License ManagementThe licenses for Cisco Unity Connection are managed by the Prime License Manager (PLM) server. To usethe licensed features on Unity Connection, the valid licenses for the features must be installed on the PrimeLicense Manager (PLM) server and Unity Connection must communicate with the PLM server to obtain thelicenses. The PLM server provides centralized, simplified, and enterprise-wide management of user-basedlicensing.

Limitations and considerationsSpeechView is not supported in Cisco Hosted Collaboration Solution.

In Cisco Unity Connection the user license enables all features except SpeechView and SpeechViewProfessional.

HTML-based intelligent notificationHTML (Intelligent) Notifications are the mark-up notifications that are delivered through SMTP. They enableboth customization and direct message access and control.

The HTML (Intelligent) notifications:

• Empower the users to customize message notifications, add company disclaimers, or display companylogos. They can make notifications match the company culture, look, and feel.

• Enable the users and the administrators to provide a unified messaging experience to their users withoutthe need for Microsoft Exchange integrations or in the case of other email clients, such as Gmail orDomino, the need to deploy third-party products or tools.

The HTML (Intelligent) notifications are easy to deploy, customize using templates, and email neutralnotifications. They can provide actionable links to the specific messages as well as dynamic icons or imagesthat display real-time status of messages such as unread, read, and deleted.

Unlike text-based SMTP notifications, the HTML (Intelligent) notification functionality allows you to listento your voicemail by clicking a link. These actionable links, embedded in the notification, launch the MiniWeb Inbox client browser-based application to play the voice message. This means that the HTML (Intelligent)notification is also an alternative to traditional UnifiedMessaging and IMAP email client integrations. HTML(Intelligent) notification not only supports Exchange, but Domino and Gmail as well.

Populating voice messages in the Exchange folderCisco Unity Connection has the option of maintaining a sent items folder on the Unity Connection server.The voice messages are available via the Telephone User Interface (TUI) conversation or the sent items folderon the Web Inbox.

With Single Inbox deployments with Exchange, the Connection server now populates the Exchange SentItems folder with a copy of any message that is sent from a subscriber regardless of the interface from whichthe message was sent (TUI, Web Inbox, ViewMail for Outlook (VMO)). Messages are not synchronized andthere is no tie between the message in the Sent Items folder on Exchange and the messaging the Sent Itemsfolder on the Connection server.

Full E.164 formatted extension supportFor international calling Cisco Unity Connection supports the E.164 phone numbers, that is, phone numberscan use the "+" character to represent the international dialing access code that is needed to reach a destinationfrom different countries.

Cisco Unity Connection supports the primary extension of an end user account (user with a voice mailbox)in the E.164 format. If the two users have same numeric extensions, one extension is with "+" character andanother without "+" character, such entries are considered as duplicate entries. For example, +1 408 526 4000and 1 408 526 4000 are treated as one extension only in the same partition. The users can sign in with orwithout "+" as a prefix into their voice mailbox over TUI. If the phone system does not support "+" character,the user with E.164 formatted extension can sign in without specifying the "+" character.

Visual Voicemail on the 8961 and the 99xx IP series phone supports E.164 formatted extensions allowingusers to view, listen, compose, forward, delete, and respond to voice messages. In addition, the users can signin with "+" prefix numbers to their Visual Voicemail.

The E.164 formatted numbers are supported for 89xx and 99xx IP series phones. The 79xx series IP phonesdo not support the "+" character and the Visual Voicemail functionality.

For international calling, Cisco Unity Connection supports the E.164 phone in the following:

• Primary extensions for the end user

• Transfer extensions for the end user

• System Call Handler Extensions

• Directory Handler Extensions

• Interview Handler Extensions

• Trap Calls with the E.164 extensions are supported through the following clients

Limitations and considerationsUnlike in Cisco Unified Communications Manager, you do not need to add the escape character ("\") in frontof the "+" character in the phone number field. If you search for a user with E.164 formatted extension, withoutgiving "+" character with search condition as "exactly" then Connection will not be able to search the user.

