1 Introduction

These release notes describe the changes in the Kodak InSite CreativeWorkflow and InSite Asset Library 4.1 software. The InSite CreativeWorkflow and InSite Asset Library software has two components—InSite Creative Workflow (CW) and InSite Asset Library (AL).

Software upgrades

You cannot upgrade InSite Creative Workflow and InSite Asset Library3.1.2 to version 4.1 if your software is integrated with InSite VariableData Print (VDP) or InSite Storefront (SF) software. Version 4.1 doesnot include InSite VDP, so a special upgrade procedure is required forupgrading version 3.1.2 systems that are running InSite VDP. Toperform such an upgrade, contact your Kodak service representative.

The upgrade to version 4.1 is available for the following versions:

● 4.0.1.3097 and later● 3.1.2.2716 and later releases of version 3

The upgrade to version 4.1 is also available for an environment in whichInSite Creative Workflow and InSite Asset Library software isintegrated with InSite Prepress Portal. The upgrade is available forPrepress Portal 6.0.1.6648 and later.

Supported servers and workstationsInSite Creative workstations and servers must meet specific hardwareand software requirements.

Servers

The InSite Creative Workflow and InSite Asset Library 4.1 softwaremust be installed on a Dell PowerEdge 2800 or later server running theMicrosoft Windows Server 2003 R2 operating system with ServicePack 2.

Workstations

Customers can access the server through a Web browser or throughthe InSite Desktop client software installed with one of the followingoperating systems:

● Mac OS X operating system● Microsoft Windows operating system

For more information about supported client computers, see the InSiteClient Configuration Technical Bulletin.

Integration with other Kodak softwareYou can run the InSite Creative Workflow and InSite Asset Library 4.1software in an integrated environment with the InSite Prepress Portalsystem.

The following versions of the Prepress Portal system are compatiblewith InSite Creative Workflow and InSite Asset Library 4.1:

Note: You cannot run Prepress Portal 4.5 software with InSite Creative Workflowand InSite Asset Library 4.1.

3 New features

This section lists new features in the InSite Creative Workflow andInsite Asset Library 4.1 software.

Clearing of render cache filesYou can now clear render cache files on the InSite Creative Workflowand InSite Asset Library Administration page.

The following parameters have been added to the Rendering section ofthe Configuration Settings page:

● Cache Clearing Start Time—the time at which you want the systemto start clearing the cache

● Cache Clearing Duration—the duration of the cache-clearingprocess in minutes. If the cache is not completely cleared by the endof the duration time, the process is stopped and it restarts at thenext cache-clearing time.

● Unused Days Before Clearing Cache—the number of days afterwhich an unused file should be cleared from the cache. A value of 0indicates that no cache clearing should be performed.

● File Type to Delete From Cache—the types of files that should becleared, according to the following key:

○ 0—no files○ 1—intermediate render cache files○ 2—raster cache files○ 3—intermediate render and raster cache files○ 4—all cache files, including small and large thumbnails

Disk quota managementIn the previous version, staff users could define customer upload quotasby limiting the number of files that each customer may upload permonth.

In version 4.1, staff users have an additional method of setting a quota—defining the maximum size of all the files that a specific customermay upload at any given time.

The new Customer Quotas window now displays the followinginformation:

● The size limit for uploaded files (defined by a staff user) and thedisk space that a specific customer has already used for uploadedfiles

● The maximum number of files that a specific customer may uploadper month and the number of files that the customer has alreadybeen uploaded in the current month

Note: You can now specify upload quotas in both a stand-alone system and anintegrated system.

The Customer Quotas window also contains an option to generate ane-mail notification that is sent to customers on a daily basis when theirdisk space or the number and size of their uploaded files exceed acertain percentage of their quota. The staff user or customer user withthe Modify Customer user right can define these percentage values.The e-mail notification contains the following information:

● The customer's name● The customer's current quota value● The size of the customer's uploaded files

Disk space reportsA new statistics report can now be generated from the InSite CreativeWorkflow and InSite Asset Library Administration page.

A new option, Enable Disk Usage Reporting, has been added to theStatistics Reports section on the Administration page.

