1. Introduction
The Eunice Kennedy Shriver National Institute of Child Health and Human Development (NICHD)
Data and Specimen Hub (DASH) is a centralized resource for researchers to store de-identified
data and to access data and associated biospecimens from NICHD supported studies for use in
secondary research.
The DASH User Registration & Data Access Tutorial is for those who are participating in the
NICHD Decoding Maternal Morbidity Data Challenge using data from the Nulliparous Pregnancy
Outcomes Study: Monitoring Mothers-to-be (nuMoM2b).
As a participant in the Data Challenge, this Tutorial will provide you with the step-by-step
instructions to:
1. Register for a DASH account
2. Access nuMoM2b data from DASH

2. NICHD Data Challenge Participant Roles and DASH Roles
You may be participating in the Data Challenge as an Individual, as part of a Team, or as part of
an Entity. If you are part of a Team, you are either the Team Lead or a member of the Team. If
you are participating as an Entity, you are either the Entity Lead or a member of the Entity.
Below are the roles in DASH for the Data Challenge:
• Requester/Principal Investigator (PI)/Recipient: The lead individual who completes the
online Data Request Form (DRF) and submits the signed Data Request Form and Data
Use Agreement (DUA) to DASH for requesting nuMoM2b data from DASH.
• Affiliate: Team member from the same institution as the Team Lead or Entity Lead. Your
Team Lead must add you as an Affiliate in DASH when they submit a data request in
DASH. If you are added an Affiliate, you will be allowed to access and download data
directly from DASH. If you are added as an Affiliate, you will be allowed to access and
download data directly from DASH.
• Associate: Team member from a different institution as the Team Lead or Entity Lead,
and who does not require data in their local platform or device. If you are added as an
Associate in DASH by your Team Lead or Entity Lead when they submit a data request in
DASH, you will not be permitted by the DASH system to access or download data
directly from DASH; instead, you must access data only within the Team Lead’s or Entity
Lead’s data platform and must not download data to your local data platform or
devices.
• Collaborator: Team member from a different institution as the Team Lead or Entity
Lead, and who requires data in their local data platform or device. Your Team Lead may
identify you as a Collaborator when they submit a data request in DASH. However, if you
are a Collaborator to the Team Lead, you must complete a separate data request in
DASH and sign a separate Data Use Agreement to get access to the data. As a
Collaborator, you will be permitted to access and download data directly from DASH to
your local data platform or device.

Note: Only those who are participating in the Data Challenge as an Individual,
Team Lead, Entity Lead or Collaborator are required to submit a data request
in DASH. Team members who are Affiliates or Associates must not submit a
data request in DASH; your Team Lead or Entity Lead will submit a data
request in DASH and add you to their data request.
Below is a table mapping the various participants in the Data Challenge to the roles in DASH.
Please refer to this Table as you complete the Data Request Form online in DASH.

3. Register for a DASH Account
Challenge Alert
● All participants must be affiliated with an institution, organization, or
company to register for the Challenge.
● Prior to registering in DASH: Review eligibility rules and register at the
NICHD Decoding Maternal Morbidity Data Challenge website.
● You must register for a DASH account AFTER you register for the
Challenge at the NICHD Decoding Maternal Morbidity Data Challenge
website.
● You must register in DASH using the same name and email address that
you used in your Challenge Registration Form (instructions for completing
the Challenge Registration Form are available on the NICHD Decoding
Maternal Morbidity Data Challenge website).
● If you already have an existing DASH account that was created prior to
entering the Data Challenge, you will need to register for a new account in
DASH using a separate email address for the Challenge
3.1 Register in DASH
1. Click on the SIGN UP/IN button located at the top right of the DASH homepage.
2. Click the SIGN UP button at the bottom in the next screen.

3. On the “Create a DASH Account” page, complete the requested information. Required fields
marked with an asterisk must be completed. (See screenshot below)
a. Email address: Enter your email address (this email address must be verifiable)
Note: If you already have an existing DASH account you must still create a new
DASH account using a different email address to participate in the Challenge.
b. Password: Your password must be at least 8 characters, must contain one uppercase
letter, must contain one lowercase letter, must contain one number, must contain
one special character
c. Phone number – enter numbers only, no hyphen “-“ or spaces
d. Job Title/Position – enter what ‘type of participant’ you are to the left of your job
title/position at your place of employment (see below):
If you are participating as: Enter in the Job Title/Position field, the following:
Individual Individual – [your title/position at employment]

e. Are you a Data Challenge Participant? - Select YES
NOTE: You must select YES to be recognized as a Challenge Participant in DASH and
to gain access to Challenge study data.

