DFF- Descriptive flexfields enable you to capture additional pieces of information from transaction entered into Oracle EBS.

DFF and KFF share common features. They are multisegment fields. Application validates individual segments based ons makes valueset rules and ensures that the segments makes sense using CVR (cross-validation rules).

Key Flexfield is used to describe unique identifiers that will have a better meaning than using number IDs. e.g a part number, a cost centre etc Desc Flex is used to just capture extra information. Types of drop shipmentIf you see the real world scenarios this can be best categorize as mainly under three heads as:•Type 1 : Full Drop ShipmentWhere the seller sends the purchase order to the supplier for the full quantity that the customer had ordered •Type 2 : Normal Shipments and Partial Drop ShipmentUnder this scenario, If the seller has only part of the quantity available for shipping to the customer, then that quantity is shipped; a purchase order is created for the remaining quantity which the seller was not able to fulfill. This is typically true for single based item.•Type 3 : Normal Shipments and Full Drop ShipmentIn this scenario, the seller ships some goods from inventory to the customer, and the other goods are always shipped from an external source (supplier).

Moveorder Transfer : In thier you need to Approve.& also you will get move order no, from there you can query whenever you want. From that you can also move material based on that move order no.You can trace material transfered based on move order no.

Sub-inventory Transfer : Simply a transfer from one location to another. No records is generated during transfer. You can't trace material transfered.

This document is intended for users of Oracle Inventory applications. This document does not address the accounting distribution for inter - organization transfers.

Note: Items must be defined in both organizations in order to be able to transfer

INTER ORGANIZATION TRANSFERS

You can define multiple inventories, warehouses, and manufacturing facilities as distinct organizations. With Oracle Inventory you can perform inter–organization transfers as direct or intransit shipments.

You can transfer one or more items in a single transaction. You can also transfer partial quantities of the same item to different subinventories and locators in a single transaction. The items you transfer must

exist in both organizations. You can also transfer expense and asset items from one organization to another using intransit inventory.

Direct Inter–organization TransfersYou can use a direct inter–organization transfer to move inventory directly from a shipping organization to a destination organization.

The validity of a transfer transaction depends on the controls you have defined in both the shipping and destination organizations for the items you want to transfer.

For example, you can transfer item A from organization X to organization Y, even though item A is under lot control only in organization X (you can specify the lot numbers for item A in organization X during the transfer transaction). However, youcannot transfer item B from organization X to organization Y if item B is under lot control only in organization Y (you cannot specify lot numbers for item B in the destination organization because you are performing a direct transfer).

Inter–Organization Transfers via Intransit Inventory

You usually transfer material to intransit inventory when transportation time is significant. When you perform the transfer transaction, you do not need to specify the delivery location. You only need to enter the subinventory you are shipping from, a shipment number, the freight information, and, depending on the inter–organization transfer charge that applies between the organizations, a percentage of the transaction value or a discrete amount that Oracle Inventory uses to computetransfer charges.

If the FOB point is set to Receipt in the Shipping Networks window, the destination organization owns the shipment when they receive it. If it is set to Shipment, the destination organization owns the shipment when the shipping organization ships it, and while it is intransit.While your shipment is intransit, you can update shipping information such as the freight carrier or arrival date in the Maintain Shipments window. See: Managing Shipments, Oracle Purchasing User’s Guide.

At the time of shipment, you must define your receiving parameters for the destination organization. You can receive and deliver your shipment in a single transaction or you can receive and store your shipment at the receiving dock. See: Receipts, Oracle Purchasing User’s Guide.

The validity of a transfer transaction depends on the controls you have defined in both the shipping and destination organizations for the items you want to transfer. For example, you can transfer item A from organization X to organization Y, even though item A is under lot control only in organization X (you can specify the lot numbers for item A in organization X during the transfer transaction). You can also

transfer item B from organization X to organization Y if item B is under lot control only in organization Y (you can specify lot numbers for item B in the destination organization when you perform the receiving transaction).

Transferring Between Organizations

You can transfer material from your current organization to another organization, or from your current organization to intransit inventory.

Material in intransit inventory belongs to the organization identified by the FOB point. See: Defining Inter–Organization Shipping Networks.

Prerequisites

Define an inventory item that is common to both organizations. See: Defining Items and Assigning Items to Organizations. Define at least two organizations, one of which is valid to receive material from the other. See: Creating an Organization, Oracleand Defining Human Resource Management Systems User’s Guide

Organization Parameters.