When you activate this option, two types of information are added tothe daily statistics e-mail messages that is sent to administrative userswho have registered for the statistics report:

● A high-level summary of system disk usage is included in the dailymessage

● A comma-separated values (CSV) file with detailed disk usageinformation for each customer, project, and library. The CSV filecontains the following details:

○ The customer's name○ The customer's quota○ The container's name○ The total physical disk space used by elements in the container

(including the cache and thumbnails)○ The total size of the original elements in a container○ The total size of the original elements that are marked for

deletion in a container

This section lists features that have been improved in the InSiteCreative Workflow and InSite Asset Library 4.1 software.

User-interface enhancementsThe user interface for the InSite Creative Workflow and InSite AssetLibrary software has been improved, and new functionality has beenadded.

New Manage Access Web pageThe Web interface now includes a new page called Manage Access.The Manage Access shortcut button was added to the navigationtoolbar to provide quick access to the new page. On the new ManageAccess page, you can perform the following actions:

● Assign a system, customer, project, or library role to a user● Define an access level for a customer (Access All provides access to

all the user's projects or libraries, and Limit Access provides accessto the projects that the user created.)

● Use new functionality on the User menu, which was added to thisversion of the software. The User menu includes the following menuitems:

○ Create User○ Invite New User○ Delete User○ Edit User○ Manage User Access○ Find User

The new Find User option, which is included in the new User menu,enables you to search for users and user groups that are associatedwith a specific customer or with any customer. You can search for usersby specifying the following criteria:

● Name● User name● First name● Last name● System role

● Project role● Library role

A new User Group menu was added. The User Group menu includesthe following menu items:

● Create User Group● Delete User Group● Edit User Group

Note: A user can now be a member of any user group for any customer. In theprevious version, a user could be a member only of a user group associatedwith the user's home customer.

A summary pane was added in the lower part of the Manage Accesspage. In the summary pane, you can find information about any itemthat you select on the Manage Access page. For example, you can findinformation about any customer, project, or library that you select orabout the selected user's access level and user groups. The panecontains links that provide easy access to the selected site, customer,project, library, user, or user group.

Note: The Manage Access functionality has been removed from the Desktopversion.

Task administration on the Web pagesMany of the task administration features that were previously availableonly in the Desktop version have now been added to the Web userinterface. These changes are consistent with the ongoing effort tomake the capabilities of the Web interface equivalent to those of theDesktop version.

New Task menu items

The following menu items were added to the Task menu:

● Create Auto Task● Reset User Status● Set Active/Inactive State● Add Elements to Task● Delete Elements from Task● Send Task Reminder● View Task Element Revisions

Enhancements to existing Task menu items

The following dialog boxes, accessed from the Task menu, wereimproved:

● The Create Task dialog box was enlarged.● In the Override Status dialog box, the user can now set the final

status for the entire task rather than setting the status of only theelement (as in the previous version).

● In the Set Status dialog box, the user can set a status for multipleelements that were not previously set—all at the same time. In theprevious version, the user could set a status for only one element ata time.

● In the Edit Task dialog box, in addition to editing the task name, theuser can now edit the due date, the description, and the task users.

● The new Add Elements to Task dialog box enables users to addselected elements to any active task.

Task filtering

The user can now filter tasks according to the following filters, whichwere previously available only in the Desktop version:

● All active● My to do● Waiting for changes● All inactive● My created

Task view enhancements

A user who has the View All Annotations & Status right can now viewthe approval status of individual elements in the task for other users inthe task. This information appears in the summary pane, in the lowerpart of the page.

Note: This option was previously available only in the Desktop version.

The task description, entered by the user when the task is created, isnow displayed in the task summary pane (in the lower part of thepage).

Note: If no text was typed in the Description box, the word None appears underDescription.

An Active column is now available in the task view, displaying thestatus of the task (Active or Inactive).

New My Tasks Web pageThe Web user interface now includes a new page called My Tasks. TheMy Tasks shortcut button was added to the navigation toolbar toprovide quick access to the new page.

Note: This Web page replaces the Home Web page of version 4.0.1.

On the new My Tasks page, you can perform the following actions:

● View information about your tasks. The page displays the list oftasks in which the user is required to review elements. The list oftasks can be displayed for a specific customer or for all customers.

● Use a link to easily access Smart Review for each element in yourtasks

● Use a link to easily access any project or customer information

A summary pane was added in the lower part of the My Tasks page. Inthe summary pane, you can find information about any selected task.

