Meetings Support sector left speechlessDespite chairman Bart Heinrichs’s best efforts, the Meetings Supporter Sector was speakerless for its session on how to sell more effectively. First a British speaker with a Pakistani-sounding name wasn’t able to get a visa in the UK so he had to cancel his attendance. Then another British speaker was recruited but a bereavement meant he could not attend, either. Instead Heinrichs reverted to an ‘open space’ format.

Proud Uruguayan Arnaldo Nardone put his country on the map when he beat MCI’s Jurriaen Sleijster in yesterday’s presidential election. A huge kiss for his wife was followed by a magnanimous hug from his opponent. It had ended in tears for him – but they were tears of joy.

Nardone swept home with 260 votes to 173, a clear and surprisingly large majority. It happens in the best-kept sectors, of course, but you would have expected the meetings management category to ensure its main speaker would appear.

Unfortunately, the local Indian viewpoint – eagerly awaited by the PCOs and AMCs yesterday morning – hit a pothole when it was discovered that Rajeev Kohli of Creative Travel was not in the hall and gallant Captain Swadesh Kumar of Shirkhar Travel was called up to answer the preset questions instead.

“India is an upcoming country,” Captain Kumar said, “but you must have a good local partner, a good DMC or PCO to give you guidance. You can’t work alone.”

He concluded: “India is not a poor country. All that has changed. It is now modern and dynamic.”

The joint moderators of the meetings management session, Jurriaen Sleijster of MCI and Miranda Ioannou of SCS Ltd Cyprus welcomed the 100 PCOs registered but got into further trouble when only two of the ten new sector members turned up

When a speaker doesn’t show…

The fear of terrorism is still a vital factor when Americans select destinations overseas. But so is political stability, service standards, the cost of airline tickets and visa restrictions.

However, more international meetings are being planned by American associations, according to Sherrif Karamat, CEO of the Professional Convention Management Association (PCMA).

The PCMA education conference

co-locates with AIBTM in Baltimore in June next year and PCMA expects between 650 to 700 people to attend. The PCMA International Summit co–locates with IMEX America in Las Vegas in October.

“There is a significant gap between those Americans who want to organise abroad and those who actually do it,” advised Karamat. “And those who don’t do it, usually don’t have the necessary relationship in the destination. ”

The Americans ARE coming! Aren’t they?

Asia Pacific is ‘the future’Five out of 10 new members in the Asia Pacific chapter of ICCA are from host nation India, with co-chair of the local host committee Monimita Sarkar hoping this event will broaden delegates’ awareness of the “burgeoning economy which has taken the world by surprise.”

ICCA president and Asia Pacific member Leigh Harry added: “How

important is it for the Asia Pacific Chapter to be meeting here in Hyderabad? I think the future of our industry is very much in the Asia Pacific region.”

The chapter is now organising its own Asia Pacific client/supplier workshop in Taipei, 6-7 March 2011, as well as investing in a new Asia Pacific Chapter website.

The I&MI Media Charity Golf Classic and Cooking Class events have raised 318,000 rupees (€5,135) for charity Nireekshana ACET (Aids Care, Education & Treatment) a local not-for-profit organisation dedicated to the care and support of people with HIV/AIDS. The two events saw 17 keen golfing delegates take to the greens while another 17 took part in a cooking class, learning how to make four local dishes and receiving a cookbook of Indian specialities. Publisher Anne LaViolette said they were ‘absolutely thrilled’ with the results, It is expected the money raised will supply medicine for about 1,000 people for seven months.

Testing questions and testy answers marked the annual contest between PCOs and CVBs in a pre-lunch session yesterday.

Silence for departed trioDelegates observed a minute’s silence for three ICCA members who passed away this year. President Leigh Harry remembered Zbigniew Bankowski, the first person to hold the title of honorary member; Vanessa Cot-ton, who “sadly and shockingly died at a very young age” and India’s ex-board member and Honorary Mem-ber Ghulam Naqshband. Harry said: “He would have been so proud to see this congress finally take place in his home country, unfortunately he did not live to see this happen.”

Financial pressures on association events are increasing, according to the latest results from a survey jointly carried out by ICCA and trade show IMEX, with 44 per cent reporting reductions in revenue from sponsors and exhibitions.

This survey, carried out in October, showed an increase of four per cent reporting a downturn in revenues from these sources.

Another worrying development is that 48 per cent now predict lower attendances in 2011 than in 2010, compared with only six per cent in

Recession starts to bite but associations resilient

the previous survey carried out in May. However actual attendance at association meetings continues to be very strong. Of respondees, 30 per cent reported higher attendance than in previous years and 48 per cent reported no change. Of those who reported a fall, 12 per cent reported

“slight” falls and only nine per cent reported “significant” reductions.

ICCA CEO Martin Sirk said: “Whilst there’s no doubt that international association meetings have been the star performance sector over the last year, they’re feeling the pressure of the continued economic turbulence, especially as corporate sponsorship budgets continue to be cut. The picture is extremely mixed, however, and we’re hearing that many regional (European or Asia-Pacific) events are at record levels, whilst some world events are struggling to attract attendances. The lower expectations for 2011 are also a matter for concern, but need to be seen against the backdrop of very strong attendances in 2010.”

Carina Bauer, IMEX Group CEO, added: “These results underline the importance of international association meetings for suppliers from all regions of the world. The Association Day programmes at IMEX and IMEX America in 2011 are going to play an ever more important role in the two shows.”

