Make Your Pitch - Cookie Sales Pitch Video Contest!Encourage your girls to enter the contest! The winner will receive a $100 GSWISE Gift Certificate! Does your Girl Scout or Girl Scout troop have the best cookie sales pitch? Film a 30 second (or less) clip of your Girl Scout or your troop making their sales pitch and post it on the GSWISE Facebook page.

Safety guidelines that must be followed: • Girls may not use last names, locations or school names in the video. • First names are acceptable. • The troop number may be used, but without a location.

Videos must be posted between December 14, 2012 and January 11, 2013. The top 10 will be voted on through January 25 and the winner will be announced January 26. The winner will be calculated by the number of “likes” the video receives. One $100 GSWISE Gift Certificate will be issued to the winning Girl Scout or Girl Scout Troop.

What is a Direct Sale?The Girl Scout Cookie Program Activity will be using an exciting new direct sale format to make selling easier for girls, their families and volunteers.This means that girls will have cookies in-hand to sell instead of taking orders and delivering weeks later. 

A direct sale will combine order taking and delivery into one easy step: Making it less time consuming for everyone involved Creating immediate customer gratifi cation and higher sales Providing girls opportunities to sell more cookies and earn more money for troop

activities

How does a troop cookie captain manage a direct sale?With input from the troop leader and families, an initial troop order is submitted in full cases on January 19. Families pick up cases and sell cookies directly to customers. It is very important that the troop cookie captain checks with families weekly to see who may need more cookies and who may need less.

Can we use order cards?Yes, girls may begin taking orders on January 8 (optional). Families are encouraged to order MORE than the orders taken.

How Much Should a Troop Order? The 2013 council goal is 144 packages per girl. See below for the suggested breakdown by variety. Remember, cookies are not returnable, so please order wisely. Troops that have sold before should base their order on last year’s sale. To view last year’s sale, go to the archived reports in ABC Snap.

What does a troop do with unsold cookies?There are several options for troops to deplete their cookie inventory.1. After checking with all families in the troop to see if anyone needs more cookies, hold a

cookie booth to sell left over cookies. See page 9 for details.

2. Post the cookies on the online cookie cupboard for another troop to “purchase”.

3. Exchange unopened, full cases of varieties for more popular varieties at a super cupboard through February 23. (Please call in advance with large quantities.)

Tips for Success!Communication with all members of the troop is crucial to managing a direct sale. Check with families weekly to see who needs more and who needs help. This is a great way to promote teamwork!!

Receipts must be signed by both parties any time a cookie or money transaction takes place. It is best to complete a transfer in ABC Snap for each transaction. There are also handy spreadsheets available at gswise.org for easy tracking.

Go to abcsmartcookies.com to access the Cookie Command Center (COCO). Encourage each girl to set goals before selling begins and set up her email list for online marketing. This is a great way to see how each girl in your troop is doing and cheer them on along the way.

Set a troop goal and communicate the goal to all families. It is proven that girls will sell more when they have a goal to meet (remember the council goal is 144 packages per girl).

Order the right amount of cookies. Get “buy in” from the whole troop before placing the initial order. Don’t order only what girls have taken orders for, order extra cases of the best sellers. Girls WILL sell more. If you do not order enough, you will make more work for yourself picking up extras after the initial order.

Season is Here!

Cookie Share Service ProjectCookie Share is a project that allows customers to purchase Girl Scout Cookies for donation to local food banks and other non profi t organizations in southeastern Wisconsin. More than 11,000 packages were donated in 2012!

Discuss the Cookie Share option with your troop and chose the recipient of your Cookie Share cookies. When a customer purchases cookies for Cookie Share, they cannot choose the variety. A Cookie Share receipt (found at gswise.org) should be given to the customer as these purchases are tax deductible. Cookie Share sales should be transferred to the girl so that she receives credit toward her recognitions. Use unsold cookies to fi ll your troop’s total Cookie Share. Delivery should be made by your troop.

RecognitionsTroops are encouraged to reserve a set of the 2013 recognitions from a council service center to display at the troop cookie meeting. Recognitions are cumulative which means girls earn each recognition item up to the total number of packages she has sold. Girls earn recognitions on all cookies sold through February 27. Recognitions will be calculated automatically in ABC Snap for each girl based on the total number of packages transferred before February 27 including cookies sold at a cookie booth.