Enhancements to the Projects, Libraries Web pageThe Projects, Libraries page provides a new user interface for somefeatures and enhancements of features that were available in theprevious version.

Customer menuThe following menu items were added to the Customer menu:

● Edit Customer● Manage Quotas● Generate Event Reports● Manage Customer Access (replacing the Configure Customer

option in version 4.0.1)

Renamed options

The following options in version 4.0.1 were renamed:

● The Configure Project option is now called Manage Project Access.● The Configure Library option is now called Manage Library Access.

Summary of user details

The user can now click the User profile icon at the top right of the pageto view information about the selected user. The information appearsin a new page.

Enhancement of the search option

The search option has been enhanced to enable the user to search forspecific customer and site element attributes. Previously, the usercould perform only a general attribute search, in which the systemwould try to match the search term with the contents of any definedelement attribute. Now the user can focus the search in a specificcustomer or site attribute.

Enhancement to the For-Placement-Only element search on theWeb pages

The For-Placement-Only (FPO) search options that were available inMac Desktop version 4.0.1 are now available in the InSite Creativesoftware for the Web version 4.1 as well.

In InSite Creative Workflow and InSite Asset Library softwareintegrated with Kodak Prinergy, you can perform the following actions:

● You can now locate FPO library elements that have been placed asFPO images on Prinergy job pages. This feature is useful when youdon't know the specific elements or jobs that you want to find.

● You can now find all of the Prinergy pages in any Prinergy jobs thatuse a specific FPO library element.

● You can search using Prinergy page names, Prinergy impositionpage positions, and Prinergy job names.

● The new Attributes pane for library elements in the InSite CreativeWorkflow and InSite Asset Library software now has a link thatdisplays the cross-referencing between the library element and thePrinergy job, page set, and page position for the library element thatwas used in any Prinergy FPO processing.

Viewing the attributes of an element in each revisionYou can now view the attributes of an element in each of the element'srevisions.

In the previous version, you could view an element's attributes in thelatest revision only. In version 4.1, you can view the element'sattributes in previous revisions as well. This enhancement enables youto track the changes of attributes from revision to revision.

1. In the Elements view, select an element with revisions.The attributes appear in the Attributes pane at the bottom of thepage.

2. Click the number that appears next to Revisions.The Revisions window appears with all the element's revisions.

3. Click a revision to view the element's attributes in the Attributespane.

Consolidated format for e-mailThe InSite Creative Workflow and InSite Asset Library software sendse-mail messages to users when certain events occur. You cancustomize the text that appears in these messages.

In the previous version, the software generated two types of e-mailmessages:

● System messages, which are administrative messages that are sentwhen, for example, a new user is welcomed to the system, a user'saccount is changed, or a user has forgotten his or her logonpassword

● Event notification messages, which are sent when, for example, anelement is uploaded or a task status is set

Each type of message was based on a different e-mail template andthus required a different customization method.

In version 4.1, there is only one format for e-mail messages. Users whowant to customize their e-mail messages now use a singlecustomization method for all e-mail messages generated by thesystem.

The following types of system messages have been converted to theevent notification format:

● New user account notification● Modified user account notification● Forgotten password notification● Task reminder notification● Diagnostic report notification

Note: If you customized e-mail message formats in version 4.0.1, you mustmanually customize them again to the new format of version 4.1.

Saving ruler measurements in Smart Review asannotations

In Smart Review, you can now save a ruler or square rulermeasurement as an annotation in a task by clicking the new pin icon orby right-clicking the ruler and selecting Post.

The ruler annotations are printed in the Proof report, and themeasurement information is provided in the annotation's text section.

Generate history event reports in an integratedsystem

In an integrated system, you could generate history event reports atthe project or library level only, and not at the customer level. In thecurrent version, you can generate history events reports for all levels.

Administration tools

Administration tools requiring Silverlight framework have beenremoved—Version 4.0.1 of InSite Creative Workflow (CW) and InSiteAsset Library (AL) software provided a number of administration toolsthat required the installation of the Silverlight framework on the server.The installation of Silverlight on the IInSite Creative Workflow andInSite Asset Library server proved to be problematic for manycustomers, so the Silverlight-dependent administration tools have beenremoved from version 4.1. Instead, users can now use theAdministration Web pages that are located on the server to performadministration functions, as in InSite Creative Workflow and InSiteAsset Library software prior to version 4.0.1.

