DR Setup Steps for V3 TXA Setup within a Business The following steps need to be completed by DigitalRez. DigitalRez will contact you when these steps have been completed. 1 Channel Management and Setup Panel Ensure Memberships are enabled for the business. Click Setup from the Menu Bar, expand Pricing and Rates and click 2. Inventory Manager. Scroll down and expand the Channel Management and Setup panel. Click Add to select the Channel Tourism Exchange Australia (TXA) to enable into RezExpert. 2 Channel Setup After selecting TXA, enter in the Channel information. Provider Short Name: Given by TXA to the property in an email. Image Base URL: Enter in https://s3.amazonaws.com/rezexpertrezrobotimages (Go to Email Marketing to copy Logo link) Image Relative URL: Enter in Business #_RR_Conf_Logo.bmp Region: Select the region of the Business Adult/Child/Concession: Select the appropriate Occupant Type to map to these Labels. Tax Invoice Message: Enter in a message to appear on the Tax Invoice i.e. “Thank you for staying with….” Booking Terms: Copy from the Business Terms and Conditions from 8. Unit Type Policy Description. Conditions Of Use: Copy from Business T&C (not required if Booking Terms are entered). Manager Setup Steps for V3 TXA Setup

The following steps need to be completed by the Property Manager.

1 TXA Rate Group

If different Rates from Regular are going to be offered to V3 TXA, a separate Rate Group needs to be created to enter in the TXA Rates.Click Setup from the Menu Bar, and expand Pricing and Rates and select 1. Rate Group.Click Add to create the Rate Group.Label: TXA RatesClick Submit to finalise.

After creating the Rate Group, click 3. Rate Setup to enter in the TXA Rates for the Unit Types you want to offer.Ensure that the Occupant Rates are also entered; enter $0.00 if there are no extra occupant charges.

2a Unit Type – TXA Class Selection

To enable the Unit Types to be available for TXA, each Unit Type has to have the Accommodation Class selected.Click Setup from the Menu Bar, and expand Business Setup and select 7. Unit Types > Units > Features.Within the Unit Type Setup, expand out the All Types on the left to view all the Unit Types.Select the first Unit Type and select the TXA Class from the drop down.Click Submit to finalise.Repeat with all Unit Types that are available for TXA.

2b Unit Type Description and Images

Unit Type Descriptions are required to be entered in.Click Setup from the Menu Bar, and expand Business Setup and select 7. Unit Types > Units > Features.Within the Unit Type Setup, expand out the All Types on the left to view all the Unit Types.Select the first Unit Type and click Edit next to the Description box.Enter in the Unit Type Description.Click Submit to finalise and repeat with all remaining Unit Types.

Click Modify Image List to upload the Unit Type Images.

3 Inventory Allocation

Inventory Allocation can be set to allow a set number of units to be available for booking via V3 TXA.Click Channel from the Menu Bar. Expand out the second panel – Inventory Allocation.Click All Unit Types to enter in an allocation value into all Unit Types at once, or select an individual Unit Type to enter that Unit Type’s allocation value.For each Unit Type will be a Default column and a Tourism Exchange Australia (TXA) column.The Default column is the original number of units available for the Unit Type.Click Fill next to the Tourism Exchange Australia (TXA) column.Select the dates applicable for this allocation. Enter in the # of Units that you wish to be allocated to the Tourism Exchange Australia (TXA) booking website.Click Submit to finalise and repeat with all remaining Unit Types.

4 Subscribing to Wholesalers

After all the RezExpert set up steps have been completed, its now time to subscribe your Property to the Wholesalers you want to offer bookings to guests i.e. Expedia and Booking.com.Log in to the TXA Console to subscribe.

Steps for Managing V3 TXA

The following steps need to be completed by the Property Manager or a Front Desk operator.

1 Availability Error

If a staff member receives the error message displayed (Image 1) when attempting to make a reservation on the grid, click on Inventory Manager button within the message to check the inventory for the unit type. The Inventory Manager panel will open.

To release blocked inventory from another Inventory Segment, within the Managers Override section, click and drag the selected dates and click the “–” button. This will release one unit. Close and continue with making a reservation.

1b Releasing Inventory

To quickly release blocked inventory for an Unit Type from your Availability Grid, click an unit within the unit type on the grid and click Utilities button. Select Go to release some of the blocked inventory.

To release blocked inventory, within the Managers Override section, click and drag the selected dates and click the “–”button. This will release one unit with each click.

To increase the amount of units blocked, select the dates and click the “+” button. NOTE: Use with caution, as this allows you to overbook the Unit Type.

The following steps need to be completed by the Property Manager or a Front Desk operator.

2 Change in Rates/Min Stay Dates

When RezExpert rates and Min Stay dates are adjusted, the Channel needs to be updated with the changes.Click Setup from the Menu Bar, expand Pricing and Rates and click 2. Inventory Manager.Scroll down and expand the Channel Management and Setup panel.Click the Rebuild Min/Max Rates and Minimum Stay button.

3 Suspending Channel Bookings

Manager: If you wish to stop bookings via the TXA Channel for a period of time, you can Suspend the Channel.Click Setup from the Menu Bar, expand Pricing and Rates and click 2. Inventory Manager.Scroll down and expand the Channel Management and Setup panel.Click the Suspend button to suspend.

Additional Information

The following steps need to be completed by the Property Manager or a Front Desk operator.

1 Special Rate Offers

Booking Channels deal with just Daily Rates but your special rates (ie. 3 Night Stay specials) will still be handled. To account for the different Time Periods, when the booking ‘arrives’ onto the Availability Grid, there will be an Adjustmentapplied, using the product “TXA Adjustment”.The required Tax will need to be enabled onto this product. Click Setup from the Menu Bar, expand Business Setup and click 9. Product Setup. Expand out the Product Group Tourism Exchange Australia and select the TXA Adjustment product.Tick on the required tax. If the Accommodation charge has tax associated, the TXA Adjustment product needs to have the same tax associated. Ensure a GL Code is also assigned to the TXA Adjustment product for accurate reporting.Click Setup from the Menu Bar, expand Admin/Accounting and click 1. General Ledger to assign the GL Code.