Cisco Unity Connection APIsCisco Unity Connection now supports the Cisco Unity Connection Imaging Interface (CUII) API that providesthe ability to view message state and mailbox information visually using graphics icons. The following liststhe features provided by CUII API:

• Ability to retrieve the message status

• Ability to get the message-specific information

• Ability to retrieve read messages count

• Ability to view the MWI status and the corresponding image

The Cisco Unity Connection Provisioning Interface (CUPI) API has been expanded to include access foradministrator whenworking on the HTMLnotification templates and devices. CUPIAPI includes the following:

• Read/write access to the HTML notification templates

• Read/write access to the HTML notification devices

• Read/write access to the custom variables

• Read/write access to the custom graphics

• Read/write access to the administrative replaceable images

• Queries on collections of objects include a total count of objects

• Full access to class of service settings, schedules, user alternate names, unified messaging services(formerly called external services), private lists, user templates, and routing rules

• Read access to ports and port groups

• Read/write access to MWI On/Off codes

• Read access to cluster system settings

• Read/write access to alternate names for distribution lists

• Ability to import LDAP users

• Ability to import users fromCisco Unified CommunicationsManager on a Cisco Business Edition server

The CUPI API includes access for individual users when configuring an HTML notification device. CUPIfor users includes the following:

Support for Microsoft BPOS-dedicated environmentsIn Cisco Unity Connection you can configure Unity Connection to synchronize voice messages in a UnityConnection user's mailbox with the user's Exchange mailbox that is configured on a Microsoft BusinessProductivity Online Suite (BPOS Dedicated) environment. This support is provided only on the BPOSDedicated environment, not on the BPOS Standard environments.

Options available for footerCisco Unity Connection allows you to choose options that play in the footer information that follows amessage.The footer information includes the sender information, extension or ANI, and the message number, in additionto the time the message was sent and message duration. Connection can play all, none, or a combination ofthese options.

To configure the footer information after message playback, select the applicable options in the After PlayingEachMessage, Play settings on the PlaybackMessage Settings page. The options can be configured for a usertemplate or an individual user, or by using the Bulk Edit utility in Cisco Unity Connection Administration.

Mark messages as privateCisco Unity Connection provides three sensitivity options for messages that are left by outside callers. Withthe Mark Normal option, all messages left by outside callers are marked Normal. With the Mark Privateoption, all outside-caller messages are marked Private. With the Ask Callers option, Connection asks outsidecallers whether to mark their messages Private.

Set message sensitivity for outside-caller messages on the applicableMessage Settings page for a user templateor an individual user, or by using the Bulk Edit utility in Cisco Unity Connection Administration. TheMessageSensitivity options also are available on the applicable Message Settings page for a call handler template orindividual call handler.

The default setting is Mark Normal.

Remove prior introductions when forwardingWhen users receive a voice message that has been forwarded one or more times and that contains one or morerecorded introductions, they can choose to have those prior introductions removed when forwarding theoriginal message. Users can still add their own voice introductions after choosing to remove prior voiceintroductions. However, the content of the original voice message cannot be removed or altered.

Enable this feature by assigning a key to the Forward OriginalMessage action on theMessage Header, MessageBody, Message Footer, or After Message Action tabs in the Custom Keypad Mapping tool in Cisco UnityConnection Administration. By default, no keys are assigned to this action. To forward a message and retainall prior voice introductions, users use the key that is assigned to the Forward Message action. Forvoice-recognition users this feature is automatically enabled by saying, "Forward the original message."

Users can remove prior introductions to voice messages, but this feature may not work for messages that aresent to or from sites that are networked, such as using Voice Profile for Internet Mail (VPIM). In addition,prior introductions can be removed only for touchtone and voice-recognition conversation users, and VisualVoicemail users.

Automatically advance to next messageYou can set Cisco Unity Connection to automatically move to the next message in the message queue withoutrequiring the user to perform any action in the After Message menu options. When this setting is enabled andinvoked, Connection waits for the time that is set in the Wait for First Touchtone or Voice Command settingon the Phone Menu page to wait before playing the next message. In addition, the Times to Repeat MenuWhen User Does Not Respond setting on the Phone Menu page for menu retries does not apply.

