Executive Message

Dear Global DENSO Associates,

We are facing a very difficult challenge globally, as more and more people are impacted by

corona virus, COVID-19. The world economy is also taking a big hit, and you must be

anxious in this unprecedented crisis. Even during these challenging days, I feel very proud

to see DENSO associates worldwide coming together on various activities with speed and

collaboration, in your own countries and position. I want to thank each of you.

Associates in every region have been touched by this pandemic, and I know many are

worried about your health, and the health of your loved ones. Some of you are worrying

about the production shut down of factory where you were working, or spending stressful

days in unusual and uncertain situation. I want to extend sympathy to all who have lost

someone to COVID-19 or who have a loved one who is sick. I hope you are taking good

care of yourselves. That is most important.

I promise that DENSO will take every epidemic preventive action in order to protect life

and health of associates. You know, each of you are most important, above everything

else. And, we will keep considering every measure to make sure we support you in regard

to physical safety and economic safety, depending on each regional situation.

The situation changes day by day, and we cannot predict when it will end. To stand before

this unparalleled crisis, we need the combined effort of each other. I know you are

anxious. It is a fearful time. Never be overconfident, please listen carefully to the

information that your regional authorities and local companies provide, and take action to

ensure your health and safety and the safety of your families and neighbors. This is my

sincerest request for each of you, DENSO’s global team.

Even when you are struggling in this crisis, never forget, that you are not alone. I myself,

and also all Global DENSO Team is with you. Keep communication with your families,

friends and colleagues, and never forget that we can get through this together. Take action

to ensure your health and safety and the safety of your families and neighbors. Now is the

Unified Effort

Positive Actions to help Minimize Community Impact DENSO NA locations shall convene a site COVID-19 task force team for events such as:

Development of proactive actions to help prevent COVID-19 spread.

Managing a case of COVID-19 diagnosed with an associate

School closure due to COVID-19 absenteeism or illness

Associate’s family member diagnosed with COVID-19

COVID-19 Task Force Core Members should include the following:

The COVID-19 task force should consider objectives such as:

Reducing transmission among staff

Protecting people who are at higher risk for adverse health complications

Maintaining business operations, including cross training personnel to perform essential functions in the absence of key staff members

Minimizing adverse effects on other entities in their supply chains

Identify critical elements within the supply chains (e.g., raw materials, suppliers, subcontractor services/products, and logistics) required to maintain business operations.

Core Task Force Actions The severity of illness or how many people will fall ill from COVID-19 is unknown. When there is evidence of a COVID-19 (or similar) outbreak, applicable DENSO sites shall plan to be able to respond in a flexible way to varying levels of severity and be prepared to refine their business response plans as needed. The CDC and its partners will continue to monitor national and international data on the severity of illness caused by COVID-19, will disseminate the results of these ongoing surveillance assessments, and will make additional recommendations as needed. Each site should closely monitor CDC and NASHE for any updates.

Each NA location should develop a communication plan to use for associates that have been confirmed to have COVID-19. This plan should include informing fellow associates of their possible exposure to COVID-19 in the workplace.

Confidentiality should be maintained as required by applicable government regulations.

Associates exposed to a co-worker with confirmed COVID-19 should refer to CDC guidance for how to conduct a risk assessment of their potential exposure.

Follow established HR guidelines regarding attendance, pay procedures, and work from home (telework) procedures related to COVID-19 impact. Policies and practices should be consistent with public health recommendations and be consistent with existing state and federal workplace laws. (Reference the NA Associate Risk Mitigation Governance Policy COVID 19) Follow SHE guidelines for OSHA recordkeeping related to COVID-19. Coordination with state and local health officials is strongly encouraged so that timely and accurate information can guide appropriate responses. Establish a process to communicate information to associates and business partners regarding infectious disease outbreak response plans and latest COVID-19 information.

Response Team: Roles and Responsibilities Leader Roles/Expectations Treatment of Sick Associates (sick defined as having COVID-19 symptoms) For purposes of this document, the term “associate” includes temporary workers and contract workers. CDC recommends that individuals who appear to have acute respiratory illness symptoms (i.e. cough, shortness of breath, fever) upon arrival to work or become sick during the day shall be separated from other individuals. Leaders should send sick associates to the plant medical group immediately. In locations where a medical group does not exist, contact SHE department for further instruction. Sick associates should cover their noses and mouths with a tissue when coughing or sneezing (or an elbow or shoulder if no tissue is available). Associates should provide a healthcare provider’s note to the plant medical staff to validate their illness and to return to work. Leader Actions Human Resources guidelines shall be followed regarding attendance policies. Keep in mind that attendance policies related to COVID-19 may be impacted by public health guidance. Leaders should ensure HR guidelines are effectively communicated to associates. Leaders should not pressure associates to come to work sick or to stay at work if they are sick. Associates who have symptoms of acute respiratory illness are recommended to stay home and not come to work until they are free of fever (100.4° F [38° C] or greater using an oral thermometer), signs of a fever, and any other symptoms for at least 24 hours, without the use of fever-reducing or other symptom-altering medicines (e.g. cough suppressants).