Program Activity Credits (PACs) PACs are credits that can be used toward:

• Day camp• Resident camp• Any council-sponsored event or

activity• Resource center purchase

PACs are valid March 1–December 15, 2013. PACs are transferable to siblings only.

All troop recognitions are picked up at April Service Area meetings. Anyone from the troop can pick up the recognitions. Go to gswise.org for locations and dates. TV’s, Ipad’s and laptop computers must be picked up at a local service center, identifi cation will be required. Volunteer patches are available for purchase at council resource centers.

The 500 ClubGirls selling 500 packages or more will be invited to the 500 club celebration. Each girl and one adult guest are invited to participate in a special celebration. This year’s celebration includes:

The Broadway production of Mary Poppins in Madison, Wisconsin, on Saturday, March 16

Lunch and transportation is included

Opt Out OptionTroops in grades 6–12 can choose to opt out of receiving the recognitions (including PACs) and earn an additional $.05 per package in proceeds instead. Each girl will receive a participation patch and goal getter patch if selling requirements are met. Girls selling 500 or more packages will become a member of the 500 Club. This must be a troop decision. To opt out, each girl in the troop must sign the Recognition Opt Out Form (downloadable at www.gswise.org) and turn it in before January 15 to any council service center.

Service Area IncentiveAll service areas that raise their per-girl selling average by at least one package will receive a $100 bonus. Service area selling averages are discussed at service area meetings.

Troop ProceedsTroops earn proceeds on the packages sold based on the selling average of the girls participating in the Girl Scout Cookie Program Activity. The per-girl selling average is determined by taking the total number of packages sold by the troop and dividing by the number of girls participating in the Cookie Program Activity. Additional cookies picked up at cookie cupboards will increase the per-girl selling average of the troop.

It is important to remember that troop proceeds belong to the Girl Scout troop and not to the individual members of the troop. Decisions about spending troop proceeds need to refl ect the wishes and interests of all the girls.

Getting Started It is recommended that you use

Internet Explorer as the browser for ABC Snap.

In the address bar of Internet Explorer, type www.abcsnap.com.

Enter Login: your email address provided on the cookie captain agreement

Enter Password: cookies

Troop Information1. Edit your troop information

Click on the MY TROOP icon at the top, and then edit troop information.

Enter ALL contact information for the troop cookie captain and troop leader’s contact information for alternate contact.

Choose your delivery station from the drop down menu.

Set the recognition plan to recognitions (grade 6 and older choosing to opt out, should be set to “opt out”).

2. Set up your security code Code can be any 5 digits. Enter your security code in the

“notes” fi eld at the bottom (only volunteers authorized by the troop cookie captain should be given this code).

3. Set up girls in your troop Click on the MY TROOP icon, then

add/edit/delete troop girls. Click on add new girl at the top

to enter each girl’s fi rst and last name.

ABC Snap online Cookie ordering systemInitial Cookie Order

Click on the COOKIES icon, then initial order. Enter the total number of CASES (one case = 12 packages) for each variety. Click save. DO NOT click on commit (this gives you the chance to modify the

totals before January 19). When the troop leader and families in the troop approve the order, click commit

Scheduling Your Pick-Up TimePick-up times can only be scheduled after your cookie order has been committed and a delivery station has been chosen (see step one under “Edit your Troop Information”).

Click on the MY TROOP icon, then delivery, and then schedule pick-up time. Click on the desired date of delivery on the calendar displayed. Click “available slots” on the date you will be picking up. Click the “+” sign next to the desired time slot. A message will confi rm the selected date and time.

Transferring Cookies to Girls All cookies sold must be transferred to girls to give them credit for recognitions AND so that ABC Snap calculates troop proceeds earned accordingly.

Click on the COOKIES icon, then transfer order. Choose troop to girl transfer. In the order reference line, enter the girl’s name and date to help you distinguish

the transfers at the end. In the “From my Troop” box, click on the line showing your troop number and the

number of packages available for transfer. Enter the cookies by variety in packages to be transferred and click OK. Click on the girl that sold the packages. These cookies will count toward her total for recognitions and will immediately

show up on the girl balance and recognition reports. If you are transferring cookies sold at a cookie booth, enter the number of

packages (not designated by variety) in the “Booth” box. These cookies will count toward the girl’s recognitions, but will NOT be included in the amount owed by the girl.

