CHAPTER 1

THE PROBLEM AND ITS BACKGROUND

I. Introduction

Established in 1978 by H.E. Sheik Hamad Bin Ali Al Abdullah Al Thani a leading member of the Qatar Ruling family, Rumaillah Services Est. First started out as a small general Contracting and Trading Company.

Throughout the 1980's Rumaillah Services Est. remained a general, small size Contracting and Trading company with it core business focusing on the provision of Storage Systems to it's customers.

In 1992 Rumaillah Services Est. supplied Doha Port with a Gottword GmbH Crane worth QAR 16 million. This transaction positioned Rumaillah Services Est. well for future projects within Qatar.

However, it was only after the appointment of the company's current CEO, Emad Turkman in 1995 that Rumaillah Services Est. grew in size, divisions and projects. Mr. Turkman joining Rumaillah Services Est. from one of its principal suppliers, Dexion Ltd UK, bought with him a wealth of experience having been Dexion's Area Manager for the Middle East.

In 1996, just one year after Mr.Turkman's appointment, the company opened its Interiors Division which today is a market leader in Qatar. At the same time the company set up ‘HS Marketing' its UK Sister Company. This Sister Company has provided Rumaillah Services Est. with high quality products from Europe and the United States of America.

Two new divisions soon were set up. By 1997 the company's Doors and the Motors Divisions were up and running. Both these divisions have proven to be extremely successful and have added to the growing reputation of Rumaillah Services Est. as a centre for excellent customer service.

In 1998 Rumaillah Services Est. developed on Street 49 in the Industrial Area, a facility to accommodate the central warehouse and workshops.

In 2000 Rumaillah Services Est. upgraded its Showrooms which now display most of the company's principal supplier's products. In the same year Rumaillah Services Est. was registered as an ISO 9002 Company.

The year 2002 witnessed the introduction of the Blinds Division which today is successfully incorporated into the Interiors Division. This integration has paid off and Rumaillah Services Est. is renowned for providing customers with the highest standard of workmanship and quality products.

In 2003 Rumaillah Services Est. expanded its divisions even further and was pleased to announce the opening of the company's Maintenance Division. The Maintenance division has already proven to be a success for several commercial and office

buildings, as well as residential compounds. Rumaillah Services Est. is proud to be contributing towards a growing business awareness of preventative maintenance.

Early 2004 witnessed the initiation of a joint establishment between Rumaillah Services Est. and Yape Construction of Turkey, which specializes in Pre-Engineered Steel Building. This establishment has set off to a promising start and Rumaillah Services Est. and Yape Construction are looking forward to many successful construction projects in the future.

January 1st 2006 witnessed the launching of Rumaillah Group Holding as a result of expansions in the recent years.

Each of the companies is operating as a stand alone, aiming to expand even further.The Group has relocated into a modern premises on Salwa Road. Also a purpose built office, store and workshop complex was built on street 23 to house Rumaillah Motors.

Today, the Group is well known in Qatar for it's high standard of workmanship, the quality of it's products and excellent customer service. The group has a large workforce drawn from many countries, and we are proud to say that it has one of the best workforces in the country. Dedicated staff and workers, combined with high quality products have been the key to the company's success in recent years.

The last few years have been the most successful in the company's history where major growth was achieved. After ‘27 Years of Dependable Service' we are looking forward to a bright future.

The group has four companies:

Rumaillah Services WLL

Having been the market leader in Qatar in office partitioning for the last few years with more than 200 major projects including many office Towers, the decision was made to add other entire office interior products into the products range, this is marketed by Rumaillah Services W.L.L and managed by Allvin Monteiro, Deputy General Manager, who is qualified as a BCom in Business Management. Mr. Monteiro personally ensures that each of Rumaillah Services’ projects are designed, supplied, installed and finished properly in a timely manner.

Rumaillah Services W.L.L consists of the following divisions:

Interiors Division Special Products Division Facilities Management Division

Rumaillah Warehouse Equipment WLL

As part of the Rumaillah Group of companies, Rumaillah Warehouse Equipment W.L.L. is dedicated to providing a high quality range of Industrial Doors & Storage Products for use within the warehouse & office environment.

Fronting the Rumaillah Warehouse Equipment team is the General Manager, Cliff Merchant, who has more than 20 years experience in selling quality industrial products within the Middle East during more than 20 years.

Cliff is ably assisted by Hussam Sayyad, the Deputy General Manager, who has acquired an excellent knowledge of the products that we offer via in conjunction with Doors Division.

Rumaillah Warehouse Equipment W.L.L consists of two divisions:

Rumaillah Motors WLL

Rumaillah Services W.L.L. first launched its Materials Handling Division in 1997. Today Rumaillah Motors W.L.L., one of Rumaillah Group companies, represents Crown Equipment Corporation U.S.A., Dossan Daewoo Korea, Hytsu Forklifts China, Exide Technologies UK & AKSA Power Generation Turkey.

