How can I organize my important paperwork?
You can create the following binder system and you will be set for the year!

STUDENT DOCUMENTATION BINDER Materials needed: 1. BINDER (3 INCH SIZED) 2. SHEET PROTECTOR AND DIVIDERS (one dividers to seperate students)
A. First sheet protector should include: 1. Class List filled out
2. Organizational chart filled out 3. IEP due dates by month filled out 4. Monthly Pre-K Checklist of things to do
B. Second sheet Protector A copy of suggested goals and benchmarks
from website (Appendix B) to keep in binder for staffings. C. One divider per student and each student’s section should include
copies of these documents: 1. BDI-2 report (BDI MDS) and computer Assessment Summary
chart (Appendix U) 2. PELI pre/post test and computer Assessment Summary chart
(Appendix U) 3. Assistive Technology Implementation in Pre-K, if applicable
(Appendix J) 4. Copy of the IEP 5. Progress Reports and SPED EMS Progress on
Goals 6. Speech/Language assessments for the 1/2 Day Speech/Language
Model 7. Daily Schedule with Therapies (get the schedule from the
therapists) D. Assessment Requirements (Appendix U) in a separate sheet protector Any other documentation as specified by program model
Advantages of this system:
1. All the important documents are in one place and at your fingertips. If your administrator asks to see a certain document, you can find it with ease. 2. If you have a staffing for one of your students, you can take your notebook along Have all the information you need right in one place. 3. If you want to take paperwork home to work on, you can take the whole notebook.

EMERGENCY CONTACT BINDER
Materials Needed:
1. 3 Ring Binder (ONE INCH SIZE) 2. TAB DIVIDERS Keep all the children’s emergency contact paper work in one folder. Have a separate paper that documents your calls to a family (content of the message, date, time, response of parent if applicable). 1. Permission to photograph (Appendix F7) 2. The Florida Voluntary Prekindergarten Education Standards book (this book will not fit in your notebook but should be a source of information for formulating your goals and teaching strategies. It can be placed near your lesson plan binder).
Daily Lesson Plan Forms • Organize lesson plans with most recent plan at the beginning of the binder. August
lesson plans will be at the back by the end of the year. • Leave lesson plan book lying on your desk /shelf open to the day of the plan. • Print out VPK Education Standards and the VPK Lesson Plan Explanation (see above
under Appendix D) and place in the front of your lesson plan book. (Florida VPK Education Standards training will be forthcoming so you can receive the book)
• Print an IEP At-a-Glance from SPED EMS for each of your students. Place them behind the VPK Standards and VPK Lesson plans, so you can include their Goals and Benchmarks in the lesson plan.
___________________________________________________________________________ Advantages of this system:
1. Your administrator will be looking at your lesson plans each time he/she comes out to observe you. When they are displayed on your desk, they are easy for your administrator to find and read.
2. Your lesson plans are an important tool for you to use throughout the day. Your paraprofessional(s) will also need to refer to what has been written for their part in the daily routine.
3. Having the IEP At-a-Glance, with the Goals & benchmarks from each child’s IEP, will help you remember what the goals and benchmarks are for each of your students.
SCHOOL FAMILY COMMUNICATION SYSTEM Materials Needed:
1. One Composition Notebook per student some teachers have a Home/School Folder Another idea is to have a Composition Notebook for each child; to keep a running record of important information sent from teacher to parent and from parent to teacher. This notebook can also serve to send home learning activities for the students. These can be stapled into the notebook. Many classrooms have a packet of home learning ideas in a file or binder, sent from the Pre-K office.