Click save and repeat these steps for each girl. A troop to girl transfer should be completed each time a family picks up cookies.

Creating Your Recognition Order by February 27 Once all cookie packages are transferred to the girls in the troop, a recognition

order must be created. Under the RECOGNITIONS icon, click on create recognition order, then recognitions.

ABC Snap will automatically order all recognitions earned by each girl. Next to each girl’s name that has earned the T-shirt, select her size (sizes are

indicated on the girl’s permission slip). Next to choose award, select either the item or the PAC for each eligible girl

(indicated on permission slip). Click commit by February 27, 2013.

ABC Snap online Cookie ordering systemCreating a Planned Order to Pick Up Additional CookiesPlanned orders may be picked up at any service center or cookie cupboard (see page 11 for details). After February 1, planned orders must be submitted in ABC Snap by midnight Sunday to pick up that same week.

Click on the COOKIES icon, then planned order.

Choose the cupboard and date you would like to pick up.

You may type something in the reference fi eld for your own reference (i.e. a name to indicate who is picking up or the reason for the extras such as “booth”).

Enter the order by package and variety, then click submit and save.

Please contact your cupboard manager if you have a question about your pick up.

Anyone with the troop’s security code can pick up a planned order.

Cookies will be transferred to your troop in ABC Snap within 2 days of pick up and be refl ected on the Troop Balance Summary Report.

Creating Financial TransactionsFamilies should pay for cookies sold before receiving more cookies to sell. To keep track of amounts paid, create a fi nancial transaction for each payment. These amounts will be calculated on the Girl Balance Summary Report.

Click on the FINANCE icon. Click on create a girl transaction. Fill in all fi elds and make notes if necessary.

ReportsABC Snap allows you to run a variety of reports to review information about your cookie order. Reports are located under the REPORTS icon and are generated in real time.To view reports, click on the REPORTS icon and click on Reports.

In the Report Categories box, click on Summary Reports. On the right, click on the desired report to view your information. Click the Go to Report box. Change the “unit of measure” dropdown to “packages”. All reports can be viewed as a pdf, HTML, or text (which can be opened in Excel for

easy sorting). Click the View Report box.

The Troop Balance Summary report will show the troop’s selling average, the amount the troop has earned in proceeds and the amount the troop owes the council. If additional cookies were picked up after the initial pick-up they will show up in the Transfers section. Your per-girl selling average is calculated using the total number of packages sold divided by the number of girls selling. Check this report before fi nalizing your sale. You may only need to sell a little more to earn a lot more. Print out a copy of this report to keep with the troop fi nancial records.

The Girl Balance Summary report shows how much money each girl owes for cookies sold. Cookies allocated to girls from booth sales will NOT be included in the total.

The Recognition Order Summary by Girl report shows the recognitions each girl has earned. Use this report when separating recognition orders.

The Transfer Order Summary report shows a detailed list of all transfers done within the troop.

Archived reports show troop selling information for past years. Click on archives, then choose the year you would like to access.

Cookie Pick-UpCookies are delivered to more than 20 different pick-up locations throughout southeastern Wisconsin and troops choose where they would like to pick up their initial cookie order regardless of their service area. Choose your pick-up location in ABC Snap. To help ensure a smooth delivery:

Schedule your pick-up time in ABC Snap and be on time. Bring a vehicle big enough to accommodate your order. (An empty minivan will hold 100 cases.) Double count your order before loading. Adult picking up the troop order will sign a receipt making the troop responsible for payment of all cookies received. Remember the security code is needed to pick up cookies.

Cookie BoothsCookie booths are a great way for your troop to earn additional proceeds by selling Girl Scout cookies directly to the public at area businesses. In addition, they provide girls the opportunity to set up, run and manage their own cookie store. Troops select times and locations, conduct transactions, handle money, build their presentation and conversational skills, set up product displays, manage inventory, and more! Cookie booths are held at many locations including grocery stores, gas stations, colleges and movie theaters. Cookies sold at a cookie booth should be transferred to the girls selling at the booth (troop to girl transfer). All troops are eligible to sell at a cookie booth anytime between February 8 and March 31.