Rumaillah Motors specializes in supply, maintenance and repair of the above products. Also available are flexible purchase and Rental Contracts along with spare parts and Preventative Maintenance Programs.

Through Crown Equipment Corporation, Rumaillah Motors is able to offer a wide range of Electrically Powered Warehouse Equipment ranging from Pallet Trucks to High Level Man Up Turret Trucks and Order Pickers cable of handling all load Types.

Through Doosan Daewoo and Hytsu, Rumaillah Motors are able to offer the full range of internal combustion engine materials handling equipment ranging from 1000 kg thru to 15000 kg along with a varying range of fork lift attachments.

Through Exide Technologies, Rumaillah Motors are able to offer a wide range of traction batteries and chargers suitable for all makes and models of electrically powered equipment.

Through AKSA Power Generation, Rumaillah Motors are able to offer a full range of Power Generation equipment ranging from 2.2 to 2200 Kva.

Rumaillah Motors supports its products in the market through a team of fully trained service personnel operating from a fleet of mobile service units and a dedicated workshop facility based in the heart of Qatar’s Industrial Area. Rumaillah Motors aim to provide the highest standard of customer service at a time and place to suit the customer's requirements.

Fronting this exceptional team is Rumaillah Motors General Manager Jim Elliott. Qualified by City & Guilds London, Jim carries with him a wealth of Materials Handling Knowledge gained through 20 years of experience in the industry.

The company specializes in the provision of innovative, flexible and time definite services to ensure that clients remain ahead of their competitors. Rumaillah Logistics is managed by Jayanti Vedi, Customer Service Manager.

It provides global freight forwarding and logistics services in the following industry sectors:

II. Nature of the Problem

The current Sales and Inventory System maintained by encounter the

following problem.

1. Retain using the old procedure system for inventory.

2. Late of implementing ERP (Enterprises Resources Process) system.

3. Insufficient knowledge for the associates to conduct a necessary way of

inventory.

A. Scope

The proposed project will include the following function.

To be more updated in making inventory they need to be broader in a new

system which could help them better.

To be more well organized all the purchase orders should encode to ERP

system for the facile inventory.

To manage the whole operation, associates should be more well know

ledged and trained using all the specific system that they are

implementing.

B. Objectives

The Sales and Inventory System maintaining the following

solution.

1. Developed bookkeeping the record-keeping aspect of accountant.

The process of identifying, measuring, recording, and communicating

economic information about an organization or other entity.

2. Hired programming analyst to train associates proficiency.

III. Data Gathering

To gathered important information pertaining to the current system, the

following data gathering methods were employed with Mr. President. To pursued

compensations, to financial record and statements in the company.

IV. Observation (please sea me! I want to clarify things here)

In there current Sales and Inventory System using appropriate computer technology.

Company also existing audit, inspection and verification of the accuracy of financial

records and statements. Private businesses and all levels of government conduct

internal audits of accounting records and procedures. Internal audits are conducted by

a company’s own personnel to uncover bookkeeping errors and also to check the

honesty of employees.)

A company that trades stock on a registered stock exchange or is preparing to

issue new shares of stock must submit to an external auditor. This company is known

as publicly traded company. An external auditor is used to give the public a true

statement of a company’s financial position. It is made at least once a year by public

accountants who are not regular employees of the company. The auditor makes sure

that the company has followed proper accounting procedures in its financial records

and statements. They compare the current financial statements with those of the

previous year to determine whether the statements are calculated consistently.

CHAPTER 2

THE FEASIBILITY STUDY

A. Technical Feasibility

As based on the gather facts, the group out that implementing

computer technology to the company sales and inventory system is highly

feasible. The company does their job of the certain time to avoid delay

distributions of orders. The company maintained single-entry system of sales

and inventory system.

The company works as one. The groups noticed that their services are

good. They give ‘their best service to serve their customer better. They deliver

the product timely and their transaction processing. After they satisfy their

customer it is expected that their customers will be their agent to recommend

their company in their friends.

CHAPTER 3

PRESEBTATION OF DATA, SYSTEM ANALYSIS AND SYSTEM DESIGN

A. The Current System

a.1. Narrative Description of the Current System

To advertise the products the company send business proposal

to their prospective to customer. Customers visit their site to check the

quality of products. Once the products meet their standards, the

customer then approves their, business transaction is then initiated.

The next methods are as fallows.

The company sends a permission letter to the governor of the

Zambales. To inform them about the mining in their place and all the

trucks carrying aggregates that will pass in their place. After the

governor agree to their transaction. The company will start mining.

The customer buys Boulders and Sand. They will put it in their drill to

break the rocks into small pieces, then put it in bags and ready to be

delivered and distribute to the customer.(not concern)

The company assign, stockholder to processing receiving

products and issuing new products stocks. Submitted to auditor, to be

proper accounting procedure in its financial records and statements for

every transaction. Auditor also assign to process, distributing of the

products and deliver to appropriate customers in specifics areas.