f. Does your institution belong to the NIH system? –They DASH system will auto-select
NO as NIH employees are not permitted to participate in the Challenge
You will be presented with a dropdown list of institutions.
i. If your institution is not listed, you will need to add your institution and
division.
ii. Complete all required fields about your institution/organization/company,
which are marked with an asterisk.
g. Institution Type: Consider which Institution Type best fits the
institution/organization/company you are representing for this Challenge
4. After you have completed the requested information, select NEXT to take you to the “DASH
User Agreement” page. Click on the I AGREE check box after having read the Terms and
Conditions to accept the Agreement, then click REGISTER to submit your registration.
Note: If at any point you wish to change the information you provided on the
previous screen, select BACK to revisit the “Create a DASH Account” page.
Please ensure you use the BACK button located at the bottom of the page
(below the REGISTER button) and not your browser’s back button.

3.2 Confirm Registration
After you submit your registration, you will receive a confirmation email from DASH. You must
click on the confirmation link in the email to verify your registration. You will then be able to
log into DASH with the email address and password you provided during registration. If you do
not receive a confirmation email within 4 hours, please contact the DASH Administrator at

● Once you confirm your DASH registration, the nuMoM2b data and
documentation for the Challenge will be automatically added by DASH
system to your MY CART (user space in DASH similar to a shopping cart)
● If you create a new institution during registration, DASH Administrator will
need to review and approve your institution before you can proceed with
your request. Please allow 4 business hours for your institution to be
reviewed.
● You will not be able to access your MY CART until your new institution has
been approved
3.3 Login to Your Account
Perform these steps to log in to your DASH account:
1. Click on the SIGN UP/IN button located at the top right of the homepage.
2. On the “Login Page”, enter the email and password that you used to register in DASH, then
click LOGIN.
a. If you do not remember your password, click I FORGOT MY PASSWORD. You will be
prompted to enter the email address associated with your account and the DASH
will email you a link to reset your password.

4. Access nuMoM2b Data from DASH
Once you have confirmed your DASH registration as a Challenge Participant, DASH System will
automatically add nuMoM2b data to your MY CART.
Note: If you created a new institution during registration, DASH Administrator
will need to review and approve your institution/organization/company before
you can access your Cart and proceed with your request. Please allow 4 business
hours for your institution to be reviewed. If you are still unable to access your MY
CART after four hours, please contact DASH Administrator at
The steps to access data from DASH are outlined in this section. You will be required to submit
the following information/documentation during the data request process.
• Data Request Form – Signed by you and uploaded to DASH. The Data Request Form
includes information about your Research Plan, team members (if any) and the
Authorized Organizational Representative (AOR)/Signing Official
• DASH Data Use Agreement signed by you and the AOR/Signing Official from your
institution.
4.1 Identify your Authorized Organizational Representative (AOR)/Signing Official
1. AOR/Signing Official Responsibilities:
a. The AOR/Signing Official is the individual who, on behalf of your institution, will
need to execute the DASH Data Use Agreement with NICHD
b. AOR as defined by NIH is the individual, named by the applicant organization, who is
authorized to act for the applicant and to assume the obligations imposed by the
Federal laws, regulations, requirements, and conditions that apply to grant
applications or grant awards. Please see the NIH Grants Glossary page for additional
details. The AOR is also referred to as the Institutional Signing Official in some cases.
2. AOR/Signing Official Authority
a. This person must have authority to enter into agreements on behalf of your
institution and DASH must be able to verify that authority.

b. If your institution’s website does not clearly state the authority of the AOR/Signing
Official’s role to sign Data Use Agreements or similar research agreements on behalf
of your institution, please obtain an official Letter of Signature Authority or other
official policy statement from your AOR/Signing Official and email it to
3. Identifying your AOR/Signing Official
a. The AOR/Signing Official is typically a senior Research Administrator at research
institutions.
b. Instructors and colleagues do not typically possess the authority to sign contracts
and enter into agreements on behalf of an institution.
c. For commercial institutions, the CEO may serve as the AOR/Signing Official.
4. You can download the AOR Guide from the Challenge Information Page to send to your
AOR/Signing Official as an aid to prepare your AOR/Signing Official for signing the Data Use
Agreement.
Challenge Alert:
● All Challenge participants must be affiliated with an institution,
organization, or company.
● You can be your own AOR if you have the authority to enter into
agreements and sign contracts on behalf of your institution/organization/
company and NICHD can verify that authority.
● Inability to verify to the existence of a company or an individual’s role at a
company will result in an individual’s request being denied.
● If your institution’s website does not clearly state the authority of the
AOR/Signing Official’s role to sign Data Use Agreements or similar
research agreements on behalf of your institution, please obtain an official
Letter of Signature Authority or other official policy statement from your
AOR/Signing Official and email it to [email protected]
4.2 Complete a Data Request
For the Data Challenge, regardless of whether you are participating in the
Challenge as an Individual or Team/Entity Lead or Collaborator, you will be the
Requester and Principal Investigator/Recipient.

