History

The Evans Scholars Alumni Association was organized in 1957, when the number of Alumni was a fraction of the size it is today. Due to the growing number of Alumni, the state-based structure no longer adequately represented and engaged the growing, diverse and geographically dispersed population.

A number of factors, which included the significant Alumni population, the considerable role of Alumni in the larger WGA family, the recognition that state geography no longer is an adequate structure to engage Alumni and the belief that we are Evans Scholars “for life,” led a group of ES Alumni leaders and WGA staff to analyze and recommend a change in an effort to better equip, serve and unify this group.

In 2011, with the approval and support from the WGA Board of Governors, a National Board of the Alumni Association was formed with university and regional Alumni sub-Associations.

Purpose

• Build a sense of community and cultivate lifelong relationships between Alumni and the Evans Scholars Foundation

• Achieve greater Alumni involvement in activities and financial participation• Represent the voice for Alumni within Evans Scholars Foundation and Western Golf Association• Guide Alumni leaders to accomplish the overall objectives of the Alumni Association and the ESF

2016 Alumni Association Goals

Continue to strengthen the organizational structure of the Alumni Association. • Ensure that Presidents are in place for 25 regions and 18 university Alumni Association chapters throughout the year. – No more than 33% of Alumni President positions turnover in 2016. • University Presidents meet with local boards at least two times during the year. – Meetings should be scheduled through WGA/ESF staff so that they can be added to the calendar. • All regional leaders create committee support around their groups so that the President isn’t the only leader for the area. Host at least two leadership meetings during the year. • National Board to conduct one-on-one meetings during the year with all chapter presidents. • National Board will send a monthly update during the first week of the month to all university and regional presidents.

Work with WGA/ESF staff to promote Par Club participation and help increase giving rates amongst Alumni in 2016. • Help WGA/ESF grow Alumni participation in the Par Club to 50% in 2016. To help support these efforts, we ask each Alumni president to participate in the following: – Support the 2016 Par Club Challenge by promoting it at all events and in chapter communications – Sign 3–4 communications pieces that will be sent from ESF headquarters to Alumni at your university regarding the Par Club Challenge – 100% of Alumni presidents contribute personally to the Par Club at Birdie level ($500) or more • National Board will continue communications with current Scholars to help bridge participation gaps with young Alumni (New Scholar letter, graduating Scholar letter, discussions at chapter meetings and events).

Continue to promote Alumni engagement through local events and communications • Each chapter hosts a minimum of two events for Alumni in 2016 (fundraising or friendraising). • At each event, the event leader or a staff member will provide a “State of the State” update on the Evans Scholars Foundation to participants. Staff will provide talking points. • Each chapter publishes a minimum of one chapter newsletter in 2016.Enlist Decade Captains and Class Liaisons to help establish reunion events • Involve Decade Captains and Class Liaisons in university structure by developing and promoting a model for hosting reunion events – Encourage 5 and 10 year reunions to be held in conjunction with existing university events – Ensure at least 10 reunions happen in the 2016 calendar year

Encourage Alumni use of WGA/ESF job board/career networking services to help drive online traffic • Alumni Presidents to reach out three times during the year to Alumni, reminding them of this service and promoting use • Alumni Presidents to help promote job board by using newsletters, social media and chapter emails to highlight the job board and its functionality • Alumni Association to assist with the development of the mentoring program as it expands beyond the Leadership Council. Pete Lannon will work closely with John Mendesh and the Leadership Council on the development of this plan.

Regional Alumni Associations have and will be established in geographic areas where a large amount of Alumni reside, or in areas where an interested group of Alumni have agreed to run programming. As of 2016, regional Presidents have been identified in 25 markets.

Each Regional Alumni Association will focus on unifying all Evans Scholars Alumni within their geographic area regardless of university affiliation. Each of these associations manage various programs and events, such as:

•Host a minimum of two events annually to encourage Alumni involvement (friendraising and/or fundraising)

It is recommended that the leader of each Regional Association recruit other Alumni leaders to serve on their board.