All cookie booths must be scheduled and approved by the council through ABC Snap.

Council Sponsored Cookie BoothsMost area grocery stores have been secured as a cookie booth site by the council for various weekends in February. A complete listing of locations will be listed in ABC Snap by January 13.

Please DO NOT contact grocery stores on your own to sell cookies on other dates.

Scheduling for council sponsored cookie booths is done in two ways:1. January 13-15: Scheduling is done by lottery.

o Troops choose up to three shifts for the lottery.o ABC Snap randomly assigns troops to chosen sites on January 16.o Email confi rmations will be sent on January 16 to the contact listed in ABC Snap.o If your troop is assigned to more booths than desired, please use ABC Snap to

release those dates as soon as possible, making them available to other troops.2. January 17-March 27: Scheduling is on a fi rst come, fi rst served basis.

o All available booths (not assigned in the lottery or released) are open to all troops.o Troops may not secure more than fi ve cookie booths in the fi rst come, fi rst served

period without approval from the council.o Cookie booths scheduled during the fi rst come, fi rst served period are

immediately assigned to your troop and unavailable to other troops.

Troop Sponsored Cookie BoothsTroops may set up a cookie booth virtually anywhere. Schools, churches, community centers, and small businesses in your community are great places to hold a cookie booth. Troop sponsored cookie booths may be held anytime between February 8 and March 27. Once permission is obtained from the owner/manager, this information must be entered into ABC Snap. You will receive approval via email within one week. The general public looking to purchase cookies can access all upcoming cookie booths on www.gswise.org, so even troop arranged cookie booths must be registered in ABC Snap to promote these locations to customers.

How to Schedule a Cookie Booth in ABC Snap1. Log into ABC Snap (see page 6 for

details)2. Under the COOKIES icon click on booth

Council Sponsored Cookie Booths Click on schedule booth sales. In the search fi eld, type in the area

where the troop would like to have a cookie booth (Brookfi eld, Kenosha, etc.). A list of council sponsored sites in that area will appear.

Double click on the name of a preferred site.

Go to the February calendar, the weekends that have cookie booths available at that site will show available.

Double click on available and click reserve next to the shift the troop would like.

You may request up to three shifts January 13–15.

After January 16, the calendar will show booked or available for each shift and you can immediately schedule the troop for that site/shift.

The bottom of the schedule booth sales screen displays:o Requested booth sales–sites

the troop requested for the lottery

o Pending booth sales–sites the troop requested and are awaiting council approval

o Reserved booth sales–sites that are confi rmed for your troop

Troop Sponsored Cookie Booths Click on request booth sales. Enter all requested information

including store manager name, date, address and time.

The cookie booth will show as pending until the council approves it (within one week).

When it is approved by the council, it will be promoted with all other cookie booths on the booth locator button at www.gswise.org.

Giving Girls Credit for Cookies SoldGirls will not receive credit toward recognitions until cookies are transferred in ABC Snap. See page 6 for details on how to complete a troop to girl transfer. Cookies sold at a cookie booth should be divided between the girls managing the booth. Cookies can be transferred to girls multiple times and cookies may also be transferred back to the troop if a girl has not sold all the cookies she was given.

All changes in proceeds and balance due to council will be refl ected in ABC Snap immediately after the transfer is complete. All transfers MUST be documented by a signed receipt. Troop to girl transfers completed by February 11 must be completed in ABC Snap to correctly calculate initial ACH debit.

Quantities to Order for a Cookie BoothThe average shift of three hours will sell between 10–15 cases. Order conservatively, these cookies cannot be returned. Troops can always pick up more at a cookie cupboard if they are selling out quickly. Super cupboards are stocked with a limited supply of extra cookies for troops to pick up without a planned order. Contact a super cupboard manager if you are running out quickly.

How to Order Cookies to Sell at a Cookie BoothTroops may use any unsold cookies from their initial order or submit a planned order and pick up additional cookies from a cookie cupboard. Don’t forget to transfer the sold cookies to the girls managing the booth in order for them to receive credit toward recognitions.