DASH has multiple roles for Challenge Team Members – Requester and Principal
Investigator (Data Recipient), Affiliates, Associates, and Collaborator. These roles
are detailed in Section 2. Challenge Participants and DASH Roles
Please note:
• The nuMoM2b Challenge data and documents are automatically added to your
“My Cart” when your DASH User Registration is complete.
• The status of each study request is also displayed in “My Cart” (i.e. ‘request initiated’,
and ‘request submitted’), which you can check at any time during the approval period.
4.2.1 Initiate Data Request From Your Cart
1. Click on MY CART located at the top navigation bar.
2. From the “My Cart” page, click on REQUEST ACCESS to initiate the Challenge data request.
3. The “Data Request Guidelines” pop-up window will provide the basic steps to request Study
Items. Click on CONTINUE in the pop-up.

4.2.2 Complete ‘General’ Information
Complete the Data Request Form. The left-hand navigation pane shows the pages you will need
to complete to request data from DASH. All fields marked with an asterisk (*) are required and
must be completed to move on to the next page. The “General” page of the online Data
Request Form will be prepopulated with the information you provided when you created your
DASH account. Review the information and then click NEXT.
Note: You may start and stop this process at any time, and resume at the section
where you left off. Be sure to click SAVE at the bottom of the window you are
working on so your work is available when you return.

4.2.3 Enter Study Information
The “Study Information” page of the online Data Request Form requests information about the
research study for which you will be using the data. Complete required fields marked by an
asterisk (*).
1. Request Project Title: The title you choose to give to your project.
2. Research Plan: As per the Data Use Agreement, the Research Plan is a description of the
proposed research that serves as the basis for the Data access request. The Research Plan
must include a description of the research need (study aims/goals, hypothesis that will be
tested, methodology to be used, and the expected outcomes).
3. Design and Analysis Plan: Describe the methods you plan to use for your investigation.
Note: If you plan to submit more than one solution to the Challenge,
please ensure that your solutions (or research aims) fit within the scope of
your proposed Research Plan. You can detail each solution in your Design
and Analysis Plan to include the proposed methodology.

4. Funding Information: Funding is not required to participate in the Challenge
5. If you are not using funds to support your Challenge work, complete the Funding
Information as follows:
a. Funding Source: select OTHER
b. Funding Institution: from the dropdown list, select the name of your Institution you
registered with as a DASH user
c. Funding Type: select OTHER
d. Funding Type Other – please specify: type N/A
e. Funding Identifying Number: type N/A
6. If you are using funds to support your Challenge work, complete the Funding Information:
a. Funding Source: select NIH INTRAMURAL, NIH EXTRAMURAL, or OTHER
i. Funding Institution: from the dropdown list, select the name of the
institution that provided the funding.

ii. If the funding institution for this project is not listed, Select CLICK HERE TO
ADD AN INSTITUTION and complete the required fields.
iii. You may select more than one Funding Source - Hold Ctrl Key while selecting
multiple sources.
b. Funding Type: select CONTRACT, GRANT, or OTHER
i. If you select Funding Type Other – please specify funding type
c. Funding Identifying Number: Enter ID number or type N/A if there is no associated
funding ID number
d. If your study has multiple funding sources and/or multiple identifying numbers,
please make a new funding information entry for each funding source by clicking on
ADD FUNDING INFORMATION.
Note: Federal grantees may not use Federal funds from a grant award to
develop their Challenge submissions or to fund efforts in support of their
Challenge submissions unless use of such funds is consistent with the purpose
of their grant award.

