GRADUATION 2018Graduation is a chance to celebrate your academic achievement with friends and family.

Our Graduation ceremonies this year will be held in the Forum, Bath; there will be seven ceremonies over three days, each for around 300 students. The ceremony you attend is determined by your School, Field and course.

Your invitation letter will state the time and date of the ceremony or ceremonies you are eligible to attend; if you are unsure, please contact the Graduation Office or check the list of courses online at www.bathspa.ac.uk/students/graduation

We expect each ceremony to last around 90 minutes.

Students doing a major/minor or joint (equally balanced) combined degree (this includes Creative Arts degrees) will be able to choose at the time of booking which of the two relevant schools they graduate with (if applicable). Combined awards are presented as one group within each School, e.g. if you are studying Music and History, your award will be presented with neither BA Music nor BA History awards, but with other Combined awards from whichever of the two Schools you choose to graduate with.

All students on a Specialised Education course (also known as the ‘3+1’ or ‘Primary Pathway’, which leads straight into the PGCE course) will graduate with the Institute for Education, regardless of whether they do a combination of subjects within this course.

Please noteIn the event of oversubscription for a particular ceremony or ceremonies, the University reserves the right to vary the allocation of students to ceremonies from that indicated above. However, this will only be done as a last resort.

How to RSVP and book guest ticketsYou must RSVP online to let us know if you are planning to attend or not attend graduation.

If you are not intending to come to Graduation, please let us know (RSVP) via The Hub during the booking period, and provide a delivery address for your award certificate and transcript. The Hub will open for this from Tuesday 8th May.

Your documents will be sent by Recorded Delivery during August, to the delivery address you give (if you have already received your certificate earlier in the academic year we would like to send you a copy of the souvenir programme, so please do RSVP in order to check your address).

You will not receive your certificate unless you RSVP and provide a delivery address.

If you will be attending Graduation, please RSVP via The Hub during the booking period to let us know and to book tickets for your guests. You must also book your academic dress through Ede & Ravenscroft (see the enclosed flyer for contact details).

If you are no longer a current student, you will still be able to log into The Hub using your 6-digit student number (found on the address label of your information pack) and password that you used when you were studying. Booking opens on Tuesday 8th May; initially you will be able to purchase a maximum of 4 guest tickets (the first 2 are free of charge), and place a request for extra guest tickets.

Booking will close on Wednesday 13th June; we will then see how many extra tickets have been requested for each ceremony, how many we have left, and share these out amongst the students who requested them. For example, if there

are 100 tickets available and 60 students have requested extra tickets, all 60 are allocated one extra ticket. We then look at the list again, and if 30 students had requested more than one extra ticket, all 30 will be allocated a further ticket. We continue this process until we have fewer tickets than people requesting them, at which point they’re allocated by a random ballot. We will email to let you know how many extra tickets you have been allocated, and how to pay for them. It can take us several days to crunch the numbers, so please be patient; all correspondence will be via your Bath Spa email address.

Guest tickets will not be posted to you, they can be collected at the Forum on the day, when you register for your ceremony.

Do not think you can leave booking your tickets until after you have your results, this will be too late: we cannot guarantee there will be any tickets left, and bookings made after 13th June may incur a £10 ‘late booking’ admin charge.

Demand for tickets is always high due to the large number of students eligible to attend the ceremonies; please note that we can guarantee tickets only for those who book from 8th May – 13th June.

Why am i charged for extra guest tickets? Most universities charge for graduation ceremonies; the cost of the graduation ceremony to the University is significant. If we spend money on the graduation ceremony, we obviously cannot spend it elsewhere, for instance, for books in the library or for staff. We continue to heavily subsidise this event. On balance, given the tight financial climate in which we operate, we believe it is proper that we make a modest charge for extra tickets.

What is the seating like?The seats are mainly ‘cinema-style’, arranged in blocks which are either sloped (Stalls) or stepped (Circle) to help everybody have an unobstructed view of the stage.

ChildrenWe realise that some students may wish to bring young children, but we suggest that this event may not be suitable for them. Please bear in mind the limits on guest tickets and that this is a formal occasion.