Below is an example from the CDC for health monitoring:

Leaders should ensure they are reading all company related communications, such as posters, emails, and alerts. Sites should monitor state/local & federal regulations to ensure they are meeting regulatory expectations for health screening of associates. Leaders should routinely instruct associates to clean their hands often. Washing hands with soap and water for at least 20 seconds is the preferred method to sanitize hands. If soap is not available, an alcohol-based hand sanitizer that contains at least 60% alcohol should be used.

Below is an example from the CDC for handwashing:

Coronavirus Virus Disease 2019 (COVID-19) Medical Response Treatment of Sick Associates (sick is defined as having COVID-19 symptoms) At DENSO facilities that have medical staff, staff should follow applicable medical protocols as provided by their employer or medical director. If an associate presents to clinic with respiratory illness symptoms with a high suspicion for COVID-19, the associate should complete a Health Check Sheet. The medical staff (nurse or paramedic) should complete a Potential COVID-19 Exposure Tracking Form. The medical staff should question the associate about any locations and areas they have worked at or been in contact with in order to determine the areas that have been exposed in the work place. If other individuals are in the clinic at the time the sick associate presents, the medical staff should isolate the other individuals and immediately assess the sick associate. If an associate has a high suspicion for having COVID-19, the associate should be given a mask and asked to leave DENSO to be evaluated. The medical staff should notify Safety & Health immediately, who will then notify the Leadership Chain and Housekeeping. Based on

the potential exposure area, Safety & Health, Leadership Chain and Housekeeping will determine the number of resources needed to clean the area. Masks will be provided by the nurse to sick associates. To the extent possible, sick associates should be kept at least 6 feet (2 meters) away from other individuals. Sanitation/Disinfection (Medical & Non-Medical) In general, medical staff should follow recommendations and protocols from CDC and their medical director regarding sanitation related to COVID-19. In production/logistics areas, routinely clean all frequently touched surfaces in the workplace, such as workstations, countertops, equipment and doorknobs. Sanitation should be done at the beginning and end of every shift, break and lunch. Housekeeping will support this activity with frequent cleaning. The possibly infected associate's work patterns shall be documented to determine other areas of contact, if any. Areas in which the associate had contact 48 hours prior to becoming symptomatic will be cleaned and disinfected. All associates shall be removed from the area while cleaning is in process. Maintain established travel guidance for associates, including travel restrictions as needed.

APPENDIX A: At Home Self Health Screening

As an associate, please consider conducting a “Self-Health Screen” at home prior to reporting to work each day. This activity will help ensure the safety of your coworkers. Take your temperature and complete your site’s self-assessment form. Stay home if you have any symptoms.

NOTE: all associates shall be health screened 100% prior to each entry at a DENSO facility. Conducting a HOME self-health evaluation ensures the safety of all DENSO associates and facilitates the entry process.

EXAMPLE: __________________________________________________________________________

Complete the following screening before coming into work before each shift.

Do one or more of the following common COVID-19 symptoms below currently apply to you?

• Temperature >38°C (100.4°F) or higher

• Frequent unexplained cough

• Unexplained shortness of breath or difficulty breathing

If individual responds “yes’ then the person is referred to seek medical attention.

Step 1: contact your Human Resources representative,

Step 2: remain off site / work for 14 days.

APPENDIX B: Monitoring Health - On-Site Health Screening

NA locations shall screen associates 100% upon entry to each location. To facilitate this process, On-Site Health Screening stations shall be established at each plant and/or designated facility entrance for every shift. Staffing for these locations shall be determined by each site but would generally consist of associates from Safety, Health & Environment, trained Security staff or other trained & identified personnel.

Truck & Delivery Drivers NA DENSO locations shall establish requirements for handling Truck Drivers at their respective locations. Each location should limit driver/visitor access as much as possible.

<EXAMPLE PROCESS>

All visitors (non-DENSO NA associates that physically enter) must go through a verification process before entering a DENSO building (except temporary workers, contractors). All delivery drivers to a DENSO facility must complete a COVID-19 Questionnaire, each visit prior to entering the truck gate and/or a DENSO facility. Steps for locations that have security-manned truck gates:

1. Security gate officer to fill out questionnaire while driver remains in the truck. 2. If no concerns, the officer will provide direction for the proper dock location. 3. If there are positive answers to the questionnaire, the officer will hold the truck

& contact site Security officer (lead) for instructions. 4. Site Security Lead Officer is to contact Logistics Manager. Logistics manager is to

provide direction to the Lead officer who shall communicate decision(s) to the gate.

