In-Sync Exotics 1/04/2013 Board Meeting Minutes from 11/09/2012 Meeting Called the meeting to order at 6:30 p.m. Present: Vicky, Chemyn, Colleen, Eddie, Elizabeth, Helen, Lakshmi, Lisa, Ron REVIEWING OF THE MINUTES Reviewed minutes from Board meeting – Colleen makes motion to accept & Chemyn seconds all approved. Before we started Lark stopped by to show samples of the Benefit Bracelets – decided he could make however he wants, put a tag with ISE info and whatever he sells send us 30%. PRESIDENT’S REPORT/MEDICAL REPORT COMBINED October 7 th - Kibo & Shira home safe and sound. We put them straight in with Nefi and she really seemed glad to see them, (someone her own species). About a week later she wasn't as happy but she's not unhappy either. 8 th - Moved Sam & Kodi to their new house. Happy Happy boys. They both loaded up in a cage and transported them with no problems. The only problem we have now is that we still need to knock them out to do blood work and a look over to see how they are doing. 9 th - Tramp's DAY USDA visit inspection and gave us another 5 start report 10 th - Quisto came and is staying in Kenya’s till we get the bobs moved. 10 th - Gideon started seizing again. Having one a day and sometimes he was waiting a day like every other day. We started him back on pred and gave him .25 Valium during this seizure. 11 th -Moved Jasper, Chance & Lydia to York and took Gideon to York for play date for 5 hours did great! Gideon seizure again. 12 th - Holy shit nothing happen today 13 th - Gideon seizure again, ugggg. Started Gideon on phenobarbital at 4g twice a day. Also started him on Clindamycin. Weighed Shazam 573. 15 th - Zachary'' DAY Gideon seizure again. 16 th - Started Amol on 8 pred and 6 baytril for ear infection. 17 th - Isaac fell from York Bridge. Jasper found a hole in the fence inside the house and got on top of the roof above the inside walkway. 18 th - Moved Quisto next door to Otis and Moses. Awareness Day. Weighed Harley 353#. Chance fell from York bridge o Quisto not coming out but he is eating well. 19 th - EAAD vigil, volunteer camp out and potluck, Sox's eye really bothering him and has rubbed and scratched it so much that it’s super red on the left side of his head. Upped Gideon's phenol dose from 4mg to 8mg. Gideon was having full body jerks all throughout the day. When talked to Dr. Hoppes she suggested that we give him 16mg the 4mg dose was way too low. She said her domestic cat is on 16mg so should be good for him as well. 7th - Kibo & Shira home safe and sound. We put them straight in with Nefi and she really seemed glad to see them, (someone her own species). About a week later she wasn't as happy but she's not unhappy either.

much that it’s super red on the left side of his head. Upped Gideon's phenol dose from 4mg to 8mg. Gideon was having full body jerks all throughout the day. When talked to Dr. Hoppes she suggested that we give him 16mg the 4mg dose was way too low. She said her domestic cat is on 16mg so should be good for him as well. I'm too scared to up it without having Dr. Chucks approval which he doesn't want to do that much unless it really needs to be.

22nd - Nugget is showing signs of a sore on his buttocks again, GEEEES REALY 23rd - Raja's Day Got Gideon's blood to check CBC & Chern and Pheno levels. Gideon had a 5 hour seizure from 1:30am

till we dosed him a second time with valium at 6:10am. Total valium given within a 40 min period was .5. This dose completely knocked him out and he slept all day.

24th - Gideon's blood work back. Pheno levels are to low upping him again to 12mg. Has high white count and a couple of other things seem high. Making an appointment to go to A & M for spinal tap and another MRI. Will be testing for anything we can think of. Tacoma is having a lot of trouble walking. Looks almost as bad as Spike. Started him on 6 tramadol-3 times a day. Weighed Aurora 278# & Layla 265# & Tyjar 390# ok so he's a little chunky, Jasmine 320# maintaining, YAY.

25th - Almost every day someone tries to describe to me how Spike is walking. I know he's walking bad but there really isn't anything we can do for him other than taking him back to A & M.

o Do MRI & if we do surgery will it improve his quality of life. 26th - Gideon to A & M. Gave Nugget a wonking steroid shot hoping to get control of his sore before it goes crazy again.

After talking with Chuck about Spike again he said to take him off the meloxicam and put him on pred. He also mentioned that we may be able to do steroid shots in his back like they do to people. Checking into that now.

27th - Upped Gideon's pheno again to 16mg agreed on by both Chuck and Hoppes. 28th -Malikai's DAY Fall Fest. Gideon fell from the York Bridge. 9:00pm Gideon vomited 12 times with in a 45 min

period. Started Shazam on pred and Baytril for possible ear infection. Shaking head and losing more mane. 30th - Sox back to the vet. Took his blood checked his thyroid levels. Started Nefi on Famotidine for upset tummy. Has

been off her food for a few days. 31th - Started Nefi on Sucalfrate with the famot and added Vaseline a spoonful once a day. Weighed Kibo 26.5#, Shira,

26.5#, & Nefi 31.5#. Eve 345#. Spike, changed his pain meds to 3 times a day instead of twice a day.

