    ABOUT FRONT-END AND BACK-END

    VISUAL BASIC 6.0 AS FRONT-END

    Front-end means the interface provided to user of the software. All the visualeffects of projects software suite are designed using programming tool. Thisprogramming tool should have features to add all type of elements on the variousscreens of a project.

    VISUAL BASIC is the best choice to use it as a front-end Tool fordeveloping software which use database as a back-end tool. VISUAL BASIC is firstchoice for programmers for developing software because VISUAL BASIC is very touse, fast to design and very effective. VISUAL BASIC has an integrated developmentenvironment. All types of programs are designed in this environment very easily. InVB programmer can design screen elements some mouse clicks and dragging.Programmer has to write less code for activating these elements.

    In contrary to other programming language like C++, where programmerhas to write hundred lines of code to show only just two text boxes for data entryfrom user at run time. But in VISUAL BASIC it is very easy task. Programmer need nowrite any code to show text boxes on form. User has to click on toolbar and draw twtext boxes on screen of any size.

    VB has a set of standard tools in a toolbox we can design almost any type oscreen item with these tools. VB has various tools for database connectivity.Programmer can use any of these tools according to his needs. For example we canuse Data Control, Data Access Object, ADODC, RDO, ADODB etc. tools for databaseconnectivity.

    ACCESS 7.0 AS BACK-END

    We have used ACCESS as a back-end tool. All the data entered by us will go inACCESS tables we have created a database in ACCESS and various tables for storingdata. We have used ACCESS as back-end tool because of many reasons. ACCESS is arobust Database Management System. ACCESS has various types of databaseobjects like Tables and Queries. Its interface is very much simple. It is very easy tocreate a database in ACCESS later than creating a Database in any other DBMS.

    ACCESS has verity of data types to store data of different types.

    INTRODUCTION TO VISUAL BASIC 6.0

    Visual basic is an ideal programming language for developing sophisticatedprofessional applications for Microsoft Windows. It makes use of Graphic UserInterface for creating robust and powerful applications. The Graphical User Interfaceas the name suggests, uses illustration for text, which enables user to interact withan application. This feature makes it easier to comprehend things in a quicker andeasier way.

    Coding in GUI environment is quite a transition to traditional, linearprogramming methods where the user is guided through a linear path of executionand is limited to a small set of operations. In the GUI environment, the number ofoptions open to the user is much greater, allowing more freedom to the user anddeveloper. Features such as easier comprehension, user-friendly, faster applicationdevelopment and many other aspects such as introduction to ActiveX technologyand Internet features make Visual Basic an interesting tool to work with.

    Visual Basic was developed from the basic programming language. In the 1970sMicrosoft started developing ROM-based interpreted BASIC for the earliermicroprocessor-based computer. In 1982,Microsoft Quick Basic revolutionized Basicand was legitimized as a serious development language for MS-DOS environment.Later on, Microsoft Corporation created the enhanced version of BASIC called VisualBasic for Windows.

    Visual Basic for windows require at least Microsoft Windows 95/Windows NT3.51,486 Processor and a minimum of 16MB of RAM. It has a complete installation ofthe most powerful version of Visual Basic 6.0, the enterprise edition, require morethan 250 MB of hard disk space. It is the most powerful rapid applicationdevelopment (RAD) tool in the world. Visual Basic helps programmer to focus on theproblem as hand rather than technical intricacies of programming in a windows

    environment. A lot of commercial applications available today are written usingVisual Basic. It provides a complete set of built in intelligent tool for creatingwindows application programs.

    VISUAL BASICS INTEGRATED DEVELOPMENTENVIRONMENT :-

    One of the most significant feature of Visual Basic is the IntegratedDevelopment Environment (IDE). IDE is a term commonly used in the programmingworld to describe the interface and environment that we use to create ourapplications. It is called Integrated because we can access virtually all of the

    development tools that we need from one screen called an interface. The IDE is alsocommonly referred to as the design environment, or the program. Visual Basic IDE ismade up of a number of components. These components are listed below:

    When you double click on the form, the code editor window foreach form in the application. Any code you need to attach to the form or any controon the form you need to type it in the code editor window. A code window hasdropdown list boxes at the top. The list box on the left side displays a list of objectsplaced on the form. The list box on the right side displays all the events associatedwith the objects selected in the left side box.

