can be downloaded from www.jadetools.com

To move Jade to a different computer: 1. Install Jade on the new computer.2. On your existing computer, make a full backup and put it on some portable media (e.g. DVD, CD

etc).3. On the new computer: · Put the backup file on the Desktop.· Open Jade and select Administration > Database > Restore.· Browse for your backup on the Desktop.

Note: Jade will ask you where to put the Web Design, Quick View Design and Web Categories files. Put them somewhere that you will be able to find them. Once you have restored, there are a few other things that you will need to adjust:· Administration > Web Publish options. Select your web design and web categories files. Choose an

output folder.· Administration > Quick View options. Select your quick view design. Choose an output folder.· Web Publisher > Publish > Options > Edit Location. Enter your FTP server settings and remote

folder. When you are satisfied that everything has been transferred successfully, uninstall Jade and deletethe database from the old computer.

NB: If you are disposing of an old computer, take extra care that all files containing confidential dataare destroyed. Best practice is to ask your IT support to wipe the hard disk.

13.12 Troubleshoot Connected Users

If you get an error message saying that the ConnectedUsers table is corrupt (or its header iscorrupt), something has happened on your computer system to damage this file.

To fix corruption of the connected users data: 1. Make sure you know where the database is located. You can find this via Administration >

Database > Jade Data Location. 2. Close down Jade on all computers. 3. Go to the Data folder (via Windows Explorer) and delete all files called ConnectedUsers.*

e.g.ConnectedUsers.idx and ConnectedUsers.dat (Tip: View the folder contents as a list so thatyou can read the filenames.)

The next time you launch Jade, new versions of these files will be created.

If you get an error message that contains the word 'corrupt' or 'corruption', this means that someevent on your computer system has damaged your database.

Events that can damage files on your computer include (but not limited to):· Power surge/outage.· Virus infection· Operating System crash.

What you can do to fix damage to your database:

- First, read the error message.

- If the error message says that the ConnectedUsers table is corrupt (or its header is corrupt), followthe instructions for fixing the connected users table.

- If the error message mentions corruption in some other table/header, follow the instructions to Check and Repair the database.

14.1 Naming Conventions

Database Image NamesWhen you load an image in the properties database, Jade names the image after the Property ID.

Naming of first image: "property" + "_" + ID# + filename extension.

Naming of other images:"property" + "_" + ID# + serial# + filename extension.

Example - Loading images in the Property 4 record:· The first image you load for property 4 will be called "Property_4.jpeg". · The next image you load for property 4 will be called "Property_4_2.jpeg" etc.

Web Image NamesThe Property ID is used by Jade to name web images.

Default image: "property" + ID# + filename extension.· Example: "property4.jpeg"

Other property images:"property" + ID# + "_image" + serial# + filename extension.· Example: "property4_image1.jpeg", "property4_image2.jpeg" etc..

Thumbnail images:"property" + ID# + "_thumbnail" + filename extension.· Example: "property4_thumbnail.jpg"

Category Web PagesThe filename for category web pages can be edited in the Web Categories file. When you create anew category, Jade automatically assigns its name to the filename. You can change the filename ifyou wish.

First page in a category: category filename + filename extension.· Example: "listings.html".

Subsequent pages in a category: category filename + serial# + filename extension.· Example: "listings2.html"

Property Web PagesJade uses the ID to name the property web pages it creates. If the property belongs to a category,the category name is appended at the start.

Property page: categoryname + "property" + ID# + filename extension.· Example - web page created for Property 4 in a category called 'Listings':
