System Analysis



Hyatt HotelsIntroductionCOMPANY HISTORY

Hyatt was founded by Jay Pritzker in 1957 when he purchased the Hyatt House motel adjacent to the Los Angeles International Airport. Over the following decade, the Pritzker family business interests grew the company into a North American management and hotel ownership company, which became a public company in 1962. In 1968, Hyatt International was formed and subsequently became a separate public company. Hyatt Corporation and Hyatt International Corporation were taken private by the Pritzker family business interests in 1979 and 1982, respectively. On December 31, 2004, substantially all of the hospitality assets owned by the Pritzker family business interests, including Hyatt Corporation and Hyatt International Corporation, were consolidated under a single entity, now named Hyatt Hotels Corporation.

Architecture and Design

The Architecture and Design team’s main objective is to help the owner and the owner’s consultants plan and design Hyatt® hotels that are both stunning and efficient. Our diverse group of design professionals holds distinct educational backgrounds and professional expertise in architecture, interior design and hotel operations.

Engineering and Information Technology

The Engineering and Information Technology team is responsible for ensuring that all building services, including mechanical, electrical, plumbing, communication, data, security and life-safety systems, are designed, installed, commissioned and operated properly and efficiently. With



diverse backgrounds in hotel operation, engineering, design and building systems, this talented team assures all Hyatt standards are rigorously upheld.

Operations Planning

The Operations Planning team is composed of global industry experts who have a deep understanding of Hyatt hotel operations, as well as exposure to diverse operational experiences around the world. The team constantly works to ensure operational competencies and enhance our properties’ performance.

FF&E Project Management

The FF&E Project Management team was created to facilitate project coordination and assure a seamless transition from the construction phase to the hotel opening. The team is made up of skilled individuals with a variety of backgrounds in operations, project management and procurement. They work in parallel with the consultants and the rest of the Architecture and Design Services team to ensure that every detail of the design intent and operation planning is carefully executed.



Objectives:oGeneral & Technical Objectives:

Every information system is expected to have some specific qualities that enable it to differ from other systems.

MINIMISE DATA DUPLICATE:The files in the system should not duplicate data often. Data duplication is the main cause for difficulties in searching data.

AVAIBILITY OF THE DATA:The top management of the organization will be able to have a ‘birds eye view’ of the data in making decisions. They will also be able to stimulate future situations and ask ‘what if’ questions from the system. This will enables them to find how profitable the organization is running.UP TO DATE: The data available should be up-to-date.HIGH STORAGE CAPACITY: Large amounts of data should be handled without harming any sensitive data’s.DATA INTEGRITY: For the information to be accurate the data should be correct.

SPECIFIC : Using online forms to easily view add, update records of customers Using validation rules, input masks and format checks to ensure integrity of data and minimize data input errorUsing combo box to enable the user to select one of the options from the list instead of typing text. Bound combo box can be used to store the selected value into the field



SECURITYTHIS SYSTEM IS MUCH MORE SECURE, THE DATA IS KEPT IN FILES ANDCAN BE SECURED BY A SIMPLE PASSWORD.IN THIS SYSTEM FIRE WALLS AND LOCKS CAN BE INSERTED TO PREVENT INVASION OF PRIVACY.AND DATA CAN BE EASILY SECURED.

BACKUP’STHE FILES THAT ARE STORED CAN BE SAVED IN DIFFERENT PLACES THIS WOULD BE VERY BENEFICIAL FOR THE BUSINESS BECAUSE IF ACCIDENTALLY THE DATA IN ERASED THE FIRM WOULD NOT HAVE MUCH LOSS AND DATA CAN EASILY BE RECOVERED.

EFFICENCYTHE COMPUTERISED SYSTEM IS VERY EFFFICENT.IT WORKS AT HIGH SPEED AND HANDLES FILES VERY EASILY.THE RESULTS ARE ALWAYS ACCURATE PROVIDED THAT THE INFORMATION IS CORRECT



Existing system:

To find out that how the Hyatt hotels existing system works, I asked them questions through questionnaire. After asking questions from the Hyatt hotels about their existing system, I came to know, that how their existing system works.

o In Hyatt hotels, when a customers goes their, he first has to make his reservation of room on the reception, on the reception, there is one employ of that hotel sitting there, A customer will visit there and make his reservation according to his/her requirements, employ will ask him about his requirements and will check that either that room of his /her requirements is available or not, After that he will be asked to give his NIC number, vehicle information , Personal information of that customer, then they will ask him about his check-out-date , After all the verification of a customer, the data of that customer will be entered into a register, to easily find out that this specific customer has used which services, in which room, for this purpose the register is divided in to different section, for example services section. These registers are maintained yearly and the data is recorded in it according to the year wise. The records of the customers are inserted in a separate section with all their personal data. And with that their vehicle information is also inserted in it. These registers are normal registers and is used for data entry system, if a customer has to book a room in advance, there is a separate register for it, all billing information is written in billing registers. These registers are available in the drawers of the reception table and for the security of the data; they always kept it locked so that unauthorized user could not access the data.



