Welcome and Mission

Statement

Welcome to PASAR! You are now a part of a dedicated professional team whose job is to provide a safe, well-supervised after-school program providing academic support, and offers opportunities for recreation and socialization. Employment in PASAR is as a part time employee and is outside the regular instructional school day. PASAR staff is expected to work consistently to do their best for the students enrolled in the program, their families and co-workers. The PASAR staff is expected to adhere to the employee Standards of Conduct required by Plano Independent School District (PISD) Board policies while working in all areas of the program.

PASAR Mission Statement Program PASAR, the PISD elementary after-school care program, will strive to provide a safe, positive environment for students enrolled in the program. Opportunities will be given for students to work on lessons, participate in structured recreational and fine arts activities, and to enhance their overall skill development. The PASAR Employee Handbook is in addition to the PISD - HR Policies Guide. All PASAR employees are responsible for reading and complying with Plano ISD policies. Questions may be directed to supervisors or the appropriate District offices.

Qualifications/Policy/Standards of Conduct Qualifications

It is our goal to employ individuals that enjoy children, work well with a team, are positive role models for children, responsible, enthusiastic, self-motivated, show up

every day for work, follow PASAR/PISD guidelines, and show initiative.

The first obligation of the PASAR staff is to the safety of the children.

PASAR employees work 2:30-6:30pm Monday through Thursday, 2:30-6:00pm on Friday.

Our program operates within the safety ratio of 1:17 up to 1:22.

Staff members are expected to be on time and in place every day. Employment in PASAR is as an at-will employee, classified as a “part time” staff

member, and is outside the regular instructional school day.

There is no guarantee of a specified term of employment with, or continued employment with the district when hired as a PASAR employee. As at-will employees, PASAR employees may be terminated at any time with or without

cause. All employees must be available to move to another campus whenever required.

PASAR employees work part-time on all school days on the PISD-school calendar

year. PASAR employees are expected to work and consistently do what is best for the

students enrolled in the program, their families and co-workers.

PASAR staff is expected to adhere to the “Employee Standards of Conduct” required for all employees by Plano ISD Board policies while working in all areas of the program.

Employees must wear their PISD badge while at work at all times.

Each site reserves the right to ask an employee to leave if they do not come with a

valid ID badge. If a badge is damaged, it may be returned for a replacement at no cost.

My badge is lost or broken, what should I do? Inform Security Police Services immediately by phone at 469-752-8159. Inform your Site Manager and Zone Leader by phone or email.

Summer Staff Training Requirements All Summer PASAR employees must meet specific training requirements

outside the initial PASAR guidelines. If chosen to be a summer employee, staff members will receive new expectations and procedures.

CPR and First Aid Training (Site and Assistant Site Managers Only)

All PASAR Staff are required to maintain current CPR and First Aid training. The school district will pay for this training if provided during the yearly

PASAR training and will provide a group training session, when appropriate. Original CPR and First Aid certification cards will be your responsibility.

Original training certificates will be kept on file with the Zone Leader.

If an employee misses scheduled training they must coordinate make-up training at their own cost and on their own time within 6 weeks of the missed

training.

Standards of Conduct All individuals working for PASAR shall comply with all Plano ISD Board policies,

including, but not limited to, “Standards of Conduct”. A printed copy of these policies is available at every campus office and the Human Resources department at the Administration Building. They may also be accessed on line as follows:

As stated in above Plano ISD Policy:

Harassment or Abuse Employees shall not engage in prohibited harassment, including sexual

harassment of: Other employees (See DIA) Students (See FFH; see FFG regarding child abuse and neglect)

While acting in the course of their employment, employees shall not engage

in prohibited harassment, including sexual harassment, of other persons, including Board members, vendors, contractors, volunteers, or parents.

Yearly training on General Ethics in the workplace and sexual harassment: staff to staff, must be completed through the online website: Safe-Schools.

Relationship with students Employees shall not form romantic or other inappropriate social relationships

with students. Any sexual relationship between a student and a District employee is always prohibited, even if consensual. (See FFH policy)

Employees shall not take photos or videos of the children or befriend them on Facebook, Instagram, Snapchat, or other social networking sites.

Employees shall not solicit or accept offers from parents to babysit PASAR

students.

Arrests, Indictments, Convictions and Other Adjudications Stated on the PISD policy website:

An employee shall notify his or her principal or immediate supervisor within three

calendar days of any arrest, indictment, conviction, no contest or guilty plea, or other adjudication of the employee for: 1. Any crime constituting a felony; or 2.

Any crime constituting a misdemeanor, excluding minor traffic offenses punishable by fine only or any of the other offenses below:

Crimes involving school property

Crimes involving attempt by fraudulent or an unauthorized means to obtain or alter any certificate or permit that would entitle any person to hold or obtain a position as an educator

Crimes that occur wholly or in part on school property or at a school-sponsored activity

Crimes involving moral turpitude, which include dishonesty, fraud, deceit, theft

and misrepresentation Deliberate violence Base, vile or depraved acts that are intended to arouse or gratify the sexual

desire of the actor Felony possession, transfer, sale, distribution of conspiracy to possess, transfer,

sell or distribute any controlled substance defined in Chapter 481 of the Health and Safety Code

Acts constituting public intoxication; operating a motor vehicle while under the influence of alcohol or disorderly conduct.

If any two or more acts are committed with any 12 month period Acts constituting abuse under the Texas Family Code.

Attendance/Employee Pay/Benefits/Procedures

Attendance: PASAR staff are responsible for supervision; therefore, due to

safety and training issues associated with this responsibility, PASAR staff may not be absent more than 5 days per year, subject to the mandatory exceptions for part time, at-will employees under PISD Board Policy DEC(LOCAL). Absences

of more than 5 days could lead to a recommendation for termination.

If an issue of attendance becomes a problem, it will be addressed with each person individually by the Site Manager/Assistant Site Manager or Zone

Leader. Violation of this policy could lead to termination. If absent, call your Zone Leader prior to noon. You will fill out an Absent

From Duty form and return to the Zone Leader. These forms for an absence

or tardy are available from the Site Manager. Failure to fill out an absence form is subject to disciplinary action. As a last resort, contact the PASAR

office at 469-752-3782. Two or more unexcused absences in any 30 day period are considered

excessive and may be subject to disciplinary action. Absences in excess of

accumulated leave may be non-reimbursable.

Staff members who are tardy or absent without notice, will be evaluated by the Zone Leader and may be subject to termination.

Any employee who has been documented with three (3) related infractions within any consecutive 12 month cycle may be recommended for termination

of their employment with PASAR. Discretionary personal leave may not be taken for more than five days per

contract year. Discretionary leave shall not be allowed on the first day on the job, the day before a school holiday, Holiday Care, the day after a school

holiday, early release days, and the last day of school. Personal business request requires a 72 hour (3 day) notice. Employees must

make every effort to schedule all outside appointments before or after

scheduled work time. Personal leave requires a five (5) working day written notice, and is to be approved or denied by the Zone Leader or Director of

Campus Support Services. Absences due to compliance with jury summons or valid subpoena will be

excused as required by law. See DEC (LEGAL). An employee who is absent due to military services may be entitled to

certain re-employment rights and benefits. See DECB (LEGAL).