If you do wish to bring children to Graduation, please note:• Children aged under 3 will not be allocated a seat, they must sit on their

parent’s/carer’s lap• All children aged 3-16 must be accompanied and supervised at all times by a

responsible adult who will be fully accountable for the safety, welfare and deeds of that child/children

• We will try to place parties with young children in seats at the end of a row, but this may not always be possible

• If your child becomes restless, we would appreciate it if you would take them outside as quickly and quietly as possible

• There is no room for prams or pushchairs

Special requirementsIncluded in the online booking system is a section for you to tell us about any special requirements you or your guests may have, e.g. wheelchair access, mobility issues etc. If you want to discuss this in more detail please phone the Graduation Office, email us, or come and see us in person (our office is on the ground floor of Stable at Newton Park, room STG01). If we are not aware that you have any special requirements, we may be unable to meet them on the day.

You can also give us details about how to pronounce your name – during the ceremony your name will be read by somebody from your department, but they may not know you personally, so if you think your name might be tricky please let us know.

International StudentsWe are not able to provide letters to help your guests arrange visas for their travel, but you can write one yourself. Please email [email protected] for more information and help on what to include in your letter.

What to wearYou must wear the correct academic robes in order to take part in your ceremony. These should be hired or bought from Ede & Ravenscroft Ltd, whose details are provided on the enclosed leaflet and on page 14 of this booklet.

The designs of the specific robes and hoods for Bath Spa University are covered under copyright law, and therefore are not available from any other supplier.

Graduation is a formal occasion, and you should ensure that you are dressed appropriately. Smart but simple and uncluttered clothing will prove more comfortable and manageable beneath your robes; you should also remember that Graduation is held at what is often the hottest part of the year. Bath Spa University robes are dark blue, and the hoods are blue with a silver trim. The hood is designed to be worn by attaching a loop on the hood to a button on a shirt/blouse, though it can be pinned instead.

You are likely to do a lot of walking on the day, so please bear this in mind. The main access to and from the stage is via stairs, but there will be a lift for those with mobility issues.

PhotographsEde & Ravenscroft Photography Ltd are our official photographers; information about their services, together with a booking form, is enclosed. You are, of course, at liberty to make private photographic arrangements if you wish.

Ede & Ravenscroft will be available in the Guildhall from 9.00am until at least 6pm, and you may have photographs taken before or after your graduation ceremony. Please be aware of the time when organising your photo sessions so that you are not late registering or assembling for your ceremony, each ceremony will start on time.

Assistance with costsThe University is aware that, for some students, the costs incurred in attending Graduation may present difficulties. In addition to the two free guest tickets given to all students who attend, the Vice-Chancellor has set aside funds to assist a limited number of students with the cost of hiring academic robes for graduation.

Any student who has been allocated funds from the Bath Spa University Access Fund during the current academic year will be given a £20 discount on their robe hire – this will be applied automatically when you book your robes with Ede & Ravenscroft.

On the dayYou MUST register before your ceremony; if we don’t know you’re here, your name will not be called during the ceremony. Registration opens 90 minutes before your ceremony, and closes 30 minutes before.

The Registration Point is in the Ballroom on the first floor of the Forum (there is lift access for those with limited mobility). When registering, you will be given a card with your seat number – students are all seated at the front of the auditorium, in the order that they will be called up onto the stage. Guests will be seated further back and in the Circle on the first floor.

You can collect your academic robes at any point during the day from the ground floor of the Guildhall, but make sure to do this before you register for your ceremony, as it takes about 10 minutes to walk from the Guildhall to the Forum. Ede & Ravenscroft staff will be on hand at the Guildhall to help you put on your gown and hood. All hired academic dress must be returned to the Guildhall the same day.

Ede & Ravenscroft are also our official photographers - they’ll be open on the first floor of the Guildhall on each graduation day from 9.00am, and you can have photos taken either before or after your ceremony.

Don’t forget to visit the Alumni stand in the Forum to pick up a free graduate bag, the Alumni Team will love to meet you! The Students’ Union will also be there selling a selection of souvenirs, and you can use our free photo booth.

Doors to the auditorium will open about 45 minutes before your ceremony begins, please be seated at least 10 minutes before the ceremony.

Please do not carry anything with you on to the stage.

What happens during the ceremony?Before the ceremony, while guests and students are taking their seats, live music is played by a harpist and a brass quintet.

The ceremony will begin promptly at the advertised time, and it will not be possible to admit late arrivals.

