 A. Area Summary Update (Note: No changes since last meeting) – 

1. Original Base Bid Ed Spec Area = 81,103 GSF 2. All co‐located spaces have been removed from the scope of work. 3. Original Add Alternate Ed Spec Area = 23,454 GSF 4. Total Base Bid + Add Alternate Ed Spec Area = 104,557 per original Ed Specs 

Current Total Base Bid Floor Plan Area = 79,474 GSF Current Total Base Bid + Add Alternate Floor Plan Area = 101,173 GSF 

5. There  are  now  four  program  space  add  alternates  –  Greenhouse,  Parks  &  Rec  Gym, Alternative Specialized Program, and Middle School Wing included in the design. The future capacity  wing  is  still  being  designed,  but  only  for  future  master‐planned  use.  It  will  be developed as a separate set of drawings and will not be permitted or bid at this time.  

B. Budget Update –  1. Total Project Budget (including soft costs) = $46,959,762 2. Total Site, Testing, & Construction Budget = $37,070,262 3. Beth  shared  her  latest  budget  sheet  update,  which  shows  $38,323,011  for  building, 

$48,154,392 total. This is being submitted for request but still needs final approval. 4. Latest  cost  estimate  puts  the  base  bid  at  $37,178,302.  Eight  Add Alternates were  priced, 

totaling  an  additional  approximately  $6,600,000.  Dustin  has  proposed  some  Value Engineering ideas, which are being evaluated. 

5. VE Items have been evaluated and the accepted items will be incorporated into the CD set.    

C. Schedule Update – 1. Overview of proposed schedule updates. Town of Walkersville Planning Commission Hearing 

appearance has been postponed to April 23rd however CD BoE presentation and submission to the State will continue as planned. A workshop has been scheduled with the Walkersville Planning Commission  for Tuesday, April 9. The overall  schedule will need to be updated after the workshop and hearing depending upon the approval timeline. i. CD Approval was received from FCPS BoE on March 27, 2019.  Design Team is planning 

to make the CD submission to the State on April 2, 2019. ii. A Community Meeting at Walkersville MS for April 2, 2019.   We will review building 

plans and elevations.  We will not present the proposed site plan since this is still under review by the Town and the County. 

 D. LEED Update – Design team is working on documenting assigned credits. 

 E. Summary of Activities for the past Two Weeks –  

1. Continued to work on site plan updates and coordination with review agencies. 2. Continued work on drawing updates and consultant coordination.

A. The Public Meeting  tentatively  scheduled  for  Feb 5  at Walkersville Middle  has  been postponed pending further review of the site plan by the Town. The public meeting has been rescheduled for Tuesday, April 2nd.  

33.2 Site Design  

A. Adtek has submitted a  revised Site Plan  to  the Town of Walkersville.    The  revised plan  includes closing off Maryland Avenue, a concrete swale to convey off site stormwater from Maryland Ave to the northwest corner of site by the railroad tracks, and elimination of the proposed new Middle School parking/drop‐off entrance at the east end of W Frederick St.  Access to the existing parking area behind the Middle School and both schools’ loading areas will all be routed through the existing bus loop entrance at W Frederick St, which will become the only access point for the new Middle School drop‐off loop and associated parking. 1. Design team received comments from the Town engineer on 03/22.  Due to the extent of the 

comments  and  the  absence  of  the  Planning  Commission  Chairperson  and  the  Town  of Walkersville Planner at the 03/26 Planning Commission hearing it was decided to move our hearing to the 04/23 hearing.  The design team has also requested a workshop on 04/09 to work through open items and resolve prior to the 04/23 hearing. 

 33.3 Building Design   

A. Lighting Control Zones Review – Reflected Ceiling Plans with the proposed control zones  labeled were provided for review. 1. Typical Classroom – revise for three control zones; 1) Back half of classroom behind the main 

room  divider  curtain,  2)  Teaching  Wall  (first  three  lights)  and  3)  remainder  of  lights  for Classroom Control. 

2. Dining – Light zones as shown on Alban drawings are acceptable.  Mary requested shades be provided  on  the  low windows  along  the  East wall  to  facilitate  room  darkening.    PAA will confirm with Dave Yates whether a Daylight Zone will be required on the Courtyard side of this space. 

3. Gymnasium and Platform light zones are all acceptable. 4. Specialty Classroom zones are acceptable (Music, Maker, Tech Lab). 5. Media Center – revise for three separate zones at 1) Teaching Area, 2) Stacks and 3) Computer 

area. 6. Shared Learning – revise for a separate zone at the first row of lights in front of the teaching 

wall. 7. PAA will send revisions to Dave Yates at Alban for incorporation into the drawings. 

 B. Room  Signage  Graphics  and  Design  Theme  Updates  –  Kori  provided  a  graphic  showing  the 

proposed room signage design from BMG for review. See attached.  1. Each  sign has  three  segments  –  the  top will  have  a  consistent material/color  that  can be 

selected for use throughout the building. The center segment can have the Rock Creek School logo. On the bottom segment, each wing will have a different color and area symbol: Specials and Commons to be blue = water drop, Green wing = leaf, Purple wing = paw print, and Yellow

wing  =  sun. Mary will  review  and  provide  a  final  determination  regarding  symbol  for  the Orange wing = monarch butterfly or oriole. 

2. A Directory Sign is currently only planned for the Commons area, however some directional signage at other areas of the school – major intersections ‐ calling out directions back to the Main Office and to other public spaces was requested. The design team will provide some suggestions.  

C. Kori noticed during a recent visit to Sugarloaf Elementary that an illuminated exterior FCPS logo sign was  provided  outside  of  the  gymnasium area.  Brian will  provide  direction  as  to whether something  like this should be  included at Rock Creek. He will also advise whether any signage needs to be provided on exterior doors around the building directing visitors to check in at the main office.  

D. Flaghouse is currently working on plan updates for the Sensory Room equipment. Updated plans will be shared once received. 

 E. Mary stated that a separate small lockable narcotics storage cabinet like the one presented by 

BMG  is not  required at  the Health Suite.  Lockable base and wall  cabinets will  be adequate.  If possible, some tall lockable storage can be provided. The school will also bring over their existing mobile medical supply cart for additional storage. 

 F. The Health Suite has an undercounter ice machine.   Matt warned that other jurisdictions have 

required  the  ice maker be  connected  to an open  floor drain,  sometimes  slightly  raised above finished floor, which makes it difficult to fit the drain and ice machine in the available space.  PAA to confirm requirements with Alban and AHJ as needed. 

 G. Some samples of  the proposed poured‐in‐place Pulastic gym flooring were shared. The school 

asked whether it is able to be repaired if it is damaged and whether tape can be used to mark off lines on the floor. Dustin reported that the flooring is easily repairable and that a special Game Line tape can be used to provide markings as needed. 

 33.4 Two Week Projection  

 

A. Workshop  site  plan  comments  with  Town  of  Walkersville  and  revise  for  Planning  Commission Hearing.  

B. Finalize documents to be submitted to the State.  

The next meeting is to be held on Thursday, April 11th at 9:30 AM at the Rock Creek School. The meeting topics are to be determined. As we move toward completion of construction documents, we may trade the large bi‐weekly committee meetings for smaller group focused meetings as needed.  This summarizes the topics discussed at the meeting. Please review and address any comments and corrections to the Architect within 5 days of receipt of these minutes.