5. Gate Officer will communicate logistics direction to the driver. Steps for logistics areas without a security manned truck gates, sites should consider establishing the following: 1. Driver will leave paperwork, keys and communication information at the designated place inside/outside the warehouse. For sites that do not collect keys, glad locks and/or dock locks shall be applied to each truck/trailer. 2. Driver will return to their vehicle while live loading occurs. 3. Associate will call driver to come back to the plant to retrieve keys and paperwork. Note: Where possible, NA sites may consider establishing an outside waiting area (Tent & Porta-John) where possible, to limit truck driver entry to DENSO locations.

DENSO Logistics practice: Once notified of a truck arrival: 1. Confirm that the collection process for keys/documents is established (location/bag if applicable) or an established process for safe transfer of items/ documents/ labels etc. 2. Sanitize your hands and put on a fresh pair of gloves (non-porous latex, nitrile, or vinyl) for each interaction with a different truck/delivery.

3. When the driver enters to drop off a bag, keep at least 6' between yourself and the driver and confirm that the vehicle is engine is turned off, the wheels are chocked and all keys are in the bag/cup before asking the driver to return to their truck to wait.

4. Upon completion, a DENSO Logistics associate will call the driver to retrieve their keys and paperwork.

Visitors to DENSO NA Facilities: When planning for or hosting visitors, please refer to the current DENSO VISITOR Policy. Current summary is outlined below. (Any update to DENSO Visitor Policy documentation supersedes this summary.)

1. DENSO will NOT accept visitors (including vendors and suppliers) who have

traveled to an area designated by the CDC as Level 3.

2. Avoid Nonessential Travel – DENSO will not receive individuals who have been in

contact with others who have traveled to designated level 3 areas – in the last 14

days.

3. Anyone traveling from an area designated as Level 2: Shall be required to Practice

Enhanced Precautions prior to entering any DENSO for business-critical situations

only and visit must be approved by the facility President.

All visitors who have recently traveled to a Level 2 area should make contact with your DENSO host prior to visiting any DENSO facility to confirm the necessity and obtain approval for a face-to-face meeting.

Anyone acting as a DENSO host for potential visitors, shall communicate these requirements and obtain the necessary approval prior to a visitor arriving at a DENSO location.

DENSO Leadership strongly encourages everyone to consider alternate methods of meeting, such as Webex, conference call, or video conference.

According to the CDC, Social distancing can be defined as a:

“Set of actions taken to stop or slow the spread of a highly contagious disease. The goal of social distancing is to limit face-to-face contact to decrease the spread of illness among people in community settings”.

Office areas:

Work from home is a key part of DENSO’s social distancing efforts in NA. For teams/ associates that work in an office environment all managers should work with their associates to consider:

Staggering essential working times to support social distancing in the office space.

If the desks/seating are not 6ft apart (min), physical barriers must be in place or face covers shall be required.

APPENDIX D: Face Covering

The purpose of the face covering is not to protect the associate from being infected, but rather from infecting others and thereby mitigating the risk of spreading the virus. Face covers used for these purposes are not considered PPE.

Face Covering Guideline (if social distancing cannot be maintained) For all face coverings the following is applicable: If social distancing of 6 feet or more cannot be maintained, associates must wear a face covering (mask [paper/cloth or face shield).

• Associates will be provided a clean face covering (non-medical mask, cloth mask, or face shield).

• Face shields need to be cleaned w/ disinfectant at the end of each shift or as often as needed if they become dirty.

• Masks do not need to be changed during the shift unless they become soiled or damaged.

• If a mask needs to be replaced, associates can get a new mask from their leader. • Before putting on or taking off a face covering, proper hand hygiene should be

followed. • Wash hands w/ soap and water for 20 seconds or use hand sanitizer w/ alcohol

content of at least 60%. • When taking a break, use proper hand hygiene and remove the mask by grasping the

ear loops from behind the ears. Avoid touching the front of the mask. The mask should be placed on a clean surface or in a clean bag.

• Masks must be properly disposed of after use (remember to use proper hand hygiene when removing mask).

• Used masks should be placed in Waste to Energy containers (if available) or in trash containers.

• Use proper hand hygiene after disposing of mask.

Disposable Mask Alternative • If there is a limited supply of disposable masks, a cloth mask can be used (includes

homemade cloth masks). • Cloth masks must be washed and dried daily. • Hand wash with soap or use detergent soap in a washing machine. • Must air dry or use a clothes dryer. • When putting on and taking off cloth masks, proper hand hygiene should be followed.

Other PPE Depending on the activity, PPE may be required. In these cases, PPE shall be determined from the results of a risk assessment conducted based on the job/task.