Note that if a user is in the new message stack, the messages are marked as saved when automatic advance isinvoked. Messages are marked as-is in the other message stacks.

To set automatic advance, check the Automatically Advance to the Next Message check box in the AfterPlaying the After Message Menu option on the Playback Message Settings page. The option can be checkedfor a user template or an individual user, or by using the Bulk Edit utility in Connection Administration. TheAutomatically Advance to the Next Message setting can be enabled for touchtone and voice-recognitionconversation users.

By default, the Automatically Advance to the Next Message check box is unchecked.

Prompt users to record introductionsYou can set whether Cisco Unity Connection prompts users to record introductions when they forwardmessages. By default, Connection prompts users to record introductions when they forward messages.

To disable the default settings, navigate to the System Settings > Advanced > Conversations page in CiscoUnity Connection Administration and uncheck the Prompt User to Record an Introduction When ForwardingMessages check box. Users may choose to record an introduction later, before sending the message.

The prompt to record introductions when forwardingmessages applies to both touchtone and voice-recognitionconversation users.

Reply all when number of recipients exceeds maximumWhen a message is sent to multiple recipients or distribution lists, recipients have the option to reply-all. Youcan configure Cisco Unity Connection to warn users when the number of recipients exceeds the number thatis specified or where there is a distribution list present.

By default, when a user replies to all recipients of a message, Connection does not indicate to the user howlarge the recipient list is. To set the maximum number of recipients, enter a number in the Maximum Numberof Recipients before Reply-All Warning text box on the System Settings > Advanced > Conversations pagein Cisco Unity Connection Administration. The settings for reply-all recipients of a message can be configuredfor touchtone and voice-recognition conversation users.

Advanced setting for intrasite networkingNew advanced settings allow you to customize the behavior of the Unity Connection Digital NetworkingReplication Agent, which is responsible for pushing information about changes in the local directory to otherlocations in a Unity Connection site, and for updating the local directory with information about changes tothe directories of other locations in the site. The new settings are intended for use by large sites that may needmore flexibility in how and when replication occurs. The settings are configured in Cisco Unity ConnectionAdministration (System Settings > Advanced > Intrasite Networking).

Message announcement - multiple recipientsAnnouncing when a message had been sent to multiple recipients The Unity Connection conversation canbe customized so that when a message is sent to multiple recipients, Unity Connection will announce that factto the user before playing the message.

By default, this setting is disabled. To enable the setting for users of both the voice-recognition and touchtoneconversations, check the Announce in Message Header Whether Message Has Multiple Recipients check boxon the System Settings > Advanced > Conversation Configuration page.

Listing recipients while listening to messages Unity Connection can also be customized so that users canhear a list of all of the recipients of a message. By default, users who are enabled for voice-recognition canhear a list of message recipients by saying "list recipients" while listening to the message header, body, footer,or after-message prompts.

By default, this functionality is not enabled for the touchtone conversation, and must be configured by usingthe Custom Keypad Mapping tool. Depending on how you configure the key mapping, users can hear the listof message recipients when they press the applicable key while listening to the message header, body, footer,or after-message prompts.

Application and database audit loggingApplication audit logging and database audit logging are features that allow you to track configuration changesto the Unity Connection system in separate audit log files.

Application audit logging reports configuration changes for Unity Connection Administration, Cisco UnityConnection Serviceability, Cisco Unified Serviceability, Cisco Unified Real-Time Monitoring Tool (RTMT),Cisco Personal Communications Assistant, and the command-line interface (CLI). It also reports userauthentication events for Connection clients that use the Representational State Transfer (REST) APIs, andreports API calls for clients that use the Cisco Unity Connection Provisioning Interface (CUPI). Althoughapplication audit logging is enabled by default, you can configure it in Cisco Unified Serviceability by choosingTools > Audit Log Configuration. For Business Edition, enabling application logging also causes Cisco UnifiedCommunications Manager to log audit information for Cisco Unified Communication Manager components.