Consequences for employee absenteeism/tardiness are subject to any mandatory expectations required by law or PISD Board Policy.

Two or more absences in any 30 day period are considered excessive

absenteeism/tardiness. 1st incident of excessive absenteeism/tardiness in any 30-day period may

result in disciplinary action of a verbal warning. This will be documented on the counseling form.

2nd incident of excessive absenteeism/tardiness in any 30-day period may

result in a disciplinary action in the form of a written reprimand.

3rd incident of excessive absenteeism/tardiness in any 30-day period may result in a recommendation for termination of your at-will employment.

In the event of a planned absence, within 3 days prior to the absence, part time staff members should fill out the absence request form. A substitute will be provided, if possible. If a staff member has an unexpected illness or situation which

will result in an absence, the staff member is required to notify the Zone leader by noon of that same day. Unapproved personal leave is non-reimbursable only if they

exceed the number of hours allowed.

If a person is terminated or resigns due to absences, he/she may re-apply for an opening after 90 days from the date of resignation or termination.

However, there is no guarantee of re-hire or resuming your previous position with PASAR.

In the event that any PISD employee who is also a PASAR staff member is suspended or placed on administrative leave, the employee will not be permitted to work for PASAR during the time of the leave.

An employee who wishes to request religious leave must do so in writing to Site Manager and Zone Leader. (See DEC Local for details)

Three days of no call / no show is considered job abandonment, and may

lead to termination of your employment.

Abruptly walking off the job without permission from your immediate

supervisor may lead to termination of your employment.

PASAR offers opportunities for employees to work longer hours on Holiday

Care designated days; however, there is no guarantee that employees will receive such assignments for summer or Holiday Care.

Failure to comply with the attendance requirements, outlined above, may

result in adverse action against a PASAR employee, including termination.

Illness and Injury PASAR personnel are not to report to work with an elevated temperature,

sneezing and coughing due to colds, severe rash, diarrhea or other communicable diseases.

o If the employee has any of these symptoms, the Site Manager or Zone Leader may send the employee home for the day.

Tardiness / Leave Early Employees may not leave early on early release days.

Any employee that signs in past 2:30 PM or past your Holiday Care assigned shift time is considered tardy for PASAR.

Failure to sign in will also be counted as a tardy. If you are going to be late, call your Site Manager on the PASAR cell phone.

Assigned duties are to be completed within the set work hours. Employees

may not work extra time without approval from the Zone Leader.

Call your Zone Leader and enter on the weekly time sheet if you have a late pick up.

Earned Leave

PASAR only employees who work on a regular basis will earn hours of sick leave (personal business).

State leave and local leave, for those who qualify, will be granted at the beginning of school or at the beginning of employment if after the school

starting date.

If employment is terminated before the end of the school year, the earned

leave will be prorated, and any leave used in excess of the earned leave will be deducted from the final paycheck. When an employee has used more leave than he or she has earned, the District shall deduct the cost of the

unearned hours from the employee’s final paycheck for the year or from the last paycheck after the employee ceases to be employed with the district.

Payroll PASAR employees are paid only for the days worked.

Employees will not be paid for winter, spring, holidays or summer break. No PASAR employee has the authority to require or suggest that an employee

falsify time worked or sign in for another employee.

Employee first check after initial employment may be delayed by two weeks depending on your hire date.

Employees’ check will be direct deposit or a cash pay card, depending on how

you initiate receiving your paycheck with payroll in your pre-hire packet. Time Stamp must be accurate each day with sign-in and sign-out. Bi-weekly staff members are paid twice per month.

District paraprofessionals must also submit a copy of completed school time sheet each month.

If an employee leaves during their work hours for any reason other than a

meeting, they must sign-out. Upon return, the employee is required to sign-in after returning to work.

Travel for PASAR Personal car mileage will be reimbursed on a per mile basis; you must turn in the

PISD employee travel expense monthly report to be reimbursed. Employees may be compensated for travel time if they are asked to drive to

another campus after arrival at their usual assigned site.

If employees are called to go to another campus before 2:00 PM on regular school days and before 11 on early release days, there will be no travel time compensation.

Employees are paid on an hourly basis. You must submit the PLANO ISD driving record information form; you can obtain

one from the PASAR office manager. Complete and submit the form back to

PASAR office manager for verification on driving eligibility with Risk Management Department.

Documentation of trip origin, trip destination and business purpose of trip

shall be turned into PASAR at the Pebble Creek Center within five business days of travel. Mileage forms need to be recorded and turned in each

semester.

Employees receiving annual stipends for travel within Dallas, Collin and Tarrant counties are not eligible for per mile reimbursement unless travel is

beyond these counties. Mileage Form must be filled out completely and signed.

Pay Rate Change A pay increase may be gained from earning college credit.

An employee must have attained junior status or equivalent college credit hours on an official transcript in order to move up to a $13.00 pay rate in PASAR.

Other ways to gain a raise in pay would include being promoted to either a Site

Manager or an Assistant Site Manager.

It is the employee’s responsibility to turn in the documentation to Human Resources

within 30 days of starting the job, or accumulating the college credit hours.

Compensation & Benefits

Eligible employees working at least 10 hours a week may enroll in a TRS-ActiveCare medical plan only, by paying the full premium cost. New employees may select the

effective date of their benefits as either 1) their actively-at-work date; or 2) the 1st of the month following their actively-at-work date. Enrollment must be completed within 31 days after the actively-at-work date.

Plan descriptions, costs, and rules are provided by the Benefits and Risk Management Department. Premiums will be deducted evenly from each bi-weekly

paycheck. An explanation of the bi-weekly premium calculation is printed in the benefits booklet for new employees.

Personal Information It is the responsibility of the employee to notify the Site Manager and Human

Resources of any change in their name or address within seven days of the change. If you have access to a computer please fill out the name and address form found

on the employee intranet at: http://inside.pisd/hr/records/EmployeeForms.shtml (forms are also located on the PASAR website)

Early Release PISD personnel that also work PASAR must be released for early release days at

noon to help with PASAR. Employees may not leave early on Early Release days.

Staff Evaluations

In accordance with District Policy DN (LOCAL), all employees shall be periodically appraised in the performance of their duties. The Evaluation instrument is available for viewing at http://inside.pisd/hr/services/ParaprofessionalAuxiliary.shtml Evaluation ratings shall be based on the evaluation instrument and performance data gathered by the Site Manager throughout the year.

Employees shall be informed of the criteria on which they will be evaluated. Any area rated below expectation should be supported with written comments or

objectives.

Employees have 10 working days after evaluation conferences to prepare a written response that will be attached to the completed evaluation.

