Position Overview/About the Job

Reporting to the Manager: Regulatory, the incumbent will provide administration duties to the Regulatory Department.

1. Key Performance Areas:

Time Management Arrange meetings on behalf of managers and supervisors; Taking minutes during meetings; Arrange gate access for external visitors; Manage the flow of documents (Incoming and outgoing), and keeping relevant

records; Track and remind staff of scheduled training and training to expire.

Travel and Office Management Coordinate travel arrangements (local and overseas travel); Reconcile credit card claims and travel expenses; Coordinate departmental functions; Coordinate conference room bookings and ensure the room is prepared according to

meeting requirements; Create and manage an efficient and confidential filing system; Request and manage office consumables; and Any other additional job that might be assigned by the manager/supervisors.

Documents Preparation Compile reports (ad-hoc/technical) required from the department by various

stakeholders; Assist with compilation of standard operating procedures, strategic or business plans,

and technical reports; Keep all relevant documents (Regulatory Authorities) current by initiating document

reviews and revisions ahead of ‘expiry’ dates; and Compile letters and memorandums.

Safety Coordinate LEBO observations within the department and represent the department

at the steering committee meetings; Generate register for departmental personnel and update register as and when

required; Assist with safety messages on relevant noticeboards on a continuous basis; and Support NTP’s safety culture initiatives.

2. Personal Profile:

Good interpersonal skills and the ability to interact with people at all levels in the organisation.

The ability to communicate effectively and efficiently at all levels in the organisation. Knowledge and understanding of the organisations’ policies and procedures

applicable to ensure compliance.

Ability to take accurate minutes. Ability to give accurate information and handle confidential information. Ability to maintain high ethical standards. Ability to extract data from web-based computer systems, transforming it into

information and generating technical reports; Must be able to maintain confidentiality at all times when dealing with situations. Computer literacy.

3. Qualifications and Experience:

Grade 12/Matric. National Certificate / Diploma in Office Management / Administration. Knowledge of MS Office package (Ms Word, Ms Excel, PowerPoint and Access). Preferably, two (2) years working experience in office administration.
