Marquee Size: A minimum of 30 persons are required for a private marquee. Booking numbers must increase in increments of 18 persons (eg. 30 guests to 48, 66, 84, 102, 120. Tables are set to seat 6 people. Additional bay space will be charged for increments of less than 18 guests.

Access to your Marquee: Marquees can be accessed from 11.00am until 6.00pm on Carlton Mid Darwin Cup Day. Catering will be served from 12.00pm. The first race will commence at approximately 12 noon. Please advise your guests that bar facilities and marquee access will close at 6pm. All guests are invited to join the official Carlton Mid Darwin Cup after party concert at the track from 6pm.

Children: We do not recommend ‘Centrefield’ as a child-friendly environment. If in attendance, children will be charged the full adult rate and no children’s entertainment will be provided.

Things To Consider

Corporate Ticket Artwork: Corporate logos (full colour or mono) for inclusion on your corporate marquee ticketing must be submitted as a high resolution jpeg via email to [email protected]. Failure to do so will result in logos being omitted from your tickets.

Fans & Other Electronic Devices: All must be pre approved by the DTC. This will eliminate any problems with electricity and power outlets on the day. Additional costs may be incurred, subject to requirements.

Entertainment: Any entertainment within your private marquee must be pre-approved in writing by the DTC. If not approved, DTC has the right to remove entertainment.

Decorations / Theming: White table cloths, white chair covers & sashes in your corporate colour are included in your package price. You are welcome to decorate or theme the inside of your marquee, personally or through an event company.

Betting Services: Full betting facilities are available to all guests in Centrefield.

Security: Centrefield is only accessible to guests holding passes. These passes also allow your guests to park in the Centrefield car park, accessible off Playford Street and then crossing trackside. On Carlton Mid Darwin Cup Day there will be roving security on patrol if assistance is required.

Staff: Your private marquee will be supplied with a minimum of one host to assist in serving beverages and to keep your marquee clean and tidy. Number of staff is based on size of marquee. If you wish to have more than one host you can do so at a cost of $70 per hour, per staff member.

Booking: Please complete the attached Corporate Marquee Booking Form and return as soon as possible to secure your marquee.

To ensure the best possible service and comfort of all marquee holders and their guests we require the final numbers and initial deposit upon booking.

Private Marquee Booking Form1. Definitions 1.1 “DTC” means Darwin Turf Club 1.2 “Client” means the Individual or Company named on the Booking Form as booking the marquee 1.3 “Tickets” means any form of admission pass issued by DTC for a specified event and includes wristbands 1.4 “Marquee” means a large tent with open sides, an area under the marquee has been sectioned for each client 1.5 “Agreement” means the signed Corporate Marquee Booking Form is deemed to be a legally binding contract

2. Booking Guarantee 2.1 A binding agreement between DTC and the Client is effective upon receipt by the DTC of written booking confirmation, or signed booking form and payment of deposit. 2.2 Booking confirmation is subject to availability 2.3 The Client agrees to and must abide by all specified terms and conditions 2.4 DTC reserves the right to refuse to sell function packages to any company or individual 2.5 DTC reserves the right to allocate the position of the Client’s private marquee in Centrefield 2.6 A credit card is required as guarantee of payment and should the booking not be paid in full by the due date, the credit card will be charged

3. Payment 3.1 All prices appear in Australian dollars (AUD) and are inclusive of GST 3.2 Clients booking a marquee must pay an initial non-refundable 15% deposit upon initial booking 3.3 The full balance of the marquee is required prior to the 1st July 2017 3.4 Payment will be required within 14 days of receipt of the initial deposit invoice. Failure to make a payment within 14 days will result in cancellationof reservation 3.5 Diners/Amex – a fee of 3% will be charged on the total value of corporate hospitality 3.6 Cancellation of marquee 45 days prior to the event will result in refund of monies paid less 30%. In the event that any marquee is cancelled within 45 days of the event all monies paid will be forfeited

4. Issue of Tickets & Ticketing Conditions 4.1 Tickets will not be distributed until full payment has been received and funds cleared 4.2 Ticketing will be issued to the client via express postno earlier than three (3) weeks prior to the event 4.3 If clients nominate to have tickets sent via Australia Post or Airbag, DTC will not take responsibility for lost or stolen tickets 4.4 Tickets are not transferable or redeemable for cash 4.5 Clients are responsible for distributing tickets to guests attending their marquee prior to the function date 4.6 Tickets cannot be left at the gate or DTC office for guest collection prior to or on the event day 4.7 All clients must display relevant tickets at all times whilst in their designated marquee 4.8 DTC reserves the right to refuse admittance or service to any persons not displaying the correct ticketing 4.9 Should a client wish to provide additional ticketing to that of the official DTC ticketing, approval must beobtained from DTC and will be at the Client’s own cost 4.10 Requests for replacement tickets must be provided in writing with the exact ticket and/or wristband number and proof of purchase 4.11 Ticket includes a client hard card, lanyard and wristband. Lost ticket will incur a $50 per replacement fee 4.12 Host passes will not be provided free of charge for marquee bookings

