event guidelines The John Joseph Moakley United States Courthouse is an active courthouse in session Monday-Friday from 8:00 AM to 5:30 PM. The building closes to the public at 6:00 PM. The indoor and outdoor spaces of the public realm are available for events, seven days a week. SITE VISITS To ensure that you receive the highest level of service, please schedule an appointment with the Public Realm Events Manager by calling (617) 261-2440, ext. 232. Cell phones, cameras, and other electronic devices will not be permitted during site visits without 24 hours (or one full business day) advanced notice. GENERAL POLICIES & RESTRICTIONS Events must be cultural, recreational, corporate, and/or educational in nature. Personal and commercial events and political fundraisers are not permitted. Full payment along with a signed Revocable License for Use of Space is due 30 days prior to event date. All event applications are subject to approval by the General Services Administration Property Manager. No implications can be made through written materials or media relations that portray the John Joseph Moakley United States Courthouse as sponsor of any event and/or having endorsed any organization hosting or sponsoring the event. The proposed use of the John Joseph Moakley United States Courthouse may not disrupt official government business, damage any property, or intend to influence or impede any pending judicial proceeding. Sound checks are not permitted until 5:00 PM, Monday-Friday. No restriction on weekends. No gambling of any nature will be permitted in or on Federal property, including games for money or personal property, the conduct of any lottery or pool, or the selling or purchasing of numbered tickets. All invited press must be arranged 48 hours (or two business days) in advance through the EMCOR Government Services Office. All press will be required to be credentialed. No media will be allowed above lobby level while court is in session. Mounting of displays, posters, signs, banners, or other decorations must be approved by the EMCOR Government Services Office prior to hanging. No balloons, candles, or open flames are permitted anywhere in the facility or on the grounds. All events must end by 11:00 PM. The service of alcoholic beverages must conclude 30 minutes prior to the event end time. Cellular phones, cameras, and other electronic devices are not permitted in the building Monday-Friday, 8:00 AM to 6:00 PM). Any event over 75 attendees will require additional attendants for a fee. A maximum of 5 individuals per 50 guests may be granted special authorization. GUESTS All guests attending an event are required to show photo ID upon arrival and are subject to Magnetometer inspection before being granted access to facility. Smoking is not permitted anywhere inside the facility. However, guests may utilize designated outdoor smoking areas on Courthouse Way.

EVENT SERVICES

• In conjunction with EMCOR Government Services, Tillinger’s Concierge provides hospitality services

to the public realm of the John Joseph Moakley United States Courthouse. Tillinger’s brings flare for

quality and sophisticated style to corporate functions, galas and award receptions, conferences and

meetings, and other events large and small.

• The Public Realm Events Manager is pleased to provide assistance with coordinating full-scale event

production services including entertainment and keynote speakers, event décor, audio/visual, staging

and lighting design, event branding, and more.

CATERING

• Gourmet Caterers exclusively provides all food and beverage at the facility and its event spaces.

• No food or beverages may be brought into the building or its HarborPark.

• Alcoholic beverages may only be consumed as served by Gourmet Caterers. All services of alcohol

must be in accordance with the State of Massachusetts and federal laws. All guests are subject to

age verification and at no time will minors be served alcohol. Gourmet Caterers reserved the right

to refuse service of alcohol to anyone at anytime. The service of alcoholic beverages must conclude 30

minutes prior to the event end time.

• No food or beverages are permitted in the courtrooms or the Jury Assembly Hall. The Jury Lounge

is available for catering associated with events in the Jury Assembly Hall.

VENDORS

• A list of pre-authorized and approved vendors is available from the Public Realm Events Manager.

• Vendors are permitted access to the Atrium (2nd floor) no earlier than three (3) hours prior to the event

start time.

• Setup on the Upper Galleries is not permitted until 5:00 PM the day of the event (Monday-Friday). No

restriction on weekends.

• All equipment brought into the courthouse is subject to x-ray by security equipment or inspected by

Court Security Officers, can stand no more than ten (10) feet, and must be removed from the facility at

the conclusion of event.

• Setup must be quiet, organized, and not disruptive to the business of the courts.

• No equipment or materials may block doorways, hallways, walkways, or any other public access or

points of egress. Additionally, nothing may be stored in the public space.

• Nothing may be attached to the building interior or exterior.

• Entertainment must observe the integrity of the courthouse.

• Musical entertainment and artistic performers must cease activity 10 minutes prior to event end time.

• All vendors must be approved by EMCOR Government Services, agree to comply with and operate

under the conditions outlined by the John Joseph Moakley United States Courthouse, and provide a

Certificate of Liability Insurance listing required additionally insured: GSA-Boston Courthouse; EMCOR

Government Services; Tillinger’s Concierge, Inc., their affiliates and designees.

MAR K E TIN G

• The use of the courthouse logo or any rights managed images to promote events is strictly prohibited

without advanced approval and written consent by the Public Realm Events Manager.
