Purpose:
These policies and procedures are used to keep a consistent protocol with all Fitness & Wellness
Staff and other departments, organizations, or governing bodies for the event of $1 Body
Compositions.
Scope:
These policies and procedures are used by all F&W Personal Trainers and Monitors.
Policy and Procedure:
I. MONITOR PROCEDURES
a. The Monitor will report to the Main Office of the Ramsey Center to meet with a
previously designated Business Staff Personnel 15 minutes prior to the start time
of the $1 Body Compositions.
b. The Monitor then receives and signs-off on the Money Bag with an allotted
amount of cash inside.
c. The Monitor will collect the patron sign-in sheet from the Studio D closet and will
report to the Personal Training Office.
d. Upon arriving at the Personal Training Office, the Monitor will proceed to collect
cash from patrons and have them sign-in on the waiver in an organized manner.
e. After the allotted time for Body Compositions, the Monitor will tally up the
number of patrons and dollars that were serviced.
f. Following the tallying completion, the Monitor will document the numbers and
return the Money Bag to the Facility Manager and sign-off that is has switched
hands.
II. PERSONAL TRAINER PROCEDURE
a. The Personal Trainer will arrive 15 minutes before start time to prep the
Assessment Room/Personal Training Office.
b. Once participants arrive at the designated times, the Trainer (or Monitor) will
have participants read the laminated waiver provided and sign the sign-in sheet.
c. To perform the Tanita Body Composition Machine correctly, the Personal Trainer
will follow these steps:
i. Click “on”
ii. Clothes = 1.0
iii. Choose M/F standard or athletic (10 hours/week & RHR <60 BPM)
iv. Enter Age
v. Enter Height (ft & in)

vi. Enter 00 for goal to void this out on the printout
vii. Step on and Grab Handles
viii. Remove Goal from printout
ix. Clean Machine (hand & feet sensors)
d. The Personal Trainer will then perform the measurements, print out the results
from the BIA machine, and briefly explain the results to the patron.
e. After allotted time for compositions is complete, the Personal Trainer will aid the
Monitor with their finishing responsibilities.
f. If there is not Monitor working the $1 Body Compositions, the Personal
Trainer(s) will assume the Monitor Procedures listed above.
III. PATRON POLICIES
a. Patrons can only participate in this service by paying $1 in cash and signing the
waiver.
i. The waiver and acceptance of money are only taken place at the Personal
Training Office.
b. Patrons can only receive services between the allotted times for the Body
Compositions.

Purpose:

Staff for certifications required for these positions.
Scope:
These policies and procedures are used by all Fitness & Wellness Staff.
Policy and Procedure:
IV. FITNESS & WELLNESS STAFF CPRO CERTIFICATION POLICY
a. All staff must maintain current First Aid certification.
i. Current certifications are required for instructors and trainers to actively
teach, train, or perform monitor duties.
ii. You may receive a discounted rate of the certification if the staff member
completes the course through the Department of Recreational Sports.
1. A red coupon must be retrieved from the Fitness and Wellness
professional staff in order to receive a discount.
V. GROUP FITNESS AND PERSONAL TRAINING CERTIFICATION POLICY
a. All instructors and trainers are required to obtain a certification that is deemed
accredited by the National Commission for Certifying Agencies (NCCA).
i. e.g. AFAA, ACE, ACSM, NASM, NSCA, NETA, etc.
b. All instructors and trainers are required to maintain that certification through a
nationally recognized fitness agency.
It is expected that all instructors will keep current by re-certifying when applicable. It is the
responsibility of the instructor to know when their certification expires and to obtain re-
certification prior to his/her current certification expiration date. The certification is the
financial responsibility of the team member. Recertification information is available online.
Team members may obtain a discount card for re-certification from the AD F&W.

