As a result of the pandemic, Gartner Group suggests nearly three in four CFOs Plan to Shift at least 5% of previously on-site employees to permanently remote positions. Similarly, a recent Osterman Research publication reported over 50% of organizations will increase their work-from-home policies. The pandemic has created pressure to implement socially-distanced office workspace environments, reducing the density and capacity of existing real-estate and requiring organizations to better utilize the space they have. In many cases, employees will no longer have permanent desks, they will book a hot desk for when in the office. The following pages give a synopsis of how ResourceXpress (RX) can assist in leveraging an employee’s personal mobile device or a frequently sanitized, room or desk device, or centralized kiosk touch screen in conjunction with the existing EMS corporate room booking software to walk-up-and-book, check-in, extend and checkout of a hot desk or conference room: ResourceXpress introduces hands free use of the Aura and IADEA room screens and QUBI3 desk screens in the workspace, leveraging the built-in RFID technology to touchlessly read security badges to walk-up- and-book, check-in, checkout and extend the use of a space. A QR code can be embedded into a room screen display so the employee can use their mobile phone to scan the QR code and book the space, check-in, checkout and extend directly from their phone. The kiosk capability of ResourceXpress allows a user to use their mobile device or a sanitized touch- screen kiosk to view a floorplan map showing room and desk availability and out-of-service status. Clear down/set up status indicators built into meeting room processes allow cleaning staff to decontaminate a workspace before the next person uses it. “Ringfencing” space between working desks, by block booking, allows for regular cleaning Contribute to Contact Tracing procedures by capturing data about which employees occupy desks and actually attend which meetings to help protect the entire workforce and their families.

Using RX Mobile and Kiosks

Book a Room or Desk via Outlook, RX Kiosk or RX Mobile: Book-Now or Check-in to a pre-booked room or desk (created in Outlook or EMS) on a mobile device or on the touch-kiosk.

Find a User or Meeting location: Meeting attendees can walk up to a regularly sanitized touch-screen kiosk or, open their phone and click the Find button to find a person or room.

Find Andy: By hitting the FIND button, a user can see that Andy is sitting at Desk 01 today and has a meeting booked in the Ford Mustang room.

Map Andy’s location: Clicking on MAP button, from the kiosk or your phone, shows where Andy is sitting and where the Ford Mustang room is located. You can book a green desk space close to Andy, allowing of course, for social distancing in revised floorplans.

Check-in to a workspace using a Mobile device

Check-in to a (Outlook or EMS) pre-booked resource via an email in your mobile email client (right) or the ResourceXpress mobile view (left). Using Touchless Room Screen Technology

Disable the room screen buttons so these devices become display-only; reconfigure them to touchlessly auto-read an RFID badge to book now, check-in, check out or extend. By adding a QR code onto the room screen display, a user can use their phone to scan the code and view that resource on their phone.

Use the broadcast function on the room screen to explain the new procedures to employees.

Some additional features to consider

• Ringfencing will disable the ability to book other spaces within a certain radius of the space being booked and put those other spaces into an out-of-service status.

• Contact Tracing: Attendance Tracking enables each meeting participant to register attendance by swiping their RFID Access Badge to a room or desk device. Each attendee’s actual attendance is recorded for Contact Tracing reporting as well as more accurate room utilization purposes.

Add a QUBI3 to the desktop in the room so attendees can swipe their badges to confirm attendance as they arrive

Identify who actually attended which meetings

• Cleandown - at the end of a meeting the device can change to a “Pending Cleaning” status until cleaning of that space has been completed
