The growth of business data continues to explode, along with theneed to store it. Workers generate more and more email messagesand file attachments, users demand instant access to data like neverbefore, IT managers install more storage-hungry applications, andaging paper-based data continues to be converted to digital form.Information growth is so intense, in fact, that spending on datastorage is expected to outstrip server spending this year.

For years, adding storage meant purchasing additional servers, tapelibraries, and other Direct-Attached Storage (DAS) enclosures toattach to the server – a costly and inefficient approach that leftlarge amounts of storage capacity and computing power unused.Next came the strategy of adding dedicated Network AttachedStorage (NAS) file servers. However, NAS has many limitations. As the first NAS box reaches its capacity, the NAS becomes a bot-tleneck and a single point of failure. Also, NAS is suited only forfile storage, not for today’s more complex applications such asMicrosoft Exchange or databases such as Microsoft SQL.Previously, the only other option for IT departments was FibreChannel Storage Area Networks (SAN). A SAN will write fromthe block-level, making this a good choice for databases and email. However, fibre is not a mainstream network infrastructure andthus prohibitively expensive for in most businesses.

In a world where Internet Protocol (IP) dominates local and widearea networks, and data storage requirements grow unabated, itwas inevitable that these two converged. The iSCSI protocol unitesstorage and IP networking. An iSCSI SAN works off your existingnetwork and provides all the benefits of a higher-cost fibre chan-nel SAN at a fraction of the cost: infinite scalability of storage fora server or group of servers; capacity consolidation across storagedevices; aggregation of storage allowing higher utilization; offload-ing of storage traffic from the main LAN; local or remote disasterrecovery; disk-to-disk backup, snapshots, and failover. n

If you are interested in a iSCSI SAN solution for your business, call CompuData at 800.223.3282.

Why Users Deploy SANsn Reduce storage complexity. The need to do more with

less is the most frequent driver of SAN investments.Users indicated that reducing storage complexityincludes bringing storage to one location; standardizingon suppliers; reducing the number of physical units tomanage; and gaining simplified storage management.

n Save money. Users save operational costs and reducecapital invested by eliminating stranded capacity.According to Gartner Group, disk utilization averages only 40 percent with direct-attached storage. With aSAN, utilization rates can often be doubled.

n Improve backup. Networks allow a single backup strategy and uniform and consistent data protection.SAN-connected arrays often offer a snapshot data copy facility that allows backup to occur concurrently with no impact on the network or users.

n Improve performance. SANs offer high-speed pathsbetween servers and storage for fast response and rapid data transfer.

n Better data management. Data sharing and data consoli-dation management for a group of servers as a singlepool is significantly better than managing the storage for each server individually. Also with pooled storage, adding capacity can be done “on the fly” with no down-time.

n Better availability. SANs provide redundant data pathsbetween servers and storage and support redundantserver clusters and RAID arrays with failover capability. The result is near continuous data availability.

n Investment protection. Ethernet is designed to be backward compatible as newer, faster pipes becomeavailable. This is why 10/100 interfaces work with GigEnetworks. And, today's IPSAN will work with 10GigE as it becomes available over the coming years.

Since it was founded almost 25 years ago,Industrial Valves & Fittings (IVF) hasevolved from a distributor of pipe, valvesand fittings to a just-in-time supplier andon-site inventory manager of industrialsupplies to the construction, chemical, petroleum, electronic, power and semi-conductor industries.

Its products have grown to include Oil Driabsorbents, fasteners, tools, electric hard-ware, hose, belts, chemicals, instrumenta-tion fittings, and a wide range of metricproducts from leading manufacturers suchas Ham-Let, Stanley, Duracell, 3M, MasterLock and Dewalt, among others.

In addition to its large in-stock invento-ry, this $4.5 million distributor locatedin New Castle, Delaware also providescustom re-packaging, kitting, sub-assem-

bly fabrication and customhose manufacturing

services. It houses aclass 10,000 cleanroom for jobs thatrequire a contami-

nant free environment.With CompuData’s help,IVF now offers its cus-tomers a new, state-of-the-art software-drivenvendor managed invento-ry (VMI) system.

With thousands of differentproducts in its inventoryand customer-specific value

added services tailored to corporate busi-ness partners located in the United States,Europe, Asia and South America, youmight wonder how a staff of 12 employeessuccessfully manages this growing business.

