Overview This reference document contains information regarding all columns available for use with flat file import integrations. Available columns are

separated by iCIMS profile type, and each profile section includes a list of required columns, the types of data accepted, character limits, and

additional information where needed.

This document is only intended as a reference; it is not intended to serve as an instructional guide of any kind. For more information, visit

developer.icims.com or speak with your iCIMS point of contact.

Note: This reference document includes columns for all standard fields that support imports. There may be standard fields within the Platform that

do not support imports; these fields are excluded from this guide.

Custom Fields

This reference document only includes the available columns for standard fields. To import data into a custom field that a customer has created, use

the custom field’s Field ID as the column header. The Field ID consists of three letters (typically rcf or jcf) followed by a string of numbers (e.g. rcf2000

or jcf2051). These IDs can be found within the System Configuration section of the Platform.

Note: For custom profile link fields, the column header combines the Field ID with either SystemID or ExternalID (e.g., rcf2000SystemID or

rcf2468ExternalID), depending upon which data is provided in the CSV file. For example, if a field links to an existing Person profile specified in the

file by that profile’s system ID, the column header rcfXXXXSystemID should be used. If external ID is being used to identify the linked profile, the

column header rcfXXXXExternalID should be used.

Field Types and Accepted Data The iCIMS Talent Platform enables users to store information in profiles within the system through the use of profile fields. Each profile field has an

assigned field type that dictates the type of data that can be stored in the field.

When importing data into profile fields, each field type requires specific forms of data to ensure a successful import. Field types and their accepted

data are listed below.

Note: The information provided in the chart below outlines standard data guidelines for each field type. Some fields within the Platform may have

unique data requirements; additional details for these fields can be found in subsequent sections of this guide.

Field Type Accepted Data

Address The Address ID (numerical value) of an address on an existing Location profile

Currency

Currency is a two-part field type that includes an amount and a currency (e.g. USD).

Currency field data is imported using two separate columns, as outlined in the chart below.

The amount column header is the main column header for a given field. For the currency column header,

append Currency to the main column header. The chart below uses the Fee field as an example.

Salary

Salary is a three-part field type that includes an amount, a currency (e.g., USD), and a salary type (e.g., Hourly).

Salary field data is imported using three separate columns, as outlined in the chart below.

The amount column header is the main column header for a given field. For the currency column header,

append Currency to the main column header. For the salary type column header, append Type to the main

column header. The chart below uses the Bill Rate field as an example.

Person Profile A Person import is used to create new or update existing profiles of any Person type (e.g. candidate, employee, hiring manager, etc.) within the

iCIMS Talent Platform. Fields available for import are listed below, starting with the fields required for successful import.

Unless otherwise specified, field data can be deleted by entering *** in the data space in its respective column in the import file.

Linked fields have expanded notes listed in the Additional Field Details section below its respective chart.

Additional Required Field Details

Person Folder

Folder requires a text value that matches an existing folder name exactly, including any abbreviations, spaces, or symbols. New folders cannot be

created via import. If an invalid folder value is provided, the new profile will be assigned the default Person folder. Person imports will create roles as

necessary depending on the folder value.

Folder updates will be recorded in the folder log. This data cannot be deleted from a profile.

External ID OR System ID

Either External ID or System ID is required for a successful import. External ID is required for successfully creating new profiles. If an External ID match

is found, the profile will be updated; otherwise, a new record will be created. If both IDs are provided, the System ID will be used to find the profile,

and the External ID of that profile will be updated. If multiple matches are found, the data will not import.

Home/Work/Other Address (Street, Street 2, City, State, Country, Zip)

Street, Street 2, City, State, Country and Zip are a collection of fields stored together as a single entry for each address type.

• State: State data can be represented by the full name of the state or a two-letter code (such as NJ, FL, or CA). A three-character or longer

abbreviation can be used as long as it corresponds to the Abbreviation field in the Countries and Provinces list editor.

• Country: Country data can be represented by the full name of the country or a two-letter code (such as US, JP, or UK). A three-character or

longer abbreviation can be used as long as it corresponds to the Abbreviation field in the Countries and Provinces list editor.

When importing address data, if no entry for the specified address type (e.g. Home) exists, a new entry will be created. If exactly one entry for the

specified address type exists, the imported data will update the existing entry. If multiple entries for a specified address type exist, the data will not be

imported.

Address data can be deleted by entering *** in the data space of each respective column. To delete an entire address entry, all fields within the entry

must be cleared.

• Note: Due to the unique behavior of the Address fields, they should NOT be included in routine imports used for ongoing management of

candidate and employee data. Use of these fields could result in data not being imported due to the existence of multiple entries. These

fields can be included in one-time data imports.