The Zone Leader will evaluate the Site Manager and Assistant Site Manager. The Site Manager will be responsible for evaluating the overall performance of the

Activity Specialists at their site. Evaluations must be completed by the end of April each year and sent to the

Zone Leader for each PASAR employee.

Disciplinary Guidelines/Grievance Procedure Consult the Human Resources Policies Guide at

http://inside.pisd/hr/PolicyGuide.shtml Guidelines for Disciplinary Action. The district reserves the right to bypass one or more of the discipline steps or issue

other forms of disciplinary action, depending on the seriousness of the offense. No hierarchy of discipline is required to be followed.

Verbal Warning

PASAR staff will be given a verbal warning if they are not meeting job expectations. This step is appropriate to initially identify a problem, and also

gives the employee an opportunity to improve their attendance, performance or conduct.

Written Reprimand

This step is for serious or repeated infractions. Termination of employment

Grievances may be filed pursuant to Board Policy DGBA(LOCAL). Employees who wish to informally express concern, complaints, or criticism shall do so through the appropriate chain of command.

First take your concern to the Site Manager. If the problem cannot be solved, you will be referred to the Zone Leader.

The Campus Support Services Director is available to hear concerns that are not resolved with the Zone Leader.

Training Activity Specialist – Training will include orientation, games, behavior management,

and site training meetings. Site Managers/Assistant Site Manager – Training will include TEAMS, Medication,

Epi-pen, CPR, AED, Diabetic training, behavior management, HR and site meetings. Site Managers or Assistant Site Managers are also expected to attend the monthly

Site Manager meetings with their Zone Leader.

Appropriate Attire, Appearance and Demeanor Standards (Policy: Plano ISD – DH (LOCAL) – Employee Standards of Conduct ….Dress and Grooming)

Staff members should dress professionally and comfortably when they are on the

job, including when they attend training. If staff members show up for work and do not meet dress standards, they will be sent home to change into appropriate attire.

Staff members will not be paid for the time off the clock. Repeated failure to meet the standards will result in disciplinary action.

All PASAR staff members are required to wear appropriate uniform. PISD issued name badges must be worn at all times. No stickers or pins may be placed

anywhere on the PISD badges.

Attire PASAR t-shirts

Khaki colored or black pants or skirts One inch above knee is the required length for skirts or walking shorts Closed toe shoes are required. Sandals, ‘flip-flops’, or platform shoes are

prohibited. Hair should be kept clean, neat and properly groomed Earrings/piercing are permitted in the ears ONLY. Any other part of the body

that is pierced should not be visible. Piercings may be covered by clothing or removed while at work.

Ear discs and or gauges are not permitted, unless honored by religious practice.

Tattoos should not be visible while at work No gang paraphernalia is permitted

Hats (or any other head gear) are not allowed while on inside duty Sunglasses/hats may only be worn outside by staff on playground duty

PASAR staff members are role models for the young children we serve.

SPIRIT DAYS (Fridays): PASAR staff may wear blue jeans that follow the dress standards for PISD, PASAR T-shirt, or campus spirit wear.

All campus staff working PASAR may wear clothes of the day except for meeting days then PASAR uniform is required.

Language, Attitude and Demeanor PASAR staff should exhibit excitement, energy, respect, kindness and responsible

behaviors to all persons involved in any way with PASAR. Profanity is inexcusable and unacceptable. Staff may not discuss other students, staff members or personal

matters with children in the program or their parents. Staff must report abuse immediately by other students or staff members to Site Manager. Site Manager will advise Zone Leader and Director.

Violations

PASAR employees are expected to comply with the PISD standards of conduct in PISD Board Policies DH(LEGAL), DH(LOCAL) and DH(EXHIBIT). Staff members who cannot maintain a demeanor of control respect and

responsibility may be subject to disciplinary action that may include but is not limited to termination.

Smoking on School District Property Smoking, using tobacco products or e-cigarettes is prohibited at all school-related

or school-sanctioned activities on or off school property. Smoking is prohibited on all school district property.

Campus Assignments PASAR does not guarantee a specific campus. Employees may be required to work

at other campus sites as needed. All employees must be available to move to another campus for the safety of the children.

Working on Holidays or Summer PASAR PASAR employees are required to sign up for two Holiday Care shifts per

semester. PASAR employees are paid only for the days worked.

PASAR does not guarantee summer or holiday care work. PASAR employees will not be paid for holidays.

Each PASAR employee may be scheduled by the Zone Leaders to work Holiday Care days. No guarantees can be made, as staff is assigned based on student

enrollment. Any employee refusing to work will result in disciplinary action.

Staff attendance is necessary to meet the student/staff ratios. If problems arise

with the time a staff member is scheduled to work, he/she should communicate with the Zone Leader.

Employee Injuries Employees who are injured while working at PASAR should immediately report the

injury (regardless of whether medical treatment is necessary or not) to their Site Manager, who will call the Zone Leader. The employee must call Risk Management

@ 469-752-6399, or by email: [email protected]. If the injury occurs after 5:00pm, the incident needs to be reported the following day. Failure to report an injury in a timely manner may result in a loss of workers’ compensation benefits.

The PISD Employees’ Benefits Department will handle any claims.

News Media

Do not give interviews with the news media unless it is cleared through the Communications office. If PASAR staff members are not sure, call the PASAR office

or Zone Leader for verification.

Students Handing Printed Materials

Students may hand out printed material after school, including at PASAR. The only restriction is they may not hand out the material during academic instruction. If

the material causes a problem, obtain a copy of the printed material and document what problem was caused.

As stated in Policy No employee shall accept or solicit any gift, favor or service that might

reasonably influence the employee in the discharge of official duties or that the

employee knows or should know is being offered with the intent to influence official conduct.

No employee shall accept employment or engage in any business or professional

activity which the employee might reasonably expect would require or induce the disclosure of confidential information acquired by reason of the official position.

No employee shall accept other employment or compensation which could

reasonably be expected to impair the employee’s independence of judgment in the performance of official duties.

No employee shall make personal investments which could reasonably be

expected to create a substantial conflict between the employee’s private interest and the public interest.

No employee shall intentionally or knowingly solicit, accept or agree to accept any benefit for having exercised the employee’s official powers or performed official duties in favor of another.

The selling of any products for personal gain is forbidden during working hours. PASAR employees must maintain the confidentiality of all student records in

accordance with federal and state laws and regulations, FERPA (Family

Educational Rights and Privacy Act), and applicable Board policies.

Employees should use extra caution in expressing personal opinions and reactions about any subject. PASAR staff should refrain from sharing personal

information with the children on topics that might be questionable for a young child.