Set up inter–organization relationships and their corresponding accounts. See: Defining Inter–Organization Shipping Networks.

For direct transfers, if the item to transfer is under serial number control, the item must have the same unit of measure in each organization. See: Defining Items.

To enter the information to perform a transfer between organizations:

Navigate to the Inter–organization Transfer window.

Enter the date of entry for the transaction.

The date you can enter is controlled by the INV:Transaction Dateprofile option. See: Oracle Inventory Profile Options.

Validation Enter an organization to which to transfer the material. You must first define this organization as valid to receive material from your current organization. See: Defining Inter–Organization Shipping

Networks.

In addition, if this organization uses intransit inventory, Oracle Inventory stores the material as intransit inventory when you transfer any material to this organization. You must then move the material from intransit inventory to this organization with an intransit inventory receipt.

Enter a transaction type. This can be either a predefined system type or one you defined. See: Defining and Updating Transaction

Types.

Optionally, you can enter the source of the transaction type. See: Defining and Updating Transaction Source Types.

Indicate if inventory information should be defaulted from the serial number.

Enter any optional Shipment information.

Optionally, you can enter the following Shipment information:

To enter the items to transfer:

Choose Transaction Lines from the Inter–organization Transfer window.

Enter an inventory item to transfer.

You can transfer the same item more than once. For example, you can specify an item more than once to transfer partial quantities to different subinventories or stock locators.

For a direct transfer, if the item is under revision control in either organization, enter a revision that is common to the item in both organizations.

Enter a subinventory from which to transfer the material.

Optionally, enter the subinventory to which to transfer the material.

You must enter a value in this field for direct inter–organization transfers.

If you established locator control for the item, enter from and to locators.

Enter a lot number for the item. If you want to enter multiple lot numbers, complete the remaining steps, then choose the Lot/Serial button to display the Lot Entry window. For receipt transactions, if you

enter a lot number, enter the date the lot expires. You can enter a value here only if the Lot Expiration (Shelf Life) Control attribute is set to User–defined Expiration Date.

Enter a unit of measure. This can be the primary unit of measure(the default) or any valid alternate unit of measure. If you enter an alternate unit of measure, Oracle Inventory issues the quantity you specify in this unit of measure. Oracle Inventory also converts the quantity to the primary unit of measure so that it can correctly update the on–hand quantity.

Enter the quantity of the item to transfer.

Optionally enter a reason code for the transaction. For example, you can use reason codes to allow you to mark exceptional charges to support a quality data collection and reporting system. You can also enter up to 240 characters of free text in the Reference field that describe the transaction.

To enter internal transfer charges to assign to the To organization:

Enter a value in the Added Value field that represents the transfer

charge. You can enter a value here only if you entered Requested value in the Inter–Organization Transfer Charge field in the Organization Parameters window.

Enter the percent of the transaction value that represents the transfer charge. You can enter a value here only if you entered Requested percent in the Inter–Organization Transfer Charge field in the Organization Parameters window. Defining Inter–Organization Information.

To enter freight information costs to assign to the From (current)

organization:

Enter the transportation cost to physically transfer the material; that is, the freight carrier charges.

Enter the general ledger account to which to charge the value you entered in the Transportation Cost field. Oracle Inventory displays the account you defined for the freight carrier as the default. See: Defining Freight Carriers.

To enter a unit number:

If Oracle Project Manufacturing is installed and if you have enabled its end item model/unit effectivity feature, you can enter a unit number for the item. See: Model/Unit Effectivity, Oracle Project

To view quantity available and quantity on hand values:

Review the following fields: Available: Displays the quantity available to transfer, based on the unit of measure you specified. The available quantity is the quantity on hand less all reservations for the item. This amount could include the amount you have reserved if you enter a transaction source that has reservations against it. The available quantity includes reservations against current transaction source. The available quantity is specific to the revision level, lot number, From

subinventory, and From locator you specify for the transfer. On hand: Displays the current on–hand quantity for the item, based on the unit of measure you specified. The on–hand quantity is specific to the revision, lot number, From subinventory, and From locator you specify for the transfer. On–hand includes quantities for pending transactions in the MTL_MATERIAL_TRANSACTIONS table.