Building an Effective Chapter:Communications

The ESF has a communications toolkit online that includes everything from logos and templates to our branding guide and an event how-to. This toolkit is continuously being updated. Please use our resources as you determine what you’d like to accomplish this year for your communications goals. Sample goals may include:•Creating a strategy to collect Alumni updates (job, phone and address, as well as family additions and marriages). Don’t forget to submit them to the Mac Report!•Sending out one or two Alumni newsletters a year. Some Scholar chapters also send out their own newsletters; check and see if there’s an opportunity to collaborate! Newsletters can contain event recaps and stories on interesting Alumni and Scholars•Promote Alumni news online and on social media

Building an Effective Chapter:Career Networking

LIFE SKILLS/CAREER SEARCH The Alumni Association network is a powerful tool for Alumni to use in career networking. Several chapters have formalized mentoring and networking programs for the Alumni in their university or regional networks. Below, please find suggestions for different career networking tools that might be helpful to Alumni in your region and to help further engage Alumni with the Evans Scholars Foundation.

Job BoardThe WGA/ESF job board on www.wgaesf.org is a great resource for job searching and posting. This service is free to use for all Alumni, and submissions of new jobs can be made by logging into the website.

LinkedInThe Evans Scholars and Alumni private group page is a great place to interact about topics including employment opportunities, news items, business articles, etc. To join the group, type in the words: “Evans Scholars and Alumni” in the search box for groups on LinkedIn.

NewslettersChapter newsletters are a great place to highlight services provided by Alumni and local career opportunities.

Building an Effective Chapter:Events

You’ve planned your Evans Scholars Alumni event. We can help get the word out by posting your event to our website and social media, helping to manage the guest list, providing templates for invites and programs and emailing invitees and managing online registration.

A note about class reunions: ESF encourages all Scholar classes to host regular Alumni reunion events. A reunion can be easily planned around an existing ES event at your chapter. For example, consider having your class liaisons make a special invitation to the classes of 2006, 1996, 1986, 1976 and 1966 to this year’s golf outing. Or plan a special dinner or reception for Alumni from these classes. It’s a great way to inspire participation at the university event. Or these events can be organized around a Homecoming football game. We challenge all ES Alumni classes to organize an opportunity for Alumni to come together through reunion events.

An event program contains an agenda for the day and evening with times and locations, as well as committee and organizer names and possibly ads of sponsors. It may also include a listing of auction events. The ESF can provide templates.

Finances

Keep a detailed account of your finances. Provide the WGA records of who participated, how much was raised and sponsorship info. To be reimbursed for costs, submit all receipts to WGA. You will be reimbursed up to the amount the WGA has collected during registration prior to the event when the participants register through the WGA online or otherwise.

Merchandise

ESF gifts are available for your use to hand out at events. These can be obtained by contacting Amy Lillibridge (see contact info below). If you have a need for additional merchandise, the WGA/ESF can assist through their vendor partnerships.

Building an Effective Chapter:Alumni/Scholar Events

In an effort to promote a healthy and safe interaction with Scholars and to ensure the best interest of the Evans Scholars Foundation, the Evans Scholars Alumni Association is establishing protocol for hosting joint events involving Evans Alumni and current Scholars. This policy applies to all events hosted/sponsored/attended through both university and regional chapters of the Alumni Association.

The following types of joint events are encouraged:• Career Nights and Leadership Events (may be held Sunday through Thursday nights and must conclude by 9 p.m.• Golf and social events (may be held Sunday through Thursday, and parents of current Scholars may be invited• Senior Nights/Welcome to the Alumni Association (to be held at the end of the school year or after graduation; only seniors may attend.• University sporting events

A WGA/ESF staff member/WGA official/Alumni representative/chapter advisor will be expected to attend all of the events listed above. Scheduling for all of these events should be approved by WGA/ESF staff.

At any activity or function where alcohol is served, alcoholic beverages must be purchased individually and/or BYOB by those 21 years of age or older. Parents of current Scholars should be invited to participate in any function that includes alcohol and Scholars under the age of 21.

Alumni are encouraged to provide opportunities for current Scholars related to careers and internships throughout the year. Communication on these opportunities should be shared with WGA/ESF to be posted to the internal job board and Scholar communications. You can post directly to the job board after logging in to www.wgaesf.org.

Alumni are encouraged to host other Alumni-related events throughout the year, but these events are restricted to Alumni and friends only.

