Exam Voucher System Walk Through The Exam Voucher redemption system allows a course provider to sell a certification exam before it is taken, and to provide a simplified online exam experience to their customers. The voucher is a document distributed to a student that can, at the discretion of the course provider, be used in a formalized proctored environment, or less formally in the convenience of their home or workplace. The document is self-contained, and provides all of the information to get the student into the exam process. The following is a “walk through” of a typical redemption experience. The Starting Point The process of using a voucher begins with the voucher itself. The following is a sample of what one may look like:

The voucher contains three important elements:

1. The information used to uniquely identify this exam. In our system we use two identifiers – the Exam ID and the Exam Key. When more than one identifier is used it reduces fraud, and also reduces the possibility that someone could enter an incorrect, yet valid voucher identity.

2. The redemption instructions. 3. Optionally, an expiration date.

Exam Redemption To redeem a voucher the student must use their web browser to go to the address printed on it. Our system is designed so that the functionality related to verifying the voucher, and directing the student to the exam registration screen can easily be embedded into any web site. For this demonstration, however, our voucher takes you to our web site:

After entering the previously mentioned Exam ID and Exam Key, and clicking the button labeled “Proceed” the system verifies that the voucher is valid, that the exam hasn’t already been taken, and it retrieves relevant facts of interest to the student. This information is then displayed on the screen where the student entered the voucher identity, as in the following:

Understandably, it is critical for us to establish the identity of every student. If the voucher is already “attached” to someone known, it can only be used if that person logs into our system. If the identity of the student using a voucher is not known, the system will still give the student an opportunity to log into our system first. Of course, if they’ve never taken a test with us before, they have an option to register with the exam without logging in:

As a general point of design, we try to keep our screens as simple as possible, and generally avoid displaying a lot of information the student doesn’t need at any point.

Exam Registration After the voucher has been verified, the student has to register an exam. In this step we collect personal information about the student so that we can communicate with them, as well as create a certification record later if they pass the exam.

The information we ask is common, but if necessary we can ask other personal or demographic questions or require additional identification information (such as Social Security Number, Date of Birth, etc.) that may be required by the course provider or a government regulator. The place that an exam is taken is frequently important, so we emphasize that point on this screen as well. You’ll note that if the exam is proctored, at this point the Proctor Number has to be entered by the student. This number, which we assign to valid proctors of a particular exam, is of people designated by the course provider and pre-registered in our system.

After clicking on the button labeled “Proceed” the system verifies that all of the information was completely filled out, and then generates a verification screen:

Not only is what the student entered displayed for them to check, you’ll note that this screen also requires that the Proctor (or testing center employee) “sign” the exam registration before the registration can proceed. This signature is a password that we provide the Proctor, and when affixed provides legal proof that the proctor was there and will be observing that the exam is taken correctly. This signature is stored as part of the permanent exam records that we retain as part of our service. Once the Proctor enters their signature, and the student clicks “Register”, then one of two things can happen: If the voucher was pre-paid, then the student sees a screen with the following message:

If the student does nothing, or clicks the first option, then a screen such as the following will be displayed:

To start their exam, they just click the big yellow button. Alternatively, the student can obtain a list of all of the exams they are registered for by clicking the second option:

This is the same list that they can see every time they exit or re-enter their student portal, until the exam is completed. The exam registration process creates a personalized Certification Manager portal for every student. This allows the student to order certification documents, obtain self-help customer service, and interact with our customer service staff.

If the voucher was not pre-paid, then the assumption is that we are going to collect that payment information. The student receives sees a very different screen:

From here, the student must pay for the exam before they can take it. Clicking the option takes them to the next phase, which is documented starting on the next page.

Exam Payment The exam payment process allows the student to pay for an exam, at the discretion of the course provider. We provide full, SSL encrypted e-commerce services for this, including credit card processing and tax computation and collection. The e-commerce process is well understood, and our system doesn’t vary much from the norm. Step 1 - Verify the Exam Ordered : In this step we present what the student is ordering. Optionally, they can give “credit” by entering a code that was given to them. We will account for these codes, and provide a report to the course provider if this is part of our agreement.

Step 2 – Enter Payment Information : In this step we collect payment information. We can optionally provide accounts receivable/billing services, and support payment with PayPal.

Step 3 – Enter/Verify the Shipping Address : Any certification documents prepared have to be mailed to the student. We verify their address for this purpose.

Step 4 – Enter/Verify the Billing Address : The student can enter a different address for billing purposes.

Step 5 – Review the order : The student has one last chance to make sure that everything is correct before placing their order. This is the point of no return, once the button is clicked then payment will be collected if this is a credit card order.

Step 6 : The Receipt : An order receipt is displayed. This not only provides proof of their purchase, but also present two important links: one to allow them to begin the exam at that point, and the second to take them to the list of exams that is displayed at the bottom of page 6 above.

The Exam At the conclusion of the exam voucher redemption process is the exam itself, whether the exam voucher is pre-paid or not. Our exam system uses industry standard HTML and Javascript to present an exam, which assures that it is compatible across all student platforms, from the oldest PC to the newest smart-phone. Further, our exam system is SCORM compliant, meaning that the information retained is stored in SCORM standard data structures and can be readily transmitted to any SCORM-compliant information system. The exams themselves can be of any size, we support an array of different question types, and we provide course providers a full set of online tools for entering and maintaining their exams. Lastly, you can customize the look of the exam almost completely within the limits of web-browser technology.
