EMAIL COMPLETED FORM TO YOUR HUMAN RESOURCE BUSINESS LEADER AND JENNIFER ISOM TO COMPLETE THE FORM AND THEY FORWARD IT TO THE CWS TEAM.

CWS TEAM RECIEVES THE FORWARDED INFORMATION AND ENTERS IT TO iCIMS. AN APPROVER LIST IS CREATED AND INITIATED.

APPROVAL(S) ARE COMPLETED.

WHEN APPROVAL(S) IS COMPLETE THE JOB IS POSTED AND SENT TO AGENCIES.

Once the job is posted, agencies will start to submit candidates into iCIMS. The CWS team will then begin to vet the applicants and send qualified candidates to hiring manager. Hiring Manager will receive an email from the CWS Team via iCIMS with a list of candidates to review.

To review them, click on the web link provided. Position Candidates

iCIMS DashboardAfter clicking the link to review candidates from the email sent to hiring manager, there will be a prompt to log in to iCIMS.

Once in the system, there are two widgets called Contingent Worker Submissions Requiring My Review and Contingent Worker Status Tracker, which are used to review candidates.

It is very similar to the review process for W2 candidates.

When new candidates are received, use the Contingent Worker Submissions Requiring My Review widget.

Contingent Worker Submissions Requiring My Review Widget Links

Click to Review: Opens Recruiting Workflow Search Panel allowing you to review relevant data for candidates.

Candidates Name: Opens their application information including resume.Requisition ID Number: Opens the job workflow panel to reject or advance candidates.

Advance and Reject CandidatesThe Requisition screen is where all of the candidates pertaining to this specific requisition and what status they are currently in are found.

Also, this is where a hiring manager will either Reject or Advance candidates.

To do so, select a candidate from the pool, then reject them or advance them to a next step..

“Temp” statuses have been created for contingent workers. Please utilize these statuses as they differ from the ones used for W2 employees.

Select the Candidate and Click on the Reject button.From the pop-up menu, click on the rejection status that represents where you are in the process of hiring. For example, if you have completed a phone screen with the candidate, you would choose Temp – HM; Phone Screen Complete; Not Selected.

After choosing a status, a new menu will pop-up labeled Disposition. A reason for rejecting the candidate must be identified. This must be completed as the data is required for audits and government compliance.

Do not click Send an email to candidate as this is handled by the agency.

Reject a Candidate

Advancing a candidate moves them forward in the hiring process.

To Advance a Candidate:Select the candidateClick on the Advance buttonFrom the pop-up menu, click and choose to move them forward.

After choosing a reason, an email template will pop-up. Fill in the fields and send the email. The email is sent to the CWS team to fulfil the request.

Request a Phone ScreenAdvancing a candidate by choosing Temp – HM; Schedule Phone Screen will prompt an email to be completed.

Send all emails to the CWS group at [email protected]

Complete the Date & Time of your availabilityand any Notes that the CWS should be aware of indicated by the yellow highlighted areas; then click Send.

Please do not make any other changes to the form other then those listed above.

Extend an OfferAt the end of the interview process and an offer will be extended, select the candidate’s name; click advance and then choose Temp-HM; Hire Contingent Worker.

When the email box opens; [email protected] in the To: field and then click Send. No other information is required.

This will notify the CWS Team to work with the agency and bring this person onboard as a contingent worker.

Offer Acceptance Once the offer has been accepted by the contingent worker, the CWS Team will send out a Temp – New Hire Notify to the appropriate parties.

This will be similar to the New Hire Notify that is currently sent out from Fieldglass.

As candidates are moved through the interview process, you move candidates through the interview process, the Contingent Worker Status Tracker Widget will update. This will allow hiring managers to see each candidate and what status they are currently in.