Person Folder

Phone Number and Phone Extension are a set of fields stored together as a single entry for each phone type. When importing phone number data,

imported data will update the existing entry. If multiple entries for a specified phone type exist, the data will not be imported.

Phone data can be deleted by entering *** in the data space of each respective column. To delete an entire entry, all fields (i.e. number and

extension) within the entry must be cleared.

Regulatory Country leverages the standard list of countries within the iCIMS Talent Platform. Data can be imported using the full name of the country

Bill Rate Currency and Desired Salary Currency are used to designate the proper currency type, such as USD or CAD, for the Bill Rate and Desired

Salary fields, respectively. To import this data, either the label of the currency, such as USD, or the appropriate List Node ID from the Currencies list

within the iCIMS Talent Platform may be used.

Entering *** in the Bill Rate or Desired Salary Currency column for a given profile will clear out the entire value for the corresponding field on that

profile.

Pay Type (Bill Rate, Desired Salary)

Bill Rate Type and Desired Salary Type are used to designate the proper compensation type (or frequency), such as Hourly or Yearly, for the Bill Rate

and Desired Salary fields, respectively. There are three options for importing this information:

• Text: Type can be specified by entering a text value that exactly matches (case sensitive) the available compensation types found within the

Education (12 Fields)

The 12 education fields comprise a collection of fields stored together as a single entry for the specified person.

• State: State data can be represented by the full name of the state or a two-letter code (such as NJ, FL, or CA). A three-character or longer

abbreviation can be used as long as it corresponds to the Abbreviation field in the Countries and Provinces list editor.

• Country: Country data can be represented by the full name of the country or a two-letter code (such as US, JP, or UK). A three-character or

longer abbreviation can be used as long as it corresponds to the Abbreviation field in the Countries and Provinces list editor.

When importing education data, if no entry exists, a new entry will be created. If exactly one entry exists, the imported data will update the existing

entry. If multiple entries exist, the data will not be imported.

Education data can be deleted by entering *** in the data space of each respective column. To delete an entire entry, all fields within the entry must

be cleared.

• Note: Due to the unique behavior of the Education fields, they should NOT be included in routine imports used for ongoing management of

candidate and employee data. Use of these fields could result in data not being imported due to the existence of multiple entries. These

Professional Experience (2 Fields)

External ID

Location

Street, Street 2, City, State, Zip, Country and County are a collection of fields stored together as a single address entry on the specified Location

profile. A Location profile can house multiple address entries, if needed.

• State: State data can be represented by the full name of the state or a two-letter code (such as NJ, FL, or CA). A three-character or longer

abbreviation can be used as long as it corresponds to the Abbreviation field in the Countries and Provinces list editor.

• Country: Country data can be represented by the full name of the country or a two-letter code (such as US, JP, or UK). A three-character or

longer abbreviation can be used as long as it corresponds to the Abbreviation field in the Countries and Provinces list editor.

To update an existing address entry on a given Location profile, the Address ID for that individual entry must be provided. If an Address ID is not

provided, the supplied address data is used to create a new entry on the specified Location profile. Each address on a Location profile is assigned a

unique Address ID; this ID is separate from a Location profile's System ID. Address IDs can be retrieved by using the AddressID column available in

Location searches.

Address data cannot be deleted from a Location profile via import.

Home/Mobile/Work/Other Phone Number and Extension

Phone Number and Phone Extension are a set of fields stored together as a single entry for each phone type (Home, Mobile, Work, and Other).

When importing phone number data, if no entry for the specified phone type (e.g. Work) exists, a new entry will be created. If exactly one entry for

the specified phone type exists, the imported data will update the existing entry. If multiple entries for a specified phone type exist, the data will not

be imported. Phone data can be deleted by entering *** in the data space of the respective column. To delete an entire entry, all fields (i.e. number

and extension) within the entry must be cleared.

• Note: Due to the unique behavior of the Phone fields, they should NOT be used as part of routine imports used for ongoing management of

location data as this could result in data not being imported due to the existence of multiple entries. These fields can be included in one-time

data imports.

Primary Rep

Primary Rep is a profile link field that links directly to an existing Person profile found within the iCIMS Talent Platform. To assign a primary rep to this

field, one of the following three column options must be provided. Data must match the primary rep’s existing iCIMS Person profile.

• rcf3127ExternalID

• rcf3127FirstName + rcf3127LastName + rcf3127Email (all three values must be provided to use this option)

The import will attempt to look up the primary rep according to an exact match of the data provided. If no matches are found, or if multiple matches

Associated Global Approval List

This column associates an existing global approval list (job or universal approval lists only) to a job template. To associate a list to a template, the List

ID of the desired list must be provided. List IDs can be retrieved by accessing the Global Approval Lists setting within System Configuration.

