DELMARVA PAINT HORSE CLUB July 8, 2013
The DPHC/Directors meeting was held at Frist State Crane’s conference room in Felton, DE. The following was present: Judy Hayden, Kim Westcott, Stephanie Hearn, Jamee Elliott, Ron Yoder, Linda Paulsen, Debbie White, John Hayden and Heather Mounts. Stephanie Hearn called the meeting to order at 7:08 pm. The previous minutes were accepted. The Treasurers’ report was accepted.
Bills: Heather had a bill for $12.35 for shipping the May show results to APHA. Stephanie had a bill from Cindy for a full page ad in the APHA Journal for $531.25, half of which will be split with Zone 7. Heather made a motion to pay the bills. Kim seconded and the motion passed.
Correspondence: Kim received a solicitation to purchase pens. She gave the info to Linda. The Club received a thank you note from Debbie White for the arrangement sent in sympathy for the passing of her mother. Heather received an email from Common Grounds Mobile Café asking if they can come to the August show. Heather received a letter from APHA requesting indication of 2013 Foundation scholarship applicants who are from DPHC. None were from DPHC. APHA sent a letter to advise the Club that the APHF Paul White Memorial Endowment Scholarship recipient was Allison Tuchrello. Debbie received a nice thank you letter from Allison for winning the scholarship for 2013-2014. Heather received approval letters from APHA for our August shows.
Committee Reports: Show: Judy stated we need to order shavings before the show. Stephanie stated Pam Scott from FL will replace Charlene Carter, who has other obligations for the August show. She brought the show bills to the meeting for a final review. After some discussion, Kim made the motion to make the day fees for Friday $150 and the day fees for $225 for Saturday/Sunday. There will be hi point circuit awards for the entire weekend instead of each show. Trail practice will be offered on Thursday and Friday evenings. There will be a $5 obstacle fee for all horses that enter any trail classes. Shavings will be delivered to the stalls for this show. Hi point awards will be donated by Grassy Hill Farm (Lyn Fick) for the Halter, English and Western classes. There are 4 scribes needed for the judges. The ring steward will be paid $100 per day. The gate person will be paid $75 per day. Pattern books will be done by Becky Timmons and posted online.
K & R Concessions will need to open 1 hour earlier than the start of the show. Firestorm Photography will be at the show. Wenger’s Tack will be at the August show.
Eastern Shore Show: The Paint show will be August 4 at Wicked R Ranch. Guy and Joan Palmer will be the judges. The show bill is forthcoming.
Membership: No report.
Futurity: Cindy sent the class list for the futurity classes, which are the same as last year.
Scholarship: Jamee stated there were 3 applicants, however one applicant did not meet all the requirements. The winners are Kim Westcott and Danielle Leager and received $750 each.
Advertising/Fundraising: Jamee stated that a 50 inch LCD TV will be raffled off at $10 per ticket. The drawing will be on Sunday and there will only be 100 tickets sold.
Banquet: Since the Sheraton has been bought by the Delaware State University, the Club will have to find a new venue for our banquet.
Newsletter: Jamee stated it will go out next week.
Community Service: No report.
Junior Club: Stephanie stated there will be a watermelon/ice cream social again this year.
Old Business: Linda has the points completed. She wants to review them one more time before she has them posted.
New Business: Heather suggested the membership date be changed to May 15th in order to be eligible for year-end awards. This discussion was tabled to another meeting date. The DPHC/Directors meeting was held at Frist State Crane’s conference room in Felton, DE. The following were present: Judy Hayden, Kim Westcott, Stephanie Hearn, Jamee Elliott, Ron Yoder, Cindy Harris, Becky Timmons, John Hayden and Heather Mounts. Stephanie Hearn called the meeting to order at 7:05 pm. The previous minutes were accepted. The Treasurers’ report was accepted. Bills: No bills. Correspondence: Heather received the packet from NSBA. Heather received an email from APHA about the 2014-15 directors and alternative. John Hayden is the director and Becky Timmons is the alternative for 2014-15. Committee Reports: Show: Stephanie stated there are 145 stalls and the shavings will be delivered on Wednesday morning. Stephanie stated trail will be set up Thursday for youth and amateur. The vendors will be K& R Concessions and Common Grounds to be open at 6 each day. Clayton’s Fine Western Tack and Barbara’s Custom Hats will also be at the show. Barbara’s Custom Hats is donating 4-$250 gift certificates to DPHC. Each entry will be given a ticket and they will be drawn throughout the weekend. Hi point awards will be donated by Grassy Hill Farm (Lyn Fick) for the Halter, English and Western classes. Hi point awards will be embroidered/silk screened saddle pads, and reserve awards will be embroidered/silk screened sturdy blanket bags. Saturday will be the watermelon/ice cream social. Eastern Shore Show: There were 94 horses, 6 jackpot entries, and 5 barrel entries. Membership: Kim stated there are 80 members. Futurity: Cindy will have futurity forms at the show office. Scholarship: Jamee stated we need to review/revise the requirements. Advertising/Fundraising: Jamee stated that the ticket sales are going good. Becky stated she would be the co-chair for next year. Banquet: Becky, Stephanie and Lyn stated they would like to handle the awards. They need to find a place for the banquet and a date. Newsletter: Jamee stated it will go out in September. Community Service: No report. Junior Club: No report. Old Business: Heather brought up the changes for the membership end date. A discussion was for the points not counting until becoming a member – no retro points counting. New Business: The next meeting will be September 9th at 7 pm at First State Crane. The previous minutes were accepted. The Treasurers’ report was accepted.
