General InformationConestoga Golf & Conference Centre’s Events Team is committed to working with you to make your celebration a memorable one. Please read through the following material carefully. We hope that you will find that Conestoga Golf & Conference Centre is the ideal venue to host your event.

A hall rental fee for your event will be applied. This fee is for all of your linen selections, staff & Socan fees.

BOOKING YOUR EVENT

Once you have decided to host your celebration at Conestoga Golf & Conference Centre, an Event Agreement will be issued and a non-refundable deposit of $500 will be required to secure the use of the facility.

All details pertaining to your event must be confirmed no later than 21 days prior to the event date, after which, your Event Coordinator will forward you a Banquet Event Order, outlining any information pertaining to the function. We ask that you review the Event Order, authorize its contents and forward a signed copy back to your Event Coordinator as soon as possible to confirm your arrangements. At this time, you will receive an invoice for the estimated value of the booking, the total of which must be paid one week prior to your event.

Proper country club or business casual attire is required always while at Conestoga Golf & Conference Centre.

GUAR ANTEE

A guaranteed number of guests attending your function is required 14 days prior to your event. This number cannot exceed the room capacity. If no guaranteed number is provided at this time, the number of persons shown on the Event Agreement will be regarded as the minimum guarantee for the purposes of food and beverage preparation, as well as for final billing. If actual numbers are greater than the guaranteed number or Event Agreement number, the higher number will apply. A minimum billing of 100 dinner guests will apply on Saturday evenings from June through September.

ALLERGIES

Guests are responsible for notifying Conestoga Golf & Conference Centre of any food allergies. Conestoga Golf & Conference Centre makes every effort to identify ingredients and to train staff on food allergies and intolerance. However, Conestoga Golf & Conference Centre cannot 100% assure the ingredients of its food or beverage as manufacturers may change their product formulation or consistency of ingredients Conestoga Golf & Conference Centre’s knowledge. It is, therefore, ultimately the responsibility of the guest to judge whether to question ingredients or choose to eat selected foods. All foods are prepared in an institutional cooking environment that could involve accidental contamination with the foods to which you or your guests may be allergic or intolerant. It is recommended guests carry medication or an Epipen.

Client agrees to not hold Conestoga Golf & Conference Centre, its employees, and agents liable for injury, damages, expenses, or illness associated with the consumption of food or beverage provided by Conestoga Golf & Conference Centre. Food risk related to but not limited to this agreement are: choking, allergic reactions, poisoning, food intolerances or sensitivities, upset stomach, indigestion, digestion, nausea, or diarrhea.

MENU SELECTIONS

The Conestoga Golf & Conference Centre Event Team strongly recommends that you limit your menu to one item per course for your event. Experience has proven that this will ensure the most enjoyable experience for you and your guests. Choice of entrée options and dietary substitutions are available upon request. It is your responsibility to collect the course preferences of your guests prior to the event and provide a method of identification for our servers at the dinner table. Conestoga Golf & Conference Centre will attempt to accommodate those guests with food allergies or specific dietary restrictions where notification is received two weeks prior to the event.

Conestoga Golf & Conference Centre prides itself on culinary creativity, and offers an extensive array of menus to choose from. Alternatively, we can custom-design a menu to fit your needs, along with your choice of beverages. Please set up a meeting with our Event Coordinator to discuss your ideas and options.

We ask that you submit all of your food selections to your Event Coordinator at least 14 days prior to the date of your event. Please be aware that menu prices are subject to change. With the exception of wedding cakes or other special occasion cakes, all food and beverage consumed at Conestoga Golf & Conference Centre must be purchased from Conestoga Golf & Conference Centre. No leftover food may be removed from the clubhouse.

ALCOHOLIC BEVER AGES

All liquor served during your event must be purchased under the Conestoga Golf & Conference Centre liquor license at the prices determined by the Food and Beverage Manager in accordance with the liquor laws of Ontario.

Requests for preferred alcoholic and non-alcoholic beverage selections should be discussed with your Event Coordinator and requested at least 30 days prior to your event to help ensure their availability. Products other than those noted in this package or stocked regularly by Conestoga Golf & Conference Centre may be ordered upon request for your function if they are available through the LCBO and will be priced at costs determined by Conestoga Golf & Conference Centre. These products will also be subject to all applicable taxes and service charges.

The sale of all alcoholic beverages at Conestoga Golf & Conference Centre are subject to all Ontario Liquor laws and, as such, will be permitted between 11am and 1am daily. All alcoholic beverages are served in accordance with the Liquor Control Board of Ontario. Hours of service are Monday to Sunday from 11:00am until 1:00am. Last call is at 12:45am. Everyone is required to depart the building by 1:30am.

Conestoga Golf & Conference Centre adheres to the rules and guidelines outlined by the Liquor Control Board of Ontario. Neither the Club nor its staff will serve alcoholic beverages to individuals under the age of 19. The Management at Conestoga Golf & Conference Centre reserves the right at its discretion to terminate service of alcoholic beverages to any individual at any time. Club service personnel must handle all alcoholic beverage service.

The following charges apply to all event bookings: 13% HST on all services and 15% Event Fee charge.

HEALTH REGUL ATIONS

FUNCTION SPACE

Conestoga Golf & Conference Centre reserves the right to change function rooms assigned, should the number of guests attending the function differ from the original number quoted. Conestoga Golf & Conference Centre also reserves the right to renegotiate any charges if there is a significant drop (25% or more) in your room requirements or function attendance or if there is a significant change to your planned food and beverage arrangements.

DECOR ATING

Your Event Coordinator must be consulted regarding all decorations, centerpieces, candles, displays or signage used on the property prior to your reception. All decorations must conform to municipal codes and fire ordinances Conestoga Golf & Conference Centre prohibits any items to be affixed to walls or floors with tape, tacks, push-pins, nails, glue, etc. The use of confetti, table confetti and or rice is strictly prohibited and a minimum cleaning charge of $300 will be applied to the final invoice if confetti or rice is thrown. Decorations and centerpieces, and the cleanup of such items, are the responsibility of the event convener. Access to the function room may be granted after 9am the morning of the wedding.

FIRE SAFET Y

Ontario Fire Laws strictly forbid open flames. All candles must be in glass containers where the flame is contained below the top of the glass. Taper candles are not permitted. If you have any questions or concerns about any of your decorations or centerpieces it is your responsibly to check with your Event Coordinator.

LINEN

Conestoga Golf & Conference Centre provides white table linens and black napkins for your reception. You may request an alternate napkin colour from the selection offered by Conestoga Golf & Conference Centre. If the requested colour is available through Conestoga Golf & Conference Centre’s linen supplier, no additional charge will apply. However, if it is necessary to order coloured linens which are different from the standard colours offered by Conestoga Golf & Conference Centre, or you would like specialty linens you will be invoiced for the cost of the rental of the linen plus a 25% surcharge. Linen selections and requests should be submitted to your Event Coordinator at least 30 days prior to the date of your event.

ADDITIONAL EQUIPMENT OR RENTALS

Conestoga Golf & Conference Centre will rent any equipment required that we re unable to provide. All rentals must be approved and confirmed with your Event Coordinator. The payment of rental equipment will be the sole responsibility of the client and will be subject to a 25% service charge added to the rental costs.
