Data Mining
Data Mining is an area in Skyward where you can create reports on various fields in the system.
This is mostly used to pull reports on student information.
Click on Students – Students – Data Mining.
The first screen you will see contains all of the data mining reports that have been created in the
district. You may choose any one of them to run or you can make your own report. Any reports
that are available can be cloned and modified to fit your needs.
We are going to create a birthday list sorted by month for our example.
You will need to click on the Add button.
Name your template and press the tab key to populate the Report Title field. We are going to be
looking for active students only so you may click on the Save and Add Fields button.
Fields can be added to the report on the next screen. You will need to click on the area where
the data is held. If the field is highlighted in brown there is more information and if the field is
white that is as far down as you can drill.
You may open an additional window and open the Student Profile to help you if you do not
know where to look for the data you need.
Once you get to a field in white you can double click on the field name to add it to the report.
You will see the field name listed in the Fields on Report box. You may also move fields up and
down in the report by clicking on the buttons on the right.
2
The fields that you need for this report are the Student Full Name, Grade, and Birthday.
We will click on the Save and Back button to save the fields.
If you need to select a group of students that meet a particular criteria you would need to click
on the Save and Modify Ranges Button.
You will need to click on Sorting on the left side of the screen to tell the system how you want
the data sorted.
Click on the Edit button on the right side of the screen to add the sorting options.
Double click on the Birthday MMDD field.
Click on the Save and Back button.
3
You may click on the Print button to generate your report as a PDF. If you are planning on
working with your report further you can click on the Excel button and have the report
generated as an Excel document.
If you are expecting that you will have a large number of records in your report you can select
the First 10 Records (Print) button. This will allow you to see what the report will look like.
This is the Birthday List report that we created above. You will notice that the report has been
sorted by birth month and day.
This report can also be used to create mailing labels. You would need to highlight the report in
the list of reports and then click on the Address Labels button.
4
Select the template that you want to use for your labels and click on the Print button. We are
going to use the Skyward template for our example.
You may view your report when it is done processing and you will see a PDF file of labels that
are set up as 3 columns and 10 labels per column. This is the format for Avery 5160 labels.
You may also create information labels from this report as well. You would click on the
Information Labels rather than the Address Labels button.
5
You will need to create a template for your labels. Click on the Add button on the pop-up
screen.
Enter a name for your template.
Select the line that you want to work with in the Line Information box and then make sure the
field that you want to add to the line is highlighted in the Available Fields box and click on the
Add button.
You can change the number of spaces you want after the field and then highlight the next field
for the line and click on the Add button again.
Select Line 2 in the Line Information box and then click highlight the last field you would like on
your labels and click on the Add button.
6
Once all of the data that you need has been placed on the label template you may click on the
Save and Print button.
This is what the information labels would look like.
When you print labels from Skyward you will need to make sure that you have shut off the
option to shrink your pages in your printer settings. This option would cause the labels to not
print correctly on a page.
There are many different types of reports that can be run in Data Mining. If you have any
problems creating a report you may contact Information Technology at 989-399-8034.