Bursting PipesAs the business has evolved, so too have thetools used to manage its operations. IVFhad been running Peachtree by SageSoftware as far back as when it was a DOS-based product. With eight users on thePeachtree system, it had helped IVF bettermanage its accounting operations and ful-filled its needs for a long period of time. However, as the company grew, it foundthe solution was no longer robust enoughto handle its large volume of transactions. And, due to Peachtree’s file size limitations,IVF was struggling with data corruptionissues, which opened the door to potential-ly even more significant problems. The dis-tributor found itself having to restore lostdata at least once or twice a year and wast-ing valuable time re-entering the lost data.

Managing thousands of different parts inits inventory and processing more than300 purchase orders each month, it wascritical that IVF find a solution that couldhandle high volumes of transactions. With the Peachtree system, IVF wastracking its inventory and entering thenecessary data into the system manually. The distributor also had to put its owncodes on purchase orders to ensure thatthey could be tracked at a later date.

“As part of our growth strategy, we evaluat-ed our processes and our tools and deter-mined that we needed a more robustaccounting software solution and an auto-mated inventory management system,”said Julio da Ponte II, vice president ofProduct and Business Development forIVF. “We needed a solution that we couldeasily upgrade when necessary and wouldbe compatible with a variety of differentinterfaces.”

Assembling the Right Solution“MAS 90 had numerous features that we liked and it fit our requirements,” saidda Ponte. “Because it was also a SageSoftware product, we knew the migrationof our vast amounts of data would bemuch easier than going with anotherproduct. We were also looking for a local, reputable MAS 90 reseller to implementand service our solution. BecauseCompuData provides MAS 90 training toother resellers and has a solid reputation,we felt that they definitely fit the bill.”

MAS 90 organizes and streamlines IVF’sprocesses and helps it keep accuraterecords of each of its transactions.Accounting and inventory are fully inte-grated. MAS 90 even provides IVF withthe proper control system to manage itspurchase orders electronically. And, withthe built-in reporting tools in MAS 90,IVF is able to output information in manydifferent report formats and is easily ableto export data into spreadsheets.

Inventory ManagementOne important area of IVF’s

business is its kitting and assem-bling operation where it takes sev-

eral finished parts and packages andships them as a kit. This operation has asignificant logistical component to it andIVF needed an automated system toensure that it always has the necessaryparts in stock. MAS 90 provides real-timeinformation pertaining to each part pro-viding IVF with precise control of itsinventory – eliminating a potential logis-tical nightmare.

Bill of MaterialsThe MAS 90 Bill of Materials moduleallows IVF to easily track the parts thatmake up its finished kits and also pro-vides IVF with a wide range of accurateand informative reports on the parts andtheir production histories.

Remote SalespersonIVF sees its new vendor managed inven-tory service as a major facilitator for futuregrowth. Known internally as its “breadtruck” service, IVF sends out its employ-ees to its customers’ locations to checktheir inventory and determine what partsneed to be ordered. The parts all have bar-

code labels on them. Using MAS 90’sRemote Salesperson module, the IVFemployee simply goes to the customer sitewith a Palm Pilot and attached barcodescanner and scans each part. As the part isscanned, the item is brought up on thePalm Pilot and they can easily enter in theadditional number of parts needed. Theemployee can then hot sync their PalmPilot with MAS 90 and automaticallygenerate a packing slip and invoice.

Return MerchandiseAuthorization“Although returned merchandise is notan area we would like to focus on,”explains da Ponte, “we need an efficientway to manage returns when necessary.Customers these days request easy returnpolicies and processes and to stay com-petitive we need to be able to handlethese returns or replacements with ease. The MAS 90 Return MerchandiseAuthorization module helps us be moreresponsive to our customers.”

The Complete Package“Like any business, we are often beingchallenged by our clients to lower costsand therefore must look at our own coststructure to find new ways to providemore competitive pricing,” explained daPonte. “The original goal of implement-ing a new solution was to get rid of thefrustration associated with our data cor-

ruption problems. But with the addition-al capabilities in MAS 90, we have alsomanaged to streamline our processesenabling us to further cut costs and passthe savings onto our customers.”

“CompuData has been a valuable partner throughout the implementationof MAS 90,” commented da Ponte.“With our large inventory, there was a significantamount of data that neededto be transferred to MAS90 during the implementa-tion process. CompuDatawas able to provideus with realisticestimates of howlong each stepwould take and hasprovided us with quick responses whenissues arise. We’ve been pleased withCompuData’s level of service and theteam’s thorough understanding of theMAS 90 system.”