Approval lists can only be associated with job templates (i.e., the Job profile being created or updated via import must be in the Job Template folder).

Category

The Category columns require text values that exactly match existing categories within the iCIMS Talent Platform; new categories cannot be created

via import.

Position categories are stored within a single, multi-level list within the Platform where subcategories are child items of the categories above them.

The PositionCategoryLevel1 column identifies a top-level category from the list. The PositionCategoryLevel2 column identifies a subcategory under

the specified top-level category. The selected subcategory must be a child item of the specified top-level category or the information will not import.

A subcategory cannot be selected unless a top-level category is also identified.

Entering *** in the PositionCategoryLevel1 column will delete that category as well as any subcategory under it.

Note: Additional levels of subcategories below PositionCategoryLevel2 (e.g., PositionCategoryLevel3) are available, if needed. Additional levels follow

the same behavior as outlined above.

Confidence (%)

This column requires an integer value (no decimal). This field should only be used if the Type field for the profile is set to Contingency (Flat Fee) or

Contingency (% Base).

Currency (Bill Rate, Fee, Incentive, Maximum Salary, Minimum Salary, Rate)

The corresponding Currency columns for the Bill Rate, Fee, Incentive, Maximum Salary, Minimum Salary, and Rate fields are used to designate the

proper currency type, such as USD or CAD, for each respective field. To import this data, either the label of the currency, such as USD, or the

appropriate List Node ID from the Currencies list within the iCIMS Talent Platform may be used.

EEO Category

The EEO Category columns require text values that exactly match existing EEO categories within the iCIMS Talent Platform; new categories cannot be

created via import.

EEO categories are stored within a single, multi-level list within the Platform where subcategories are child items of the categories above them. The

EEOCategoryLevel1 column identifies a top-level category from the list. If needed, the EEOCategoryLevel2 column can be leveraged to identify a

External ID

Either External ID or System ID is required for a successful import. External ID is required for successfully creating new profiles. If an External ID match

is found, the profile will be updated; otherwise, a new record will be created. If both IDs are provided, the System ID will be used to find the profile,

and the External ID of that profile will be updated. If multiple matches are found, the data will not import.

Fee

This column represents any fee paid to an agency for finding the hired candidate and requires a number value that may include a decimal, if needed.

Fee should only be used if the Type field for the profile is set to Retained, Contingency (Flat Fee), or Contingency (% of Base).

FLSA Status

This column requires a text value that matches an existing FLSA status exactly, including any abbreviations, spaces, or symbols. New statuses cannot

be created via import.

Hire Type

This column requires a text value that matches an existing hire type exactly, including any abbreviations, spaces, or symbols. New hire types cannot

be created via import.

Note: Setting Hire Type to Replacement enables use of the Replacing field.

Job Folder

Job Folder requires a text value that matches an existing folder name exactly, including any abbreviations, spaces, or symbols. New folders cannot be

profile by entering *** in the data space for this column. Folder updates will be recorded in the history log.

one of the following three column options must be provided. Data must match the location’s existing iCIMS Location profile.

• JobCompanyFirstName + JobCompanyEmail (both values must be provided to use this option)

Unless specific address details are provided, the default address on the linked Location profile is used. To specify a different address from the

Location profile, use the available Job Location columns (JobLocationStreet, JobLocationStreet2, JobLocationCity, JobLocationState, JobLocationZip,

JobLocationCountry).

• State: State data can be represented by the full name of the state or a two-letter code (such as NJ, FL, or CA). A three-character or longer

abbreviation can be used as long as it corresponds to the Abbreviation field in the Countries and Provinces list editor.

• Country: Country data can be represented by the full name of the country or a two-letter code (such as US, JP, or UK). A three-character or

longer abbreviation can be used as long as it corresponds to the Abbreviation field in the Countries and Provinces list editor.

If the address provided is not found on the corresponding Location profile, a new address will be created on that Location profile.

If *** is entered into the data space for ANY address column, the entire address will be deleted from the Job profile. As a best practice, to remove a

location from a Job profile, enter *** in the data space for JobCompanySystemID.

Pay Type (Bill Rate, Maximum Salary, Minimum Salary, Rate)

The Type columns available for the Bill Rate, Maximum Salary, Minimum Salary, and Rate fields are used to designate the proper compensation type

(or frequency), such as Hourly or Yearly, for each of the corresponding fields. There are three options for importing this information:

• Text: Type can be specified by entering a text value that exactly matches (case sensitive) the available compensation types found within the

iCIMS Talent Platform.