Event notifications

In an integrated system with InSite Prepress Portal, a user can now viewproject or library event notifications settings for other InSite CreativeWorkflow and InSite Asset Library users.

After selecting a customer and then View Projects and Libraries, a userwith Manage Access rights can click Manage Access and viewcustomer, project, and library notification settings for any user.

History event reports

In an integrated system with InSite Prepress Portal, a user can nowgenerate history event reports at the customer level.

Upload quotas

You can now manage upload quotas in an integrated system with InSitePrepress Portal. Previously, the Customer Administration view was notaccessible in integrated systems, now this option is available in theCustomer menu.

Web browsers

In earlier versions, if you used a Web browser to access the CustomerAdministration view for a specific customer, you could return directlyto the view or page from which you entered the CustomerAdministration view. The new web interface design has addressed thisproblem.

6 Known problems

Smart Review

● In Smart Review, after you finish generating a proof report, theLoading Proof Report Web page remains open. To proceed, youmust click the Close button on the Web page.

● The Print To File menu item does not support printing of files withspot colors.

● In group review sessions, the following problems may occur:

○ When monitors have different resolutions, the ratio to which animage is zoomed when it is first opened varies.

○ When the session controller pans partly off an image (forexample, to display an annotation text box that is located off theimage), other users’ displays only pan to the edge of the image.

○ When the session controller zooms out on an image so that thegray background is visible above or to the left of the image, otherusers’ displays do not show the gray background. Their displaysalign the top left corner of the image with the top left corner oftheir screen.

○ When a user leaves a group session but continues to view imagesof elements in Smart Review, the images are no longer centered.To fix this, the user must quit and restart Smart Review.

Tip: Non-controlling users can reduce their problems with the display of imagesif their Smart Review window is nearly the same size as the session controller'swindow.

● User names in Smart Review are case-sensitive, but user names inthe InSite Creative system are not. For example, a user can log on astest user and add annotations for an element in Smart Review,and later log on as Test User, open the same element in SmartReview, and not see the annotations.

History event reports

History event reports do not generate well, especially on a Maccomputer.

Tasks

● A task can contain a maximum of 999 elements. You can workaround this limitation in the following ways:

○ Create a task with a maximum of 999 elements, and then addmore elements to the task using Desktop.

○ Create an auto task, and then upload 1000 or more elements tothe project with which the auto task is associated.

● In the Desktop version, the Require Matchprint Virtual check box isavailable in the Create Task dialog box, even if the customer doesnot have the Kodak Matchprint Virtual technology enabled. If youselect the check box, no users are available to add to the task.

User groups

● When one member of a user group votes for the entire group, theother members receive an e-mail notification that the task statushas been set for all the individual users, but it does not state that itwas a group.

● When one member of a user group sets the task status for theentire group, proof reports generated for the element do not specifywhich member of the group set the task status. All users in thegroup are assigned the same task status.

Event notifications

● Links in notification messages that point to Desktop do not work inWeb-based e-mail software such as Google mail.

Desktop for Mac

● You can set the final status for a task only after you expand the taskin the Tasks view.

● When you download an XMP sidecar file to a location whereanother .xmp file with the same file name already exists, thedownload fails.

● Display of customer Project\Library groups is not supported.

Desktop for Windows

The following features are not available in Desktop for Windows:

● Pick lists● Upload history● Finding links from Prinergy job pages to elements stored in libraries

(in an integrated InSite Creative system)● Ability to drag elements to upload and download them● Ability to drag an FPO file directly from a library to an Adobe

InDesign layout● Ability to make an InDesign element available for viewing in Smart

Review when uploading it

● Ability to include all files associated with an InDesign element (suchas fonts and placed images) when uploading the element

● Ability to view the thumbnails for all pages of a multipage element● Ability to view customer Project\Library groups

Integration with Prepress Portal

Assigning roles to multi-customer users can be time-consumingbecause you must assign project and library roles separately for eachcustomer to which the user has access.

Administration

The Use Matchprint Virtual project right is available even when theMatchprint Virtual technology is not licensed on the system.