The database logging feature reports changes to the Connection databases. This logging is disabled by default.You also configure this logging on the Tools > Audit Log Configuration page in Cisco Unified Serviceability.In the Database Audit Log Filter Settings section of the page, you can enable database audit logging andspecify the debug audit level as Schema Only, Administrative Tasks, Database Updates, or Database Reads.This audit differs from the Application audit because it logs database changes, and the Application audit logsapplication configuration changes.

The new Audit Administrator role controls which users can manage application and database audit settingsand view, download, or delete logs. By default, the application administration account that is created duringinstallation is assigned the Audit Administrator role. To access the audit logs, use an account with the AuditAdministrator role to sign in to RTMT. In Trace and Log Central, go to System > Real-Time Trace > AuditLogs > Nodes. After you select the node, another window displays System > Cisco Audit Logs. The logs arestored in one of the following folders:

• AuditApp (application)-Created by default. Audit logs are enabled by default in Cisco UnifiedServiceability. If the audit logs are disabled in Cisco Unified Serviceability, no new audit log files arecreated. AuditApp creates one log file until the configured maximum file size is reached; then, it closesand creates a new log file. If the system specifies rotating the log files, AuditApp saves the configurednumber of files. You can view some of the logging events by using RTMT SyslogViewer.

• informixauditlogs (database)-Enabled in Cisco Unified Serviceability under Tools > Audit LogConfiguration. The folder does not display unless the audit is enabled

• vos (operating system and remote support)-Enabled with the utils auditd CLI command. The folder doesnot display unless the audit is enabled.

Limitations and considerationsWhen enabled, database logging can generate large amounts of data in a short period, particularly if the debugaudit level is set to Database Updates or Database Reads. This can result in a significant performance impactduring heavy usage periods. In general, we recommend that you keep database logging disabled. If you doneed to enable logging to track changes in the database, we recommend that you do so only for short periodsof time, by using the Database Updates level.

LDAP integrationConnection now has a more powerful mechanism for converting phone numbers in an LDAP directory intoextensions in Connection. You can add a regular expression (using the regular expression package of the Javalibrary) and a replacement pattern that together convert the phone numbers into extensions:

• The regular expression determines which phone numbers to operate on (for example, phone numbersthat are ten digits long) and the portion of the phone numbers to use as a basis for the extensions (forexample, the last four digits).

• The replacement pattern specifies either to use the values selected by the regular expression or to performadditional operations (for example, prepend an 8).

CurrentlyHCS supports LDAP integration at theUC application level. Unified Communications applicationscan be configured to be either LDAP unaware or aware for synchronization and authentication purposes.

Message aging alertsFor each message aging rule, you can specify whether Connection sends email alerts to users prior to takingthe aging action that is associated with the rule. This gives users time to review and act on the applicablemessages. You specify the number of days between the time that Connection sends the alert and the time thatthe message aging action takes place.

Alerts cannot be sent to users unless the Corporate Email Address field for each user on the Users > Users >Edit User Basics page contains a valid email address. Connection must also be configured to relay messagesthrough an SMTP smart host.

You can customize the text in the email alerts or you can use the default text. The default subject line andbody text are different for the alerts related to each aging rule, and they can be customized separately. Notethat because all message aging policies use the same five rules, if you customize the alert text for a rule, thetext will be the same for any policy that uses that rule. (For example, if you customize the email subject lineand body text for the Move Saved Messages to the Deleted Items Folder rule, that text is used for all alertsthat are sent to users who are assigned to any message aging policy for which that rule is enabled with alerts.)

Message aging alerts can be customized for multiple languages.

Message recording expirationThe Message Recording Expiration feature guarantees that a voice message that is stored on the Cisco UnityConnection server cannot be listened to after it reaches a set expiration date, regardless of whether the messagehas been forwarded to another Connection recipient. Message Recording Expiration is a system-wide setting,and thus cannot be applied to only a subset of users.