An item master is a master record of inventory items. The item master includes the item code and description and other mandatory attributes to uniquely identify the item; it may also include materials and handling specifications, sales and fulfillment specifications etc. An item in the master can exist without any corresponding inventory item in stock, but an inventory item cannot exist without that in the item master!

Accurate, comprehensive item master data is the critical foundation for many essential business processes. In most companies, item master data is entered and maintained in one or more ERP, procurement, maintenance, PLM, inventory and other legacy systems. Consistency and synchronization between the various instances of the data are typically nonexistent as each system, location and user group uses different data standards, naming conventions, and classification taxonomies. The problem grows exponentially over time as underlying systems and users change and evolve. Duplicate entries, incomplete records and out of date information may become commonplace.

example ; on my order I put in as inventory org A, but if there is no stock , then it would need to be sourced from inventory org B (B is not setup as a supplier), My question is , can we automatically have an internal requisition and internal sales order triggered, or would this only be done if we would have MRP? or if we wld create manually an IR - ISO...

A, B, C are also physcically seperated from each other, so the goods move between the orgs with all the relevant shiipping papers...

Ans ::: In absence of MRP/ASCP, you will have to create the IR manually.Once approved, that IR will get converted into a booked ISO automatically.

What is Blanket SO??

Use sales blanket orders if you have a contract with a customer and the customer wants to order from the contract. Blanket orders are often used when a customer buys large quantities and has obtained special discounts. Based on the blanket order, you can create sales orders (release orders) and invoice items as needed until the contract is fulfilled.

You create a blanket order in the same way you that you create sales orders (see Create a sales order), but you assign it as a Blanket order. Discounts (trade agreements) must be calculated before you create release orders. Blanket orders have no effect on stock quantities, do not generate item transactions, and they are not included in master scheduling (unlike release orders).

On the basis of the blanket order, create release orders as needed. A release order contains information about item, quantity, and ship and receipt dates, and can be updated as a normal sales order. Release orders have the order type Sales order.

Steps to Setup Blanket Sales Agreement Transaction Types

Blanket Sales Agreements are used when we have specific characteristics related to a purchasing agreement between a customer and a supplier. These characteristics include the date range of the agreement, the items included, the price of the items, the quantity of each item that the parties committed to, as well as other attributes, like freight or payment terms. Once a Blanket Sales Agreement is entered for a customer, multiple releases (sales orders) against the Blanket Sales Agreement are processed over a period of time within Order Management.

The order is fulfilled and billed according to the terms of the Blanket Sales Agreement. Tracking information will also be accumulated for Blanket Sales Agreements, such as, quantity fulfilled, and Price value fulfilled of released lines. This information is used to view status of orders executed against a Blanket Sales Agreement.

Multi Org Concept Introduction

Any enterprise has several organization structures. These organizations interact with each other for various purposes. While interacting with other organizations data has to be secure and should be transferred to the correct organization.

What is Multi Org

Multi Org is a feature, which helps us to classify and define various organizations in such a way that hierarchy is maintained and data is secure across organizations. It also decides how transactions flow through different organizations and how those organizations interact with each other.

Types of Organizations

The various organizations that can be defined within Oracle Applications are as follows:

Business Group. The business group represents the highest level in the organization structure, such as the consolidated enterprise, a major division, or an operation company. Oracle Apps provides with a predefined Business Group ‘Setup Business Group’. Reliance Group of Companies is an example of Business Group.

GRE/Legal Entity. The company for which we prepare tax returns. You assign tax identifiers and other legal entity information to this type of organization. If there are several subsidiary companies for which tax returns are filed, each company is a separate legal entity. Reliance Group of Companies consists of several companies like Reliance Industries ltd, Reliance Info-comm, Reliance Energy ltd etc. Each company is a separate Legal Entity.

Note: The Set of Book can contain multiple Legal Entities.

Operating Unit. Each group company will have several branch offices involved with purchasing, order management, shipping execution etc. Each such branch will be an Operating Unit.

It could be a sales office, a division, or a department. An operating unit is associated with a legal entity.

For implementing Oracle Cash Management, Order Management and Shipping Execution, Oracle Payables, Oracle Projects, Oracle Purchasing, Oracle Property Manager, Oracle Receivables and Sales and Marketing Operating Unit is required.

Information is secured by operating unit for these applications. Each user sees information only for their operating unit.

