What is Tally.Server 9?

1.1 IntroductionTally brings you an exclusive product – Tally.Server 9, a product that installs a server component offering dedicated access to Tally data. Not only does it smoothly support concurrent usage by multiple individuals simultaneously, but provides an extremely secure and risk-free environment for your company’s data. This powerful data server will redefine the efficiency of medium and large businesses that have multiple users performing various activities simultaneously.

Tally.Server 9 provides advanced monitoring and administrative control to business owners and administrators through its unique Monitor feature. The Tally.Server Monitor acts as a remote control for the data server and helps to restrict or authorise user’s access to features as per the business requirement. Through this tool, the administrator will be able to monitor which users are currently logged in, track their activities and even disconnect them, if required. Real-time informa-tion on usage of the system, patterns of user activities and areas where more time is spent can be viewed, thereby optimising user productivity.

The Tally.Server Service will run as a service and once it is started it will be available in Windows Services section.

1.2 Benefits of Tally.Server 9 Speed with Concurrent Data Access: All users will be able to work faster without impact-

ing each other’s access to the data, thereby increasing organisational efficiency. One user's activity will not block the other users’ activity.

Security and Control: The administrator/business owner will be able to control the visibil-ity of physical data files and the rights for administrative operations of all users, thereby minimising risks like data misuse.

Monitoring and Optimisation: The administrator/business owner will be able to monitor which user(s) are currently logged in, track their activities and even disconnect them if required. They will be able to view real-time information on usage of the system, patterns of user activities and areas where more time is spent and thereby optimise productivity.

Zero Downtime: The users will not experience downtime even for maintenance operations like backup. The system ensures data consistency even in intense-use environments and has zero impact of any abnormal client shutdown.

2.1 System RequirementsThe recommended system requirements for installing Tally.Server 9 Release 4.51 vary on the basis of the Operating System bitness.

2.1.1 Recommended System Requirements for a 32bit installer

Tally.Server 9 needs to be connected to the Internet for smooth operations which include user authentication and license management.

1.2 Installation of Tally.Server 9 Release 4.51A new customer of Tally.ERP 9 with Tally.Server 9 Release 4.51 will need two installers - Tally.ERP 9 Installer and Tally.Server 9 Installer.

1.2.1 Installation Procedure of Tally.Server 9 Release 4.51

Before proceeding with installation of Tally.Server 9 Release 4.51, please ensure that the Tally.ERP 9 application has already been installed on your Server system, using the Tally.ERP 9 Gold Installer.

Now, let us see the installation procedure of Tally.Server 9 Release 4.51:

To install Tally.Server 9 Release 4.51,

1. Download the Tally.Server 9 Installer based on the bitness of your Operating System, that is, select install64.exe if your Operating System is of 64 Bit or select install.exe if your Operating System is of 32 bit.

2. Double click the icon to open the Tally.Server 9 Installation wizard.

3. The Choose and Configure the Tally.Server 9 component(s) screen opens.

There are two installers - 32 bit compatible and 64 bit compatible, for both Tally.ERP 9 Series A Release 4.51 and Tally.Server 9 Release 4.51. Download the required installers.

Installation can be of two types – Full and Partial.

During a Full Installation, the components installed are Tally.Server Service, License Server, and Tally.Server Monitor.

On the other hand, each of these components can be installed individually too, which leads to a Partial Installation.

Let us now proceed with the Full Installation of Tally.Server 9 Release 4.51,

4. Select Server(s) (with Monitor) option. This will install Tally.Server 9, Tally License Server and Tally.Server Monitor:

Tally.Server (Tally.Server Service) is the Data Server designed to serve Tally data for multiple client systems.

Tally License Server provides the license for Tally.Server

Tally.Server Monitor is an application from where an administrator can manage users and their activities.

5. In this screen, Installation Directory (Tally.Server 9), Name of the Server, DataName and corresponding Data Location, and Server Name/IP and Port number for the Tally.ERP 9 Gold License Server can be configured.

Installation Directory (Tally.Server 9): Tally.Server 9 and Tally.Server Monitor will be installed with the following default paths:

C\Program Files\Tally.Server9, if a 32bit application is installed in a 32bit Operating System or if a 64bit application is installed in a 64bit Operating System

C\Program Files(X86)\Tally.Server 9, if a 32bit application is installed in a 64bit Oper-ating System

The path can be changed as per user’s requirement.

Name of the Server, for clients to access: By default, the System Name is given to Tally.Server (data server). Any name can be given to identify the Tally.Server (data server) by the clients.

Data Name and Data Location: Enter a name here, which will be used to access Tally Data that is stored in the path mentioned in Data Location field.

Installation Directory and Port (License Server for Tally.Server 9): License Server for Tally.Server 9 will also be installed in the same path as Tally.Server 9 and the port number for License Server is 9999 by default. The License Server can be installed in a different folder if required.