PASAR employees are required to comply with Board policies regarding

appropriate interaction and/or communications and teaching of controversial subjects, including, but not limited to, sharing personal information with the children on topics that might be questionable for a young child, and expressing

personal opinions and reactions about any subject. Staff must immediately report any suspicious person on or around the school

campus. This report can be made by radio or in person to the Site

Manager/Assistant Site Manager or PASAR Zone Leader. Staff must report any injury (regardless of how minor it may appear) to the Site

Manager or Assistant Site Manager. The Site Manager/ Assistant Site Manager

will determine whether a parent should be called or what medical attention is needed. Parents need to be advised of ALL injuries.

All injuries must be documented in the PASAR injury log and report to the

parents immediately. The Site or Assistant Site Manager must call the student’s parents and let them decide appropriate treatment. For any HEAD or EYE injury, the parent MUST be called. Always let the parent decide, as it is their child. A

serious accident report must be filled out and signed by the parent on the same day as the injury.

Staff must immediately report abuse by students or staff members to Site Managers. Site Manager will immediately advise the Zone Leader. Report Abuse to CPS at 1-800-252-5400.

NEVER carry or pick up children. Do not spin or twirl children for any reason. Do not allow children to sit in the lap of employees.

PASAR students are NEVER allowed to open or close outside school doors for

other adults. They can hold a door open for classmates to walk through IF they have been so directed by staff.

Outside doors are to remain locked and closed at all times and should NEVER be

propped open. Check for storm clouds when going outside. If dark clouds are nearby, stay

indoors. Lightning could strike, even though it may not be raining.

No photos or videos/audios of students are permitted. Site staff does not accept tuition or late fees. If parent/guardian has questions

concerning any financial matter, contact the PASAR finance office directly.

Reports regarding firearms/weapons must be reported to Site Manager immediately. The children should be quickly brought to a safe area. If immediate danger call 911.

Suspicious persons on or around the child care campus should be reported immediately to the Site Manager. If immediate danger call 911. Playground gates must remain securely latched at all times. Any door codes (security codes)

and/or building keys (potty passes) are to be strictly guarded and may not be shared in any fashion. Do not allow parents or visitors to “slip in” behind you when entering the building, or walk past the designated PASAR area. All parents

and visitors must enter through the lobby doors. If you are aware that any of these security measures have been violated, immediately report the violation to the Site Manager and Zone Leader.

No child should be admitted to PASAR without being on the PASAR roster and in TEAMS. When in doubt contact PASAR finance.

Adhere to campus guidelines for parent in the building after school hours.

Attendance Guidelines PASAR workers need to be able to work from 2:30 PM – 6:30 PM each scheduled

day Monday through Thursday and 2:30 PM – 6:00PM on Fridays. You are to be on site at 2:30 PM and expected to stay until the close of PASAR unless other

arrangements have been made with the Site Manger or Zone Leader. If you are tardy or absent without notice, you will be evaluated by the Zone

Leader.

Staff members are expected to be on time and in place every day. PASAR employees are expected to sign in each day with Time Stamp.

All PASAR employees must sign in on the iPad Time Stamp application upon arrival each day.

PASAR does not allow employees to leave work to go to college classes or other

events. PASAR is a part time and an at-will position and employment may be terminated

at any time with or without cause.

PASAR employees absent due to illness must provide an original doctor’s note to their site manager upon their return to work. PASAR supervision reserves the right to disapprove the doctor’s note for the absence period, and take

appropriate disciplinary action for the absence.

On the Job Each PASAR Campus consists of Site Manager, Assistant Site Manager and Activity

Specialist. School Days: Monday-Thursday 2:30 PM-6:30 PM, Friday 2:30 PM-6:00 PM. Employees must sign up for two Holiday Care shifts per semester. Holiday Care and summer positions may be available based on need.

Care and Supervision of Children

Employees are responsible for providing care and supervision for every child enrolled in the program. Employees must recognize that their foremost

responsibility is to ensure the safety of the children at all times. In doing so, staff are expected to respond to the needs of children quickly and efficiently. Employees will effectively consider situations involving children’s health and safety

to make decisions that benefit children as a whole group as well as individual children. Children will be treated fairly and consistently in all matters.

Student Attendance All students must be present and accounted for before the daily PASAR routine

begins Attendance must be taken by grade levels within 15 minutes of PASAR start time Attendance rolls by grade level are to be maintained by the Site Manager

PASAR staff must help campus staff with getting the students to PASAR Students arriving late with a Dr.’s note may be admitted into PASAR. Only students on the roster are allowed admittance into PASAR each day.

PASAR staff must check the campus office for any PASAR students who were absent or went home early. An employee MUST account for all students, within 10 minutes

of start time PASAR staff must ask the office to ‘page’ any missing students and check with the classroom teacher and office to see if anyone knows the

whereabouts of a particular missing child after checking all areas.

If a child is missing contact the Zone Leader immediately, so they can determine the best course of action. Call parent or emergency contact if the child is missing.

Snack

Snack/Deluxe Meal time usually works best from 3:00 PM - 3:15 PM served at tables.

Any snack that is refrigerated should be used or discarded at the end of the day.

Clean up should be the students’ responsibility, but monitored by staff. One staff member should be assigned the duty of observing/cleaning off the

tables.

PASAR staff, including Academic Specialist, do not eat or drink snacks on regular care days. On early release, Holiday Care and summer care days, when the shift is 6 hours or more, staff may enjoy a snack /drink along with the children.

Set-up, take down of tables and deep cleaning should be completed by the campus custodial staff.

Academic Time (Monday – Thursday) Academic time is done at the campus with a certified teacher. Activity Specialists

will be in the area to assist the teacher and students, and the Activity Specialist will maintain the radio. If for some reason a school does not have an Academic teacher as advertised, homework time will be provided supervised by the PASAR staff.

Recess

SUPERVISION, SUPERVISION, SUPERVISION!!!!! Students must be counted by completing the Face to Name forms when going

out to recess and coming back in from recess.

Staff should not cluster together at recess. Staff is expected to keep all students within visual and hearing range at all

times.

Staff is expected to be aware of strangers near the playground area and be protective of students.

Staff is expected to be aware of which playground area belongs to PISD and

which belongs to the City of Plano, Allen, Dallas, Richardson, or Murphy. Personal cell phone use is prohibited during PASAR work hours.

Patrons cannot be asked to vacate the City park areas. Patrons can be politely asked to vacate the PISD play area for safety reasons. If a confrontation occurs,

PASAR students should be brought inside immediately, and police should be notified. Reports regarding firearms/weapons must be reported to Site Manager immediately. The children should be quickly removed to a safe and secure area.

Restroom Monitoring Supervise! Tell the students that if they aren’t back from the restroom in 3 minutes, a staff

member will check on them. Follow up in 3 minutes.

Let only one student go to the restroom at a time (one boy, one girl) if it is between group restroom breaks. After the student returns from the restroom, another may go.

Post a person near the restroom doors when taking a group to the bathroom. If students know a staff member is right outside the door, they won’t be tempted to play around.

Don’t deny a child that needs to go to the restroom.