7. The Principal Investigator (PI): The PI is either the Data Challenge Individual, or the
Team/Entity Lead who is Details about their responsibilities are outlined in Section 2: NICHD

a. If you are a Collaborator (Team Member from a different institution) submitting a
separate request, you will serve as the PI for your request.
b. If you are the PI –check the box beside USE INFORMATION FROM MY REGISTERED
ACCOUNT
c. If you are a Team Member who is from the same institution as the Team Lead, you
are an Affiliate – Stop here – you do not have to complete a data request; only your
Team Lead needs to complete a data request. You will get access to the data after
your Team Lead’s request is approved.
Challenge Alert:
● If your institution is different from your Team/Entity Lead’s institution,
and you will need access to the data from DASH on your local data
platform or device, DASH considers you to be a Collaborator.
Collaborators must complete and submit a separate request in DASH
8. Authorized Representative: The Authorized Organizational Representative (AOR)/Signing
Official is required to execute the Data Use Agreement with NICHD.
a. The AOR/Signing Official does not need to be registered in DASH. However, if they
are registered in DASH and you enter their registered email address, the system will
automatically populate the appropriate user information.
b. More information about the AOR/Signing Official definition, responsibilities and how
to identify your AOR/Signing Official are provided in section 4.1 - Identify your
Authorized Organizational Representative (AOR)/Signing Official

● If your institution’s website does not clearly state the authority of the
AOR/Signing Official’s role to sign Data Use Agreements or similar
research agreements on behalf of your institution, please obtain an official
Letter of Signature Authority or other official policy statement from your

9. Click NEXT when complete. This will save your work and move to the next page. You may
also click SAVE to save completed sections without leaving the page.
4.2.4 Enter Research Team
1. If there are no Team/Entity members who require data access, select NO to each question
about whether you have Affiliates, Associates or Collaborators, then click NEXT.
DASH has multiple roles for Challenge Team Members – Requester and
Principal Investigator (Data Recipient), Affiliates, Associates, and
Collaborator. These roles are detailed in Section 2. Challenge Participants
and DASH Roles
2. If you have Team/Entity members who require data access from your institution, select YES
to add the appropriate Research Team members.

3. Research Team definitions:
a. Affiliate: Team member from the same institution as the Team Lead or Entity Lead.
Your Team Lead must add you as an Affiliate in DASH when they submit a data
request in DASH. If you are added as an Affiliate, you will be allowed to access and
download data directly from DASH.
b. Associate: Team member from a different institution as the Team Lead or Entity
Lead, and who does not require data in their local platform or device. If you are
added as an Associate in DASH by your Team Lead or Entity Lead when they submit a
data request in DASH, you will not be permitted by the DASH system to access or
download data directly from DASH; instead, you must access data only within the
Team Lead’s or Entity Lead’s data platform and must not download data to your
local data platform or devices.
c. Collaborator: Team member from a different institution as the Team Lead or Entity
Lead, and who requires data in their local data platform or device. Your Team Lead
may identify you as a Collaborator when they submit a data request in DASH.
However, if you are a Collaborator to the Team Lead, you must complete a separate
data request in DASH and sign a separate Data Use Agreement to get access to the
data. As a Collaborator, you will be permitted to access and download data directly
from DASH to your local data platform or device.
4. If Affiliates from your institution will be using the data, select your affiliates from the
dropdown list and click on the ADD AFFILIATE button. You may select more than one
affiliate. Affiliate names will appear below in the dropdown list.
a. If your Affiliate does not appear in the dropdown list, please confirm they have
registered with DASH as a Challenge Participant, with your same institution.
b. You may email [email protected] if you need assistance with your
Affiliate’s registration
c. To remove an Affiliate, click on the X to the right of the name.
Note: All Affiliates must be registered in DASH prior to you initiating a request
in DASH for their name to appear in the dropdown list. If you are unable to
select an Affiliate, save your work by clicking on the SAVE button and return to
this page when your Affiliates have registered. Do not continue to the
“Generate Package” section until you have completed this section. Otherwise,
you will be required to re-generate the request package if you add Research
Team members after you generate the package.

5. To add Associates and Collaborators, enter their institution and fill in the required
information.
6. When you have finished adding Research Team members names, click NEXT.
4.2.5 Generate Package
1. Click CONFIRM AND GENERATE PACKAGE.

2. The system will generate a data request package and send it to you via email.
a. This package includes your DASH Data Request Form and Data Use Agreement that
require signatures from you and your AOR.
Note: Do not make changes to or add information in the Data Request
Package you receive. If you make any changes to your data request (e.g.
adding or removing affiliates) after the system has generated the package,
your request package will be invalidated. If there are changes to the request,
login to NICHD DASH, make the changes to your Data Request and generate a
new Data Request Package.
3. Please review all documents in the Data Request Package prior to requesting appropriate
signatures from your institution. As the PI, you are responsible for coordinating with all
parties involved and collecting all signatures required to complete the data request.
a. Data Request Form – signed by you, having completed the Request in DASH
b. Data Use Agreement – signed by you and the institution’s Authorized Organizational
Representative (AOR)/Signing Official. Their names will be on the signature page.