How to Prepare for a Cookie BoothPreparing the Girls:

Cookie CupboardsA cookie cupboard is a location where you can pick up additional cookies after the initial cookie order pick up. A planned order must be created in ABC Snap (see page 7 for details) by midnight on Sunday of the pick up week. A complete list of cookie cupboards is below.

Planned orders (instructions on page 7) are entered into ABC Snap in packages not cases (1 case = 12 packages). All planned orders must be in full cases, but cases can be mixed (total must be divisible by 12). Anyone from the troop with the troop’s security code (details on page 6) may pick up a planned order from a cupboard. Not all cupboards hold the same pick up

hours and dates. Limited cupboards are open January 28. Once you choose your pick up cupboard, all available pick up dates will appear in ABC Snap. You then choose your pick up time. All cupboards are managed by volunteers. All cookies picked up at cupboards will appear in ABC Snap as a cupboard to troop transfer and will be completed within 24 hours of pick up. Troop proceeds will be adjusted accordingly.

A super cupboard will have a limited supply of additional cookies above what has been entered for planned orders. Troops are able to pick up more cookies than their planned order OR pick up cookies with no planned order at a super cupboard.

Please call the cupboard manager for details on quantities.

An express cupboard will have ONLY the cookies that are ordered in planned orders. These cupboards will be open limited weekends.

Online cupboard is an online spreadsheet where troops can post cookies they have left over. Troops contact each other to arrange the pick up. The troop to troop transfer will be completed in ABC Snap by a member of the cookie support team once BOTH troops have emailed [email protected] confi rming the transaction was complete. ABC Snap will recalculate troop proceeds after the transfer.

Money CollectionGirls collect payment from customers at the time the cookies are sold.

Customers pay for their cookie order by cash or check written to the troop account.

Any time money is paid to the troop from a troop family, a signed receipt must document this transaction. (Additional receipt books are available.)

DO NOT let parents write one check for their daughter’s entire order. Please do not accept a single check for more than $150.

Families should pay for sold cookies before taking more cookies to sell. Accepting multiple payments by parents is encouraged. (Remember the fi rst

ACH debit is on February 15).

Automated Clearing House (ACH)ACH is an electronic network that transfers funds between banks. (If you pay your bills online, you are already using ACH.) An ACH Authorization Form must only be turned in by new troops or existing troops that have changed bank accounts. Troops without an ACH form on fi le will not be authorized to enter their troop order in ABC Snap.

Only the amount due to the council will be deducted from your troop bank account, your proceeds will remain in your troop account.

These debits occur in two separate transactions: 50% will be debited from your account on February 15 and the remaining balance will be debited on February 28. If additional cookies are picked up after February 28, an additional ACH debit will occur on March15.

To view the amount due to the council, revisit the Troop Balance Summary report in ABC Snap. After February 15, the report will refl ect the fi rst payment and will show the remaining balance due.

Troop proceeds will change as additional cookies are picked up and troop to girl transfers are completed in ABC Snap.

Past Due PaymentsIf your troop has an issue with money collection, complete the Outstanding Balance Form found at www.gswise.org documenting your attempts to collect the amount owed. Girl Scout families are responsible for collecting payment for all unreturned cookies. Troops, however, are not responsible for paying for Girl Scout families that have not paid the troop and not returned cookies by February 15. This amount owed to the troop will be deducted from the ACH debit on February 28. A signed permission slip and receipt must accompany this form. This form must be received by the council no later than February 20 in order to adjust the debit amount on February 28. If the payment is received by troop, please contact the council offi ce immediately.

Returned ChecksAny checks made out to the troop account that are returned for non-suffi cient funds or closed accounts should also submitted to the council on the Outstanding Balance Form. Troops are not responsible for absorbing the debt from bounced checks. This amount will be deducted from your ACH debit if received by February 20 or your troop will be credited via ACH after February 28. Troops should NOT accept a single check for more than $150. After your troop has made a reasonable effort to recoup the amount owed plus any bank fees, submit the completed form to the council. Outstanding Balance Forms for returned checks must be submitted to the council no later than 4 weeks after the bank notifi cation of the NSF. If the check was written by a Girl Scout family, you must include the signed permission slip and receipt.