If a student has a restroom emergency, a staff member should accompany the student to the nurse’s office or to the closest restroom. If a student repeatedly

makes frequent restroom trips or bathroom accidents, parents should be alerted and should be provided clean clothing.

Activities Weekly Lesson Plans coordinated by the Assistant Site Manager will be kept on file

and be available to the Zone Leader.

Activity Specialists may be involved in the planning of daily activities.

NO dodge ball or any game where a child is made a target is forbidden in PASAR. The following activities included in weekly include:

Discipline -“To Teach” High expectations and behavior standards for children in PASAR are applied during the school day will be extended for PASAR hours.

In order to grow educationally, socially and emotionally, children need to be in an

environment in which there is a responsible adult who will set firm, consistent, positive limits while providing warmth and support. The key to effective discipline is a Positive Behavior Intervention Support

(PBIS) of a student’s appropriate behavior.

PASAR staff members get their attention respectfully by: Attention getters and move on when they are ready. Do not “yell, scream, or use a loud raised voice” with PASAR students

Using positive behavior intervention support, rewards positive behavior through reinforcement of good choices resulting in privileges. Poor choices result in natural consequences.

Provide child with opportunities to practice appropriate behavior. Writing activities (sentences, etc.) should not be used as a form of discipline

No group punishment is permitted.

“Time-Away” ‘Time-Away’ should be used for children who are in an “emotional” state. Time-

Away periods are determined by the child’s emotional state rather than by an “amount” of time. If Time-Away is used, the following rules should take place:

Time-Away should = child’s age Time-away should be used as a practice strategy for PBIS: good behavior, regain

focus, compose and practice appropriate behavior.

It is the responsibility of each staff member to report a serious incident of

misbehavior to the Site Manager/Assistant Site Manager and to record any serious misbehavior on an Incident Form. The Site Manager should document behavior problems, and corrective action should be taken. Continuous documented problems

can be a reason for a student dismissal from PASAR. For out of control children, radio the Site Manager. Per our discipline policy, we do not touch or restrain

children.

The Site Manager will discuss the incident with the parent. Communication is the

key to successful parent support. Suspension or dismissal from PASAR must always be approved first by the Zone Leader or Director.

Persistent Unacceptable Behavior Request a private conference with the child’s parent(s) or guardian(s). Working

together helps to identify positive ways to correct the child’s behavior. Agree to follow up in a specified period of time. Be sure to keep this commitment. When

necessary, the Zone Leader will contact the appropriate professionals for input and guidance. This action will be taken with the approval of the parents. It may become necessary to dis-enroll the child for unacceptable behavior,

determination will take place only after all attempts at resolution have failed and there is concern for the safety of the child or other children in the program. There

should never be any student-generated ‘clubs’ at PASAR.

Student Pick-Up Each child enrolled in PASAR will remain on the campus until picked up by an

authorized person The parent or agent picking up the child MUST sign them out and note the time

Students are released only through the PASAR office after being signed out Anyone picking up a child needs to be prepared to show a picture ID Only those persons listed on the pick-up list are authorized to sign a child out

Check with the school office manager and printed profile for legal papers regarding pick up.

ID’s must be verified.

If a parent wishes a child 13 years of age or older to pick up a PASAR student on occasion, the parent/guardian (both parents, if divorced) is required to have a

notarized letter specifically stating who is to pick up the minor child, giving permission for the release of the PASAR student.

The older child must be on the pick-up list and show a picture ID each time. A Student ID, Driver’s License or Texas State ID will be accepted. If parent/guardian (or both parents, in case of a divorce) do not agree, an older child may not be

designated to pick up a PASAR student.

Site/Assistant Site Manager must check the student profile to verify the person

picking up the student is on the emergency contact list. If not, parent/guardian must be contacted immediately to verify the unidentified pick up person. In the

interim, the parent/guardian must provide in writing the name, telephone number and Driver License number of the person that they allow to pick up their child.

When the parent/guardian adds a person through the PISD-Parent Portal https://parentviewer.pisd.edu/ in the Campus Emergency Card section, this

addition is not effective immediately, and will not be listed on the student profile for 24 hours.

During Holiday Care and summer care when the PASAR name badge is used, it MUST be returned when a student leaves for the day, or is participating in a school-

sponsored activity separate from PASAR. This lets PASAR know the child has left or is not with a PASAR staff member. It is PASAR staff’s responsibility to ensure name

badges returned.

Technology Usage

A copy of the Technology Acceptable Use Guidelines is provided at the time of hiring. Printed copies of these guidelines are available at every campus office and the Human Resources department at the Administration Building. They may also be

accessed online at http://k-12.pisd.edu/aug.htm. Staff supervising students are expected to monitor computer usage.

Clean Up & Responsible Usage It is the responsibility of PASAR staff to leave areas “cleaner than when we arrived.”

This means staff should allow time to clean up before moving to the next activity. If snacks are given on the playground, staff should take great care to have children

responsibly clean up the area.

Staff members should clean the areas used throughout PASAR’s daily schedule to

ensure all staff departs by closing time daily. Staff must replace or report any wall hangings that fall during PASAR.

Staff members must return equipment in good condition to the exact location it was taken from. Board games are to be stored carefully with all pieces in container.

Students playing with board games should not be permitted to move to the next activity until ALL pieces of the game are properly stored.

Staff members must report to the Site Manager any damage that occurs during PASAR.

Staff shall use only equipment designated for PASAR. If there is a question about the usage of equipment, ask the Site Manager.

Radios Radios will be assigned daily to the same PASAR staff person.

PASAR staff members are responsible for the operation and care of their radio. Students are NOT ALLOWED to hold or use radios. Carry radios by the body of the phone, not by the radio antenna.

Radios should be attached to waistband of pants, not on shirt collars. Radios must be turned off and placed on a charger as needed.

Do not remove labels from radios. Radios are for communication regarding PASAR only and should not be used for

ANY reason that isn’t directly related to PASAR.

Cell phones/iPads The PASAR phones/iPads are to be used for PASAR business only.

PISD/PASAR staff may not call information for phone numbers. The PASAR Phone has only 400 minutes a month and is for use within the

program to facilitate communication with parents and staff.

Students are not allowed to use the PASAR cell phone or front office iPad. Text messaging, pictures or video are only allowed for emergencies on PASAR

phones.

Cell phones and iPads are PISD property and usage may be monitored by the District.

Front desk district iPads are only allowed for sign in/out forms for PASAR

parents. ALL apps on district phones and iPads must be pre-approved by your Zone

Leader.

The school’s phones may be used by PASAR staff to call out when needed.

Personal Cell phones and personal electronic devices must be in a pocket and not in use during PASAR work hours. In case of an emergency, give your family the PASAR campus cell phone number. We will alert you if you get an emergency

phone call.

Site Visits The PASAR Zone Leaders and Director will make site visits throughout the school

year. A ‘Site Observation Report’ may be completed during the visit, and a copy

will be left at the site. Parent observations are by appointment with the Site Managers. Visits need to

be limited to 10 minutes, since staff will be pulled to escort the visiting parent.

