• HCM Cloud is Oracle's cloud-based human capital management (HCM) offering. The platform combines core HR and talent management modules to provide a complete HCM suite in the cloud.

The Learning Catalog contains the different objects you use to create learning for your associates.

You have the control and flexibility to design your Learning Catalog in a way that meets your

business requirements. Learning Catalog tasks include adding and updating courses and offerings

and access control in Self-Service.

A course is the generic information about a specific topic of study for which you offer learning

activities. Courses contain information that is common to all offerings. This saves you from having

to re-enter the same information for each instance of the course.

Create Course

Enter a title for the course. This is visible to learners when they search for a course.

The naming convention for course title: is A_ Department Name_ Course Title.

Syllabus Enter the syllabus for the course which is visible to learners when they search for a course.

Short Description Enter a short description for the course which is visible to learners when they search for a course.

Publish Start Date This is the date a course becomes visible to learners in Self-Service. If you do

not select a date, the course is visible to learners by default.

Publish End Date This is the date a course becomes unavailable to learners in Self-Service. If you do not select a date, then the course is unavailable to learners by default.

Course Number Automatically assigned by the system.

Minimum Expected

Effort

Enter the minimum expected effort (in hours) to define the minimum amount of time that is required to complete offerings associated to this course. This is visible to learners when they search for a course.

Maximum Expected

Effort

Enter the maximum expected effort (in hours) to define the maximum amount

of time that is required to complete offerings associated to this course. This is

visible to learners when they search for a course.

Add Cover Art Scroll down the page to see the Add Cover Art. The image you select is visible to learners in the Course Details page, and in thumbnail images in various places.

Add Trailer Scroll down the page to see Add Trailer. A trailer is a video used to show brief excerpts or details of the course. This trailer is visible to learners in Self-Service.

• Select the Prerequisites tab to add prerequisites for the course. If learners do not meet the requirements of a course or offering, they are prevented from registering for it.

• Select the Default Offering Attributes tab to add the default offering attributes to the course. For example, instructor and training suppliers. These are default values for any offering that is subsequently created for the course. These attributes are only used to default the values when you create a new offering, and you can change them at the offering level. They are not used for any other purpose.

• Select the Default Assignment Rules tab to add default assignment rules for the course. These are the rules that are used when you create new learning assignments for the course.

Offerings and Activities

An offering is a specific instance of a course. An activity is a separate part of an offering.

A course contains generic information describing what learners will learn (title, description, and duration), an offering contains the details describing how, when, and where the course requirements are delivered.

Each offering may have different activities associated with them. Learners must complete all activities associated with the offering they select to get credit for completing the course.

When you create an offering, you add activities to it. You must define at least one activity for learners to engage with the offering.

Offerings and Activities

• Instructor-Led Offering - Contains only instructor led activities. ILT activities are discrete live online, or live on-site events, led by one or more instructors, for a specific period within one day.

• Self-Paced Offering - Contains only self-paced activities. Self-paced activities represent work learners can complete online or onsite without time constraints unless an assignment due date was specified.

• Blended Offering - Contains both self-paced and instructor led activities.

There are three types of offerings:

Create Instructor-Led OfferingInstructor-led offerings require a start and end date, and a classroom assignment. You can also set a minimum and maximum capacity for the offering and control how learners sign up for the course.

Enter a new or updated title for the offering. By default, the title is the same as the course. Learners can see the title of the offering on the offerings listing page.

What is the difference between Publish Start and End dates and Offering Start and End dates in the Create Offering for a course?

• The Publish Start Date is the date a course becomes visible to learners in Self-Service. If you do not select a date, then the course is visible to learners by default. The date must be on or after the course publish start date.

• The Publish End Date is the date a course becomes unavailable to learners in Self-Service. If you do not select a date, then the course is unavailable to learners by default. This date must be on or before the course publish end date.

• The Offering Start Date and Offering End Date are typically, the first and last dates of the instructor led training.

Select a Primary Classroom. An offering's activities can have different or multiple classrooms, but this is the primary classroom for the offering.

Note: If you do not see the specific classroom and/or instructor for the offering in the list, please contact your System Administrator.

Select either Instructor or Training Supplier for the Facilitator Type. If you selected Instructor, select a primary instructor.

Select the Capacity Rules check box to limit the number of learners that can register for this offering to the number you enter in the Maximum Capacity field that opens when you select the check box.

The Minimum Capacity field is for informational purposes only, and nothing happens if the minimum capacity isn't met. The number you type here is useful if you are planning to create notifications to inform an instructor that the minimum capacity has been met.

The Maximum Capacity is the maximum number of learners allowed for the offering. Once maximum capacity is met, any additional learners who register are automatically added to the waitlist (if the waitlist rules are configured to allow learners to add themselves to the waitlist). Learners can see how many seats are left for the offering listing.

Select the Waitlist Rules check box to enable learners to add themselves to the waitlist from self-service. If you clear this check box, only administrators and instructors can add learners to the offering waitlist.

Create Instructor-Led Activity

Enter a Title for the activity that displays to learners on the activity listing page and activity detail page.

Enter a Description to provide learners with information about the activity.

In the Scheduling Date section, select the date the activity takes place, the start and end times for the activity, and the time zone for the start and end times. If this is an activity that repeats, select one of the following from the Repeat drop-down list:

• Daily

• Weekly

• Monthly

• Every Month

The setting enables you to create recurrences for this activity. Future edits to the activities must be done each individually occurrence.

Enter the Expected Effort for the activity. This can be different from the duration if durations included lunch and breaks.

Select the Allow person completing the activity to mark themselves co… check box to allow learners to mark their own attendance.