Like many small companies conductingbusiness with large international compa-nies, IVF needed to take the next step tostreamline its processes. MAS 90 enablessmall companies with limited personnelresources like IVF to easily integrate theiraccounting and inventory functions andgain control of their critical businessprocesses. n

Change in Business

• Your business has grown: added customers, added complementary products orservices, added locations, added employees, or even layers of management.

• Your business has contracted: fewer customers, services, locations or employees, perhaps with more specialized products and services.

• Your business model has changed: Perhaps the once complementary product orservice has become the primary focus of your business.

• Your business has new requirements: International, regulatory, or organizational.

Keeping Pace with Customers, Suppliers or Competitors

• Customer demands are increasing: better service, more value, on-line ordering orself service, EDI, faster delivery, more education or expertise, targeted messaging, and, as always, lower prices.

• Suppliers are also increasing their demands: e-commerce or EDI requirements, accurate forecasting, and bulk orders.

• Competitors are also pressuring the market. If they have it, you better have it too.

Erroneous, Duplicate, and Mismatched Data in Existing Applications

• Your information is not always correct in: inventory, pricing, availability, leadtimes, or delivery times.

• You have too much of some inventory and stock-outs on others.

• You rush order frequently, increasing costs.

Do youknow when

IT S TIMEto change

your business software?

Many organizations stay with their currentaccounting or business software system fartoo long. It’s comfortable to use somethingthat’s known and understood. There’s usu-ally fear involved (or at least a strong appre-hension) with switching to something newand unknown. Plus, there are significanttime and resource issues, including the costto change and the time needed to learn the new system. But comfortable doesn’talways cut it – especially when it comes tothe financial health and long-term successof your business.

Your business software should fulfill yourbusiness needs. It should mesh with yourexisting business practices and easily adaptto technological innovations. Ideally, youwant software that’s simple, intuitive andclosely matched to how you already dobusiness.

So how do you know if it time for yourbusiness to consider its software options?Impetus for change usually falls into one ofthese categories:

Page 7: INFORMATION TECHNOLOGIES FOR TOTAL …Save money.Users save operational costs and reduce capital invested by eliminating stranded capacity. According to Gartner Group, disk utilization

n 7(800) 223.3282

C• You have no idea of which customers or jobs areprofitable.

• You re-key information, introducing potentialerrors and slowing processes.

• You have several overlapping data sets: one for marketing, one or more for sales, one for orderentry, one for purchasing, one for production, one for accounting, one for service.

Better and More Timely Decision-Making Capabilities

• It takes days to get information compiled to giveyou an accurate snapshot of your business.

• Getting new reports takes even longer.

• Sales forecasts and pipeline reports are often inaccurate.

• Cash management is hampered by poor information and inefficient processes.

• Your decision making is hampered because you can’t find out: – Who are the target customers your hottest

selling product? – Which employee services the most

profitable customers?– How much of the staff ’s scheduled time

is billable?– What is the profit on individual jobs

or individual customers?

Total Cost of Ownership is Too High

• Maintaining an antiquated proprietary system, hardware or software, is getting more and moreexpensive.

• It is not scalable: Adding additional users/locationsis not possible or feasible.

• Too few features force extensive use of spreadsheetsand lost employee productivity to manipulate data.

• Changing a business process is expensive and timeconsuming, using requiring lengthy custom soft-ware re-writes.

• Integration costs of older disparate systems isexpensive and often temporary.

• Training costs are high for new employees.

Mitigating Risk

• You lose customers when you lose a sales or serviceperson because the customer information is lostwith them.

• Your data is not protected from employees: eitheraccidentally by poorly trained employees or mali-ciously by disgruntled employees.

• Your data is not protected from outside threats:viruses, worms, or natural disasters.

• Your software vendor is not financially stable andmay be purchased or go out of business.

• You rely on support from one or two people.

Raising Capital

• You need auditable financial records for bankfinancing, lines of credit, loans, or public offerings.

New Regulations

• Your business is facing new government regulations:Sarbanes-Oxley, Gramm-Leach Bliley, HIPAA, etc.

• Your company size now falls under different regula-tions from OSHA, the Americans with DisabilitiesAct, EEOC, COBRA, the Affirmative Action Actand/or the Family and Medical Leave Act

• Your business has new state or federal reportingrequirements. n
