3. Procedures on the Day of the IB Examinations

A General Procedures on the Day of the Exam

Make sure you have read and fully understand the IB Conduct of the Examinations Notice to candidates displayed in the Hall.

Arrive 30 minutes before the timetabled start time. If you arrive after the exam has started, report to the chief invigilator in the examination hall or see Mr. Wong immediately.

If you arrive later than 30 minutes after the start time, you will only be allowed to sit the exam if you have an acceptable reason for lateness (and evidence of the reason)

Unacceptable Lateness: Sleeping in, missing your ferry, traffic, misreading the start time.

Bring your Hong Kong ID card and/or Passport and take it into every IB exam. No mobile phones, walkmans, MP3, I-pod, I-Watch, electronic or communication devices of any kind should be brought into the examination hall.

All equipment (pens, pencils etc) must be taken into the examination hall in a clear plastic bag. DO NOT bring Tippex or other equipment into the examination hall as it is forbidden. Do not use highlighter pens on your answer papers.

PLEASE make sure that equipment includes SEVERAL working pens, pencils, ruler, eraser etc. If you are taking multiple choice examinations, make sure that you have an HB pencil. You are not permitted to borrow from others during the exam and we will not lend equipment. This applies particularly to calculators and you are advised to make sure that you have a calculator that satisfies the rubric of the examination. Certain types of calculators are prohibited from some papers. Spare batteries are also advisable.

Correcting fluid or tape is not allowed. Check the school website prior to every examination for exam date, time and special announcements.

Be silent all time once in the exam room and listen to the instructions of the invigilator.

B Procedures in event of Bad weather Arrangements relating to examinations differ from those relating to the school as a whole. Be aware that postponed exams may be rescheduled over a weekend. FOR WARNINGS BEFORE YOU LEAVE HOME BLACK RAINSTORM OR TYPHOON 8 AND ABOVE – Exams will be postponed. Check the school website and your email for announcements and rescheduling of exams if applicable. Do not call the school as you may not get through. RED/AMBER RAINSTORM WARNING OR TYPHOON 3 – Exams will go ahead as timetabled. Check the school website before you leave home as there may be an exception depending on the circumstances. In the event of bad weather be prepared to leave home earlier than you normally would. C Procedures in event of Illness If you are unwell, try to come to school and take the exam. Get a doctor’s note and go to see Mr Wong as soon as possible as you may be eligible to apply for special consideration. If you are too unwell to come to school you MUST give a doctor’s note to Mr Wong as soon as possible. You will only be able to apply for special consideration if you have already completed at least 50% of the assessments required for that subject, which must include an externally assessed piece of work. It may still be possible to get you a grade but there is no guarantee.

4. Exam Results and Sign-off Procedures A Accessing Exam Results

Students can obtain examination results through the Internet. Students were given a unique alphanumeric user name and personal identification number (PIN) (Which is the same paper for uploading TOK Essays). For security reasons IBO will not reissue personal identification numbers. IB Diploma Results will be issued online 12:00 hours GMT (20:00 hours Hong Kong Time) on Wednesday 6th July 2016.

To access results, a candidate must enter their alphanumeric personal code and their PIN. The personal code (for example, abc123) is case sensitive but the PIN (for example, TH34MPC4) is not case sensitive. If a candidate enters the wrong personal code and/or PIN, his or her attempts to access the site will be blocked after five attempts. The candidate results service has been developed for candidate use only. Under no circumstances should candidates reveal their PIN to universities or admission centres. Students will be able to collect the certified true copy of the results with component grades and school transcript in person, from the school office from Friday 8th July – between 10:00 am and 4:00 pm.

B Y13 Sign-off Procedure The sign-off period is between 19-26th May 2016

You must be signed off by the School Office upon clearance of all outstanding balances in the school (exams, activity, library, etc).

You must also ensure that ALL information on your offers and acceptances for university entrance are up to date and have been checked by the HE office.

You may not be given the certificates if there is any outstanding payment record after the sign-off period.

