• Fully justified text will have spaces added so that both margins are even.

• Left – text is aligned with the left margin to make

straight left edge and ragged right

• Line spacing – Double line spacing automatically adds a blank

line between each row of text.

• Standard Paragraph – Text used over and over again can be saved. It

can be inserted into a document whenever it is needed – saves retyping.

– A whole document can be created by inserting standard paragraphs.

• Search and Replace – a wrong or incorrectly spelled word can be

changed by searching for it. The computer will automatically replace it with the correct word. e.g. search for McDonald to replace with Macdonald.

• Spell check – a spell checker will scan a document and highlight

any words that are not in the word processor’s dictionary.

– It will not find mistakes like their for there, to/two etc.

– It will state that Hillpark is wrong because it is not in the dictionary.

• Grammar check– Will find any grammatical errors.

• Word Wrap – when you reach the end of a line

your text will automatically go onto the next line without having to press return.

• Tabulation – tab stops can be added to the ruler to

set out tables neatly.

• Standard Letters A letter may need to be sent to many people.

• A copy of the letter is saved on disk• The letter is loaded.• One name and address inserted and the letter is

printed.• This can be repeated for different people.

• Mail MergeThis uses a Database to send a standard letter to many people automatically.

1. A standard letter is saved with name and address missed out.

2. A database file with the missing data is created.3. Pointers are put in the standard letter to show where the

data is to go.4. The computer puts the missing data into the letter for

every person in the data file.

• A template is a preformatted document that serves as a model for other documents. Templates include common formats such as addresses and date entries and allow you to create professional looking letters, memos, reports, and other documents easily.

•Tables

• A table is an object that helps the user format (organise) text entries in a document.

•OCR ( Optical character recognition)

• Optical character recognition (OCR) software is used to enter text into a computer by means of a scanner. The OCR software interprets the the digital data from the scanner, comparing shapes the shapes of text with those in its memory. It then stores the code.

The text can then be entered into the system.

• Mail ShotThis uses a mail merge to send advertising to millions of people at once.

• Companies can buy lists of names and addresses on discs and send them personalised adverts.

• The Council sells the Voter’s Roll to anyone that wants to buy it.

• The AA or RAC sell the names and addresses of all their members to anyone who wants to sell motor insurance

• (There are restrictions on this --- see Data Protection Act in Database unit)
