ECI State Office Organizational Chart

  

TRAINING CONTACTS 

Identify and assign two staff members who will be the DARS ECI training contacts. One person will serve as the primary contact and the second as the alternate contact. The contractor will provide DARS with the contact information in a format and timeline specified by DARS. All communication from DARS regarding training and technical assistance will be sent to the primary and alternate contacts and program directors with the expectation that this information be distributed to contractor staff as appropriate. Each contractor will implement a system of staff training and development, send appropriate staff to DARS ECI training and ensure all direct service staff have an individualized professional development plan (IPDP).

REGISTRATION 

Thank you for the suggestions! We received some great suggestions on the evaluations over the past year and we are putting some changes in place because of them. We are going to start incorporating the type of event (webinar, videoconference, meeting), the level, and if there are any CPEs attached. We will also write more detailed descriptions and objectives so we make sure you are attending an event you want to attend.

Videoconference: Serving 0-3 Year Olds with Visual Impairments

Description: This videoconference will provide information on the role of interagency collaboration in serving children with visual impairments. The roles, timelines and expectations for both ECI and local school districts will be covered. In addition, expectations and strategies for collaboration with the Division for Blind Services will be explored. Finally, the family of a child with a visual impairment will share their perspective on the work done by all three providers.

Level: Basic – Intermediate This training will provide 2 hours of CPE for EISs, Certified Teachers, LSWs, and LPCs

Target Audience: Early Childhood Intervention staff, school district staff that provides services to children with visual impairments, Division of Blind Services staff

The ECI library is a valuable resource accessible to all ECI program staff and families, and any resident of Texas. o Programs may post job openings and search the resume database at www.healthjobsusa.com. o Contact Rachel if you need the username/password for the site or instructions on posting jobs or

• DARS ECI attends many university career fairs specifically for therapists. In addition, DARS ECI exhibits at the statewide conferences for SLPs, PTs, OTs and LSWs. Job openings are distributed at these career fairs and conferences. Current openings are taken from the Absolutely Healthcare website.

• DARS ECI is participating in a technical assistance grant from the National Association of State Directors of Special Education (NASDE), Personnel Improvement Center (PIC) about staff recruitment and retention. Eight programs received individualized support for their program’s staffing needs. This year’s focus will be to develop models/systems for staff recruitment and retention that will benefit all programs. Training modules currently available include:

• Tip: Recruitment of therapists involves a multi-pronged approach. Because demand for qualified therapists significantly outweighs the supply, programs must “think outside the box” with their recruitment strategies. Posting a job opening on Absolutely Healthcare or in the area newspaper is not enough. In order to be successful with their recruitment efforts, programs must use active recruitment techniques, such as;

o building relationships with university programs that train future therapists, o working with staff to return to school for a therapy degree, o actively recruiting therapists outside of Texas, o building relationships with community therapy providers, and o working together with other ECI programs to share therapy staff

• Recruitment Tips:

o New staff need support and mentoring - even the therapists. Allow a time period for learning and observations before staff receive their own caseloads.

o All staff need support and need a mechanism for reflecting on their work and processing the situations they encounter on a daily basis.

o The ECI Collection, which is part of the DSHS audio/visual library, has many resources on staff retention activities and other management techniques. Graphics Manual

In June 2010, ECI launched the new ECI logo with the updated 2010 Graphics Manual. All program directors should have received an ECI Logo and Graphics Manual CD. As you begin to integrate the new logo, please review and become familiar with the ECI Graphics Manual. It provides valuable information and helpful advice. It is also an excellent reference guide when working directly with vendors such as printers or advertising agencies.

AskECI 

Ask ECI [email protected]

The Ask ECI mailbox is a technical assistance tool designed to provide clarification of ECI program requirements. An Ask ECI form has been developed for submitting questions to the mailbox. Forms completed with all requested information will enable state staff to respond to questions on a timely basis. They will also provide enough context so that questions and answers may be generalized to all programs when appropriate. The completed form should be submitted as an attachment to the email. As of 1/4/2010 all questions must be submitted on the new form. Program Directors will be notified of all questions submitted by their program staff.

Each person submitting a question to the mailbox will receive a response including the timeline when an answer may be expected. If at any point the timeline for an answer must be revised, the person asking the question will be notified. The answer will be sent within the timeline stated.

An Ask ECI site has been established on the extranet homepage where Program Directors may access the Ask ECI form and instructions. All questions and answers that may be useful to all programs will be posted in folders on the site. Folders will be organized by topic, such as screening, IFSP, transition, etc. State staff will use the information from the questions and answers when making decisions about technical assistance, standards clarifications, and standards development.

In most cases staff are: the programs director, an administrative assistant, and the training contact (these staff maybe different in your program). If you need information from the extranet, please ask your program director who to contact. The extranet contains:

Once you’ve registered you will receive a confirmation email with the link for the webinar and requirements for watching and listening to the webinar.

Common Issues:

If you are unable to view the webinar:

1) The firewall may be blocking the material. Contact your IT department for help. 2) It’s most likely the Media Player. You’ll need to download the latest version of Windows

If the webinar stops:

1) If the recording stops in the middle and will not come back on, it’s most likely the internet connection speed. When there are several people on the internet at the same time it slows down and the recording doesn’t have enough bandwidth to play correctly.

If the webinar has a picture, but no sound:

1) It’s most likely the Media Player. You’ll need to download the latest version of Windows Media Player to watch the recordings. You must have at least version 9.

These three web based learning modules are designed to be completed by individual staff and should take less than an hour each to complete. They do not offer CPE. All of these modules are required activities in the Transition CDS.

Writing Better IFSPs

Writing Better IFSPs focuses on helping the learner understand the benefits of a well-planned and well-written IFSP to both the family and to the ECI Service Provider. This module reviews the parts of the IFSP and the ECI policies that relate to IFSP planning and documentation. In addition, learners will discover that IFSP planning does not just happen the day the IFSP is written, but happens throughout the intake and evaluation/assessment process.

Ethics: Making Better Decisions

Ethics affect how you relate to others in all aspects of your life; including how you relate to the families you serve. Ethics: Making Better Decisions will enable you to recognize ethical dilemmas and provides you with a decision making tool to help you to make better decisions.

Family-Centered Services: Making Every Contact Count

The Family-Centered Services: Making Every Contact Count course was developed to review the basic principles of working with others so that you have the information and skills you need to continue building healthy relationships with the families you serve.

MIW provides basic information on providing quality services to families of children birth to 36 months with developmental delays or disabilities.

Although MIW is basic information, it is a great resource for new and experienced staff. Because of changes, the need to create consistency, and for reminders of what quality services to families look like, it is recommended that MIW is used with all staff.

Designated trainers from each program completed training on how to implement MIW with staff.

Internet resources and central directory will be a place to go for information on various topics. As of now, the plan is to design the webpage so you can sort it by topic or audience. It will also be searchable. This is in the very early stages of development. We plan on having the webpage up by the first of the calendar year with some resources and will add information as we go along.