The flanker and the clinchergot down to the serious business of assuming attacking and defensive positions.

Finally, Harry Fine, a UK based agency representing DMCs, decided on a flanker: “Some so-called PCO members of convention bureaus are not actually PCOs,” he charged. And then a clincher: “Some CVBs are commercially benefitting through the information they receive”.

Venues are including more bang for their clients’ buck, according to a survey carried out among venue sector members.

Alec Gilbert of the Adelaide Convention Centre said: “There’s no doubt about it, venues are upping the ante in response to the global economy. There is more being offered in the price today than in 2006; 35 per cent now include carpeting in the hire price of an exhibition hall, whereas previously it was only 19 and 58 per cent now include first aid, compared with just 48 per cent before.”

Additionally, 84 per cent of venues said they negotiate on published rates and 61 per cent have a subvention policy for large congresses, with cash support offered by 40 per cent.

Meanwhile, 67 per cent of venues

The cost of a wedding reaches the summit G20 Summits don’t come cheap. The G20 this year cost the city of Toronto over one billion dollars, which included finding and funding an alternative venue for a wedding booked to take place in one of the designated delegates’ hotels, flying the happy couple on an all-expenses paid honeymoon to Hawaii and giving them a compensation cheque for $60,000.

have established a half-day rate and 75 per cent are prepared to offer a discount on the ballroom when F&B is used. However, venues continue to invest in their facilities with 30 per cent having recently refurbished or extended, or just about to.

Gilbert said: “Despite everything centres are improving and expanding all the time - 40 per cent plan to build a hotel on site in the near future.”

Only a relatively small number of venues plan to increase prices in line with inflation in 2011.

Venues up the ante with value-adds

Venue goes viralExCeL London’s viral video campaign featuring London mayor Boris Johnson as a black cab driver notched up 6,000 views thanks to promotion through Twitter and Facebook.

However, eagle-eyed Hamish Reid from Jersey Conference Bureau pointed out that the videos see mayor Boris parking on a zebra crossing and at a bus stop. “That should have been three points on his licence!” he said.

North Americans sort out their prioritiesThere were two events on the minds of the North American chapter yesterday afternoon. One was the inside story of how Toronto dealt with the G20 Summit and the other was what the team should wear for the CAT Night party.

The Canadians in particular are keen to keep their own identity at the forthcoming AIBTM and IMEX America shows. A warning tale and suggestions called for what kind of events should be mounted by the chapter in future.

Cooking was on the agenda for the first time at the ICCA Assembly as an alternative to the I&MI Golf Classic.

Business opportunities for delegates at the ICCA Congress in HyderabadICCA’s success over four decades has been built on the principle of members exchanging commercial information with one another about recently hosted events. This is the foundation of ICCA’s Association Database, and again will be a central component of this year’s congress. To apply for the Business Exchange (BE) each of the 156 delegates provided data on one major international event they have recently been involved with, and committed themselves to share their insights and inside knowledge about this event with other delegates throughout the congress. ICCA Data supported delegates in ensuring that an unprecedented amount of commercially important data is exchanged during the congress, turning the event into a massive intelligence gathering opportunity. Some tips & tricks for those participating:

Make sure you know your own business lead in extreme detail, so that you can offer genuinely valuable advice to other delegates.

Research which leads are relevant to your company/destination, especially leads or bids you are already working on, so that you know who to track down in Hyderabad to exchange data.

Obtain additional detailed information on existing sales leads/bids.

Identify ICCA members who could in future provide valuable information on prospective clients/events.

Contact key ICCA members to either follow up sales leads, or to reinforce the new relationship and ensure willingness to exchange useful information on an ongoing basis. And for those who were too late to sign up for this year:Find out more about this programme from this year’s participants - their badges will show if they are participating. For more information contact Marco van Itterzon, ICCA Director [email protected]

Members vote for increasesICCA members voted in favour of an increase of around one per cent in membership and entrance fees – in line with inflation in the Netherlands running at 0.8 per cent. And a ‘break-even’ budget for 2011 was approved by 93 per cent of delegates.

A higher number of member resignations than anticipated last year meant ICCA started 2010 with membership numbers down on expectations at 864 and a revenue shortfall of more than Euro 50,000. Despite recouping some of this deficit, the year will finish with a trading loss of up to Euro 40,000, after budgeting for a break-even year.

But despite this, CEO Martin Sirk’s report to the membership for the coming year was a positive one.

He told members: “ICCA is enjoying a very strong year. New member recruitment is on target to exceed 100 and might reach a new record. Advertising and participation in our programmes have been very strong and member use of the database and feedback of valuable data are also at record levels.” He said he expected a net growth in membership to continue into 2011.

Sirk said the board took the decision early on in the year not to cut

ICCA ready for a loss - but there’s good news, too

back activities or member services to offset the Euro 50,000 shortfall.

“So we’ve continued to invest – more staff recruited in Asia Pacific on the research side – there are now five researchers in the KL office a significant upgrade of our PR kit, many improvements to the database and web site and the major redesign of our trade show stands for IMEX and EIBTM”, said Sirk.

He told delegates that almost half of last year’s Euro 100,000 surplus has been invested in the chapters to encourage growth and many of these projects will take place during 2011.

He also pointed to a number of investment initiatives to improve services for members: “We’re going to undertake a major redesign and relaunch of ‘ICCA Intelligence’, our main communication vehicle to connect with the international association executives on our database.”