Inventory Organization. An organization for which you track inventory transactions and balances, and/or an organization that manufactures or distributes products. Inventory organization is generally assigned to a manufacturing plant. An operating unit can also be an Inventory Organization. Many branches (operating units) might be Manufacturing Plants and will be attached to an Inventory/Warehouse. Such inventory/warehouses will be Inventory Organizations.

HR Organization. HR organizations represent the basic work structure of any enterprise. They usually represent the functional management, or reporting groups that exist within a business group.

Asset Organization. An asset organization is an organization that allows you to perform asset–related activities for a specific Oracle Assets corporate depreciation book. Any organization (legal entity, operating unit, inventory organization), which has Fixed Assets can be classified as Asset Organization. For implementing Oracle Assets, this type of organization is used.

Secure Access within Multi Org

An individual Operating Unit is assigned to an individual application Responsibility. To see and work with data that is relevant to a specific Operating Unit, users choose the appropriate Responsibility after logging on to Oracle Applications.

The current Multi-Org architecture utilizes database objects like Views to build a security layer that allows you to logically partition all your application data in one database, instead of physically partitioning data with multiple instances and even multiple application installations.

In earlier versions of Oracle Applications data partitioning was done using multiple instances and therefore installation had to be done several times for various operating units.

Note: All Multi Org tables in the database will be suffixed with ‘_ALL’.

HRMS Organization Model

The business group is the largest organization unit you set up in Human Resources to represent your enterprises as an employer. After defining one or more business groups for your enterprise, you set up one or more Government Reporting Entities (GREs) within each business group. The GRE is the organization that federal, state, and local governments recognize as the employer.

Needless to say, HR does not require Operating Units, Inventory Organization and Asset Organization.

In Release 12.0, Oracle Purchasing will leverage the new Multi-Org Access Control capabilities to support more streamlined operation of Shared Procurement Service Centers. Without changing Responsibility, and without closing windows, buyers will now be able to view consolidated requisition demand spanning multiple operating units. Using a single Responsibility, they will be able to manage demand (i.e. requisitions), conduct sourcing events, enter into agreements and issue purchase orders on behalf of any of the operating units that they serve. The operating units that they can transact on behalf of will be controlled by the security profile associated with their responsibilities.

In Release 11i10, generation of purchasing documents in Adobe PDF format required organizations to create layout templates in the form of XSL-FO style sheets. With Release 12.0, organizations can also use RTF or PDF layout templates which require little training to configure and maintain.

Oracle Purchasing supports various types of file attachments (MS Word,

Excel, PDF etc.) that can be appended to purchasing documents in addition to long and short text attachments. In previous releases, only text attachments were communicated to suppliers. With Release 12.0, buyers can communicate all necessary attachments to suppliers, including file attachments via email.

Release 12.0 allows finer control of how blanket agreements are enabled for automatic document sourcing. Buyers can now choose to enable them only in specific inventory organizations. Thus, buyers can negotiate a blanket agreement to fulfill requisition demand for a subset of inventory organizations and enable the agreement for autosourcing only in those inventory organizations.

What is order cycle?

Order cycles describe the processing or routing, through which orders progress. Order cycles contain cycle actions such as Enter, Pick Release or Ship Confirm. Each cycle action has at least one result. For example, results for the action ‘Enter’ include ‘Booked’, ‘Partial’ and ‘Entered’. You can customize your order cycle by defining prerequisites for each action so that Oracle Order Entry performs these actions in the sequence you define. For example, the prerequisite for the action Pick Release could be the action Legal Review and the result Pass. You would not be able to pick release the order until it meets this prerequisite. You can define as many order cycles as you want so you can handle different processing requirements for different types of orders or for orders from different sales channels. For example, you may have one order cycle that requires legal approval that you use for international orders and one without legal approval for domestic orders.

If you make any changes to cycle actions in an order cycle you can determine when those changes take effect by setting the profile option OE: Cycle Action Changes Affect Existing Orders

Tables used are SO_CYCLES, SO_CYCLE_ACTIONS, SO_ACTION_PRE_REQS, SO_ACTIONS, SO_RESULTS, SO_ACTION_RESULTS.

ATO - Assemble to Order - A configuration you make in response to customer order which includes optional items.

