Why – current system is supported by a single person based in Colorado. This is not a stainable situation. The system is 20+ years old and is highly customized to Bay East’s needs. AMS (Association Membership System) selection process
1. Researched systems used by the top 100 associations (we are ~55th largest) 2. Researched other systems using AMS consultants & reviews resources 3. Talked to ~30 associations on their experiences with their AMS vendor 4. Narrowed list down to eight vendors 5. Had vendors supply their feature lists 6. Sent vendors our requirements and this resulted in two vendors dropping out 7. Started demos of the remaining six vendors – 28 demos to date 8. Our current system core functions are - member/firm info; member billing; class
registration/payments; member portal; integration with 3rd party vendors & accounting; member contact data. Member billing is the most complex function that a new system would have to handle. Over the years we have added the ability to handle a number of special situations & requirements that are unique to Bay East
9. Based on our requirements, we gradually worked the list of candidates down to iMIS 10. We are now waiting for iMIS to answer some follow-up questions on billing 11. Hope to sign a contract by mid-November and immediately start implementation phase

Data Protection We understand that the confidentiality, integrity, and availability of our clients’ information are vital to
their business operations and our own success. We use a multi-layered approach to protect that key
information, constantly monitoring and improving our iMIS application and data centers to meet the
growing demands and challenges of information security and personal data privacy.
iMIS retains an active certification as a PA-DSS validated product, with comprehensive documentation
on configuration for an organization that wishes to pass a formal PCI-compliance audit. In addition, ASI
Cloud Services data centers are Tier 3+ and PCI DSS compliant. iMIS also undergoes a regular schedule of
vulnerability scans and penetration tests, performed internally and by independent security firms, to
proactively identify and resolve security vulnerabilities.
PCI is specifically geared towards the security and protection of credit card related data, but because it is
such a stringent and comprehensive security standard, it applies to data security in general. For
example, the latest PA-DSS standards call for stringent requirements for the creation, storage, and
retrieval of user IDs and passwords.
ASI has significantly invested in compliance with the European Union's General Data Protection
Regulation (GDPR). The GDPR expands the privacy rights granted to EU individuals and places many new
obligations on organizations that process EU personal data, no matter where an organization is located.
One of the GDPR's new obligations requires organizations processing personal data of EU individuals to
ensure their service providers and sub-processors support compliance with the GDPR. ASI is committed