Server Name/IP and Port (License Server for Tally.ERP 9 Gold): The License Server Name or IP and port number of Tally.ERP 9 Series A Release 4.51 Gold edition should be entered here. Using this, Tally.Server (data server) will link to Tally.ERP 9 Gold License. Hence, Tally.ERP 9 clients can find and use the data server service automatically.

6. To check the connectivity with the License Server of Tally.ERP 9 Gold, click on Test. The Installer will redirect you to Internet Explorer to show the connectivity details.

7. Click Install.

Make Internet Explorer as your default browser to Test Connections.

The Setup Status screen appears:

8. To operate and manage Tally.Server 9, check Launch Tally.Server Monitor, else un-check it.

9. Click Finish to complete the Installation procedure.

When Tally.Server Monitor is launched, the Startup window will appear.

Now, if the user wants to install the Tally.Server Monitor on a system other than the one on which Tally.Server and License Server have been installed, then,

1. In the Choose and Configure the Tally.Server 9 Component(s) screen of the Installer, select Tally.Server Monitor Only option. This will install only Tally.Server Monitor application.

2. Under Tally.Server Monitor (New Installation)

Specify or browse for the folder where the Tally.Server Monitor is to be installed in the Installation Directory field.

C:\Program Files\Tally.Server9, if a 32bit application is installed in a 32bit Operating System or if a 64bit application is installed in a 64bit Operating System

C:\Program Files(X86)\Tally.Server9, if a 32bit application is installed in a 64bit Oper-ating System

3. Enter the Server Name/IP and Port of the installed License Server under Existing License (for Tally.Server).

4. Click Install. The Setup Status screen appears.

5. Upon successful installation, Tally.Server 9 Installer opens.

6. The option Launch Tally.Server Monitor is selected by default.

7. Click Finish to complete the Installation.

2.3 Components of Tally.Server 9When Tally.Server 9 is installed, the following components/files will be installed:

tssvc.exe: This is Tally.Server 9 Service which provides the Data Server Service

tssvc.ini: This is the configuration file for Tally.Server 9 Server

tallyserver.exe: This is Tally.Server Monitor application

tallyserver.ini: This is the configuration file for Tally.Server Monitor application

Tally.Server9Ref.chm: This is the context sensitive Help file for Tally.Server 9

tallylicserver.exe: This is Tally License Server application

tallylicserver.ini: This is the configuration file for Tally License Server application

uninstallserver.exe: This is the Uninstall application. It will uninstall Tally.Server 9, Tally License Server and Tally.Server Monitor.

How to Activate Tally.Server 9 License?

3.1 Activate License

3.1.1 Activate Single Site License

On successfully installing Tally.Server 9 Release 4.51 on your computer, you can now proceed to activate a Single Site license for the first time. To activate the single site license it is necessary to have the Administrative Rights or essentially login as an Administrator. In the activation form provide the required License Serial Number and Activation Key and your valid E-Mail ID.

On selecting the Activate License option in the Startup screen the Activate License form appears as shown:

Enter the Serial Number to activate the regular license in Serial Number/Promotional Key field

Serial Number: A nine digit unique number which is provided on purchasing a Regular License of Tally.Server 9.

Enter the activation key received via e-mail in the Activation Key field.

Enter the required E-Mail ID in E-Mail ID of Administrator field.

For the purpose of confirmation re-enter the E-Mail ID once again in Repeat (E-Mail ID of Administrator) field.

A unique account identification is created using the E-Mail ID provided and the license serial number is linked to the account. The License Key, Password and Account related information are mailed to the E-Mail ID provided in the activation form.

Tally.Server 9 searches for the availability of Internet Connectivity on your computer. On suc-cessfully finding the internet connection the system proceeds to activate the license online.

The serial number and activation key need to be provided in combination to activate a regular license only.

Press F2 or click F2: Multi -Site on the vertical tool bar to activate a Multi-Site

License.

Tally.ERP 9 displays the following message indicating the activation request has been processed.

The Tally_lck.lic file is generated and resides in the default Tally.Server 9 folder.

In order to get the license, the locked license file has to be unlocked by providing the License Key which is e-mailed to the Email ID provided.

Procedure to Unlock License File

The Unlock License screen appears.

Type the Unlock Key retrieved in Unlock Key field or copy the Unlock Key from the email received and press Ctrl+Alt+V to paste it.

It is essential to access your mail and retrieve the unlock key.

On successfully Unlocking the license file, Tally.Server 9 displays the following message:

Once the license has been activated, the user needs to enter his E-Mail ID and Tally.NET Password to log into the Tally.Server 9 Monitor.

3.1.2 Activate Multi Site License

To activate the Multi Site license follow the steps shown:

In the Startup screen

Select Activate License

The Activate License form appears as shown:

Press F2 or click F2: Multi Site

The Activate Site License form appears

Enter the License Serial Number in Serial Number field.

Enter the Activation Key in Activation Key field.

In case you have not received an E-Mail, press F2 (Self Support) and click on Get Unlock Key for obtaining the Unlock key by providing the Serial number.

Enter the required Account ID in Account ID field. For multi-site activation the Account ID is created by associated Tally Partner.