Time spent away from the group is a safety concern. Visitors need to fill out Sex Offender form before being escorted back to observe.

Parent Visitation during the PASAR day Parents may have the unique opportunity to visit their children throughout the

day.

Always check Identification and have the person sign in before visiting. Accompany the parent to the areas where children are engaged in activities. Let parents know that there are certain parts of the day (not transition times)

that are more appropriate for visitation. Sex offender form is necessary since we do not have access to the PISD – raptor

system.

Student Illness/Injury/Medications Medication Policy

PISD-PASAR has an on-call nurse on staff. Medication will be administered in compliance with Plano ISD Board of Trustees Policies FFAC (LEGAL) and FFAC

(LOCAL), and related District procedures and guidelines. Children who have special medical needs must have a complete “Medication Request Form (HS 001, Sp. Ed. 0028)” giving permission to administer needed medications (inhalers,

pills, etc.). A medical log is provided at each campus for distribution of student medications.

The log must be filled out, signed and dated when administrating student’s

medication.

A child with severe allergies must have a Physician’s Medical Action Plan on file with the PASAR Site Manager and the PASAR office manager. The physician’s

order must include wording that medication may be administered by unlicensed assistive personnel.

PASAR staff should be familiar with ALL students who have special health issues

(food allergies, asthma, etc.) Medical Action Plan forms must be completed before the student may attend

PASAR. You must submit a copy to PASAR office manager and keep a copy on

your campus. The Medical Action Plan must be updated yearly by the parent and given to the

PISD-PASAR. Allergy Action Plan (Parents/guardians are responsible for turning

in the Allergy Action Plan to Site Manager). Medical/Allergy Action plans forms are also posted on the PASAR website.

Complete copies of any legal documents pertaining to a child must be kept on file with PASAR. You must submit a copy to the PASAR office manager and keep a copy on your campus.

For any student with an epi-pen, the parent must bring a current epi-pen and over-the-counter Benadryl®. If a parent supplies an epi-pen and Benadryl® they will

need to complete an Allergy Action Plan and turn the plan in to the Site Manager who will then make a copy for the PASAR office manager.

Prescription Medications Prescription medicine must come to PASAR in its original container. By law, we

may administer medication only as it is indicated on the original container and only to the child whose name is on the pre-printed label, even if parents ask otherwise.

For example, we will not dispense medication prescribed to a sibling. Medication must not be expired.

Over-the-Counter Medications Must be in its original container with the child’s name written on the label and must

not be expired. If a child is to be given medication other than in the manner indicated on the label, parents must provide a directive from the child’s physician.

PASAR staff must review the “5 Rights” as well as other medication procedures in the Site Managers Manual on-line via Inside PISD-Student Services-PASAR. Students may not carry medication of any type on their person. Exceptions may

include a student with a diabetic pump for medication; however, any exception must be approved through the school nurse.

Medical / Emergencies Care for injured or ill children will be provided until the parent/guardian can pick up the student from PASAR. The Site Manager/Assistant Site Manager will document

the medical care given for the illness or injury occurring during PASAR hours. Each campus has a PASAR First Aid Kit to use for minor injuries.

In the event of an accident involving an injury, the Site Manager should

complete the PASAR NCR – 4 part accident report form.

Distribute the NCR copies as follows: original/white give to the Parent, yellow to school nurse or office personnel, pink and gold copy sent to PASAR Office Manager.

The Site Manager/Assistant Site Manager will notify the parent by phone of illness or injury.

A head or eye injury requires notifying the parent immediately by phone. The parent will make the decision as to what they want done for their child. Parents must sign the accident report the day of the accident at pick up.

In case of serious injury PASAR staff should call 911, then immediately call the parent or their designated agent. Then immediately call the Zone Leader. If the

child is taken to the hospital, a staff member (with the medical form and student profile) should accompany the child if the parent has not arrived on campus at the

time the student is transported. In the event a Severe Injury:

If a child has a possible broken, dislocated bone, sprained muscle, a severe cut or abrasion that may need stitches, immediately contact the parent and PASAR

Site Manager and Zone Leader. If it is safe to do so, take the child to the office. Do not attempt to move a child that appears to have a back or neck injury. Instead, have the child lay flat and still until help arrives.

If a child is unconscious, unresponsive, stops breathing, goes into seizure, or has any other major medical emergency, call or have someone else call 911 and notify the Site Manager and Zone Leader immediately

Administer first-aid or CPR as necessary A PASAR staff member will go outside to meet the emergency responders

(ambulance or fire truck).

If a child is taken the hospital, a staff member should accompany the child if the parent has not arrived at the time the student is transported. The staff member must bring the signed medical release form located in the child’s file.

The NCR Accident Report must be signed by the parent or guardian on the same day in which the accident occurred. The top copy must be given to the parent or guardian. --- 1 copy is given to the office manager of your

campus, the other copies are sent to your Zone Leader.

When a child gets hurt, fill out the Accident/Injury reports – 4part NCR for serious

accidents the PASAR minor injury report for all other incidents. Maintain confidentiality and only mention the name of the child for whom you are filling out the report. Never mention the name of the child who hit or bites. The

Accident/Injury Report should include detailed information about how a child was injured, and what measures were taken to care for the child.

The PASAR Head Injury letter is posted on the Inside PISD/PASAR webpage. The head injury must be completed and given to the parent/guardian every time a head

injury occurs.

Children who are not feeling well or display symptoms of illness should be given a

quiet place to rest while a determination about whether or not the child may remain in PASAR is made. When necessary, the child should be separated from the other

children, but remain under PASAR staff supervision. Contact should be made with the child’s parents to make pick-up arrangements. If a child does need to be picked up and excluded from care, a parent or guardian is expected to arrive within

one hour of being called. When a child is not picked up within an hour, the parent will be called again as a reminder.

If the child’s temperature is 100 degrees or above, a parent or their designated contact should be notified to pick up the child immediately.

As a standard operating procedure (SOP), PASAR staff does not administer routine, daily injectable medications. However, any emergency medications will be

administered as directed by the student’s physician and current medical care plan. Exceptions to this SOP, if any, will be evaluated on an individual basis. If the child

requires any special considerations for daily medical needs, for the safety and welfare of the child, it will be necessary to discuss these with the Zone Leader or

Director of Campus Support Services before admission to the program and will be considered on a case-by-case basis.

By state regulation, parents must keep their child home until they are free from all symptoms of illness and fever for at least 24 hours as described below. A child must be excluded from PASAR when a child has:

An illness prevents the child from participating comfortably in PASAR activities. An illness results in a need for greater care than the staff can provide without

compromising the health and safety of the other children. Child has had a fever in the past 24 hours. Oral temperature of 100 degrees or greater, accompanied by behavior changes

or other signs or symptoms of illness. Child’s temperatures will be taken under the arm, on forehead or orally. Armpit temperature, as read on the thermometer of 99 degrees or greater,

accompanied by behavior changes or other signs or symptoms of illness; or a health-care professional has diagnosed the child with a communicable disease, and the child does not have medical documentation to indicate that the child is

no longer contagious. Signs of possible severe illness, including unusual lethargy, irritability, persistent

crying, and difficult breathing.