You set the number of days after which messages will expire. At expiration, message recordings areautomatically replaced with a decoy recording that says, "The message has expired."

Typically, message aging rules are sufficient for enforcing message-retention policies. Note, however, thatwhen a message is forwarded, the forwarded message is considered a new message and its age is reset. If youare concerned that users may forward messages in an attempt to circumvent the message-retention policy,consider enabling the Message Recording Expiration feature. The message recording and transcription (ifany) expire based on the date that the original copy of the message arrived, regardless of user forwarding.

By default, theMessage Recording Expiration feature is not enabled. You can enable and configure the featureon the Message Storage Settings > Message Aging > Message Recording Expiration page in Cisco UnityConnection Administration.

Run now functionalityCisco Unity Connection includes functionality that allows you to immediately run specified tasks from theTask Definition Basics page. The Run Now functionality is available for the Monitor Disk Space and CheckSystem Configuration tasks.

Note that when you choose to run a task immediately by selecting the Run Now button, it will run in additionto any scheduled task runs that are set up on the Task Schedule page for the task.

When you select the Run Now button, results usually display in the Task Execution Results table very quickly;you may need to wait a short time and then refresh the page to see the results.

Routing rulesCisco Unity Connection has added functionality that allows you to set up separate phone numbers for thevarious conversation styles, and then route users to the applicable conversation by using routing rules.

This approach is particularly useful in cases where users prefer different conversation styles based on thedevice with which they place the call. For example, when calling in from a mobile phone, the user may preferthe touchtone conversation because background noise that is picked up on the mobile phone interferes withthe voice-recognition conversation. But when calling in from an office phone, the user prefers thevoice-recognition conversation.

To do this, set up the required phone numbers. Then set routing rule conditions that are associated with eachphone number by entering the applicable information on the routing rule condition page. Then, in the SendCall To field on the routing rule page, specify the applicable conversation.When the conditions for this routingrule are met, and the user subsequently signs in on that call, the user hears the selected conversation.

Call transfer rules• You can define rules to route incoming calls by caller.

• You can define rules to route incoming calls by time of day.

• You can define rules to route incoming calls by your calendar free or busy status (Microsoft Exchangeonly).

Message file shredding for deleteSome organizations require additional security in the deletion of messages, beyond having users simply deletethem. The Message File Shredding Level setting on the Advanced Settings > Messaging Configuration pagein Cisco Unity Connection Administration is a system-wide setting that ensures that the copy of the messagebeing deleted by the user is securely deleted, by causing the message to be shredded the specified number oftimes when it is deleted.

Unity Connection and Microsoft Exchange synchronizationYou can configure Unity Connection to synchronize voice messages between Unity Connection mailboxesand the corresponding Exchange mailboxes. When single inbox is enabled for a user, all voice messages,including those that are sent from Cisco ViewMail for Microsoft Outlook are first stored in Connection andare immediately replicated to the Exchange mailbox for the recipient. Voice messages appear in the Outlookinbox for the user, alongside email and faxes, and also appear in the Connection mailbox for the user. ForUnity Connection single inbox supports Exchange 2010, Exchange 2007 and Exchange 2003.

by the Connection server. This includes controlling SMTP connections that are used for message notifications,intersite and intrasite messaging, intrasite directory replication, and VPIM. With this change, the existingLimit Number of Simultaneous Client Connections setting has been renamed to Limit Number of SimultaneousIncoming Connections.

Toggle between Touchtone and voice-recognition settingsIn Cisco Unity Connection 8.0, users were able to press 9 to switch from the voice-recognition conversationto the touchtone conversation. In Connection 8.5, that functionality has been enhanced.When the user presses9 while in the main menu of the conversation, the key press functions as a toggle between the voice-recognitionand touchtone conversations. If users are assigned to the voice-recognition conversation and press 9 while inthe main menu, they are switched to the touchtone conversation, and vice versa.