After a welcome from the Registrar, the academic procession enters the auditorium.

The Order of Ceremonies is as follows: • The ceremony is declared open• Vice-Chancellor’s address• Presentation of honorary awards (if applicable)• Presentation of student awards• Student valedictory address• The ceremony is declared closed

For the presentation of your award, stewards will direct you to the side of the stage at the appropriate time; your name will be read out by a member of staff from your department, and you will cross the stage to be congratulated in the centre by the Dean of your School. You then leave the stage on the opposite side, will be given your certificate, and stewards will direct you back to your seat.

Students are presented alphabetically for each award – we do not announce the classification of degree that anyone achieved, nor do we print this in the souvenir programme.

At the end of the ceremony, the academic procession will leave the auditorium.

We expect each ceremony to last about 90 minutes.

FilmingThe use of cameras and video recorders during the ceremony is strictly prohibited (this includes mobile phones) as they distract those taking part and spoil the enjoyment of other guests. The University has arranged for 1st Take to make a professional recording of the ceremonies, and they will also be streamed live on the University website. You can order a DVD copy of your ceremony from 1st Take - please complete and return the enclosed order form, or visit the sales desk on the day (on the first floor of the Forum).

You may of course take photographs etc. before and after the ceremony itself.

RefreshmentsRefreshments are not provided, but there are plenty of cafes and restaurants nearby. Please note that no food or drink other than bottled water is allowed inside the auditorium.

SouvenirsWe work with several approved companies to provide graduation souvenirs, whose details you should find with this booklet.

Our Students’ Union will be selling a variety of souvenirs in the Guildhall on graduation days (T-shirts, hoodies, teddies etc).

The Forum The main entrance has several steps up into the ground floor foyer – disabled access is via Reception, which is found a little to the right of the main entrance. There is lift access to the first floor foyer and to the Ballroom.

Seating is mainly ‘cinema-style’ and on the ground floor is sloped, there are no stairs. Access to the Circle is via stairs only, there is no lift to this area; seating in the Circle is stepped, not sloped.

There are no obstructions such as pillars, so everyone has a good view of the stage.

There are toilets on both floors, including an accessible toilet on the ground floor.

The GuildhallThe main entrance to the Guildhall is on High Street, and is via several stone steps. Those requiring level access should ring the doorbell at the entrance to the Market (to the left of the main entrance), and a member of the Guildhall staff will let you in. Once inside, each floor is level, and there is a lift to the first floor.

There are toilets (including accessible toilets) on each floor.

The Guildhall also houses the Bath Register Office, which will be open to the public on our Graduation days.

What else do I need to know?

It’s your big day - remember to enjoy it! But a few more things to bear in mind:

• Although graduation is being held in a building used for Christian worship, our ceremonies are secular and have no religious content.

• If you owe the university any money, such as library fines or course fees, you will be allowed to attend graduation BUT you will not receive your certificate and transcript - these will not be released until all of your debts have been cleared. If you have any questions regarding your debts please contact the Finance Office.

• If you completed your course earlier in the academic year, your certificate and transcript should have already been posted to you, and you will be given a dummy certificate during the ceremony.

• If you are a current student who has not yet completed their course, your invitation to graduation is PROVISIONAL, and is conditional on you successfully completing your course. Students who have not completed their course by the time of Graduation will not be able to attend.

• Final results will be emailed to your Bath Spa email address on the date of publication. It is your responsibility to check your email, results are not sent out by post.

• If you fail to complete successfully part of your course and become ineligible to graduate this year, the university will arrange a full refund for any guest tickets purchased.

• If you have booked tickets for guests who can no longer attend, please let the Graduation Office know BEFORE 18th July and we will arrange a full refund. We cannot give refunds for any tickets cancelled after the ceremony.

• Refunds for other services (gown hire, photographs, other souvenirs) should be sought directly from the supplier (sometimes this will be subject to an administration fee).

• Any changes to your booking (changes to any special requirements, change of address etc.) should be made by contacting the Graduation Office directly.

• Graduation is a formal occasion – students and guests should dress appropriately.

• Guest tickets are non-transferable. Any attempt to transfer tickets will lead to the booking being cancelled.

• We reserve the right to refuse admission to graduating students or guests

who appear intoxicated, or are causing offence or nuisance.