DENSO NA: COVID-19 CLEANING & DISINFECTION REQUIREMENTS

The initial outbreak of COVID-19 or other pandemic will prompt a facility wide disinfection by fogging.

Sustainable Sanitation and Cleaning Policy: The purpose is to implement prevention effort to avoid infection through frequent sanitation.

This policy applies to:

• Non-office area or desk area (cafeteria, meeting room, etc.) facility & cleaning company will lead daily sanitation.

• Office area or desk area daily sanitation will be led by individual associate (desk, table, etc.) through office captain.

• Production line daily sanitation at end of shift; items touched with bare hands (jigs, switches, door handle, etc.)

Follow common and office area sanitation cleaning guidelines.

Basic Steps Spray surface(s) or clean towel with an EPA registered germicide or ~70% Isopropyl Alcohol (IPA).

1. Let dampened area set for 3-5 minutes

Parts, Materials, and Packages The World Health Organization advises it is safe to receive packages from areas where COVID-19 has been reported, stating that:

“The likelihood of an infected person contaminating commercial goods is low, and the risk of catching the virus that causes COVID-19 from a package that has been moved, traveled, and exposed to different conditions and temperature is also low.” (WHO)

Based on WHO & CDC recommendations NA sites should not have any risk associated with part, materials and package delivery. NA sites should review their process(s) for receiving parts, materials and packages and if a concern is identified it shall establish procedures for how to handle any confirmed concern points.

APPENDIX F: Hand Washing

According to the CDC:

Why we wash our hands: Handwashing with soap removes germs from hands. This helps prevent infections because:

People frequently touch their eyes, nose, and mouth without even realizing it. Germs can get into the body through the eyes, nose and mouth and make us sick.

Germs from unwashed hands can get into foods and drinks while people prepare or consume them. Germs can multiply in some types of foods or drinks, under certain conditions, and make people sick.

Germs from unwashed hands can be transferred to other objects, like handrails, table tops, or toys, and then transferred to another person’s hands.

Removing germs through handwashing therefore helps prevent diarrhea and respiratory infections and may even help prevent skin and eye infections.

Instructions to wash your hands. “Follow these five steps every time. Wet your hands with clean, running water (warm or cold), turn off the tap, and apply soap.

1. Lather your hands by rubbing them together with the soap. Lather the backs of your hands, between your fingers, and under your nails.

2. Scrub your hands for at least 20 seconds. Need a timer? Hum the “Happy Birthday” song from beginning to end twice.

3. Rinse your hands well under clean, running water. 4. Dry your hands using a clean towel or air dry them.”

APPENDIX J: HIPPA REQUIREMENTS / Training for Health Screeners

HIPAA, Health Insurance Portability and Accountability Act (in part): • A US law designed to provide privacy standards to protect patients’ medical records and other health

information provided to health plans, doctors, hospitals and other health care providers. • Requires the protection and confidential handling of protected health information.

HIPAA Privacy regulations require health care providers and organizations, as well as their business associates, to develop and follow procedures that ensure the confidentiality and security of protected health information (PHI) when it is transferred, received, handled or shared. This applies to all forms of PHI, including paper, oral and electronic, etc. Furthermore, only the minimum health information necessary to conduct business is to be used or shared.

The HIPAA Privacy Rule: • Protects the privacy of patients’ protected health information but is balanced to ensure that appropriate

uses and disclosures of the information still may be made when necessary to treat a patient, to protect the nation’s public health and for other critical purposes.

• Recognizes the legitimate need for public health authorities and others responsible for ensuring public health and safety to have access to protected health information that is necessary to carry out their public health mission. Therefore, the Privacy Rule permits covered entities (medical providers) to disclose needed protected health information without individual authorization in order to report all prior and prospective cases of patients exposed to or suspected or confirmed to have Novel Coronavirus (COVID-19).

The HIPAA Impact during the Screening Procedure:

• If a person answers yes to any of the screening questions, they will be directed by the initial screener to the Medical/ERT area for further screening. The initial screener will disclose the reason further screening is needed to the Medical/ERT Screener only.

• If someone’s temperature is above 100.4 degrees F (found through any method), they will be directed by

an initial screener to the Medical/ERT area for further screening. The temperature reading itself is considered personal medical information and is protected under HIPAA regulations.

• After further screening, the Medical/ERT Screener will either allow entry or NOT allow entry. Only the Medical/ERT Screener will know the full details of why the person was not allowed entry. The details are considered confidential and are protected under HIPAA regulations.

• Initial Screeners should not discuss amongst themselves, nor to others about possible reasons not allowed entry.

• Any returning associates with medical notes from their providers should only disclose those notes to the Medical/ERT Screener. If an initial screener inadvertently sees/reads any medical notes, this information is deemed personal medical information and is protected under HIPAA regulations.