• Type code: Type can be specified using the Type code found in the Compensation Types list within the iCIMS Talent Platform for each

available type.

• List Node ID: Type can be specified using the List Node ID found in the Compensation Types list within the iCIMS Talent Platform for each

available type.

Entering *** in the Type column for one of the fields listed above will clear out the entire value for that field on the given profile.

Priority

This column requires a text value that matches an existing priority level exactly, including any abbreviations, spaces, or symbols. New priority levels

cannot be created via import.

Rate

Recruiting Workflow Profile This type of import is used create new or update existing Recruiting Workflow profiles within the iCIMS Talent Platform. Recruiting Workflow profiles

represent the association between a candidate’s Person profile and a Job profile. To successfully create a new Recruiting Workflow profile via import,

profiles for both the candidate and job must already exist within the iCIMS Talent Platform. New candidates and jobs cannot be created via

Recruiting Workflow import.

Fields available for import are listed below, starting with the fields required for successful import.

Sourcing Workflow This type of import is used create new or update existing Sourcing Workflows within the iCIMS Talent Platform. Fields available for import are listed

below, starting with the fields required for successful import. (Note: Sourcing Workflows are only available for iCIMS Connect customers.)

Note that a Sourcing Workflow is not a tangible profile within the system, but rather an association between a candidate's Person profile and a Talent

Pool profile. To add a candidate to a given talent pool, a Sourcing Workflow connecting the candidate to that talent pool must be created. Once

created, the candidate appears on the People tab of that talent pool's profile within the system.

To successfully create a new Sourcing Workflow via import, profiles for both the candidate and talent pool must already exist within the iCIMS Talent

Platform. New candidates and talent pools cannot be created via Sourcing Workflow import.

Unless otherwise specified, data can be deleted by entering *** in the data space in its respective column in the import file.

Additional Event Attendee Information Details

Created By

Created By functions similarly to a profile link field and must match an existing Person profile found within the iCIMS Talent Platform. To indicate who

created the Event Attendee, one of the following three column options must be provided. Data must match the individual’s existing iCIMS Person

profile.

• CreatedBySystemID

• CreatedByExternalID

• CreatedByFirstName + CreatedByLastName + CreatedByEmail (all three values must be provided to use this option)

The import will attempt to look up the individual according to an exact match of the data provided. If no matches are found, or if multiple matches

are found, the account processing the import will be used (typically iAdmin or iSupport). Similarly, if Created By is not provided, the account

processing the import will be used. This data cannot be deleted.

Created Date

Date and time are both required and must match the format specified in the User Preferences menu in the Platform. If no date is provided, the date

of the import will be used. If time is not provided along with the date, midnight (12:00 AM) will be used. This data cannot be deleted.

Updated By

Updated By functions similarly to a profile link field and must match an existing Person profile found within the iCIMS Talent Platform. To indicate

Room Profile A Room import is used to create new or updating existing Room profiles within the iCIMS Talent Platform. Fields available for import are listed below,

starting with the fields required for successful import.

Unless otherwise specified, field data can be deleted by entering *** in the data space in its respective column in the import file.

Additional Required Field Details

Folder

Folder requires the numerical List Node ID for an existing Room folder found within the iCIMS Talent Platform. New folders cannot be created via

import. If an invalid folder value is provided, the new profile will default to the Active folder. Similarly, if a folder value is not provided, the new profile

will default to the Active folder.

External ID OR System ID

Either External ID or System ID is required for a successful import. External ID is required for successfully creating new profiles. If an External ID match

is found, the profile will be updated; otherwise, a new record will be created. If both IDs are provided, the System ID will be used to find the profile,

and the External ID of that profile will be updated. If multiple matches are found, the data will not import.

Contact Note A Contact Note import is used to create new records of communication within the iCIMS Talent Platform. Contact notes include email

correspondence as well as notes stored on the Note tab of a Person, Job, or Recruiting Workflow profile.

Note: This type of import can only be used to create new contact notes. Contact notes cannot be edited or deleted via import.

To: Job is only required for Job and Workflow Note imports (see Type). This field functions similarly to a profile link field and must match an existing

Job profile found within the iCIMS Talent Platform. To specify the job associated with the note, one of the following two column options must be

provided.

• JobSystemID

• JobExternalID

The import will attempt to look up the job according to an exact match of the data provided. If no matches are found, or if multiple matches are

found, the record will not import.

Type

Type determines the category of the note being created as well as where the note is stored within the iCIMS Talent Platform. This field requires a

specific import code, as listed below.
