  • ABOUT DARS BATCH

    DARS batch has been implemented for two specific reasons; handling large volume report requests, and analytical evaluations of curricular data.

    Some examples of questions that DARS batch can answer are:

    Who are the students with more than 30 credits that have not completed a particular requirement?

    Which courses are causing the most trouble for Psychology majors with a major GPA less than 2.5?

    Which English courses are most ‘needed’ by students with less than 30 credits? What are the most popular courses taken to complete a particular degree requirement?

    With DARS batch, advisors and administrators will now be able to:

    Predict course demand

    Prepare DARS reports for a week’s worth of an advisor’s student appointments without any special assistance required.

    Run a batch of all students indicating intent to graduate from a degree program.

  • DARS BATCH QUICK REFERENCE

    1. Log on to http://dars.services.wisc.edu using your NetID and password

    2. Click Create Batch Request link

    3. Enter information in the appropriate fields:

  • 4. Continue to the Confirmation Page

    a. The Confirmation page will check the Campus IDs you have entered. It will indicate

    how many invalid and valid IDs are included. If there are no invalid IDs, your page

    should look like this:

    b. If there are any errors or you wish to change any aspect of your request, click Edit

    Request to go back to the Request page.

    c. If you want to start all over again, click Cancel Request

    d. If there are no errors, click Continue to finalize your request

    5. You can monitor the status of your request on the DARS Recent Requests page. Contact the

    DARS administrator if the request is pending their approval.

    6. View and/or print your reports from the Report Results page, found by clicking the View

    Requested Reports link on the top left-hand side of your screen

    Log in using your NetID and Password Once logged in, you will see a page like this:

    From the Report Request page, click Create Batch Request. This will bring you to a page like this:

    PROCESSING BATCH DEGREE REPORT REQUESTS IS RELATIVELY EASY: JUST FOLLOW THESE 12 STEPS

    1. CHOOSE YOUR PROCESSING REQUEST OPTION USING THE RADIO BUTTONS:

    Overnight processing: Up to 500 IDs will be processed overnight

    Upon release by DARS administrator: Contact the DARS administrator to begin processing. For over 500 IDs or special release times.

    Immediately after submitting: Up to 50 IDs during business hours or up to 500 during nights and weekends will be processed immediately

  • 2. ENTER YOUR LIST OF CAMPUS IDS:

    To copy and paste Campus IDs from an Excel table, you will need to complete the following steps: 1. Copy IDs needed from column in the desired Excel table (highlight the fields, Ctrl + c) 2. Paste the column into a blank Word document (Ctrl + v) 3. Highlight the column (Don’t use Select All, highlight with the mouse cursor) 4. Convert Table to Text

    a. For Word 1997-2003; when the column is highlighted, go to the Table menu, click Convert, and click Table to Text. Click ok.

    b. For Word 2007; when the column is highlighted, click the Layout tab. Then click Convert to Text on the far right.

    c. For TextPad; when the column is highlighted, go to Edit and click Reformat. 5. Replace paragraph marks with commas

    a. For Word 1997-2003; click the Edit menu, click Replace. Click More, and select “paragraph mark” (^p) from the Special menu so it gets placed in the Find field. In the Replace field, put a comma (,). Click Replace All.

    b. For Word 2007; on the Home Tab click Replace on the far right. Click More, and select “paragraph mark” (^p) from the Special menu so it gets placed in the Find field. In the Replace field, put a comma (,). Click Replace All.

    c. For TextPad: go to Search and click Replace. Put a space (by hitting your space bar) in the Find field, and put a comma (,) in the Replace field. Click Replace All.

    6. Remove end commas from the lists of Campus IDs 7. Select All (Ctrl + a) 8. Copy (Ctrl + c) 9. Paste into the Enter Campus IDs box on your Request Batch page (Ctrl + v)

  • 3. CHOOSE YOUR OUTPUT OPTIONS: Select which output options you want. You may check one, none, or all of them.

    1. Degree Audit Text will output items to the View Requested Reports page. 2. Analysis Tables will populate data on the DARS Analysis tables. You can learn more

    about the analysis tables in the Output of Batches section of this documentation. 3. If you don’t want to output to the reports to the view page or the analysis tables, you

    can leave both boxes blank. Doing so will result in information being sent to the JOB_QUEUE_RUN table. This will indicate whether or not the requirements have been completed for the degree program you have specified.

    4. CHOOSE THE SCHOOL/COLLEGE:

    Leave this field blank if you want to run all of the student’s default programs. Otherwise, use the drop-down menu to choose a code from the list.

    5. SPECIFY THE DEGREE PROGRAM:

    Leave this field blank if you want to run all of the students’ default programs. If you want all of the students to be run under one program, then specify it here. For more information about Degree Plan Name, you can click Selection Help.

  • 6. ENTER THE CATALOG YEAR/TERM FIELD:

    8. INCLUDE WHICH COURSES:

    This field allows you to tell DARS whether to use current and/or the next future term's courses, as well as completed courses, when completing each student's degree report request. The options are:

    1. Courses from previous, current and future terms. (This is the default value)2. Courses from previous and current terms.3. Courses from previous terms only.