Bills: Heather had a bill for $27.40 for shipping the August show results to NSBA and APHA. Stephanie had a bill for the judges’ gifts and the donated basket to Zone 7 for $160. Jamee had a bill for newsletter postage for $9.20. Cindy made a motion to the bills. Jamee seconded and the motion passed.
Correspondence: Stephanie received a thank you note from Robin from the fairgrounds for putting on such a well run show. Stephanie received an email from Susan Stafford thanking the Club for having her. She recommended to APHA that our club should get a gold star rating for putting on such a well run show. Stephanie received an email from Coleen Bull thanking her for making her feel so welcome at the show. Bruce Wilson sent Stephanie an email for doing a great job at the show, even though he was not able to attend.
Committee Reports: Show: The show bill was reviewed and it was decided that the day fee for the October show will be $295. This is anticipation of the smaller show. There will be a $5 obstacle fee for trail. Trail practice will be Saturday night after the show. There will be hi point and reserve awards for all divisions. Flights and hotels have been booked for the judges. Stephanie is working on getting a photographer for the show. K & R will be the food vendor. Heather will draft up a variance letter to send to APHA to have 3 POR shows for 2014, since it was such a success this year.
Eastern Shore Show: The banquet will be November 16th.
Membership: No report.
Futurity: Cindy stated she is receiving entries. There are entries in all classes EXCEPT 2 YO Western Pleasure and Yearling Colts and Geldings. She has some new exhibitors and some locals who have entered the classes. Cindy is getting the awards and prizes together. Debbie made a motion to add $2,500 to the futurity classes. Heather seconded and the motion passed.
Scholarship: No report.
Advertising/Fundraising: Stephanie suggested the Club do another raffle for October. It was discussed to do an electronic device with a retail value of $500 to be drawn in October or at the show if all the tickets are sold. More details to follow.
Banquet: Debbie stated she would look into some places, including Dover Downs, to hold our banquet. Stephanie stated she has some volunteers that will help with the awards.
Newsletter: Jamee stated it will go out this week.
Community Service: No report. Junior Club: No report.
Old Business: Heather will send Linda the disk for the points to be reviewed and posted.

The Delmarva Paint Horse Club was formed on August 1, 1991 by a small group of Paint
Horse enthusiasts who wanted to promote the American Paint Horse in the State of
Delaware and on the Eastern Shores of Maryland and Virginia.
A junior/youth club was established in 1997. This gave our youth members the opportunity
to hold their own special events, fundraising activities, awards and recognition of
achievements. The DJPHC has also been very active in community service and supporting
various charitable organizations.
In recognition of Delmarva Paint Horse Club's achievements and charitable contributions it
has been awarded the APHA Gold Star award every year since 1995. The club has been
awarded the APHA Club of Distinction Award in 2002 and 2004, also receiving APHA Club of
Distinction Honorable Mention in 2006 and 2008 and a Certificate of Participation in 2010.
SPONSORSHIP The Delmarva Paint Horse Club thanks everyone who has been a sponsor for our club in the past and would like to present our new
program. We are a non-profit organization so all donations made are tax deductible and are used to fund our scholarship and
awards programs. Each year we award a scholarship(s) to eligible high school seniors /college students.

CLUB SPONSOR: A $250 donation entitles the Club Sponsor to receive a business card sized ad in our quarterly
newsletter and on our website. The sponsor is also entitled to two dinner tickets to our annual awards banquet.