PTO - Pick to Order - A configure to order environment where the option and included items in a model appear on pick slips and order pickers gather the options when they ship the order. Alternative to manufacturing the parent item on a work order and then shipping it.

6. What is RMA?

RMA is permission for a customer to return items. OE allows you to authorize the return of your sales orders as well as sales made by other dealers as long as the item are part of your item master and price list. Receipt of goods previously sold to customer, credit to a customer or replace with identical item.

7. What is Hold?

A feature that prevents an order or order line from processing through the order cycle. You can place hold on any order or order line.

8. What are various types of holds?

Discount is a reduction of list price for an item. Fixed price discounts - Final price is contractually fixed regardless of fluctuations in list price. For example: item A has a list price of 100, a fixed price discount specifies a selling price of 90, results in a selling price of 90 even if the list price changes to 110.

Price adjustments - The difference between list price of an item and its selling price. Price difference can have positive or negative impact on price list. Price adjustments which lower the list price are called as price adjustment discounts. It can be for order or order line.

26. Does an RMA (order return) automatically generate credit memos?

Yes, Receivable Interface of RMA will generate credit memos. If the RMA Interface results Partially Accepted or Completely Accepted are prerequisites to the Receivables Interface in the order cycle, only quantities of the item that have been received in a sub-inventory are credited. Items, which are received for purposes of inspection, are not eligible to be credited unless they pass inspection and are received into a sub-inventory. Thus if the prerequisite for the Receivables Interface includes RMA Interface -

Partially Accepted, then the Receivables Interface creates partial credits corresponding to the accepted quantity that has not already been credited. Overview of QuickPick and QuickCodes

QuickPick is a powerful Oracle Application Object Library feature that makes your users more productive by letting them enter data in shorthand form and by ensuring that they enter valid data. QuickPick also makes it easy for you to create foreign key relationships in your forms. You can design more intuitive forms by displaying descriptive names and hiding internal identifiers. For example, when entering the sales representative responsible for a client, your user can enter the representative's name, instead of the representative's employee ID or some other identifying code.

You can also use QuickPick to enforce separate validation rules for data entry and data query. For example, you can specify that when entering a currency name, your user can only chose from currency names that are enabled and currently active. When querying data, you users sees all enabled and disabled currency names.

If you define a QuickPick on a field, your form displays a PICK lamp to show your user that QuickPick is available.

QuickCodes let you define general purpose, static lists of values for form fields. QuickCodes allow you to base your program logic on codes while displaying user-friendly names in a QuickPick window. QuickCodes simplify name and language changes by letting you alter the names your users see, while the codes in your underlying forms and programs remain unchanged.

QuickCodes share all the powerful features of QuickPick, such as AutoSelection and AutoReduction. QuickCodes also use separate validation criteria for data entry and data query, although for QuickCodes this validation happens automatically, based on start and end dates and an enabled flag.

From your end user's point of view, a QuickCodes field looks and acts just like a QuickPick field. However, due to the static nature of QuickCodes lists of values, Oracle Application Object Library processes them up to ten times faster than ordinary QuickPick lists, resulting in improved performance

for your users.

For example, suppose your form contains several fields that accept the values Yes and No. Instead of writing triggers that explicitly check for each of these values (and their partial values like Y or N), you can write QuickCodes triggers that refer to the QuickCodes type YES_NO. If your end user enters Yes or No (or their partial values), QuickCodes returns a code to your form to indicate the value entered.

You can also use QuickCodes on fields that accept longer lists of values, such as U.S. state names. Your end users can add values to lists you define. Your end users can also specify a starting date, an ending date, and whether a particular QuickCodes value is enabled.

There are two types of QuickCodes. Some QuickCodes are shared among several applications, and are always pre-seeded. We recommend you do not create new QuickCode types for the pre-seeded QuickCodes. You can maintain these QuickCodes using the Define QuickCodes form.

Special QuickCodes, which are maintained from the Define Special QuickCodes form, allow you to create new QuickCode types. In this chapter, we discuss maintaining and developing Special QuickCodes, usually referred to simply as QuickCodes.

100. What is customer merging?

You can merge the business purposes of two different customers in order to assign all transactions to a new customer, or you can merge business purposes for the same customer. Oracle Receivables automatically generates a report after you merge customer information to allow you to review the details of your merge.

You complete an invoice by entering yes in this field. If you only have partial information for the invoice you can always go back to enter more information to complete your invoice.
