ACCESS TO THE EXHIBITION TERRITORY

Exhibitor passes: Exhibitor passes are required to obtain access to the exhibition pavilion. One pass shall be

issued per 4 sq.m. of an indoor area and per 8 sq.m. of an outdoor area.

Additional passes may be ordered using Form 9A.

Exhibitor passes (badges) can be received at the Organizer’s stand, starting October 27, 2018.

Please note that on the first day of exhibition assembly, October 27, 2018, before the Organizer's stand will be

constructed, Organizer’s representative with exhibitor passes may be also found there in pavilion 7.

Attention: construction personnel must also have passes to enter the pavilion. Any exhibitors renting raw

exhibition space (without stand assembly) shall provide their personnel with passes obtained from the

Organizer in advance, based on the list provided (Form 9A).

POWER OF ATTORNEY

In order to receive any documents, passes, etc., you should have power of attorney received based on Form

10A.

ON-SITE ORDERS

Orders for additional equipment received on October 29, 2018 and later shall be accepted based on applications

with payment guarantees addressed to ACS-EXPO, Ltd. (Stand of Organizers).

The cost of additional equipment ordered during the exhibition assembly days, operation and disassembly will be

increased by 100%.

NOISE LEVEL

Participants are advised not to make loud announcements and presentations or use music louder than 75

decibels as it may interfere with the work of the neighboring stands. In case this rule is violated, the Organizers

retain to ban such an event.

SECURITY

Area rent includes the cost of general pavilion security. To ensure safety of the exhibits not protected by display

windows or cases, exhibitors may order individual security for their stand and/or ensure that their employee is

present at the stand from 8 to 10 a.m. and from 6 to 8 p.m. during the exhibition operation period, i.e., before

opening and after closing of the pavilion for visitor attendance. From 8 p.m. to 8 a.m. the pavilion is sealed and

the alarm system is activated.

CLEANING SERVICES

Please note that the area rent cost includes only general cleaning of the pavilion. Should you require the cleaning

services for your stand, they may be ordered additionally.

CURRENCY EXCHANGE

Foreign currency can be exchanged at Service Bureau, which is located at the Administrative Building of the

Expocentre (see Tel. number on page 4).

Please note that you must have a power of attorney (Form 10A) in order to receive the closing documents

(the invoice original, Statement of Acceptance of Completed Services and the Exhibition Areas and the

Contract). The documents shall be issued on the second and third days of the exhibition operation at

Stand of Organizers. ACS-EXPO, Ltd.

Attention! In addition to the exhibition services listed below in this Exhibitor’s Manual, we are ready to assist you

with the following issues, if necessary:

- organization of seminars, presentations and other informational and promotional events;

- providing the necessary equipment and structural elements for your stands;

- rendering the services of: stand assistants, translators, cleaners.

We kindly ask you to notify the Organizer, ACS-EXPO Ltd., of your requests and needs in advance!

The companies renting outdoor fairgrounds must occupy their places on October 29, 2018, except for those who

have ordered additional assembly time.

have a pass and a passenger car.

Removal of all exhibits and disassembly of the exposition.

The Exhibition will be officially opened in Pavilion 7 at 10.00 a.m., in between halls 3 and 4, on

CONDITIONS FOR PLACEMENT OF INFORMATION AND

PROMOTIONAL MATERIALS

According to the General Conditions of Participation in Autocomplex, each registered participant of the exhibition will

provide the following information to be published in the official printed catalogue: company name, address, phone, fax,

e-mail, web address, and brief a description of the company’s profile not exceeding 75 words. Any information

exceeding the mentioned scope and any logos or advertisements shall be paid for additionally according to Forms 1A,

ЗА.

Logos shall be printed in black-and-white. If you choose to print your logo, it should be sent along with the text.

The application form should be filled out in a Microsoft Word document, or in block letters, otherwise the catalogue

PUBLISHER shall not be liable for any deviations or errors. The completed application form shall be sent by fax at (495)

900-10-92 and e-mail: [email protected] or [email protected] not later than August 3, 2018.

Attention! If your application is sent after August 3, 2018, the Organizer cannot guarantee that the information

will be included in the Official Catalogue.

The Official Catalogue is a reputable reference tool for professionals, investors, owners of filling stations and

vehicle service facilities. The Catalogue will be given to each registered exhibition visitor.

You may order advertisements for your company by filling in Form ЗА.

The catalogue of participants of the exhibition includes two languages, Russian and English.

The A4 edition format, paper coated (a cover - 250 g/sq.m, the block -130 g/m2).

Size of advertising modules:

strip of 210 *297 mm (+5 mm from each party);

V2 strips of 210*145 mm (+5 mm from each party).

Advertising materials are accepted in electronic form in the programs Adobe Illustrator, Adobe Photoshop in the formats

eps, tiff.

All fonts have to be transferred to curves, the color CMYK model in the TIFF format with the resolution of 300 dpi.

The total density of paints shouldn't exceed 320%.