    9. PRINT ACTIONS/EXCEPTIONS FIELD:

    Use this field to control whether the text of Actions from SIS and/or DARS Exceptions gets printed on the report. The options are:

    1. Both actions and exceptions (This is the default value)2. Neither actions nor exceptions3. Actions only4. Exception only

  • 10. SET SPECIAL COM VALUES (OPTIONAL):

    Use the COM parameters page to set special run parameters. If you have specified a School/College code, then the default values will be the same as those for the college you indicated.

    11. CLICK CONTINUE Click Continue when you’ve finished filling out the request page.

    DARS Web will validate your selections and redirect you to a Request Confirmation page, where you can review your choices before committing.

    There may be a short pause while the requests are processing. Please be patient while the batch run is being populated.

  • 12. THE DARS BATCH CONFIRMATION PAGE: If all the Campus IDs are correct in the Campus ID box, the confirmation page will look like this:

    If there are any incorrect ID numbers, the confirmation page will tell you how many are invalid and how many are correct. You will have to go back and change the information in your Campus ID box to continue.

    This is the page you get after clicking Continue from the Batch Request page.

    It shows the parameters you chose for the batch you’re about to submit, and if there is a problem with the values you chose the page will indicate the error.

    If there are no serious errors, you can click Continue to finalize your request.

    If you want to re-edit your setting before submitting, click Edit Request to return to the Batch Request page.

    If you want to start all over again, click Cancel Request

    MONITORING THE STATUS OF YOUR REQUESTS

    The Recent Batch Requests page will list the batch requests you have ordered in the last 30 days:

    Once the server has finished processing all of your requests, the Status will state: “D - The job ran to completion.”

    VIEWING AND PRINTING REPORTS FROM THE VIEW REQUESTED REPORTS PAGE

    Click View Requested Reports to view and print your batch run reports on the Report Results page. Both individual and batch run reports are listed on this page.

    1. WHY ISN’T THEREQUEST PAGE RECOGNISING THE CAMPUS IDS I’VE ENTERED?

    The Campus IDs are not separated by commas. o The numbers must be separated by commas using no spaces or carriage returns. o To copy and paste from an Excel file, see the Batch Request section of the DARS Batch

    documentation The Campus IDs are invalid

    o The batch request page will not accept Empl IDs or names

    2. I’VE SUBMITTED THE REQUEST, WHY AREN’T THE REPORTS POPULATED?

    What processing option did you choose? o Overnight processing: The reports will be populated the next morning o Upon release of the administrator: You will have to call your DARS administrator to

    submit the request completely You can monitor the status of your requests on the Recent Requests Summary Page.

    3. NOT ALL OF THE REPORTSS I’VE REQUESTED ARE BEING POPULATED

    Are all the students in the same School/College?

    o If you specify a school/college in your request, only the students in that school or college will have their reports populated.

    Have you specified a Degree Plan? o If your student is not in the degree plan you have specified, they will not be included in

    the batch run.

    4. WHY AM I GETTING THE FOLLOWING ERROR?

    DARS Error Page An error has occurred in the application. Please take note of the error description below and inform the Help Desk at (608) 264-4357. Exception: ViewAuditsAction Exception: edu.wisc.doit.sfa.dars.DAOException Error message: Command: call RGDARS.DARS_VIEW_AUDITS.GETREFCURAUDIT(?,?,2) -- Error: ORA-04068: existing state of packages has been discarded ORA-04061: existing state of package "RGDARS.DARS_VIEW_AUDITS" has been invalidated ORA-04065: not executed, altered or dropped package "RGDARS.DARS_VIEW_AUDITS"

    This error is a result of a program change for viewing requested reports. If you receive it, just refresh the page.

    5. MY STATUS SAYS: N - No job_queue_detail records: A common cause is that none of the students in the run have default degree programs that correspond to actual degree programs for the catalog year(s) of the run.

    Make sure the students you’ve specified are in the degree program and catalog year you’ve selected.

  • OUTPUT TO THE DARS ANALYSIS TABLES

    Two programs that are commonly used for accessing the DARS Analysis Tables are Hyperion Interactive Reporting Studio (formerly Hyperion Explorer) and SQL Developer.

    Contact your department IT administrator for help obtaining and installing these programs. Additional documentation for Hyperion can be found at the DoIT Help Desk (http://kb.wisc.edu/helpdesk/page.php?id=13513).

    When requested for a user name and password, use the same login information that you would use for the DARwin DARS client to access DARSP, DARST, and DARSD. If you do not have access to the client, contact the DARS administrator.

  • DARWIN OUTPUT TABLES

    Excerpt from “DARwin 3.5 Table Interface Specifications Depending on output options selected, DARwin can output data to six separate tables. The DARwin module PNTPAGE performs the insert of all data into the output tables. The six output tables and their associated columns are described below.
