Graduation Ceremony will be held to celebrate the conferral of diplomas and other awards upon students of the LOUIS PRESTON who have successfully completed their studies and had their award conferred by the IATA between June 2018 to July 2019.

The following guide will tell you everything you need to know about your graduation, including booking instructions.

Graduates, guests and staff attending should be aware that graduation ceremony is regarded as a public event. Names and awards of graduates are published in the programme which is distributed on the day.

Audio and visual images of the ceremony are publicly available through the social media and official web page of LOUIS PRESTON - www.louispreston.com.lk If anyone graduating in person or in absentia objects to these publications of their personal data (name and award) they should inform the Graduation Office at least three weeks before the ceremony.

There may also be a Institute photographers present at the event and, by attending gives us permission to use any general crowd / individual shots you may appear in for Institute-printed publications and our website. We will not use individual or small group shots of you without asking for your consent first. By attending the event, graduates and guests consent to be party to these practices.

HOW TO BOOK

If you wish to attend your graduation you must book in advance no later than 10 th of August 2019.Do not wait until you have received your individual invitation as bookings will not be accepted after this date.

Bookings are placed subject to the successful completion of your programme and conferralof your award by the respective awarding body. If you do not gain the necessary award your booking will be cancelled.

An electronic invitation will be sent to all eligible students by the end of July. Emails will be sent to your e-mail account registered with the institute, plus any other email addresses on your student record. After reading this information guide in full, follow the instructions to book tickets.

TICKET ALLOCATION

All students are entitled to one graduate and two guest tickets at the charge of LKR 11,000.A fourth guest ticket can be purchased for Tickets grant access to the Graduation LKR 4,000.Ceremony and post ceremony refreshments. Full terms and conditions for tickets are available online at www.louispreston.com.lk/graduations

Please follow the below procedure to book your tickets.

You will receive an acknowledgment once your tickets are confirmed with digital QR Code


EXTRA TICKETS

If available, extra tickets will be released on Friday 12th August via our web page: www.louispreston.com.lk/graduationsExtra tickets are subject to availability and cost each. They are sold on a first come first served LKR 4,000basis.

Please do not contact the Graduation Office before this date as it is not guaranteed that tickets will be available and we do not keep a waiting list, regardless of the circumstances.

Please note we calculate the number of students expected to successfully complete their programme and the number likely to attend the graduation and use this information to set maximum guest ticket allocations for each ceremony. It is therefore unlikely that extra tickets will become available, and why they are not guaranteed.


ARRIVAL INSTRUCTIONS

Kings Courts doors will open 45 minutes before the start of ceremony. All graduates must be seated at least 30 minutes before the ceremony begins. You must arrive at Hotel with enough time to have photographs taken (if required), register and find your seat in good time.

Upon arrival you will register at desks located in the Kings Courts entrance. Detailed instructions will be sent with your ticket pack towards the end of May. Upon registration you will be given a name card. The card includes your name, programme and seat number.


COLLECTION OF YOUR GRADUATION TICKETS AND CLOAKS

Once you have made the ticket booking before the deadline or earlier you shall collect following belongings

1. Your Graduation Cloak and Hat (Can only be collected on the day of the graduation)2. Graduation tickets (Can only be purchased from 16th July to 15th August) 3. Security clearance and instruction detail pack (Before 30th of July)

RETURNING OF YOUR GRADUATION CLOAK & HAT

Your cloak and the hat shall return after the ceremony itself to the returning counter in the Kings Court Lobby (Ask our staff if you require any assistance)

Any damage or loss of dresses/hats must be born by the graduate and settle accordingly with market value of the item


GRADUATION PROCEDURE

Ceremony will commence at When the ceremony commences you will be ushered from your seat 5.30 PMand directed to file across the stage. Entry to the stage will only be permitted upon calling of your nameby the compere.

Your name will be announced; you should then proceed to shake hands with the Chief Guest and receive your diploma or award. You should then leave the stage. Staff will direct you back to your seat. The ceremony will last around 150 minutes.

Do not chew gum when on the stage or leave the hall whilst the ceremony is still in progress. Please ensure all mobile phones are switched off throughout the ceremony. Graduates will formally process from the hall following the ceremony. Hats should be worn for the procession.

POST CEREMONY REFRESHMENTS

It is strongly suggested that you arrange to meet guests at the outside Kings Court. Complimentary refreshments will be served in the Kings Courts Room Domain. Please retain your ticket for entry.

ACADEMIC DRESS

Graduates must to wear academic dress for the graduation. Formal dress, such as a dark suit or similar should be worn This is the most practical attire for both men and women, as the (jeans and trainers are not acceptable).hood should be securely fastened to a jacket, shirt or blouse button. Graduates are advised to wear sensible footwear because of ramps to the stage entrance and exit.

Cloaks are supplied by the institute on the graduation day itself and cloak it should hand over to the officials at Kings� Court once the ceremony is officially concluded.

OFFICIAL PHOTOGRAPHY

Photographs will be based in Orders can be placed at the time itselfQueen�s Court room.

Photography is available from only. It is advisable to arrive early as 02: 00 PM - 05: 00 PMphotographs are taken on a first-come, first-served basis.

A stage photograph of each student shaking hands with the Chief Guest is taken and available from Institute website www.louispreston.com.lk/graduations Video downloads of the ceremonies are also available

BABIES AND CHILDREN

Although the Institute aims to make its graduation as welcoming as possible, the formal nature and duration of the ceremony may make them unsuitable for babies and small children. All children (including babies) require a guest ticket � this is in keeping with the hall�s strict fire regulations. No matter how small, children will not be admitted without a ticket.

INTERNATIONAL VISITORS

It may be necessary for international visitors to request an invitation letter to support a visa application. This letter can be provided by the Graduation Office. To request a letter please send the following details by email to [email protected]

You must allow sufficient time to apply for your visa.