FLORENCE FOUNDATION GRANT REPORT DUE NEXT MONTH

November 2nd - And the month starts all over again with Nefi having to have stitches. Back ripped open from the middle of her

shoulders down to her ribcage. 24hr watch. 7th -WOW a whole 5 days with nothing.......Took Gideon’s blood been on the same dose of phenol for 10 days so levels

needed to be checked again. Sabu had some blood in his nose. 8th - Got ok from Chuck to start Sox on pred. wants us to zap his thyroid for better treatment cost 1,500.00. Nugget’s

butt looks like a meat grinder got it again. Started him on the daily Baytril shots again. Seems like he has some pain walking pretty slow.

9th - Nadia at Chuck's cheek not cancer!!! Found a bone chip which needs to be taken out at A & M. Taking Spike to A&M on Tuesday. Take Nefi off meds. Nefi watch done, doing great!

o A fluoroscope is needed to dig around to get the bone out. Not sure if they got all of out so if it heals it is ok. If not, then will go back to A&M to do the scope. No big hurry to take out so will wait awhile. The bone chip happened when Chuck removed the tooth.

We got 10,000.00 coming from Florence coming in the next few days YAY! Got to call someplace for turkeys Finished DWA cert and mailed it off Renewed USDA Lic.

project. We didn't create a budget for the project but Vickie has designated "general revenue" funds for each project. This is what you see in the Capital or Operating account for each project. As you can see from my report, we've spent far more on each project than has been donated for that specific project - thus the need for spending the "general revenue" funds for each.

You can see from the P&L and Balance Sheet reports that we did OK for October, +14627 for the month and 60153 cash on hand.

Accounts are not accurate since not all amts are entered. Have $60,000 (includes Fidelity) Vet - $20,000 less than last year ($15,000 of it last year was for Poetry) Donation – last year was $264,000 to this year $310,000 at the same time Food is $18,000 more this year than last year

December info - Attached is the Treasurer report for December. On the last page you see over 14K in invoices unpaid (ignore the -1K from Capital One - entry error) and only 1K in the operating account. Still, we have 17K more in total cash than we had last year at this time. The line items in the Capital Account are not yet resolved. Vicky will discuss the cash inflows expected in the next few weeks, but there will, I believe, be a significant shortfall by month end. There needs to be significant income in the next 30 days to handle the outstanding bills and anticipated expenses.

Advertising. Nothing planned at present. Do we want to do anything? DVD’s? Do we still want to do the DVD’s? Robert said he was working on a QR code that can take them directly to

the video. I think it’s a GREAT idea. Would be cheaper on postage too, which brings me to … if we still want to do the DVD’s, can we get non-profit rate? Is that cheaper than book rate? Do I have to send them from Wylie PO to do it?

Community Service. The group of boys will be here for a service project the morning of November 17. They wanted to arrive at 9; I told them 10. We’ll do a very quick tour then they can hang Christmas lights. Colleen, do we have everything we need for this?

Exotic Animal Awareness Day. I think it went pretty well considering we messed up the date and it all sort of came together at the last minute.

Marketing Plan. Apparently a marketing plan ALWAYS starts with a marketing budget, which we don’t have. As such, we must start by working with what we already produce as marketing tools. Not including electronic “stuff…” this includes primarily brochures, fliers, and SOL letters. Again, I LOVE the idea of including the QR code on everything. I also like the idea of redesigning the fliers to streamline the look in an effort to provide “branding.” Because all the fliers

have been created by different people, I think they lack cohesiveness. Aside from updating the brochures, I think this should be our first step towards a more professional marketing strategy. Thoughts? (FYI, a sampling of the fliers… Spring Break, Easter Egg Hunt, Fall Festival, Volunteer, Membership)

o Everything needs to be consistent – all brochures, flyers, etc.

Also, and I FULLY ADMIT I am guilty of not doing this, but I think our business cards should all look the same. AND, we’ve talked about it before… I think we should have cards printed with only the name, website, and QR code. Volunteers can give these out at work, post them on community boards, enter giveaways, etc. It seems an inexpensive way to get our name out there.

AZA Strategic Plan. I looked over the accreditation standards for AZA (WOW!) (http://www.aza.org/uploadedFiles/Accreditation/Guide%20to%20Accreditation.pdf) to get a feel for what we will need to include in our strategic plan. It seems like there are many separate components we’ll need to address in the formal plan. This can’t be done by 1-2 people working on it a few hours here and there. We have an informal framework from the retreat but it needs a lot more work. We will need a committee, or… someone else will need to do media, PR, and tours for me the next couple months. Are we planning to submit March 1 so that our case can be heard in September?