Uncontrolled diarrhea, defined as an increased number of stools compared with the child’s normal pattern, with increased stool water and/or decreased form. Even one diarrhea incident may require exclusion if it is not contained by the

child or if it is combined with other symptoms. Exclusion will occur until symptoms have disappeared for 24 hours.

Child has vomited two or more times in the previous 24 hours, unless the

vomiting is determined to be due to a non-communicable condition and the child is not in danger of dehydration. Exclude until symptoms have disappeared for 24 hours.

Mouth sores with drooling, unless the child’s physician or local health department authority states the child is non-infectious.

Rash with fever or behavior change, until a physician has determined the illness

not to be a communicable disease. Purulent conjunctivitis, defined as pink or red conjunctiva with white or yellow

eye discharge, often with matted eyelids after sleep, and including a child with

eye pain or redness of the eyelids or skin surrounding the eye. May return 24 hours after treatment begins and symptoms have disappeared.

Infestation (e.g. scabies, head lice), may return after treatment. All nits and egg

sacks must be removed prior to child’s return. It is recommended for the clinic personnel to check for continued infestation upon child’s return to school.

Impetigo, until 24 hours after treatment begins. Streptococcal pharyngitis, until

24 hours after treatment has been initiated, and until the child has been a fever

free for 24 hours. Pinworm and Ringworm infections, until 24 hours after treatment begins.

Chicken Pox, until 6 days after onset of rash or until all lesions have dried and crusted.

Other conditions or symptoms as determined in the sole discretion of the

administration at PASAR.

Exclusion Rule

In general, children need to be excluded from care if an illness prevents them from participating comfortably in facility activities or results in a greater care need than

the PASAR staff can provide without compromising the health and safety of the other children. Children participating in the PASAR program should be well enough to take part in all daily activities including outdoor play.

Treating Minor Injuries

Scrapes and cuts may be washed with soap and water. A band aid applied, if necessary. Bumps and bruises may be treated with a cold pack or ice bag.

Staff should not apply Neosporin, hydrogen peroxide, etc, unless instructed to by a parent. Unless it can be removed with your fingers alone, splinters should be left in place with a bandage over them. Splinters should not be removed by PASAR staff.

Parents should be informed and a pick-up may be issued if student is in severe pain.

In general, policies developed by the American Academy of Pediatrics/American Public Health Association pertaining to the exclusion of children with other

contagious diseases will be followed.

Safety Procedures/Security Plans Security Plan AT ALL TIMES, all Child Care personnel are expected to adhere to the following

procedures.

Daily Preventive Safety Measures Every adult in the building should have a PISD badge, Visitor or Volunteer

sticker. If you see any adult or suspicious individual without identification,

escort them to the PASAR office immediately. All visitors to the building will enter through the front doors and sign in at the

PASAR reception desk.

Keep ALL outside doors closed and locked at ALL times during operating hours. DO NOT prop doors open for any reason.

DO NOT grant anyone entrance into the building through the side doors. They

should be direct to the front entrance. DO NOT share your PISD badge with ANYONE including family members to allow

them access in to the building.

Keep hallways and passageways free of furniture and other clutter. Provide supervision for students at ALL times. Actively monitor students at all times. Position staff on duty so all students can

be observed. Do not allow outside activity on ozone alert days or when the heat exceeds 95 F.

Students suffering from head injuries must always have an accident report filled out, and notify the parent at pick up as well as other injuries that cannot be

taken care of with TLC. Communicate with the parents regarding any injury and always parent signature.

The care giver must administer all medication in accordance with medication

training. The Site/Assistant Site Manager makes all decisions and parent contact when a

child is sent home with sickness.

Be aware of children with medical problems, special diets, dietary restrictions or snacks.

Call 911 in an emergency situation.

Be sure to know and understand your campus Security Plan. All PASAR staff members should know where your AED machine is located.

Medical Emergencies In case of a medical emergency in which a person or child is suspected of needing

CPR assistance, the front office staff must be immediately notified. The CPR/AED trained personnel team will check the victim and act according to guidelines.

1. Check to ensure the scene is safe. 2. Check the victim 3. Call 911 and inform them that you have a medical emergency.

4. Ask someone to bring you the AED machine. 5. Response time should be under 2 minutes.

If 911 is called the PASAR staff will direct the medical personnel to the victim. The EMT’s will decide whether or not to transport. The Site or Assistant Site Manager

will call District Security after making the 911 call, and call their Zone Leader immediately. The parents should be called immediately.

Fire Drill Procedures Monthly practice fire drills are required at each PASAR campus. Follow the required

guidelines on the PASAR Fire and Safety Form for the severe weather, lock-down and reverse drills. Submit to the PASAR office manager immediately upon completion of the practice drills.

In the case of a real fire on the campus the fire bell signal is a series of blasting

tones. Strobe lights blink at designated points. The signal continues until the building is evacuated. A current escape route map must be posted in each classroom with highlighted

routes for that particular class. Evacuate the building; the Site Manager will call the Zone Leader who will call

Security and Transportation. If the Zone Leader is not available, then call the

Director of Campus Support Services. ALL students and staff leave the building quickly and quietly by assigned exits.

(Please see Fire Drill Procedure Map for exit locations for your specific room.) Staff should take their Evacuation Emergency Folder (class list and emergency

contact phone numbers), their walkie talkie, close classroom doors and exit

doors, and ensure that all children are evacuated from the building and remain with you throughout the drill. Complete Face to Name sheets and take a headcount or roll as you assemble. Children should be aware of how to exit the

building if they are in the bathroom or any place as the alarm sounds. This includes if the alarm sounds while students are on the playground.

Everyone should be at least 50 feet from the building. There will be times when the typical exit door is blocked to practice alternative

exits from the building. Tell your children which door to exit if the regular door

is blocked. A fire and a fire drill are SERIOUS situations. Please communicate this to your

children. There will be no talking or running.

Everyone must exit the building during a fire in your designated area and face away from the building.

The “safe return” call will be announced over the walkie talkies and you will be

asked to return to your classrooms.

Bomb Threat: Evacuation is Necessary

Code words: “Staff, prepare for immediate departure of the building.” Please do not use your walkie-talkies or your cellular phones.”

DO NOT inform the children of the bomb-threat, the Fire drill bells may be used. Remove the students from your area IMMEDIATELY using the outside doors. In case of a true bomb threat, the Site Manager will call Security and

Transportation. If the Zone Leader is not available, then Site Manager will call the Director of

Campus Support Services.

The PASAR management staff will calmly conduct a visual inspection of your work areas.

