C lubs from around the world are invited to participate in the tournament which is an exciting celebration of rugby across a number of social and competitive grades in idyllic Hawaii. VSL Rugby has teamed up with the Hawaii Harlequins Rugby Football Club to promote and manage the annual Hawaii Harlequins Rugby Championship. The next Tournament is scheduled for Kapiolani Park, Waikiki between October 8 and 13, 2013. The Hawaii Harlequins Rugby Football Club is the preeminent rugby club in the Hawaiian Islands, based at Kapiolani Park, Waikiki.The Club was founded in 1964 and since the 1970’s the Harlequins have hosted teams from around the world to their international tournament. The Club is looking forward to renewing their Tournament and the opportunity to create the leading club rugby global Tournament in their beautiful location. Harlequins have engaged VSL Rugby, experienced operators of World Vintage Rugby to assist to bring a world class rugby event to one of the most desirable locations on the planet! •Tuesday October 8 – Teams arrive and are met at the airport with a traditional Lei greeting before being transferred to their accommodation to settle in. A managers meeting will be held to confirm arrangements for the week before teams attend the Opening Function at the Waikiki Shell Beer Garden (including substantial finger food, entertainment and drinks – 4 free drink coupons per person).

•Wednesday October 9 – First day of games to be played at Kapiolani Park. Each team will have multiple games dependant on the grade entered; rest and recovery periods will be scheduled between matches. The evening will be at leisure to sample the Waikiki restaurants and bars.

•Thursday October 10 – Second day of games at Kapiolani Park with a similar format to the previous day. Evening at leisure.

•Friday October 11 – Day at leisure to recover from the opening rounds. It will also provide an opportunity to make the most of Hawaii with plenty of optional tours on offer and great things to do. Optional coaching clinics will also be on offer to teams and coaches who wish to upskill while at the tournament.

•Saturday October 12 – Finals day at Kapiolani Park. The last day of competition will see various finals played out in the different grades with all teams involved. The more competitive teams will be fighting it out to be crowned championship winners. Matches will be followed by the Finale Awards Dinner – a banquet to celebrate the week of rugby, socialise and revel in on and off field glories; 3 course meal and 4 free drink coupons. Awards will be handed out and teams will be able to party into the night.

•Sunday October 13 – Time to head for home or to carry on touring through the fabulous Hawaiian Islands.

PLEASE NOTE:PRICES ARE SUBJECT TO CHANGE in the event of currency fluctuations, changes to local tax rates in Hawaii and exceptional events beyond the control of the organisers and their suppliers.

PAYMENT SCHEDULE: Deposits required to secure your required accommodation will be:A) An initial deposit of US$100 per person to be paid against invoice.B) A second deposit of US$200 per person to be paid by 1 May, 2013.C) Full payment of the outstanding balance due no later than September 1, 2013

CANCELLATIONS AND REFUNDS POLICY:• All cancellations must be advised in writing. The Team Entry fee is non-refundable.• For cancellations received 180-400 days prior to the commencement date of the Carnival, payments will be refunded less a handling fee of US$50 per person.• For cancellations received 90-179 days prior to the commencement date of the Carnival, package payments will be refunded less a handling fee of US$150 per person.• For cancellations received 45-89 days prior to the commencement date of the Carnival, package payments will be refunded less a handling fee of US$200 per person.• For cancellations received 44 days or less prior to the commencement date of the Carnival, package payments are non-refundable or transferable.

ALL PROPERTIES HAVE BEEN INSPECTED and are of excellent quality and are geared to handle visiting teams and supporters. All are within good distance of the central Waikiki restaurant and bar precinct, beach and tournament grounds. They have been graded on the size and quality of rooms, on their proximity to the city and the facilities they offer.

Rooms in some hotels are limited and teams making first requests and paying deposits will reserve the accommodation that they request. In the event the requested accommodation is not available the organisers will suggest equivalent alternatives.

All participants are urged to take full travel insurance cover including cancellation insurance. Insurance can now be offered through VSL Rugby and the VSL Travel Office. Get a free quote when registering online.
