IntroductionThis document describes the tasks that need to be carried out in GeoManager by an administrator in order to set up access to FieldMaster Supervisor for GeoManager users or for existing mobile users. This guide is aimed at GeoManager administrators who have access to the User Administration and Employee Management features.FieldMaster Supervisor is an app that runs on a smart phone that enables supervisors to manage their teams while they are away from the office. It also enables them to audit the performance of their teams.

GeoManager users must be associated with an employee before access to the FieldMaster Supervisor can be enabled. It is not necessary for the associated employee to be a technician. If an employee is to have access to both FieldMaster Supervisor and FieldMaster Technician, then the administrator must enable access to FieldMaster Technician first. This creates a mobile user for the employee. The administrator can then enable supervisor access for the mobile user.Supervisors must enable location services on their smart phone so that FieldMaster Supervisor can identify their location.

Overview of stepsThis section provides an overview of the steps that must be carried out to set up access to FieldMaster Supervisor. These steps are described more fully later in this document.1 Create a default user role for the FieldMaster Supervisor users, if required.

By default, the users are assigned the Supervisor Role, which enables them to log on to FieldMaster Supervisor and to use all the functionality in the app. It does not grant any additional privileges in GeoManager.However, you can instead set up a user role that enables users to use subset of the functionality. You can then make this the default user role for FieldMaster Supervisor users.Note that you can also change the user role for the mobile users later, if necessary.

2 If the supervisors are existing GeoManager users and are not yet associated with employees, create the necessary employees.Ensure that you specify an email address for each employee. This is used to notify the employee when access has been granted.

3 Enable Supervisor licenses for the required employees.Enabling a Supervisor license automatically notifies the employee by email. By default, the Supervisor Role is assigned to the supervisor’s user. This role enables the mobile users to log on to FieldMaster Supervisor and to use all the functionality in the app. If you have set up a different default user role for FieldMaster Supervisor users, that user role is assigned to the supervisor’s user instead.

Once supervisor access has been enabled, users will receive a notification mail informing them that they can now download FieldMaster Supervisor from their app store.

■ If access to FieldMaster Supervisor has been enabled for an existing GeoManager user (a supervisor), then the user logs into FieldMaster Supervisor using their usual GeoManager user name and password.

■ If access to FieldMaster Supervisor has been enabled for an existing mobile user, then the user logs into FieldMaster Supervisor using their existing mobile user name and password.

System requirementsFieldMaster Supervisor runs on smart phones that satisfy the following system requirements:

Android devices

■ Android 4.0 and above.

iOS devices

■ iOS 7 and above.

Setting up access to FieldMaster Supervisor

Creating a custom default role for supervisorsBy default, the users are assigned the Supervisor Role, which enables them to log on to FieldMaster Supervisor and to use all the functionality in the app. However, you can instead set up a user role that enables users to use subset of the functionality. You can then make this the default user role for FieldMaster Supervisor users.If your supervisors have different needs, then you can set up a number of different user roles. For example, if most of your supervisors will use the same functionality, but only a few of them will use the Safety Scorecard functionality, then you could set a role that provides the basic functionality used by all supervisors, and then create a separate user role that contains just the Safety Scorecard functionality. You would then apply the basic role to all supervisors and additionally apply the Safety Scorecard role to those supervisors who need it.

To create a default role for supervisors

1 Ensure that you are logged in as an administrative user.2 Click the Administration tab, click User > Role Management.3 Click Create New.4 Enter the name of the new role in the Role Name field, for example “Basic Supervisor Role”.5 Enter a description of the role in the Description field, if required.

6 In the Assign Capabilities field, scroll down to FieldMaster Mobile Apps, expand it, and then expand Supervisor:

Selecting the default user role for supervisorsThis section describes how to configure GeoManager to use the user role that you created in the previous section as the default user role for FieldMaster Supervisor users. You change the user’s role later, if necessary, by editing the user.1 Ensure that you are logged in as an administrative user.2 Click the Administration tab, click User > Role Management.