Select one or more Instructors for this activity.

If there is a Virtual Classroom, enter the URL, or search for and select from among a pre-defined set of virtual classrooms.

If there are Classrooms, search for and select from a pre-defined set of classrooms or add a new classroom based on predefined locations in HCM Cloud or define a single-use location.

Define Other Resources needed for this activity. This field is used to capture information that can be used for reporting and alerts.

In the Related Materials field, add attachments for other administrators or instructors.

Creating a Self-Paced Offering and Activity

From the Offering page, click Create and select Self-Paced Offering.

Remember, self-paced activities represent work learners do online or onsite with no time constraints. Therefore you do not need to indicate an instructor, classroom, or a start and end times on the Offering page. Because this is a self-paced course there is no official start date, only an offering end date that specifies when the course will no longer be available. Learners still need to complete the activity if an assignment due date was specified.

For the activity:

• Enter a Title for the activity.

• Enter a Description to provide learners with information about the activity.

• Click the Offering Type magnifying glass icon and select the offering content item you want to add.

• Enter the Expected Effort to define the amount of time required to complete for the activity.

• In the Related Materials section, add attachments for other administrators or instructors.

• Depending on the content type you selected for this activity, you may be allowed to select the Allow person completing the activity to mark themselves complete check box.

Creating a Blended Offering and Activity

From the Offering page, click Create and select Blended Offering.

Blended offerings contain both self-paced and instructor led activities. The steps to create both an instructor-led offering and a self-paced offering are used to create a blended offering and activity.

Click Add Activity to add an activity to the offering.

• Select either Add Instructor-Led Activity or Add Self-Paced Activity.

• If you select Add Instructor-Led Activity, follow the previous steps in the Create Instructor-Led Offerings and Create Instructor-Led Activity slides.

• If you select Add Self-Paced Activity, follow the previous steps in the Create Self-Paced Offerings and Activity slide.

Offering and Activity Actions

You can minimize manual entry by duplicating pre-existing offerings. This is done by copying the previously created offering and change the necessary information.

Copying an offering brings up the editing page pre-filled with all the original information except for the offering start and end dates, which appear blank. You can change as much or as little of the pre-filled information as you desire.

Copied offerings result in copied activities.

Manage Learners and Learning Assignments

You can assign learning to associates and manage existing learners from the Manage Learners

page. To manage existing learners use the Search Learners section. Utilize the available fields to

search for a specific learner. To add learners select the Add Learners button and specify

whether the assignment is voluntary, required, or recommended.

Assignment Type

AutomaticEnrollment

Completion

Voluntary Yes Completion of voluntary items is not mandatory. Learner can see these assignments in the Voluntary Learning section of their Current Learning page. They choose when to complete them.

Required Yes Completion is mandatory by a specified date. Learners can view mandatory assignments, who assigned them, and their due dates in the Required Learning section of the Current Learning page.

Recommended No Completion is not mandatory. Learners can see recommended items on the View Recommendations page, as well as who recommended the items to them. They can navigate to learning items directly from a recommendation.

Manage Existing Learners

You can view all learners currently enrolled in the offering, either by you or learners themselves. You can withdraw a learner's enrollment.To perform this task:

1. Go to the Manage Learners page. In the Search Learners section, search for learners by name or assignment status.

2. You can withdraw a learner's enrollment if the learner has either not started the offering or is in progress. Highlight the assignment and learner, then select Withdraw Learners from the Change Status menu. You must select a withdrawal reason and enter comments when prompted. This cancels the enrollment and also the requirement (for Required assignment type) or recommendation (for Recommended assignment type).

3. You can send an email by selecting one or more learners on the Learners page. Then, click Send Email and select To Learners.

Manage Waitlists

Use waitlists: • To allow learners to self-register for, or managers to assign learners to offerings that are already

at maximum capacity. • For any type of offering (instructor-led, self-paced, and blended) in which space is limited.

Enabling a Waitlist for an Offering

• Use the Capacity Rules check box on the create or edit Offerings page.

• Enter the maximum number of people who can be enrolled in the offering in the Maximum Capacity field.

• Waitlist Rules check box:

• Select to allow learners to join the waitlist or request to join if the offering is at maximum capacity.

• Clear to prevent learners from joining or requesting to join the offering if the offering has reached maximum capacity.

Overriding the Capacity Rules at the Assignment Level

Your role allows you to override capacity settings while creating the offering assignment. In the Advanced Rules section, select the Increase maximum capacity and bypass waitlist check box. This increases the offering's maximum capacity to fit all of the intended recipients of the assignment you are creating. It also bypasses learners on the waitlist with the newly assigned learners. Learners already on the waitlist remain there. If you do not select this option, seats fill to capacity with some of the selected learners. All remaining learners move to the waitlist.

Manually Managing the Waitlist for Learning Assignments

You can manually manage learners who are on the waitlist. On Learning Assignments tab of the Learnerspage, use the Assignment Status and Learning Item drop-down lists to search for learners who are waitlisted for a particular offering.

You can then: • Move a learner with an active assignment to the

waitlist.

• Activate a learner on the waitlist.

1) When adding a web link you can select the Mark as complete when learner opens the web link

check box (Catalog Resources > Content) if you want users to receive completion credit for

having opened the link. Unlike SCORM and AICC, web links do not track a user's completion of

the activity and/or communicate back with Hoshonti HCM.

2) Select the Allow person completing the activity to mark themselves complete check box

(Activities page). In some cases, an administrator or instructor will not be managing attendance.

Selecting this check box allows learners to mark their own attendance.

3) From the Manage Activities page, you can mark a learners completion status and enter the

reason for completion and the completion date.