Enter a unique name for the site to be activated in Site ID field. The Site ID enables you to distinguish between locations where Tally.Server 9 Release 4.51 is activated.

Enter your valid E-Mail address in E-Mail ID of the Site Administrator field. The License Key, Password and account related information are mailed to Site Administrator's E-Mail ID.

Ensure that you re-enter the same Email ID in Repeat (E-Mail ID of the Site Administra-tor) field for the purpose of confirmation.

The license Serial Number and the Activation Key are received via e-mail.

In case you had activated a single site license earlier, the existing Account IDneeds to be used to activate the subsequent sites.

Press Enter to activate a Multi-Site License.

Tally.Server 9 searches for the availability of Internet Connectivity on your computer. On successfully finding the internet connection the system proceeds to activate the license online.

Tally.Server 9 displays the following message indicating the activation request has been pro-cessed:

How to access shared data from Tally.ERP 9?

To access the data from Tally.Server 9 (data server), the administrator has to give only the Data Name to the users. Using this Data Name, all the data in the corresponding location can be access through the client machine.

Since the users just know the data name and not the actual path it is present in, Data Security in ensured.

To Access the Shared data from Tally.ERP 9 Series A Release 4.51,

Launch Tally.ERP 9

From Company Info. screen, click Select Company and press Enter

Enter the Data Name in the Path field. If you are not aware of the Data Name click on S: Server List or press Alt + S to get the List of Tally.Servers (Data Names) that are shared.

Select the required name and press Enter

Select the required Company Name from the List of Companies to start working on it.

Tally.ERP 9 Release 4.51 is compatible only with Tally.Server 9 Release 4.51. A lower release of Tally.Server 9 will not be supported by Tally.ERP 9 Release 4.51.

To Create Company,

From Company Info. screen, click Create Company and press Enter.

If Security Access is enabled for the user, he has to mandatorily login to continue with Company Creation. Security Access feature of Tally.Server 9 will be explained in the next chapter.

The Login screen appears as shown:

Enter the Data Name in the Directory field. If you are not aware of the Data Name click on S: Server List or press Alt + S to get the List of Tally.Servers (Data Names).

How to use the Tally.Server Monitor?

The Tally.Server Monitor enables the administrator to discover work patterns of various users, analyse and track their movements and suggest remedial changes, if any. This monitoring will help the administrator to substantially increase user productivity and efficiency, ensuring that the system is used optimally to complete day-to-day operational tasks.

Administrator will have access to information like,

Number of companies that are active and inactive

Total number of users connected

Number of users connected to a company

Number of transactions recorded/altered for each company

Number of transactions recorded/altered by a user

Frequent operations performed by users

Frequently accessed reports by users

Time spent on doing various operations by users

The user needs to enter his E-Mail ID and Tally.NET Password to log into the Tally.Server 9 Monitor.

4.1 Licensing and Security information about Tally.Server 9The Tally.Server Information screen gives all the Licensing, Data paths and security details of Tally.Server 9.

To navigate to this screen,

Press Alt + S or click S: Manage Server from either Company View or User View of Tally.Server Monitor.

The following information can be seen in this screen,

Tally.Server Name. The name given in Data Server Name during Installation will be cap-tured here.

Status of Tally.Server - since when Tally.Server 9 has been running.

Since Security is enabled compulsorily, the Security Access Enabled will always display Yes. The user is not allowed to disable this feature.

License Server details; name and port number for both Tally.Server 9 and Tally.ERP 9, will be displayed.

Advanced Information section gives details like,

Service Name: Name of the Data Service

Service Path: The path from where data service is running

IP Address: This is the IP address of the machine where data service is running from

Data Port: This is the port through which data service is

Admin Port:

Data Names and corresponding Data Paths are also listed in this screen.

The following operations can be performed,

Tally.Server (data Server) name can be changed from Tally.Server Name field.

New Data locations (Data name and corresponding Data path) can be added. The adminis-trator can also remove existing Data locations, if the data is to be no longer shared.

Tally.ERP 9 Gold License Server Details - IP Address and Port can be configured. If there are multiple Tally.ERP 9 Gold Licenses, then they can be added as well.

The changes made here will reflect in the tssvc.ini file.

Now, let us have a look at the Security feature available in Tally.Server Monitor. Press F4 or click Setup button on the Tally.Server Information screen.

The Security Access for Tally.Server screen appears as shown:

Here, the administrator can permit/restrict users to perform data management activities such as Backup, Restore, Rewrite, Create Company, Split Company and accessing the Tally.Server Monitor. So, if a user has been marked Yes against an operation, for example, Backup, every time he initiates the Backup process, he has to login with his Tally.NET mail ID and Password.

Existing license Server for Tally.Server Monitor can be configured to a different license server and port by giving using the S: Monitor Setup option in the Tally.Server Information screen.

When there are multiple Tally.Servers installed, you can change the license server to the one which you wish to monitor.

Give the required Tally License Server's IP/name and port number in the Tally License Server field and Port field respectively.

Accept the screen to save the changes.