5. Marquee Signage 5.1 A company’s own signage is permitted inside the corporate marquee only. DTC reserves the right to refuse inappropriate signage 5.2 DTC will provide the Clients marquee name signage which is plain text on a standard corflute at the entry of the marquee – no company logos

6. Use of Marquee 6.1 Clients are only permitted to use their marquee on Carlton Mid Darwin Cup Day 6.2 Clients are responsible for providing event hosts to manage the identification of guests into their marquee 6.3 DTC and its approved contractors accept no responsibility or liability for security of goods supplied by the client in their marquee 6.4 Marquee opens to patrons at 11am and closes at 6pm, unless otherwise agreed 6.5 The cost of damage or stolen property such as, but not limited to, chair sashes & table cloths will be on-charged to the Client 6.6 The Client is responsible for any damage caused by their ticket holders to property supplied by DTCand sub contractors 6.7 The Client remains liable for the actions of their guests who use the marquee. The client agrees to indemnify and keep indemnified DTC against any actions, claims, suits and demands brought maintained or made against the DTC by any person to the extent contributed to, or caused by the Client’s negligent acts or omissions. The Client’s liability to indemnify and keep indemnified shall be reduced proportionally to the extent that any act or omission of the DTC contributed to such claim, suit or demand 6.8 Noise emanation from entertainment, music or related activities within the marquee must be approved in writing by the DTC prior to the event date. Failure to do so will give DTC the right to remove entertainment from Centrefield

7. Catering & Beverage 7.1 The Client accepts that DTC will be the sole provider of all food and beverage in all marquees 7.2 All catering requirements and minimum guest numbers must be provided to DTC by Thursday 01 July 2017 7.3 Amendments can be made to the guest numbers up until fourteen (14) days prior to the event, provided the guest numbers to not decrease. An administration fee of $50 per alternation will be charged 7.4 Patrons under the age of 18 years must be supervised at all times by a responsible adult within the marquee. Checking of ID, as required by law, will take place where staff deems it to be appropriate 7.5 Beverage allocation: Any unused beverage allocation is non-refundable and can not be taken off course 7.6 Effective from 5.30pm onwards only one drink per person will be served 7.7 DTC follows guidelines for the responsible serving of alcohol; Event Licensees will (where necessary and appropriate) refuse alcohol service to any person who they believe to be intoxicated 7.8 Menu and timings for catering are subject to change without notification

8. On-Selling 8.1 Except with the written permission of DTC, the Client is not permitted to sell or on-sell any part of their function without the approval of DTC. Clients wishing to on-sell whole or part of their Corporate Marquee must obtain written permission from the Chief Executive Officer 8.2 In the event of DTC approving the purchase of a corporate marquee by a company for the purpose of on-selling, DTC will require the on-seller to forward all advertising materials for approval by DTC prior to print and distribution inclusive of pricing 8.3 Approved on-sellers must provide a complete list of all organisations and /or individuals attending their function, comprehensive floor plan, run sheet, risk management plan, insurance documents and marketing plan 8.4 Approved on-sellers must adhere to DTC Terms and Conditions. (to be supplied on approval)

9. General 9.1 If any part of any race day or event day, including any race, performance, event or any other element is cancelled, abandoned or postponed, in whole or part, due to adverse weather conditions or for any other cause beyond DTC’s control, there is no right to refund or exchange and no obligation is assumed by DTC for the arrangement of a substitute event, performance or any other element 9.2 Programs, menus, duration and timing may be subject to alteration without notice. DTC reserves the right to vary, add, withdraw or substitute advertised programs, menus and marquees without notice 9.3 DTC – all marquees located in the Centrefield are Smoke Free and smoking is only permitted in designated areas 9.4 Client must not attempt to misuse, deface, damage, remove from the course or tamper with, any building, seat, chair, table, table decoration, table setting, structure, television, fan or bar 9.5 Client and its guests must not throw or attempt to throw any stone, bottle or other projectile 9.6 Client and its guests must not act in a manner that may startle, spook, distract, interfere with, endanger or cause harm to any horse present at the Course

10. Assignment10.1 The parties acknowledge and agree that DTC may assign its rights and obligations under this Agreement to Darwin Turf Club ABN 21 373 066 193 (DTC) without the prior consent of the non assigning party and DTC shall be deemed to have assumed and agree to perform all of the obligations of DTC under the Agreement and be bound by all of the terms of the Agreement as if it were a party to the Agreement in place of DTC with effect from the date of assignment