The logo has to be in curves, the model is accepted in the programs Adobe Illustrator CS-CS4, Corel Draw 11-X4, the

eps format, the CMYK model, fonts are transferred to curves.

STANDARD STAND CONSTRUCTION AND EQUIPMENT

The list of equipment for a standard stand is shown on the next page. The equipment and furniture specified in the

list for a standard stand, depending on its area, shall be included in the price of equipped exhibition space rent.

Unused items out of the standard equipment list shall not be replaced and their cost shall not be compensated. A

standard stand must not be higher than 250 cm. The carpet cover for exhibition stands is grey.

Please, draw a plan of your stand (Form 4A) using the standard stand equipment, depending on the stand area. If

you wish to order any additional equipment, use Form 5A with appendices on p. 19 and 20 containing the list of

additional equipment available for rent. Your plan shall be used during construction of your stand. If any standard

stand element is not shown on the plan, it shall mean that you do not wish to use the exhibition equipment, and

in such case no compensation shall be paid.

INSCRIPTIONS AND LOGOS ON FASCIAS

An inscription on the fascia made in standard font up to 10 cm high and not exceeding 15 characters shall be

included in your payment for the equipped area. If your inscription size exceeds 15 characters, each additional

character shall cost 5 Euro.

ATTENTION!

If you delay submission of Form 4A and do not pay in due time for the additional equipment (Form 5A), your

stand shall be assembled based on the standard equipment set.

Any alterations or structural adjustments of the stand and additional equipment orders made after

September 23, 2018 shall be subject to a 100% increase in the cost of equipment and assembly works.

Standard stand assembly package (starting from 12 m2) includes:

- back and side walls;

- conference room (cubicle) 2x2 m

with a folding door;

- fascia with standard company name;

- cost of lighting;

Electrical equipment

CONDITIONS FOR EQUIPMENT RENT:

Compensation and other conditions

In case of equipment loss or damage, the exhibitor shall pay its full cost. Wall panels may be used only indoors.

Wall panels must not be painted, and no decorations can be glued to them. Decorative materials may be

attached to the wall only using adhesive tape, hooks or chains. All decorative materials must be removed from

the wall panels prior to disassembly start.

Supply orders

If any orders for equipment rent are received by the exhibition organizers after the deadline specified in Form 5A,

the prices are subject to the following changes:

Note:

- electricity must be connected only by specialists of Expocentre, AO

- within the stand, electrical installation works may be performed by electricians engaged by the exhibitors or third-

party electricians duly authorized to carry out the said works according to the requirements and the technical level and

with appropriate electrical safety qualifications (at least Group 3 by Russian standards). All electrical installation works

shall be performed in compliance with the applicable Operational Code for Electrical Installations (PEEP), Technical

Safety Rules (PTB), Rules on Design of Power Electric Installations (PUE), RF Fire Safety Rules, and Construction

Norms and Regulations (SNiP). Special requirements called forth by peculiar nature of exhibition events shall be

complied with. All electrical installations and units shall comply with the requirements applicable in the Russian

Federation.

RECOMMENDATIONS FOR EXHIBITORS RENTING UNEQUIPPED AREAS:

An Exhibitor who has paid for renting raw unequipped areas shall be provided only with basic exhibit space. In order

to carry out the assembly and disassembly works, the Exhibitor:

1. The Exhibitor’s installation company shall be accredited with ExpoConsta, Ltd. and shall approve the assembly

and disassembly procedures. Contact details for approval of independent stand construction: ExpoConsta, Ltd.,

General contractor of ASC-EXPO Ltd., Technical Control Department, tel. (499) 795-39-03, fax (499) 795-28-44,

e-mail: [email protected].

2. Mandatory to agree with the Fire Station №160, tel,: +7(495) 259-13-12.

3. Agree on the equipment entry and removal with AO Expocentre and obtain passes for installation personnel.

4. Specify the stand location on the fairgrounds with ACS-EXPO, Ltd.

5. Eliminate any failures occurring at the stand during the exhibition operation.

6. Have its own electric control unit with automatic circuit breaker and its own feeder cable of the required section

and length. The stand shall be connected to the main after stand construction and electrical installation works have

been completed and wire insulation resistance has been measured (at the Exhibitor’s expense).

7. Complete all installation works by 6.00 p.m. on October 29, 2018. All the unnecessary equipment, packaging and

trash shall be removed.

8. When the exhibition is over, the Exhibitor shall vacate the area occupied and remove all the structures and

elements of the stand remaining after the disassembly.

9. If the Exhibitor’s installation organization fails to complete assembly or disassembly by the deadlines established

by the Organizer, the Exhibitor (the installation organization) shall notify the Organizer of the need to extend the

working time and shall pay for overtime.

An Exhibitor who has paid for renting non-equipped areas must not:

- use any equipment, structures (walls) and communication lines of the nearby stands;

- install any structures exceeding the limits of the rented space, such as structures protruding onto or above the

territory of the adjacent stands.
