iPOS in PeopleSoft
Department Manual
Plan of Study
• The Plan of Study is a plan of the courses
completed and to be completed by a student
to earn the degree
• The POS indicates the degree option the
student intends to complete (if there are
multiple options)
• The POS indicates the committee the student
has selected
iPOS Flow (ideal case)
• Student starts POS
• Student IDs Advisor/Chair (or entire committee)
• Student submits POS
• Academic unit views and approves
• Grad Education views and approves
• Student can file and get approval for appropriate course changes when projected courses don’t match actual courses
• Student can file and get approval for appropriate committee changes
• Student applies to graduate
• Graduation Office views and approves
• Student graduates
Screens Available
File an iPOS
• View the Plan of Study as the student sees it
• The POS link from the details page opens this page too
POS Quick Search
• Search for the Student Information/Detail page based on ID or Program/Plan
Manage Student Search:
• Search active students, students with petitions, course changes, and committee changes
• Search for POS that are pending in the Academic Unit

To Search for Students with POS pending in your academic unit:1. Fill out the Academic Org
2. Click in the Plan of Study Box
3. Select a Status of “Pending in AU”
The Results will look like:

The Approval/History/POS Notes tab:
• This is where you will approve/reject the Plan of Study.
• Click the iPOS link to see Plan of Study in “Student View.”
• Before approving a POS make sure the courses the student listed meet departmental requirements, and the department has any necessary Chair signatures required
Student View
There are several tabs in “Student View.” These tabs are what students navigate through and fill
out in order to submit IPOS for approval.
• POS: Student chooses Degree Requirements and select Anticipated Graduation Term
• Prev Degree: If approved, PHD students use this to apply Blanket 30
• ASU Courses: Update, add, and remove courses for Plan of Study
• Summary: Summary of Plan of Study (degree requirements, courses, committee, etc.)
iPOS page (Summary)
To Approve the Plan of Study1. On the Detail page Go to the Approval/History/POS Notes tab
2. Check the POS for accuracy
3. List any Comments in the Comments Box
4. Click the box verifying the Head of the Academic Unit has approved
5. Click Approve
To Reject the Plan of Study1. On the Detail page Go to the Approval/History/POS Notes
tab
2. Check the POS for accuracy
3. List Comments in the Comments Box informing the student of what they need to fix
4. Click Reject to Student
You can email directions to the student by scrolling
to the “correspondence” section
This is at the bottom of the approval tab screen
The Approval History shows the sequence of events
and the return to the Academic Unit along with
the Comment entered by the Graduation Office.
An Approved Plan of Study
• An Approved Plan of Study looks like this:
Approving Committee Changes, Course Changes and Petitions
• Select appropriate filter(s)
• Approved the same as a POS
To Search for All Active Students:1. Fill in Academic Org
• This search will allow you to see the Admit term for all Active students, as well as who has and has not filed a POS
• Any changes made to a newly admitted student will appear on the search results
2. The Results:
The entire list can be sorted based on a column heading, simply
click on “Last Name” to list the results in alphabetical order
based on last name, etc.
To better organize these results and to limit the results
use additional criteria on the Manage Student Search
page.
• Use the Plan of Study drop down to search for
various phases of Approved POS
• Use the Req Term Range to look for students that
applied to various terms
• Use the Plan to look at just one plan at a time
To Search for just one student:
1. Enter the EMPL ID of the student:
End Notes
• If a student’s iPOS is showing up in your
inbox but there is nothing for you to
approve/reject, this means the student has
started something but hasn’t submitted yet.
You can check what is pending their
submission by going into “student view.”
End Notes • Committee changes, course changes and program
requirement change requests are filed online through
the IPOS system.
• Advisers/Grad Support Staff can preview total credit
hours for pending course changes, prior to
approving/rejecting.
End Notes
• If a plan allows for the blanket 30 hours from a
Master’s degree, the doctoral student must
see Prev Deg on their POS
– If they don’t, they need to confer with Graduate
Admissions
