Who should read this Fact Sheet?

• If you are involved with adding/updating property information on your web site.

1.0 Maintain Your Listings

To access the Listings module:

1) Login to MyDesktop 2) Click on Find A Property tab as shown.

2.0 Add A Property

Example: Let’s add a property into MASCOT NSW and have it advertised on our web site, domain.com.au, realestate.com.au and property.com.au

1) Select Add New Residential Listing from the pull-down menu and click Go button as

shown below:

2) Specify the Postcode for your suburb and click List Suburbs button. If you do not know the postcode of the property you wish to add, simply click the Find Postcode button.

3) You will be presented with a screen as shown below:

The sections below, relate to the sections on-screen.

2.1 Visibility

Many agents have found the benefit of adding their appraisals into MyDesktop. This allows you to perform a Buyer Match – showing a prospective vendor the level of interest in their property. To classify a property as an appraisal, tick the Appraisal checkbox.

A property classified as an “Appraisal” will not be displayed on any web sites. Alternatively, if you have the listing, load the property advertisement far and wide! Depending on your agency subscriptions, you can send the property to domain.com.au, realestate.com.au, property.com.au etc. Simply tick the appropriate checkboxes.

2.2 Property Address

Street No, Street Name Please ensure you specify a street address on ALL properties – even if you plan to hide the street address from public view. Suburb Based on your postcode selection, a list of suburbs will be displayed Type Choose from either “For Sale” or “Under Offer” Reference ID If you plan to hide the property address (see Address Visibility), the “Reference ID” can uniquely identify this property on your web site. Address Visibility You have the option of:

Hiding the address (if so, please ensure a Reference ID is defined) Show Full Address Show only the Street Name and Suburb Show only the Suburb

The “Show Street Name and Suburb” option may not be compatible with third

party sites such as domain.com.au and realestate.com.au. In such cases, the advertisement will revert to “Full Address”

2.3 Price

Here are two examples on how to use this feature: Example 1: If you wish to specify “All Offers Over $600,000”

If the “Price Upon Application” is not ticked, the property will be searchable via price range and the “All Offers Over $600,000” will appear.

If the “Price Upon Application” is ticked, the property will be searchable via price range, but the price will be hidden from the public.

Example 2: If you wish to specify “$600,000 - $610,000”

If the “Price Upon Application” is not ticked, the property will be searchable via price range and the “$600,000 - $610,000” will appear.

If the “Price Upon Application” is ticked, the property will be searchable via price range, but the price range will be hidden from the public.

2.4 Auction/Tender

Clicking on the Calendar icon (circled in red) opens a popup calendar allowing you to select a date.

You must also specify a time for your auction.

2.5 Property Features

Simply tick the boxes applicable to the property. If a feature is not available, you may specify additional features as shown below:

Description MyDesktop supports an unlimited quantity of text. You also have the option of using “Text Effects” such as bullet lists – for further information refer to “Fact Sheet: Text Effects”.

Don’t forget to click on the Check Spelling button. This will check the spelling of your Description and make suggestions on any misspelled words. SMS Text Using the Mass Communicator module, you may send an SMS message (as detailed by this field) to a list of prospective buyers – informing them about your new listing.

2.7 Attach Photographs/Floorplans You may attach an unlimited number of photos to your property. However, third party sites such as domain.com.au and realestate.com.au do have restrictions on the number of photos they accept. Example: You have taken photographs with your digital camera and have the files (named main.jpg and bedroom.jpg) on your C\: drive. You now wish to attach these photos to the property.

Ensure you add photos in the same order as you would like them displayed on the web site.

1) Click on Browse For Photographs & Floor Plans button as shown below

2) The following popup window will appear. Next, click on the Browse button:

3) Find and open the JPG (JPEG) file which you have previously stored on your computer

4) Once the file is opened you will see the filename specified in the BROWSE box as circled in red below:

• If the photo you are attaching is a floorplan, simply tick the appropriate box.

5) Click on the Upload Image button.

Photos do not need to be any larger than 1024x768 pixels nor exceed

500Kbytes. Ideally, photos should be 180Kbytes in size.

6) Depending upon the speed of your Internet connection (and the size of the photo) attaching the file to your property may take 5 seconds or 2 minutes! When complete, the following window will appear:

7) If you wish to attach more photos (eg bedroom.jpg), click on the Load More Photos button and follow steps 2 through to 6. If you have finished attaching photos, click on Continue button

8) In the sample screenshot above, you can see two photos have been attached to this property. At any time:

• You may attach additional photos by clicking the Browse For Photographs & Floor Plans button

• Change which photo is the Main Photo by selecting a photo in the list and clicking Set Main Photo button

• Remove a photo by clicking Remove button

2.8 Virtual Tours

If you make your own virtual tours or rely on a third party supplier, you can easily attach them to your property. A virtual tour exists as a URL (web address). Simply insert the address (copy/paste) provided by your virtual tour supplier as shown below:

2.9 Rep Details MyDesktop supports one or two reps being assigned to the property.

2.10 Submit Property Details

Click on the Add Property Details button. At this stage, you may:

• Attach Vendor Details – refer to “Fact Sheet: Improving Vendor Communication”

• Perform a Buyer Match – refer to “Fact Sheet: Buyer Matching” • Attach Home Open information – refer to Section 5.0

MyDesktop sends new properties to domain.com.au and realestate.com.au hourly (property.com.au is nightly). However, sometimes, these third party sites may experience delays from 1 to 4 hours.

3.0 Edit/Update A Property

To Edit a Listing – use the Find A Property tool (refer to Section 1.0): 1) Search for the property, or scroll down and view current (active) listings. Once you have

found the property you wish to Edit, click on Edit/Remove link as shown below

2) The property details will then be displayed – similar to if you were Adding the property (refer to Section 2.0)

3) When changes have been made click on the Update Property Details tab.

MyDesktop sends property updates to domain.com.au and realestate.com.au hourly (property.com.au is nightly). However, sometimes, these third party sites may experience delays from 1 to 4 hours.

4.0 Sell/Withdraw A Property

1) Follow the steps as if you were Editing the property (refer to Section 3.0). 2) Click on the Sold/Withdrawn button as shown below:

3) If you are Withdrawing the property from sale, simply click the Withdrawn From Sale

button. Alternatively, specify a sale price, date, then click Set Sale Price & Remove button.

4) The property will then disappear from the web sites that MyDesktop loads to (domain.com.au,realestate.com.au, property.com.au etc).

MyDesktop sends property removals to domain.com.au and realestate.com.au hourly (property.com.au is nightly). However, sometimes, these third party sites may experience delays from 1 to 4 hours.

At any time, you can re-list a previously sold/withdrawn property. In the “Find A

Property” tool, choose a category of “Sold/Withdrawn” and you may then re-list the appropriate property.

5.0 Attach Home Open Information

1) When you have added (or editing) a property, the Home Open tab will be displayed as shown below. Click on this tab to activate the Home Open Manager.

2) The following popup window will appear. Click on any of the calendar icons to allow you to select the day of the Home Open.

3) You may enter up to 9x Home Open times.

4) When you are happy with the times, click on the Save Home Opens button

MyDesktop will automatically remove Home Open times as they expire. For example, if you specify a Home Open for Saturday 3 January 2004; then on Sunday 4 January 2004, the Home Open will be removed.

MyDesktop will store the Home Open times in the rep’s MyDesktop Calendar. For

further information Refer to “Fact List: Using The Calendar”.

5) A summary screen will then appear. Click on the Close button

Things to Note:

• Adding a listing is no different to adding a rental or commercial property.