Evaluation Of existing system:

Negative points:

Time consuming: When data is written on the register, it took a lot of time. When, the customer comes data entry took a lot of time and the procedure is very slow. A lot of paperwork is being done in it.

Fear of loss of data: The data is not saved because it is written on an ordinary register. It is not properly saved and there is no security of the data.

Duplication Of data: The data is being written on so many register, it means that duplication is being done and it took a lot of time and it is also not saved.

Too much paper work is done: A lot of paper work is being done and it consumes a lot of paper which is wastage of money.

Registers are not organized: The registers are not properly arranged and there is no properly yearly record, For example the data of 2001 is not there which is lost because it is not maintained properly and they have problem in it to maintain it. Meanwhile I took a glance over the files handled manually. The files were all messed up and incomplete. Some of the papers were missing which can cause management worries.



Some of the data was repeated, resulting in duplication of data and excessive use of paper.

Complains From the customers: There are a lot of complaints from the customers because of the slow process. A lot of time is being taken. There are big lines, which consumes the customers times.

Working environment: The environment is not suitable and the furniture is too old which need to be changed. There is no air-condition and that’s why the employs can not work. The working process is too slow. Many complaints have been come about this problem.

Positive points: Cheap Registers are cheap as compare to computer and data entry through it is very easy as computer to data entry in Ms Access, It is cheap because no skilled labour is required for it.

Easy to operate It is very easy to operate because there is no lengthy process as compare to computer, we will only have to Take out the registers and simply write the data in it.

Unskilled labour There is no skilled labour required for it; unskilled labour on very low wages can work for that organization.



Alternative solutions:

MS excel: Through Ms excel the organization can easily enter their data with their each and every information, By this it will be easier for the employ to work on it and it will be also not time consuming because data entry through ms excel takes very little time.

Ms Access:Using online forms to easily view add, update records of customers Using validation rules, input masks and format checks to ensure integrity of data and minimize data input errorUsing combo box to enable the user to select one of the options from the list instead of typing text. Bound combo box can be used to store the selected value into the field.



Evaluation of Alternative Solutions:

Ms excelAdvantages:

o Run sophisticated calculations to derive the information you want.

o Use Microsoft PivotTable and Microsoft PivotChart views to work with your data interactively.

o Create a Microsoft Word mail merge — for example, to mass-produce address labels.

o Organizes data in columns, also called fields that store a particular kind of information, or data type. At the top of each column, the first cell is used to label the column.

o It is also user friendly.

Disadvantages:o Can't export directly to PDF.o Queries on data cannot be carried out as in Access Excel

macros sometimes have viruses. Data can only be displayed in cells.

o Trained users can use it.o You can not open, form or queries in it.o Data is in cells form, so it is difficult to find the specific

data.

Ms AccessAdvantages:o you can: Run powerful queries to sort and filter your datao Generate reports on your data and view them in multiple

formats. o Use forms to add, change, delete, and navigate your data

easily



o Connect to external data and view, query, and edit it without having to import.

o Create Web pages to display your data as read-only or to access it in an updatable format.

o Import data from external databases (Access, Microsoft SQL Server) and other file types (.txt or .htm).

Disadvantages:

o It is not users friendly, it is very difficult to operate, skilled and trained workers are needed to operate it

o There is very complicated code which has to be applied in it.

Recommendation: My recommendation to the company is to use Ms Access because it is suitable to the demand which has been made by the organization.

LCD= we will use LCD because it occupies less space and it is also not harmful for eyes and also it is the basic requirements.

Mouse= It is the basic requirement of the system through which user can easily work on the computer.

Key board= It is the basic requirement and it is use to type the data.

Printer= It will be used to print the data, If someone needs the configuration, for that we will use printers.

CD writer= CD writers will be used to take out back-ups.

Hard disk= Hard disk is the main requirement of the processor, through which we can store our data

Ram= we will use 512Mb ram so that it could run faster and it is also the basic requirement of processor.

It will also be used to detect, and remove malware, including computer viruses, worms, and Trojan horses. Such programs may also prevent and remove ad ware, spy ware, and other forms of malware.

This table contains the information regarding rooms, Room details of the customer is inserted here, It contains that a customer has booked which type of room and how much he has been charged by the hotel.

This table contains the information of the services which has been used by the customer, It contains the details of the services which has been used by the customer and how much he ahs been charged.

This table contains the information regarding services, Every service which is available at hotel contains an ID and it will checked by this ID and through this table we will be able to check the service description also.

QueriesBill Check out date



This Query contains the information regarding bill check out date. The current view is of design view; it contains the Room-ID, check out date, rent and service, by entering check out date we will be able to get all this information



Bill Customer ID

This query contains the information regarding Customer ID ,when we enter any customer ID we will be able to get all the information of the bill of that customer.Bill Room ID

This query contains the information of the bills, means by entering the customer room-ID we can find the details of bill of the customer.