Purpose:
These policies and procedures are used to keep a consistent protocol with all Fitness & Wellness
Staff for classes and training sessions.
Scope:
These policies and procedures are used by all Fitness & Wellness Staff.
Policy and Procedure:
I. GROUP FITNESS CLASS POLICY
a. Instructors must arrive at least 15 minutes early, clock-in, and arrive to the studio
in order to provide enough time to set up all equipment needed for class.
b. All equipment used for class must be put back in its proper place.
c. In all studios, the stereo door should be shut and locked.
i. Volume should be turned down to 0 and powered off.
ii. If there is a problem with the stereo, please report the problem to a
monitor (if available) or contact F&W Specialist via phone or email.
d. The weight racks should be locked.
e. Instructor must replace the studio key in the closet once they obtain it to open the
stereo.
i. Every instructor accepts financial responsibility for the studio key during
the time of their class.
II. GROUP FITNESS CLASS PROCEDURE
a. The instructor will introduce themselves to the class, announce the name of the
class, ask if there are any first time participants, and if there are any injuries you
should know about.
b. The instructor will read the Pre-Class Announcements posted near the stereo (for
water classes: located in sign-in binder).
c. When turning on the stereo equipment, make sure the master volume is all the
way down. Turn on all other boxes before turning on the amp. This will extend
the life of our speakers.
i. When turning the system off, turn the master volume all the way down and
turn the amp off first.
ii. When adjusting the volume, the only dials that need to be touched are the
master volume, CD/iPod volume, and the Mic volume – they should not

be turned up past 7. To adjust the speed in Studio D and E use the slide
control: up to decrease the tempo and down to increase tempo.
d. To use the microphone, make sure the receiver is ON.
i. Make sure there is a battery inside the mic pack.
ii. Switch the power ON button on the mic – make sure the mute switch is
not on.
iii. Adjust the volume using the stereo controls.
iv. Make sure to take the battery out at the end of class and put it back on the
charger.
v. Place the headset on top of the receiver after class.
III. PERSONAL TRAINING SESSION POLICY
a. Trainer must clock-in 5 minutes prior and after the session is complete.
b. Trainer must meet client at pre-designated area as discussed.
c. Clients are not permitted to bring other individuals with them to the exercise
session(s) unless they are participating in Buddy Session or a Recreational Sports
F&W promotional event.
d. Trainers are not to answer questions on nutrition and/or supplements. If a client is
to ask such a question, refer them to a nutritionist or other qualified personnel
(UGA Nutritionist- Ben Gray [email protected] –Health Center).
e. If trainer feels uncomfortable with a patron and/or client at any time, please bring
it to the professional staff’s attention.
IV. PERSONAL TRAINING PROCEDURE
a. Trainer will meet client at designated time and place.
b. After the session, the trainer will deduct the session from the client’s packet on
Fusion.
c. The trainer will leave the PT Office locked with the lights off unless another
trainer is utilizing that space.
V. FITNESS MONITOR SHIFT POLICY
a. Arrive at the designated class 10 minutes prior to start time.
b. The monitor will wait until 15 minutes have passed from the class start time to
begin any assigned duties.
c. Monitors should check with the instructor that they are ready for class and do not
need any assistance before letting patrons in or leaving the class for assigned
duties.
d. Patrons must be checked into class via the tablets through the Fusion Software.

e. Monitors should not do unrelated tasks during their shift such as using their
phones, doing homework, etc.
VI. FITNESS MONITOR SHIFT PROCEDURE
a. Retrieve Tablet from the safe in the Studio D/E closet.
b. Log-in to Fusion Software via UGA username and password.
c. Search every patron’s 810 UGA number to verify they have a class pass for the
intended class.
d. Press “Allow” on the Access Reader to check the patron in.
e. The monitor will count all patrons in the class and document the total on the daily
count sheet.
f. The Tablet will be placed back into the safe and the monitor will continue with
assigned duties.
g. If the tablets are not working for any reason, the Monitor will get a class sign-
in/waiver form from the Studio D closet and will record all names, signatures, and
UGA ID’s from the patrons entering the class.

Purpose:

position to accurately document client attendance and package usage.
Scope:
These policies and procedures are used by Fitness & Wellness Personal Trainers.
Policy and Procedure:
I. PERSONAL TRAINING CLIENT TRACKING POLICIES AND
PROCEDURES
a. The Personal Training tracking document is located at
https://accounts.google.com
b. The trainer logs into this document with the username [email protected] and
the password fitness245d!
c. Once logged into the account, the trainer will click on the Drive icon to access the
Personal Training Tracking spreadsheet.
d. The trainer will type their name in a cell on the spreadsheet and highlight their
name green to indicate they are able to train clients.
e. Underneath the trainer’s name, he or she will list any active clients. Based on the
amount of sessions purchased, the trainers will document the number of sessions
allotted for the client by creating a column for each purchased session and
highlighting the cell yellow that signifies the last purchased session
f. Once the client completes a session, the trainer will type the date of the completed
session in the cell to the right of the client’s name until they reach the yellow
highlighted cell. Once this cell has been filled with a completed session, the client
must purchase additional sessions to continue.
i. It is the responsibility of the Personal Trainer to notify the client when
their purchased package has ended
g. When the trainer has reached his or her maximum training load, he or she will
highlight their name red to indicate they can no longer accept new clients.
i. It is the responsibility of the Personal Trainer to indicate when they can no
longer accept new clients.