Challenge Alert:
● Signatures must be either “wet” signatures or verified digital signatures
(like DocuSign). Typed signatures will not be accepted.
4.2.6 Upload Package
1. To upload the package after obtaining all necessary signatures, scan your documents and
log back into the DASH system.
a. Click on MY CART at the top of the DASH homepage to begin.
b. Next to the requested study, click EDIT REQUEST. You will be directed to the
“Upload” page.
2. Click the UPLOAD FILE and select the appropriate file from your computer to upload each
required file. Each required file must be uploaded separately.
4.3 Submit Data Request
1. Once you have uploaded your documents, click NEXT to move to the “Review & Submit”
page. This page shows all the information you have entered thus far; please carefully
review this page for accuracy and completeness. Then click the SUBMIT button to
submit your request.

2. Your data request will be reviewed by the DASH Data Access Committee. You will be
notified via email if any updates or additional information are needed for your request.
You will also be notified by email if your request is approved or not approved. You may
check on the status of your data request at any point from your cart. The approval
process typically takes up to five business days.
4.4 Access Study Data in DASH Workspace
After you have received notification from the DASH Administrator that your data request has
been approved, you can access the nuMoM2b study data in your DASH Workspace. You can
download the study components (datasets, documents, etc.) you requested, from your Inbox.
To access your study data, follow the instructions below:
1. Log in to DASH and click on the WORKSPACE icon located on the top menu bar of DASH.
Note that your Workspace will be empty until after you submit a request and it is approved.
2. Click INBOX, then click SHOW ALL ITEMS to display the list of data and documents approved
for you to access.

3. Select items to download
a. Click SELECT ALL to highlight all components for download
b. Click individual items to highlight a limited list of items for download
4. Click DOWNLOAD to start the download of items to your system
Note: When you click DOWNLOAD a pop-up window will inform you that your
when your download is completed.

5. Update Research Team in Workspace
You may add or remove Team/Entity Members after your DASH request has been approved, if
an individual joined or left the Team/Entity after you submitted your request. Follow these
instructions to edit your Research Team in DASH:
1. If you are adding a person to your Research Team, first determine their DASH role,
according to the definitions found in 2. Challenge Roles and DASH Roles.
2. Log in to DASH and click on the WORKSPACE icon located on the top menu bar of DASH.
Note that your Workspace will be empty until after you submit a request and it is approved.
3. Click DATA REQUESTS
4. Click the gold ACTIONS button and select MODIFY RESEARCH TEAM.
a. A “Modify Research Team” modal will be displayed.
5. Manage Affiliates
a. Affiliate: Team member from the same institution as the Team Lead or Entity Lead.
Team/Entity Lead may add Affiliates in DASH when they submit a data request in
DASH or after the request has been approved Affiliates are allowed to access and
download data directly from DASH.
b. Click the gold MANAGE AFFILIATES button, below the Affiliates description

c. Add Affiliates: Select a Team Member from dropdown list of registered users
belonging to your institution, who identified as “Data Challenge Participant” when
they registered as a DASH User
d. Remove Affiliates: click the X button next to the Affiliate’s name.
6. Manage Associates
a. Associate: Team member from a different institution as the Team Lead or Entity
Lead, and who does not require data in their local platform or device. Associates will
not be permitted by the DASH system to access or download data directly from
DASH; instead, they must access data only within the Team Lead’s or Entity Lead’s
data platform and must not download data to their local data platform or devices.
b. Click the gold MANAGE ASSOCIATES button, below the Associates description.
Complete the information about your Associate.
c. Remove Associates: click the X button next to the Associate’s name.
7. Manage Collaborators
a. Collaborator: Team member from a different institution as the Team Lead or Entity
Lead, and who requires data in their local data platform or device. The Team Lead
may add a Collaborator when they submit a data request in DASH. However,
Collaborators must complete a separate data request in DASH and sign a separate
Data Use Agreement to get access to the data. Collaborators will be permitted to
access and download data directly from DASH to their local data platform or device.
b. Note: Collaborators MUST complete a separate DASH request. A Team Lead or Entity
Lead should name Collaborators in their DASH request, however, adding their name
to the Research Team DOES NOT give Collaborators access to study data.
c. Click the gold MANAGE COLLABORATORS button, below the Collaborators
description. Complete the information about your Collaborator.
d. Remove Collaborators: click the X button next to the Collaborator’s name.
8. Once you finish making changes to your research team, click the blue SUBMIT button at the
bottom of the modal. You will receive an email shortly containing an amendment to the
Data Use Agreement reflecting your changes. Note: since collaborators are not part of the
Data Use Agreement the changes to collaborators are not included into the Amendment.
