Investor RelationsPreviously, Isabel said, just fielding phone calls and emails from investors was highly labor-intensive. “We had too many documents and it was hard to keep them organized and up to date,” she said. “We got calls every day from different investors looking for investment information, statements, and other information, and all statements had to be emailed one at a time.”With Dynamo’s investor portal, investors can now log in and see all documents and information related to their investments. “The portal gives investors a complete look at what they have with Independencia in just a couple of clicks,” Calvo said. “They know where they can find the information, and they are very happy about it, too.”This reduction in time spent collecting information for ad hoc requests frees up the investor relations team to focus on tasks that create more value than administrative work. “We can work on new ideas and review more projects, and today when we talk to investors, we have quality conversations instead of administrative conversations,” she said. “It’s win-win for all of us.”ReportingThe investor relations team sees the most time saved with automated reporting in Dynamo. Prior to using Dynamo, putting together and sending the Investment Performance Report was done manually with information stored in Excel. With multiple people working in the same files, it was impossible to track what changes had been made, so verifying numbers required extensive quality assurance. Calculating the report took anywhere from 1-2 hours depending on the investor. Now, it´s automatic and each investor can see their specific information in their portal.“Besides the Investment Performance Report, the most useful report is the one we use for dividend payments,” Calvo said. Dividends are paid quarterly for the firm’s 34 properties to 100 investors invested through 300 investment vehicles. “We used to upload dividends to the banks one-by-one, which took days,” Calvo said. To create a more streamlined process, the Dynamo team created a custom report that automatically assigns the appropriate dividends to each investor for each property and reports them in a format that is recognizable by the bank, which is a huge time-saving tool. “Today we can calculate and upload the dividends for all investors in one afternoon,” Calvo said.