Purpose:
These policies and procedures are used to keep a consistent protocol with the Personal Training
position to accurately document client information.
Scope:
These policies and procedures are used by Fitness & Wellness Personal Trainers.
Policy and Procedure:
I. PERSONAL TRAINING NEW CLIENT POLICIES
a. The trainer must contact the prospective client via telephone within 24 hours to
set up the initial fitness assessment. If the client does not pick up, please leave a
voicemail and send a follow-up email.
b. Cancellations must be given 24-hours in advance or the session MAY be forfeited
and charged for the session.
c. All new clients purchasing more than one session are required to purchase the
Polar BodyAge Fitness Assessment separately from their training sessions
d. All trainers should understand each element of the Polar BodyAge fitness
assessment program and FMS protocol. The trainer should also understand and
be able to explain the classifications for each assessment.
i. All trainers should be able to perform the fitness assessment without Polar
should there be any technical difficulties with the equipment.
e. Personal Trainer must have all of the following paperwork on file for the client:
i. Personal training client information sheet
ii. Physician’s referral (if applicable)
f. If a physician’s referral form is needed, explain to the client why this form is
necessary. The fitness assessment will need to be rescheduled, however you may
use this time for discussion of goals.
i. Clients can either take the physician’s referral to their doctor and bring it
back to their next scheduled session or the physician may fax it back to
Rec. Sports (fax info is located at bottom of sheet)
ii. No training or testing may occur until the form has been returned.
g. Once the fitness assessment is complete all appointments can be scheduled. All
sessions must be recorded on Google Calendar; https://accounts.google.com

II. PERSONAL TRAINING NEW CLIENT PROCEDURES
a. An initial fitness assessment must be conducted prior to any personal training
session
b. Fitness assessments last 1.5 hours in duration. If someone has signed up to train
with a buddy, they must complete their assessment at different times.
i. The protocol sheets are located in the personal training office for referral
during an assessment.
c. Once the initial assessment is complete, get a blank folder in the PT office and
create a folder for the new client. All documentation will be placed in this folder.
i. These documents include, but not limited to, Personal training client
information sheet, Physician’s referral (if applicable), fitness assessment
results and program sheets for each session

Purpose:
These policies and procedures are used to keep a consistent protocol with the Fitness Monitor
staff position as it pertains to the change of class check-in policies and procedures for Free Week
and Finals Free Week
Scope:
These policies and procedures are used by all Fitness Monitors.
Policy and Procedure:
I. CLASS SIGN-IN POLICIES AND PROCEDURES FOR FREE
WEEK/FINALS FREE WEEK
a. The Fitness Monitor will report to their assigned positions in Studio D as stated in
their normal Policies and Procedures.
b. During Free Week and Finals Free Week, the Monitor will acquire a waiver that
was constructed by the Fitness & Wellness Professional staff from the Studio D
closet instead of their Tablet.
c. Once the Fitness Monitor reports to their assigned class, they will then require
every patron that enters the fitness class to sign and agree to the waiver.
d. The Fitness Monitor will not allow any patrons in who decline the waiver or fail
to acknowledge its agreement to enter the fitness class.
e. The studio capacities will not change for the classes and the Fitness Monitor will
insure to not allow in more patrons than the room and class designate.
f. Once the Fitness Monitor has completed their Check-In responsibilities, they will
return the waivers to the Studio D closet and place them in the Fitness Monitor
Manger box to be collected at a later date by the Fitness & Wellness Professional
Staff.