Customer-ID

This Query contains the information regarding Customer bio data, If we enter any customer ID we can get its whole Bio-Data, we will get his telephone no, address Etc.Customer-NIC Number

This query contains the information regarding customer details by entering customer NIC number we will get his whole Bio-Data, there are different fields in it e.g. address, Age telephone no.



Room-ID

This query contains the information regarding rooms; by entering any specific room ID we will be able to know that customer has booked which type of room and its Rent etc.Room-Type

This query contains the information regarding rooms, here we will enter Room Type and we will get the which type of room is it and how many no. of beds etc

This query contains the information regarding services, when we enter the room type we will get the information of roomsService-Customer-ID

This form can be used to enter the data of the rooms which the customer has used we can save this record and we can also print it.Service Detail form

This form can be used to enter the data of the services which has been used by the customer , service date will also be recorded and its amount and rent will too be recorded , we can save it and can print this record.



Service form

This form can be used to enter the data of the services which has been used by the customer, we will also enter the description of that service,we can save this record and can print it.Bill-check-out-date Form

This form can be used to enter the data of the customer regarding their checkout date, there are four buttons in this record by which we print, go back, save and can close the form



Bill-room-ID Form

This form is used to enter the information regarding bill room ID, we will enter its room ID, COD, ECOD, rent and service etc, the current view of this form is in design view, we can save it and can also print it by using the buttons.

Customer-ID Form

This form is used to enter the whole bio-data of the customer, we have to record his/her whole history in our records, and we can print or save this record.




This form is used to search the customer data regarding his NIC number when we enter His NIC number we will get his whole data.Room-type Form



This form can be used to search the room details by the help of room type when we enter the room type we will get the customer room details. we will also get how much he has been charged.


This form is used to search the data of the services which the customer has used; we can search it by entering the customer -IDService-Date of Service Form



This form can be used to search the data of the services but here we can search it through the date of service, we will be able to get his services details as shown above.

Service ID Form

This form can be used to search the description of the service, used by the customer; by entering service ID we will get the description of the service, we can also print that record.

This is the design view of the main menu ,there are three buttons a shown above, By clicking the enter data button ,data entry menu will be displayed, by clicking on the search data , data searching menu will be displayed/open, by clicking on the preview reports button, report preview menu will be displayed and we can also this menu.

This is the view/screen shot of relationship, there are two primary keys, customer ID and Room ID. All tables are interlinked because of linkage between them.



Evaluation of System

MINIMISE DATA DUPLICATE : The files in the system data not duplicate data. Data duplication is the main cause for difficulties in searching data so this objective has been achieved and now data duplication is not being done because of the software.

AVAIBILITY OF THE DATA:The top management of the organization are able to have a ‘birds eye view’ of the data in making decisions. Data is now available at every time, by this the organisation will get profit and they are now able to do their work faster because of the availability of that data.

UP TO DATE: The data available are up-to-date and in future it should be updated on regularly bases.

HIGH STORAGE CAPACITY: Large amounts of data can be handled without harming any sensitive data’s.DATA INTEGRITY: For the information to be accurate the data should be correct. And it has been done by different validation check and other methods.

SPECIFIC : Now we use online forms to easily view, add, and update records of customers Now we Use validation rules, input masks and format checks to ensure integrity of data and minimize data input error



Now we use combo box to enable the user to select one of the options from the list instead of typing text. Bound combo box can be used to store the selected value into the field

SECURITYTHIS SYSTEM IS MUCH MORE SECURE, THE DATA IS KEPT IN FILES ANDCAN BE SECURED BY A SIMPLE PASSWORD.IN THIS SYSTEM FIRE WALLS AND LOCKS CAN BE INSERTED TO PREVENT INVASION OF PRIVACY.AND DATA IS SECURED.

BACKUP’STHE FILES THAT ARE STORED CAN BE SAVED IN DIFFERENT PLACES THIS WOULD BE VERY BENEFICIAL FOR THE BUSINESS BECAUSE IF ACCIDENTALLY THE DATA IN ERASED THE FIRM WOULD NOT HAVE MUCH LOSS AND DATA CAN EASILY BE RECOVERED And also know the backup can be taken easily on monthly or weekly bases by which the data could not be lost.

EFFICENCYNow this system is very efficient, it works at high speed and handles files very easily. The result is always correct provided that the information is correct.

Time Consuming

Now a lot of time is not consumed and the work can be done very much faster, six hours work can be done in 1 hour and it will also be more efficient.



Future extension

In the future we can extend this project; we can launch online hotel reservation system by which the hotel will gain profit for the organisation and it will be used world widely, more people will use it and the customers would find it easy to book the rooms in the hotel and also in future the staff could also use the website to work on it every where, In future they could make their website so that the staff can work on it.

In future we can also extend the software, we can use C++ because it is more advanced and it will work more efficiently and fastly.Operations would be perform more accurately and it will work more efficiently. In future we can also make more advancements and changes so that the software could become more reliable and efficient.