Unified messaging with Microsoft ExchangeIn Unified Connection voice messages are synchronized with the Exchange inbox. MWI and message statusare synchronized. There is support for secure, private messages, mobile client, and calendar integration withExchange 2013, 2010, 2007, 2003. Unified Connection supports the enabling of unified messaging for specificusers or for all users.

Web inboxThe Cisco Unity Connection Web Inbox is a new application that enables users to play, compose, reply to orforward, and manage Unity Connection voice messages by using a web browser. The Web Inbox replaces theMessaging Inbox web tool that was available in the Cisco Personal Communications Assistant in earlierreleases of Unity Connection.

The Cisco Unity Connection Web 2.0 Inbox uses REST-based application programming interfaces (APIs)for functions, it is backward-compatible with HTML v4.0, and it can be deployed as a widget or gadget.

Users access the Web Inbox by going to http://<Connection host name>/inbox.

Users can also access the Messaging Assistant and Personal Call Transfer Rules web tools from the WebInbox. We recommend that you encourage users to use the links in the Web Inbox to access the Connectionweb tools, rather than the Cisco Personal Communications Assistant URL (http://<Connection hostname>/ciscopca). The links in the Web Inbox are "Settings" for the Messaging Assistant and "Routing Rules"for the Personal Call Transfer Rules web tool.

Bulk Administration Tool supportYou can administer more than one object at a time in Unity Connection in the following ways:

• The Bulk Administration Tool allows you to create and update multiple alternate first names and alternatelast names for users and contacts. The new columns are called AltFirstNames and AltLastNames. Tocreate or update more than one alternate name per object, separate the alternate names by semicolons(;). If you use a CSV file that contains the old columns (AltFirstName and AltLastName), the data inthose columns is ignored.

Message access from the TUIThe TUI (Telephony User Interface) is the traditional mechanism in which end users have accessed thevoicemail system. The Unity Connection system prompts are presented to the user. By dialing a button onthe DTMF pad of the phone, users can listen to their voicemail. Cisco has alternate TUI interfaces that canbe loaded to emulate alternative voicemail solutions. This is very useful if Cisco Unity Connection is beingused to replace an existing voicemail solution. The following are some of the features and functions the UnityConnection TUI provides:

• You can play and process messages (repeat, reply, forward, delete, save, mark as new, hear day or timestamp, or skip to the next message).

• You can reverse, pause, or fast forward messages during playback.

• You can control volume and speed during message playback.

• You can pause or resume during message recording.

• You can address messages to multiple recipients.

• You can hear before playing a message that it has been sent to multiple recipients.

• You can be allowed to listen to all the recipients of the message.

•With themessage locator, you can search for messages by caller ID, name, or extension in savedmessages.

• You can record messages and mark them as regular, urgent, private, or secure.

• You can record messages and request a return receipt.

• You can record a live conversation with a caller and have the recording sent to your mailbox.

• You can switch between spelling a name and providing an extension when addressing a message.

•With live reply, you can immediately reply to messages from other users.

• You can access email messages over the phone using the text-to-speech (TTS) feature (for MicrosoftExchange 2003, 2007, 2010, 2013, Office 365 and Office 365 Wave).

•When TTS is enabled, a conversation tells you if the message has attachments; when an attachment isin a playable or readable format, the attachment is played or read.

• You can view, listen, respond to, and play back messages using the Cisco Unified CommunicationsWidget for Visual Voicemail on Cisco Unified IP Phones.

• You can access Microsoft Exchange calendar through speech or the TUI.

• You can browse the calendar and accept, decline, or cancel an Outlook appointment.

Speech-enabled messagingSpeech Connect for Cisco Unity Connection, a speech-enabled Automated Attendant for the enterprise, allowsyou to connect quickly with your colleagues using only your voice. The following are the many features andfunctions the Unity Connection Speech Enabled Messaging provides:

• You can speak your voicemail password.

• You can speak dates and times.

• You can use speech commands to play and process messages (play, record, reply, forward, delete, save,etc.).

• You can use speech commands to edit and manage your personal greetings.