Tailgate functions before home football gamesAll rules and regulations of the university and local community will be followed for tailgate functions. If alcohol is permitted it will be individually purchased or BYOB for those 21 and older. The setup and cleanup will be distributed amongst the Scholars and not fall solely on the New Scholars. The tailgate will conclude and be cleaned up prior to the start of the football game. The Executive Board, GRAs and RAs are expected to be in attendance. Any outside guests must be invited and the number of outside guests in attendance cannot exceed the number of Scholars in attendance. When Alumni are invited to participate, the Scholar-Alumni liaison and chapter advisor(s) will be informed, and the parents should also be invited to participate.

Par Club:Major and Basic Giving

This year, the WGA is again seeking major gifts through the 2016 Match Play Challenge campaign. Now in its fifth year, the campaign offers matching funds for Par Club operating gifts of $2,500 and greater.

This year’s campaign will be crucial in helping the Evans Scholars Foundation realize growth plans that include sending 1,000 caddies to college annually by the year 2020. Since the launch of the Match Play Challenge in 2011, the campaign’s success has allowed the Program to expand its geographic footprint from coast to coast and begin increasing the number of Scholars in school each year at a time when scholarship applications are at an all-time high.

Par Club:Ways to Give

With more than 27,600 annual donors, the Par Club is the primary source of funding for ES tuition. The minimum cost for one year of Par Club membership is $250 and includes your spouse. All Par Club members receive personalized bag tags and a gift of their choice. A variety of giving levels are available.

As the costs of college continue to rise, so does the need for Evans Scholarships. The ESF is again asking donors to contribute through the Match Play Challenge. This year’s campaign, titled “Fairway to the Future: The Drive to 1,000 Scholars,” seeks to see all major gifts matched through of a pool of $3 million contributed by 60 or more Match Play Partners. The Challenge offers matching funds for Par Club operating gifts of $2,500 and greater.

We conduct periodic major campaigns to secure funding for capital projects, including the construction and renovation of Scholarship Houses.

Planned giving options allow you to leave a lasting legacy. With a bit of planning, you have the opportunity to make a gift that will have a great impact on the ESF.

All gifts, of any amount, given to ESF can be made in memory of, or in honor of a loved one.

The most meaningful way to honor a loved one and provide permanent support to the Evans Scholars Program is through the establishment of an Endowed Named Scholarship.

Caddie Programs:Local

Here are a few ways/best practices to support local caddie programs:

Incentives and awardsMany caddie programs award top caddies by honoring them at a year-end banquet. The meal is donated by club members. Often, members also contribute money or gifts for the top caddies. The caddies can choose from a selection of prizes. Many caddie programs award the Caddie of the Year and “Rookie” Caddie of the Year.

Certain clubs have a caddie/member golf tournament. The caddies are encouraged to play in the event and members are asked to participate in various ways. Some members will assist as starters or marshals. Some clubs have members caddie for the caddies, which offers a unique perspective for both to spend a day on the “other side of the bag.” In addition to golf, other club facilities like the pool and tennis courts are available for caddies.

Publicizing the Evans Scholarship

A great way to publicize the ESF is to highlight current Evans Scholars. Identify them with a special caddie bib, shirt or hat, with their names and the universities they attend. Many clubs have an Evans Scholars display to showcase past and current Evans Scholars. Some clubs have photos of the current Scholars. An ideal area is a high-traffic spot like the pro shop, clubhouse, locker rooms or bag drop.

Involvement with caddie managerThe caddie manager plays a crucial role in the program’s success. It’s important to outline the activities for the caddie manager prior to the start of each season. One way to establish the goals for a caddie manager is to assist in the preparation of the job description. An evaluation should take place before and after each season to assess the goals and achievements of the caddie manager as well as the program.

The WGA believes a common formula for a successful caddie program includes well-trained caddies, an intuitive caddie manager, a proactive head golf professional and staff, an active caddie chairperson and influential WGA Directors.

Recruiting

Determine the number of caddies needed prior to recruiting new caddies. By establishing the correct number, a caddie manager can eliminate turnover and maintain a group of quality caddies.

To get the word out, contact local schools to promote caddying. Contact the guidance counselors to identify qualified applicants who excel academically, come from modest financial backgrounds and are of outstanding character. Also, some caddie programs require applicants to bring in their report card to apply, allowing the caddie manager to identify the students who qualify academically for the Evans Scholarship.

Many caddie programs work with nonprofits that benefit young people. By associating with organizations such as the Daniel Murphy Scholarship Fund, programs can increase the number of qualified caddies and Evans Scholarship applicants.

