SAVE THE TIME OF THE READERWhat are the problems?BrainstormingProblems were the following:

Slow processing of borrowed/returned library materials Lack of security manpower Poor filing/retrieval of borrowers and book cards Inaccurate records of library attendance and resources usage

. Poor circulation service. Poor circulation serviceWhy?FACTORS?ROOT CAUSE ANALYSIS

Item/DescriptionProcessFeedback/ObservationINSTITUTIONAL SURVEYFaculty request for a better Library System in which we can accurately monitor overdue books. (Institutional Survey 2013)This process is done through the combination of Athena, Book Card and Library Card.Time consuming and more room for errors due to the many steps and procedures in the Circulation Process.60% of students from the P-slips random sampling complained that there are too much forms to be filled out and it is a waste of time.Students are required to fill out forms whenever applying for a library card and also whenever they borrow and return books. Not to mention the logging in of students whenever they enter the library and use the facilities.Receipt printing is unavailable due to the absence of receipt printer. There is no automated system to tally student usage as well.Data GatheringItem/DescriptionProcessFeedback/ObservationLIBRARY MANUALAny user who does not have the Library Card cannot check out any library material.Manual checking outNo receipt issuance for a book released/borrowed.Dissatisfied client-borrower.All students, faculty, staff and visitors are expected to log-in and log-out upon ingress and egress of the library respectively.Manual login and outGenerally, they avoid to login and out, especially, during the succeeding visits one makes on the same day. Library Staff records entry of users using the Daily Statistics Form to be summarized monthly using the Monthly Statistics Form.Manual recording of monthly statistics summary Records created do not reflect actual user attendance and readership.Library staff requests the list of currently enrolled students, new faculty and staff from the department concerned.Manual encoding of enrolled students to AthenaThis activity including editing is tedious and time-consuming.Library staff asks borrowers to fill out the Information Card.Manual accomplishing of a borrowers cardThis activity is also time-consuming. Submission of an ID is obligatory and an intention of borrowing without it delays usage.Library Staff prepares and validates library cards for those applicants who have accomplished the borrowers information card. Library cards are kept/filed in the library.Manual validation and filing of library cardsPaper-based and un-updated files.Solution FormulationCustomize a machine-readable school ID card which doubles as a library card in order for Southville International School and Colleges to improve its library service and have a full automated networked-based circulation facility for its libraries this academic year 2014-2015.

BARCODINGConclusion and RecommendationThere is a great need for an improved library patron account management system enhanced by an introduction of a barcoded ID. This may impact and facilitate efficiently and effectively circulation procedures of every SISC library.KOHA, a free and an open source integrated library system, has this feature that can interoperate with the use of a machine-readable campus ID (Registration) which doubles as a library card. This card is also meal card compliant.