Procedures

Purpose:
These policies and procedures are used to keep a consistent protocol with the Personal Training,
Fitness Instructor, and Group Fitness Monitor staff positions when utilizing the key(s) for the
Functional Training Room.
Scope:
These policies and procedures are used by all Fitness & Wellness Staff.
Policy and Procedure:
I. PERSONAL TRAINING FUNCTIONAL TRAINING ROOM KEY POLICIES
AND PROCEDURES
a. The Personal Training Functional Training Room key is located to the right of the
Personal Training computer in a designated cubby hole.
b. The key is only used when the Functional Training Room is not reserved by other
activities.
c. If a trainer wishes to use the Functional Training Room, they must sign the key
out on the Key Log with a Date and Time listed.
d. The key is this used to unlock the Functional Training Room and must remain
with the trainer until their session is over.
e. Once the session is over, the Personal Trainer will return the key and sign the Key
Log to state when they returned it.
f. They key is not to be passed from trainer-to-trainer without signing the key back
in and then back out to the new trainer.
g. Any misuse of, loss of, or damage to the key must be reported immediately to the
Fitness & Wellness Professional Staff.
i. If this was a direct result to policy violation, the staff member may have
their access to the Functional Training Room revoked.
II. INSTRUCTOR AND MONITOR FUNCTIONAL TRAINING ROOM KEY
POLICIES AND PROCEDURES
a. The Group Fitness Functional Training Room key is located to the in Studio D
closet in its designated cubby hole.
b. The key is only used when the Functional Training Room is not reserved by other

e. Once the class is over, the Instructor/Monitor will return the key and sign the Key
Log to state when they returned it.
f. They key is not to be passed from staff-to-staff without signing the key back in
and then back out to the new trainer.

Training Room Studio.
Scope:
These policies are used by all users of the Functional Training Room.
Policy and Procedure:
I. PERSONELL POLICY
a. Only Fitness and Wellness specified staff are able to access and utilize the
Functional Training Room without reservation. This staff is specifically trained
by the Fitness and Wellness Professional Staff to properly and safely use the
equipment and room.
II. RESERVATION POLICY
i. All reservations for the Functional Training Room will follow the same
policies for any space usage request the department has; they must go
through our Reservations Professional Staff.
1. These requests will be passed along to the Fitness and Wellness
Professional Staff and will be reviewed for the usage and need that
was asked.
2. If the purpose of the request is deemed justifiable by the Fitness
and Wellness Professional Staff, they will require a Fitness and
Wellness specified staff member to be present and supervise any
activity done in the room by the reserved group.
a. This will be at a $50/hour charge to the group reserving the
room.
3. Only if the Fitness and Wellness Professional staff determines the
group has an adequately trained representative in the room, will
there not be a required Fitness and Wellness staff member present
and $50/hour charged.
4. All participants must sign a waiver to partake in any activity in the
Functional Training Room provided by the Recreational Sports
Office.

5. All final access decisions are approved, denied, or revoked by the
Fitness and Wellness Professional Staff.

Purpose:
These policies and procedures are used to keep a consistent protocol with all Fitness & Wellness
Staff for scheduling and subbing.
Scope:
These policies and procedures are used by all Fitness & Wellness Staff.
Policy and Procedure:
I. GROUP FITNESS SCHEDULING POLICY
a. The Group Fitness Instructors must submit their individual semester availability
for the upcoming semester on WhenToWork (www.whentowork.com) by a
designated date.
i. The supervisor has the responsibility to schedule the instructors’ classes
based on demand for the classes, appropriate time slots for patrons, and
availability of both the facility and individual.
ii. Failure to submit availability by the designated date can result in not
receiving any classes on the final schedule.
II. GROUP FITNESS SCHEDULING PROCEDURE
a. The instructor must go to the website www.whentowork.com and login using
their credentials given to them.
b. Once logged in, the instructor must choose “Times I Prefer to Work”.
c. The instructor will then select “Set Repeating Weekly Preferences”.
d. A new window will open up and the instructor will click on the “Paint Icons” on
the left middle area of the screen that are red in color and read “Cannot Work”
e. Lastly, the instructor will highlight the times on the individual days that they
cannot work and will click “Save” to finish.
III. GROUP FITNESS SUBBING POLICY
a. All subs must be finalized 48 hours prior to the class, unless there are extenuating
circumstances approved by the Assistant Director or Specialist.
b. All must use the phone list to call and email all relevant instructors before
contacting Assistant Director or Specialist.
c. All sub shifts must be taken care of on the When to Work website
(www.whentowork.com).
d. If there is an illness or emergency, please notify the Assistant Director or
Specialist immediately.