It’s important to involve the parents of caddies in this process. A caddie parent meeting should be held at the beginning of golf season to answer questions from the caddies’ parents.

For a caddie program to add value to any club/course, the caddies need to be well-trained. Each caddie should be familiar with the WGA-issued Caddie Training Manual, Caddie Orientation Video and have completed the WGA-issued Caddie Exam. Caddie training materials are available on the WGA website.

Some caddie programs require two days of training, while others require a week or more. Many caddie managers teach in a classroom-style atmosphere on the first day. Caddie managers may take large groups onto the course at one time while others will assign one caddie trainee per one caddie trainer. Immediate feedback should be given to caddies in order to assist them in serving the club and its golfers.

Consider collaboration with local golf-related organizations, which might include The First Tee or the local chapter of the State Amateur Golf Association (USGA).

Caddie Programs:Caddie Academy

WALKING A NEW COURSE

In 2012, the WGA launched The Caddie Academy. The Academy allows the girls — who wouldn’t otherwise have an opportunity to work at a golf course — a chance to experience the benefits of caddying, from learning life lessons to being around successful adults.

In 2016, the Academy will return, with a group of more than 50 young women from across the country who will

caddie at a club on Chicago’s North Shore while living in the Northwestern University Evans Scholarship House. One day, they will also become applicants for the Evans Scholarship. Eight Caddie Academy participants are currently enrolled in college as Evans Scholars.

HOUSE LIVINGFemale Evans Scholars Alumni live in the Northwestern Scholarship House as counselors, supervising and mentoring the group, and driving the girls to their clubs. Throughout the program, special activities are planned, such as a golf lesson, a boat tour, and trips to a baseball game and Navy Pier. There is also an emphasis on the educational aspect, with leaders providing ACT prep training and sessions designed to help the girls with study and organization habits.

TOP 10 WAYS TO GROW YOUR CHAPTER

1. Communicate with new arrivalsUniversities and regions could consider hosting a welcome party to introduce recent grads to the chapter. This has been done successfully by the Chicago Young Alumni group. At the least, take the time to call or email new graduates and welcome them to the Alumni Association.

2. Newsletters and/or social mediaLocal newsletters or social media pages are a great place to communicate with your chapter members on a more personal level. Aim to produce a minimum of one newsletter a year and also work with WGA/ESF communications team to establish a local presence on social media, if you haven’t already.

3. Focus on engagementOur main focus through the Alumni Association is to further engage Alumni in the Foundation’s mission after they’ve graduated. These engagement efforts help to make fundraising easier as well!

4. Formalize your board and meet regularly.Make sure you’ve filled all of your Board positions and establish regular meetings and roles for members to ensure accountability amongst them. In-person meetings are great; phone meetings also work. WGA/ESF has a conference line available for meetings if needed.

5. Host two or three events per yearPlan fundraising and/or friendraising events in advance, and give Alumni in your region as much notice as possible. Then use your Class Liaison or Committee structure to follow up and encourage attendance. Also, consider hosting events that would engage families — many Alumni are more likely to attend events if spouses and children are welcome.

6. Provide career networking opportunitiesLook at ways to involve Alumni in career networking events (explained further in the career networking section on page 10) to increase interest in the local chapter.

7. Communicate contact information updates with the WGAWGA/ESF is happy to share pertinent contact information as needed with Alumni leaders. In turn, as you receive updates, please pass them on to WGA to include in our database.

8. Document your events Bring a camera to your events! Photos will help us play up your events on the website and on social media. Don’t forget to pass along the photos to the ESF for possible inclusion on our website, social media and future publications.

9. Update your chapter websiteMake sure to utilize the chapter websites, which Scholars already update regularly. Reach out to the ESF’s communications team or the Scholar liaison, who is usually the Communications Chair and work together to include Alumni updates as well.

10. Communicate with other leaders and staffWGA/ESF staff and other Alumni Association leaders are happy to help you along the way. If you feel stuck on something or don’t know where to find an answer, let us know!

With tuition rates rising rapidly each year, more families than ever are struggling to pay for

college. In recent years, a record number of caddies have applied for the Evans Scholarship,

and we are in a position to ensure that no deserving caddie is left behind.

students are attending 19 universities nationwide on Evans Scholarships.