If a suspicious package is spotted: DO NOT touch! (Report to the

administrators after evacuation.) Follow standard fire drill evacuation routes unless instructed otherwise. Have children move at least 200 feet away from the building and face away from

the building. Always take your Evacuation Emergency Folder (class list and emergency contact

phone numbers) as a means to take a headcount and/or class roll once

assembled outside of the building. Do not re-enter the campus until a supervisor has instructed you to do so. You may be asked to proceed to “REMOTE SITE**” by a safety/security official or

administrator.

Threat Made by Telephone: If a threat is received via telephone, have the Site Manager/Assistant Site whom is not on the phone immediately notify the Zone Leader, the Zone Leader will notify

Director and District Security. The Site Manager/Assistant on the phone should make every effort to maintain contact with the individual for as long as possible.

Ask the caller the following questions: Where is the bomb located? When is it set to go off?

What kind of bomb is it (gasoline, black powder, etc.)? Is the bomb placed in the school building? Why was the bomb placed in the building?

What is the name of the caller? (Sometimes the caller will actually tell you their name, so ask.)

The person receiving the call should:

Check the caller ID screen and write down the number displayed.

Listen carefully for any background noises, accents, or other things that might help identify the race, age and sex of the caller.

Note the exact words used. Note the exact time the call came in.

Tornado Drill (Severe Weather) Procedures Code words: “Staff, this is a tornado drill. Please assume duck and cover positions in your designated areas.”

There is a signal for a tornado drill that is distinct from the fire or regular bell. We will always practice the drill by making a verbal announcement. Caution

your children to not react before knowing which emergency signal (fire or tornado) sounded. Tornadoes are the most destructive weather force in the north Texas region. Please be aware of current escape routes, which must be

posted in each classroom. In case of a true tornado, the Zone Leader will call Security and Transportation.

If the Zone Leader is not available, then the Site /Assistant Site Manager will

notify the Director. Stay away from all windows, high ceilings (center atrium), and outside doors. Go to the designated duck & cover spot quickly and quietly.

Assume the protective position (on arms and knees with hands covering neck & head). There should be no talking.

Remain in place until given the all clear signal. If an actual tornado is in the

area, remain in position until the storm passes. Watch for exposure of electrical wiring and move accordingly. If you get caught outside during a tornado and cannot return indoors, lie flat on

the ground and cover your head. If there is a ditch or gully nearby, get in it immediately.

The return signal is a verbal administrative directive.

Lock Down Procedures Code Words – “Staff, please prepare for lockdown.”

All staff with classroom doors will immediately closes and lock their doors. Office Staff will quickly check all doors and not let anyone enter during the lock down.

All classroom doors automatically lock when closed from the outside to prevent entrance to the classroom. The staff member closest to the inside door should lock that door. If a staff member sees a student in the hallway outside of his/her

class, they should bring that student into his/her classroom and keep that student in the class until the lock down is over. Do not allow any student out of the classroom for any reason. Staff should take attendance and ensure all

students who are present that day are accounted for and are in their classrooms. If a child is not accounted for or if there are additional students in their class, the teacher should notify the office that the student is not in class or that they have

an additional student. This can be done on email. The Zone Leader or Site Manager will sweep the common area for anyone that was not inside a classroom at the time of the lock down and notify their classroom staff.

Children should be told to remain in their seats and should be asked to work quietly. Staff will isolate children from view by moving them away from doors and windows. This will stop parents from going into a panic mode upon hearing

of the lock down. Staff should take the class phone off “do not disturb” to allow in-coming calls to

be answered. They should keep their walkie Talkie on if we should need to

contact them. If a staff member has a cellular phone they should keep it on for

additional means of communication, although they are not required to have a cell phone.

Staff should only go out of lock down mode when the all clear is announced by the PASAR staff. If there is a need to evacuate the building follow the fire drill evacuation procedures.

A lock down is not always a threat that is happening at PASAR. There are occasions that a police or fire incident is occurring in the surrounding area and PASAR MAY BE

at risk. If this is the case, the school will be notified that there will be a need for the lock down.

Reverse Evacuation/Shelter-in-Place Drill (E.g. Hazardous Material Spill or Severe Weather)

Code Word – “Staff, please return immediately to the building.” The following procedure will also be used for any emergencies that require re-

entry into the building.

In case of a true emergency, the Zone Leader will call Security. If the Zone Leader is not available, then the Site Assistant Site Manager will call the Director of Campus Support Services.

Instruct students to line up. Re-enter the building as fast as possible by means of the nearest exterior door.

Staff members who are inside the building at the time of the emergency will

immediately return to their assigned areas to open the exterior doors to assist children and staff with re-entry.

Once inside the building, return the children to their assigned classrooms. Classroom staffs please take attendance and notify the office via phone/e-mail of

any missing children.

Continue to remain calm and engage the children in a read aloud until further directions are given by administration.

Hand Washing and Sanitation Procedures Hand washing is the single most important factor in preventing the spread of disease, which can happen quite easily in a Child Care setting.

Hands should be washed using warm running water and liquid soap. Rub hands with soap, and be sure to include fronts and backs of hands,

fingernails, between fingers, and wrists. Do this for at least 10 seconds. Dry using single-use disposable towels. Turn off water using the paper towels and discard them.

Caregivers should wash their hands:

Upon arrival in the classroom before serving snacks and returning from break and after outside time

After assisting a child with nose-wiping

After toileting After using cleaning or other chemicals

After handling raw food products; Any time you may have come in contact with body fluids or other harmful

substances.

Children should wash their hands: After toileting, and nose-wiping

After outside time Before helping prepare food and before eating

After playing in sand Any other time that the caregiver has reason to believe the child has come in

contact with substances that could be harmful to the child

Cleaning Spills of Body Fluids

Staff should avoid contact with blood or blood-containing body fluids and tissue discharges or wear latex single-use disposable gloves if contact is necessary. Blood contaminated material and gloves should be disposed of in a plastic bag with a

secure tie.

CPS and Child Abuse Understanding and Reporting Child Abuse or Neglect All PASAR employees must be familiar with the signs and symptoms of abuse and/or neglect and must know the

procedure for reporting such occurrences. Ask your Zone Leader for more information about CPS and Child Abuse. The CPS/Child Abuse phone number is: 1-

800-252-5400.

Playground

Maintaining a safe outdoor environment is the responsibility of all PASAR

employees. The playground and play equipment must be inspected on a daily basis to ensure the environment remains safe for children. Every day

before playground activity inspect the entire outdoor play area. All unsafe or hazardous situations must be reported to the appropriate department for

immediate repair or attendance. At a minimum, staff should monitor for the following situations:

Gates closed and latched

Trash removed from ground Sand/gravel swept from sidewalks, paths, and playscapes

Toys, playscapes, and other equipment in good repair Follow Playground Rules

Slides are for sliding down feet first Other possible playground rules may be set by caregivers as necessary
