How can I change the decimal symbol (e.g. from a decimal point to a decimal comma)?You can change it Preferences screen. Select Resources, Personal Settings, Preferences. If you choose to use a decimal comma, then be aware that, for example in the payments module when transferring money, that you must use the comma when entering amount, example: EUR 1234,56

Can I use Access Online with browsers other than Internet Explorer?Access Online can only be used via more than one browser. Please check this page for specific information.

Why is my report not (fully) shown on screen?In the case of account statements, it may be that the “Include new account statements only” setting (under “Statement Layout”) is set to “Yes”. Set this option to “No” to receive complete account statements.

PaymentsThere are some payments ready to authorise, but I can’t see any in the Authorise screen.Look up the payments on the “Outstanding/Recent” screen. If the payments have the status “Entered”, then you don’t have the proper rights to authorise the payment. Ask your Administrator to add you to the authorisation policy for the account from which the payment is being made.

What is the difference between Save and Submit in the menu on the Single Payment screen?“Save” means that the payment will be saved in the “Hold/Rework” screen, in this screen you can complete and authorise your payments at a later moment.“Submit” means that the payments are sent for autho-risation immediately. Usually you will choose “Submit”.

Do I have to “Validate” payments before submit-ting them for authorisation?No, you don’t have to. As soon as you save or submit a payment this validation check will automatically take place. If there are any validation errors you will see a warning message on screen, in red, detailing what the errors are.

Can I change the default payment type from “Wire” to “Single ACH”? Yes. From the homepage, select Resources, Personal Settings, Preferences and change the default payment type that appears in the Single Payment screen.

What does “ACH” mean?ACH stands for “Automated Clearing House”. The ACH option processes payments via an inexpensive method, which however is generally not as fast as a Wire. The ACH option can be used for domestic ACH payments, and for payments between countries in the European Union (EU).

What do the different coloured letters mean in the payments module?For batches and individual payments you may see the letters A, N, and U. “A” means audit log. Click it to see the all the steps the payment has undergone, such as creation, authorisation, and acceptance by the bank for processing. “N” means note. If the N is red, a user has added a note about this payment. Click to see the note. “U” means upload. This means this payment was uploaded in a file. If the U is red, the payment instruc-tions have been modified since the file was uploaded. Authorisers may wish to review these payments with extra care before authorising them.

How do I control the order of the debit accounts in the drop-down box on the payment initiation screens?The accounts are listed in alphanemeric order, with numbers first, then letters. Administrators can assign short codes to each account, so they should assign short codes that make the accounts appear in the desired order. Examples: If you want to see the accounts in order of countries, you might want to put the letters “BE” before Belgian accounts, “FR” before French accounts and “NL” before Dutch accounts. Or, you could assign a number as the short code of each account: e.g. accounts 1, 2, and 3, in which case the accounts would appear in that order in the drop-down box.

What is the difference between a set and a batch?A batch is a group of payment (or direct debit) files that is booked to the account as a single debit. (for Dutch accounts: accounts must be “gecomprimeerd”). A set is a group of individual payments that are posted sepa-rately to your account. A set is simply an option within Access Online to work with large numbers of payments more easily within Access Online itself.

I want to use a payment reference in the description of a SEPA credit transfer or SEPA direct debit. What to do?SEPA has defined the Unstructured Remittance, a payment description with a length of max 140 posi-tions. Layout and content is basically free to choose (on screen and in the XML file). You can use this for

specifying a payment reference. For a SEPA credit transfer usually this is an invoice or debtor number the payee wants to receive for reconciliation purposes. Next to the Unstructured Remittance SEPA has also defined the Structured Remittance. However, layout and content are not free to choose.

Note: if you are not sure whether your counterparty supports the Structured Remittance in his reconciliation process, you are advised to use the Unstructured Remittance.

How do I fill in a payment reference in the Structured Remittance tag in a XML file?The Structured Remittance tag in a XML file has a number of formats, indicated by the <Issr> tag. The payment reference must be filled in the <Ref> tag (see below).

ISO format defines the ISO Payment Reference which must always start with the value RF. The ISO reference has 2 check digits on positions 2 and 3. Maximum length is 25 positions including RF and checkdigts.

ReportingWhy is not the whole report presented in my Access Online screen?A possible reason is that your screen resolution is lower than 1024 pixels. You can solve this by adjusting your screen settings.

Can I see the intra-day transactions on the overview screen?If there are same day transactions, there will be an icon in the column “Same Day”. If you click this icon, you will get an overview of all same day transactions. In case you would like to see the balance including the same day transactions on the “Balance Overview” screen, set within “Report Settings” the option “Include Same Day Transactions” on “yes”.

How are salary- and non salary related transac-tions indentified?Users that do not have the authorisation for salary- reporting will not see the details of the salary-related transactions (instead of amounts “****” is shown). The non-authorised users will also not be ale to see the total amounts of salary-related reports.

For how long will data be available in Access Online?Under the Balance Overview tab, data remains available for 45 days. Under the “History Overview” tab, data is available for 13 months.

What is the use of the “Only” new reports option in Layout report? (Accessible via Reports, Choose report, Execute and Settings)If this option is set to “Yes”, only new details will be shown when a report is downloaded again. This is applicable to all formats.

How can I print the profile settings?Select a report under the “Downloads” tab and click “Print Details”. What is the difference between the Public and Private options in the report settings menu?When a “Report” is set to “Private”, the user who created the report template is the only one who can use/view it.

When “Maintenance” is set to “Private”, the user who created the report template is the only one who can edit it. When a “Report” is set to “Private”, “Mainte-nance” is automatically set to “Private” as well. “Publicreports” are available to all eligible users.

What formats can be downloaded/exported?The reporting module of Access Online supports multiple download formats:

Can a personally created report be printed in word- and PDF format?Word and PDF are default formats. This means that when a report is printed in these formats, the output will have a standard layout. Therefore, if the layout of your custom report differs from the standard layout, the printed report will not fully match your custom report.

What is the meaning of Column settings in csv file?If this option is set to “Yes”, the names of the columns will be shown in the CSV report.

Is it possible to print reports without page ending?Yes, this can be addressed by setting the “Continuous printing” option (in “Report Settings”) on Yes.

What is the function of the option code transaction in the reporting module?The function of this option is to select a number of equal transactions (e.g. SWIFT).

Is it possible to view balances consolidated into a currency equivalent?This can be achieved under the “Balance Overview” tab. Set the “Show all balances in consolidation Ccy” option to “Yes”. See also the figure below.