e. The instructor is responsible for the intended class they wish to sub until another
instructor has taken the class on WhenToWork.
IV. GROUP FITNESS SUBBING PROCEDURE
a. Visit www.whentowork.com.
b. Login using your own username and password.
c. Go to “My Schedule” Weekly tab.
d. Click on the shift or class you would like to drop.
e. Click “Add Shift to Trade Board”.
f. Choose “Drop”
g. Use the phone list to call and email all relevant instructors as soon as possible.
V. PERSONAL TRAINING SCHEDULING POLICY
a. The trainer must contact the prospective client via telephone within 24 hours to
set up the initial fitness assessment.
i. The trainer will send a follow-up email recapping the phone conversation
for documentation and verification. If the client does not pick up, the
trainer will leave a voicemail and send a follow-up email
b. Once the fitness assessment is complete all appointments can be scheduled via
communication with the trainer and client.
i. All sessions must be recorded on Google Calendar.
c. To cancel a session clients must contact the trainer at least 24-hours prior to the
appointment.
i. Failure to comply with this policy may result in the session being forfeited
and the client will be charged accordingly.
d. If a session is forfeited and the trainer is in the facility, the trainer will be paid for
the session.
e. All clients are responsible for contacting the trainer if he/she will be more than 5
minutes late.
f. Trainers are responsible for waiting 15 minutes for late arrivals.
i. If an appointment is a no show, the trainer will document this on the
session summary sheet.
ii. It is the trainers responsibility to communicate that late arrivals receive the
remaining portion of their session (ex. 15 minutes late = 45 minute
session).
g. If a trainer is late for a session, that time is owed to the client.
i. This may be done during that particular exercise session (if the client is
able to stay for the extended period) or time should be added to a future
exercise session.

ii. An attempt should be made to contact the client as soon as the trainer
realizes that he/she may be late.
h. If a trainer must cancel an appointment with the client (this may only be under
extenuating circumstances) that session is owed to the client.
i. An effort should be made to reschedule this session as soon as possible and
Google calendar should be updated accordingly.
VI. PERSONAL TRAINING SCHEDULING PROCEDURE
a. The Graduate Assistant receives the information sheet for the client and will
contact the desired trainer or assign the client to a trainer by e-mail and place the
form in the trainer’s box.
b. The trainer will reach out via telephone within 24 business hours to the said client
and collect the form from their box as soon as possible.
c. All scheduled times are agreed upon by the client and trainer and are a case-by-
case basis.
VII. FITNESS MONITOR SCHEDULING POLICY

I. PERSONAL TRAINING DOCUMENTATION POLICIES AND
PROCEDURES
a. It is the Personal Trainer’s responsibility to provide documentation of any
advancement in skill or increase in payroll point system.
b. The Fitness and Wellness Professional staff will keep documentation of
advancement in skill or point system in the trainer’s personnel file.
c. Pay Rate increases will be reviewed at the end of every academic semester and if
applicable, will be applied to the following semester’s pay rate.
d. All pay rate increases are subject to be approved by Fitness and Wellness
Professional staff, Business Professional staff and Associate Director of
Programs.
II. FITNESS INSTRUCTOR DOCUMENTATION POLICIES AND
PROCEDURES
a. It is the Fitness Instructor’s responsibility to provide documentation of any

advancement in skill or point system in the fitness instructor’s personnel file.

Purpose:
These policies are used to keep all Fitness and Wellness Staff informed and up-to-date on the
events of the department.
Scope:
These policies and procedures are used by all Fitness & Wellness Staff
Policy
I. FITNESS AND WELLNESS STAFF MEETING POLICIES
a. Attendance is required for all monthly meetings. Semester meeting dates will be
released prior to the start of the semester.
b. All team members are required to attend monthly meetings.
i. Any problems concerning established meeting times should be brought to
the attention of the Specialist or Assistant Director. If the meeting is
missed, arrangements must be made to meet the Specialist for a discussion
of information that was missed.
ii. Failure to notify the Specialist or Assistant Director 48 hours in advance
that you will miss a meeting will result in a negative performance report.
iii. 2 unexcused absences from monthly meetings will result in termination.
All instructors are responsible for complying with the policies and procedures set forth in the job
description and staff manual. Any instructor that does not follow proper procedure or has failed
to carry out his/her duties will be subject to disciplinary action.
