CONFIRMED SPACE: Space is available on a first come first served basis and cannot be confirmed without a signed contract and deposit.
DEPOSITS: A non-refundable deposit of 25% of food and beverage minimum or $2,500.00 which ever is greater. is required to hold space.
FINAL DETAILS: Menu selections, tastings, and contracted outside vendors should be finalized no later than 20 days before your event.
MEAL GUARANTEE: Our Catering Office must be notified of the exact number of attendees by 9:00 am, three (3) business days prior to the event. This minimum number of guests will be considered as your guarantee. Once this guarantee is provided, it may not be decreased regardless of the reason. If the menu includes choice of entrée, the guarantee is due five (5) business days prior to the event and place cards must be provided and marked to designate entrée selections. You will be charged for the guaranteed number, even if fewer guests attend. An increase in the guaranteed attendance will be accepted up to forty-eight (48) hours before function (72 hours on weekends). An increase of more than 5% above the guaranteed attendance within (48) hours of the event will result a 15% price increase for the additional guests. We will set up to five percent (5%) over the final guarantee figure; however, food is prepared for the guarantee only. If the Catering Office does not receive a guarantee by the deadline time, we will consider your last indication of number of attendees as the guarantee.
DECORATIONS/MUSIC/ENTERTAINMENT: Flowers, décor, specialty linens and entertainment vendors can be suggested by your catering representative and found this preferred vendor guide. Outside vendors that are utilized must provide proof of insurance. Storage space is limited, therefore you will need to arrange with your vendors to have all delivery and pick up of rented equipment to take place the day of your event. Should you have a special request or need, please check with your catering representative and they will determine if assistance can be arranged and costs that may apply. We do not provide set-up assis-tance / services for your vendors. All vendors must come prepared with correct information regarding event location, appropriate delivery and pick-up time, and personnel capable of providing their services during the time allotted prior to your event.
PARTY ITEMS: Due to our fire prevention systems we cannot allow smoke or fog machines. Violation of this rule by your entertainment will result in interruption or cancelling of the remainder of your event and payment of municipal false alarm fees of up to $500.00. Confetti machines cannot be used unless the band or DJ will be providing cleanup services after the event. Rice or Bubbles are not allowed in certain areas due to the slip and fall hazards. Additionally, no décor items may be mounted onto walls or windows with nails, tacks, tape or glue. INSURANCE: Crowne Plaza Hollywood Beach carries general liability insurance for the protection of you and your guests. To insure this protection is complete, we require that all vendors employed by you, including, but not limited to: entertainment, photographers, videographers, decorators and florists, carry $1,000,000.00 full general liability insurance per occurrence, $2,000,000.00 aggregate. Waivers are not acceptable and Crowne Plaza Hollywood Beach reserves the right to deny facility access to vendors not providing written proof of this coverage.
ITEMS SUPPLIED BY VENDORS: Crowne Plaza Hollywood Beach is not responsible for the storage, safekeeping, damage or loss of décor or equipment (i.e., floral stands, microphones, cameras, linens) supplied or utilized by your contracted vendors. Any items used during the event MUST be picked up at the end of the event; otherwise, they will be discarded.
DAMAGE TO FACILITIES: Should Crowne Plaza Hollywood Beach property or facility be damaged by the host or host’s guests, the host will be held financially responsible for the repair of the damaged property. CURRENT PARKING FEES: Guest Valet Parking $18.00/Day, Guest Self Parking $15.00/Day, Visitor Valet Parking $10.00/Day, Visitor, Self Parking $5.00/Day.
Parking rates are subject to a nominal year-to-year increase. Parking Fee rates in effect at the time of your event will apply. If you wish to pay for all or a portion your guests parking we can arrange to have the charges posted to your master account. Please speak with your catering representative for details and options.
VENDOR MEALS: Your vendor meals will be provided with complimentary non-alcoholic beverages during your event. Under no circumstances will we allow any on-duty vendor to be served or purchase alcoholic beverages. Most hosts choose to serve meals to vendors working during the event; these should be arranged in advance and are charged at half the regular price.
FOOD And BEVERAGE RESTRICTIONS: No food or beverages may be removed from the property by hosts or guests. We cannot pack meals or leftovers “to go” due to liability concerns regarding safe handling of food once it leaves the premises. FOOD And BEVERAGE SERVICE: The sales and service of alcoholic beverages are regulated by the Florida State Liquor Commission. Crowne Plaza Hollywood Beach is responsible for the administration of these regulations. It is policy therefore, that liquor cannot be brought in from outside sources. Certain exceptions may apply (such as Kosher meals), and must be arranged in advance. We will not serve alcoholic beverages to anyone under the age of (21) years. We will refuse to sell or serve alcohol to any visibly intoxicated person.
SECURITY: Crowne Plaza Hollywood Beach reserves the right to determine which functions require additional security. All Proms, Homecomings and Bar/Bat Mitzvahs require a minimum of (1) security guard on the property throughout the entire function. Beach weddings require (1) Police Detail at a minimum of (3) hours.
CHEFS, CARVERS, BARTENDERS, and CASHIERS:Chefs and carvers are required for some menu items, and are charged at $75.00 for the first 2 hours and $25.00 each hour thereafter. A bartender fee of $100.00 per bartender, for up to 2 hours will be charged for each bar and $25.00 each additional hour thereafter. The Hotel requires 1 bartender per 75 guests. A Cashier is required for all cash bars. Cashier fee is $50.00 per hour for up to 2 hours and $25.00 each additional hour thereafter.
SERVICE CHARGE And SALES TAX: All food and beverage prices quoted are subject to 22% service charge and 6% state tax.
OVERTIME CHARGES: $350.00 per hour
CEREMONY FEE: $500.00 ceremony set-up fee will apply for all weddings. For beach weddings, a $750.00 setup fee will apply.
CREDIT ARRANGEMENTS: All functions must be paid in full (3) business days prior to the date of the function. Functions must be paid by any of the following methods: credit card, bank certified check or cash. Please contact your catering representative for further information.
