CORPORATE TRAVEL/MEETING NEWSLETTER FEBRUARY, 2015 TRAVEL NEWS CAR RENTAL INSURANCE COVERAGE Please make sure anyone who uses rental cars is aware of this information! Kroger’s National-Enterprise contract now includes Damage Waiver coverage for business travel beginning February 2, 2015. New process for reporting damage to National and Enterprise rental cars: Because of the insurance coverage that is included in this contract, it is very important that only National and Enterprise be used for future car rentals. You should only be renting a car from another vendor if National or Enterprise has no availability. In the past we have used the insurance coverage included with our Wells Fargo agreement. Since this coverage is automatic through our contract with National and Enterprise you will still decline insurance coverage when you rent a car though these companies. Keep in mind, the Wells Fargo VISA still needs to be used for payment. If you should find that you damaged a car from another rental company, please see the travel Web Page, under Car Rental, for procedural information. With the Wells Fargo insurance, cargo vans or pickup trucks were not covered. With the new coverage under National/Enterprise, we are covered. They must be booked via our travel department (513-762-1300) because the Kroger ID# must be in the record. TRAVELING INTERNATIONALLY VENDOR PAID If you are traveling internationally and a vendor makes your air reservations, please send a copy of your itinerary to our travel department. It is important that we have this information on file, so that we will be aware of your whereabouts in case of an emergency, or problem, in the area you are traveling. We will send you a link to register with iJET, our international security company. They will follow your trip while you are away, and notify you and Kroger if any issues arise. It is very important that you do this step when traveling internationally! MEETINGS DEPARTMENT UPDATES

2015 RISK MANAGEMENT PROCEDURE FOR OFFSITE EVENTS

As the New Year begins, the meetings department has decided that we need to be more proactive about what to do in the event of emergency situations during any offsite Kroger event. To do so, we’ve implemented a new Risk Management Procedure. We’re asking that every hotel/venue we book with complete an Emergency Preparedness Form that we’ve developed with the aid of the Loss Prevention team. This form requires the hotels/venues to provide us with essential information that would be valuable to the onsite meeting host, in case of emergencies.

In addition to this form, we will also send an Emergency Preparedness Checklist to the onsite meeting host. This form will serve as checklist of items that the meeting host should be aware of before, during and after an event. It also lists the contact numbers and chain of command procedures to follow in the event of an emergency situation.