3 At the bottom of the list of roles, click Configure Mobile Roles.

4 In the Select Default Role for Supervisor area, click Assign Roles.5 In the Available Roles field, select one or more roles that you would like to assign to

supervisors by default.In this example, you would select the “Basic Supervisor Role”.

6 Click the > button to move the selected roles to the Assigned Roles field.7 Click Save to return to the previous screen.

8 Click Save again.Now when you enable access for FieldMaster Supervisor, the supervisor’s user is assigned the default roles that you selected.

Creating an employeeGeoManager users must be associated with an employee before access to FieldMaster Supervisor can be enabled. It is not necessary for the associated employee to be a technician. If the supervisor is not already set up as an employee in GeoManager, you must first create the employee.1 Ensure that you are logged in as an administrative user who has been assigned the

appropriate role.In this example, the appropriate role is “Enable Mobile Access”.

2 Click the Administration tab, click Employees > Employee Administration; then click either:■ View / Create / Edit Employee Details to enter the employee details manually; or■ Upload Employee Details to upload the employee details using a CSV file.

Ensure that you specify the organizational unit of each employee. The supervisor’s mobile user will be created in the same organizational unit. For example, if the lowest level of your organizational hierarchy represents your teams of workers, assign each employee to the appropriate team. Ensure that you enter the contact information for the employee. This is used as the contact information for the supervisor in the app.Ensure that you enter an email address for the employee. This is used as the supervisor’s user name. The email address of the employee must be unique. You cannot use the same email address for more than one employee.

Note:

If you change the email address of an employee, the existing mobile user is deleted and a new mobile user is created with the new email address as the user name.

Enabling access to FieldMaster TechnicianIf the supervisor is also to have access to FieldMaster Technician, ensure that you enable access to FieldMaster Technician first, as described in the FieldMaster Technician Administration Guide, before enabling access to FieldMaster Supervisor.

Enabling access to FieldMaster Supervisor1 Click the Administration tab, and then click Users > User Administration.2 Click Edit/Delete Users to open the following page:

At the bottom of the page, the total number of supervisor licenses is shown as well as the number of licenses that have already been enabled.

3 Check that the user is associated with an employee.If the user is associated with an employee, the employee ID is displayed in the Employee ID column. If not, you must first associate the user with an employee by editing the user and adding the employee ID.

4 Select one or more users in the list (up to the limit of the available licenses) and then click Enable.

Note:

Ensure that the user has a valid email address. This is used to notify the user. The email address of theuser must be unique. You cannot use the same email address for more than one user.

5 Click OK to confirm that you want to enable FieldMaster Supervisor for the selected users and send a notification email to each user’s email address.

If the mobile user credentials are already registered, the License Status changes to “Enabled” immediately. Otherwise, the License Status changes to “In-Progress” while the mobile user credentials are being registered, and then to “Enabled”. When access has been enabled, by default the Supervisor Role is assigned to the supervisor’s user. This role enables the mobile users to log on to FieldMaster Supervisor and to use all the functionality in the app. If you have set up a different default user role for FieldMaster Supervisor users, that user role is assigned to the supervisor’s user instead. A notification mail is sent to the supervisor’s email address.If any system error occurs while the mobile user credentials are being registered, the License Status will change to “Failed”.

Role capabilities for FieldMaster SupervisorThe following table describes the role capabilities that enable the FieldMaster Supervisor functionality.

1 Click the Administration tab, and then click Users > User Administration. 2 Click Edit/Delete Users to open the following page:

3 Select the users for whom you want to disable access, and then click Disable next to Supervisor at the bottom of the page.This removes the supervisor licenses from the selected users. The mobile user credentials are not deleted if the user has other app licenses, such as a license for FieldMaster Technician.

View Safety Scorecard

Allows the user to access the Safety Scorecard screen.

View Travelled Path

Allows the user to access the Travelled Path screen, from which the user can view the path taken by a technician.