5. Services Available After Issue of IB Results A Remarking of one or more subjects: “Enquiry Upon Results (Category

1: Re-mark)” The deadline for submitting a remark request is 28 August 2016. If you are not satisfied with the grade for a subject and your university / college place is dependent upon a better grade, you will have the following options:

a) Enquiry Upon Results/re-mark of one or more subjects (marks can go down as well as up).

and/or: b) Retake one or more subjects in November 2016 (see 4C)

If you are not satisfied with the grade for a subject, you can request an Enquiry Upon Results (Category 1: Re-mark) for one or more subjects. The form for this may be collected from the school office. The externally assessed components of your work are re-marked by a senior examiner. All components in the subject, excluding internal assessment and multiple choices, will be re-marked. It is not possible to request one component to be re-marked e.g. Geography HL Paper 3: in this case the re-mark request for Geography HL will result in the re-marking of Paper 1, Paper 2 and Paper 3. The remarking does not include multiple-choice components and internally assessed work. IMPORTANT: A candidate’s grade may be lowered as a result of a re-mark, that is to say that THE MARKS AND GRADES CAN GO DOWN AS WELL AS UP.

B Procedure for remarks

The re-mark request must be submitted through Island School. IBO does not accept applications from individuals.

The school recommends that if you are considering a re-mark you should wait until the component results are available. Your component marks breakdown will be emailed to your school email address once the component results are released by IBO, usually the week after results issue in July.

The deadline for re-mark requests is 28th Aug 2016.

Re-marks can take several weeks to complete so you are advised to make your submissions as soon as possible after the issue of results. To request a remark:

If you are in Hong Kong, bring the completed form to school with cash or a deposit cheque made out to Island School. If you are not in Hong Kong, you must nominate someone in Hong Kong who can bring your completed form and deposit check or cash in to Island School. (Instruction as above)

● On completion of the Enquiry Upon Results, Island School will inform you of the

outcome as soon as it is received from IBO.

C November 2016 Retake Information

The deadline for submitting a retake request for the November 2016 session is July 28, 2016

Not all subject are available in the November session, please double check with Exam Office before you make your decision.

You cannot register to retake one or two components of a subject; you must retake all written components e.g. Paper 1, Paper 2 & Paper 3.

The internal assessment mark for the subject, if applicable, will be carried forward from the May session.

Applications processed after the deadline will incur double fees for registration and each subject.

a) In the first instance for a retake:

Contact the university / college immediately to find out if they will accept you with the grades you have.

b) If you still want to proceed with November retake registration, please contact Exams Office for a retake form and costs and bring this to school with cash or a cheque made out to Island School. If you are not in Hong Kong, you must nominate someone in Hong Kong who can being your completed form and deposit check or cash in to Island School.

For REMARKING the fee will be approximately HK$ 1300 to HK$ 1600 per subject, depending on the currency exchange rate in July. Using the Enquiry Upon results form as attached, a cheque covering the fee for Enquiry Upon Result should be attached and made payable to Island School.

For RETAKING the fee will be set to incorporate the registration and invigilation fee per candidate – this will be approximately HK$ 2000 for registration fee plus HK$ 1000 per subject. Final costs will be available in early July from the Exams Office. Please note that no registration fee will be refunded upon any notice of withdrawal.

E Obtaining Final Transcripts and IB Certificates

a) IB Certificates & Final School Transcripts – by post: All year 13 students who

are not returning to Island School should provide the school with one addressed envelope so that the IB certificates & Final School Transcripts may be sent in October once the IB certificates arrive. To arrange for this to occur you MUST: - Hand in one new brown envelope (A4 size with card insert) - Pay the postage to Exam Office in Room 417: - Write your reference number and name and address on each envelope.

b) IB Certificates – collection in person: IB Certificates will be available for collection from the Exams Office late September.

c) Final School Transcripts – for students wishing to collect paper copies of IB results and final school transcripts in person, these will be available for collection from the Island School General Office from Wednesday 8 July 2016 between 10:00 am and 4:00 pm. For students wanting final transcripts to be sent to universities see section 6 below.