    PROPERTY WINDOWProperty Window lists the properties of the selected form or control on the form.Properties like height, appearance, color, caption etc. are displayed. You can positionthe form to the location where you want it to appear at run time.

    USER INTERFACE

    The user interface is what appears in the applications windowwhen it runs. It consists of various elements with which the user can interact andcontrol the application. The first element of the user interface is the form. This is thewindow displayed at run time, and it act as a container for all the elements of theinterface. The elements in the user interface are common to all windowsapplications, and they are all shown as icons in the toolbox.

    Visual Basic has several different types of objects. The form is oneof the most basic objects in which the application is developed. A form is a window

    that contains application code and has other objects placed on it to create the userinterface. A form may fill the entire screen or have other forms contained within it, oit may be a custom dialog box. Visual Basic initially includes the default form, form1file in each new project. You can change the forms name and caption to identify thepurpose of the form. Every form object has its own properties, events and methodsassociated with it.

    A form is a display area that corresponds to a window or dialog boxthat makes up the part of an applications user interface. Each form has propertyassociated with it. In Visual Basic there are two types of forms namely Normal Formand a Multi Document Interface (MDI) Form. A forms collection is a collection of allthe loaded forms in an application. All the forms we add to an application are

    automatically added to a form collection. The .EXE file can be made by combinationof forms (.FRM), modules (.BAS), and controls (.OCX)

    VARIABLES, DATA TYPES AND MODULES

    Visual Basic used building blocks such as Variables, Data types,Functions, and control structures in its programming of Visual Basic.

    MODULES

    Code in Visual Basic is stored in the form of Modules. The three kinds ofmodules are Form modules, Standard modules and Class modules. A simpleapplication may contain a single form, and the code resides in that form moduleitself. As the application grows, additional forms are added and there may be acommon code to be executed in several forms. To avoid there duplication of codes, aseparate module containing a procedure is created that implements the common

    code. This is a Standard Module. Class module (.CLS) is the foundation of objectoriented programming in Visual Basic. New objects can be created by writing code inclass modules. Each module can contain:

    Declaration: May include constant, type, variable and DLL procedureDeclaration.

    Procedures: A sub function, or property procedure that contain pieces of code thacan be executed as a unit.

    DATA TYPES

    By default Visual Basic variables are of variant data type. The variant data type canstore numeric, date/time or string data. When the variable is declared, a data type is

    supplied for it that determines the kind of data they can store. The fundamental datin Visual Basic including variant are integer, long, single, double, string, currency,byte and Boolean. Visual Basic supports a vast array of data types. Each data typehas the limit to the kind of information and the maximum and the minimum value itcan hold. In addition, some types can interchange with the other type of data types.A table of Visual Basics simple data types is given below.

    VARIABLES

    Variables are used for storing values temporarily. A defined naming strategy has tobe followed while naming a variable. A variable name must begin with an alphabetletter and should not exceed 255 characters. It must be unique within the samescope. It should not contain any special character like %, &, !, #, @ or $.

    There are many ways of declaring variables in Visual Basic.

    In order to compute inputs from users and to generate results, we need to usevarious mathematical operators. In Visual Basic, except for + and -, the symbols forthe operators are different from normal mathematical operators, as shown in Tablebelow:

    PROCEDURES

    Visual Basic offers different type of procedures to execute small section of coding inapplications. The various procedures are elucidated in detail in this section. The

    section also goes about explaining the various control structures available in theVisual Basic. Visual Basic programs can be broken into small logical componentscalled Procedures. Procedures are useful for condensing repeated operations such athe frequently used calculations, text and control manipulation etc. the benefit ofusing procedures in programming are :

    . It is either to debug a program with procedures, which breaks a programinto discrete logical limits.

    . Procedures used in one program can act as building blocks for otherprograms with slight modifications

    EVENT DRIVEN PROGRAMMING

    An event is an action performed by the user that starts an event handler. An eventhandler is a block of code that is executed automatically when the user performs anaction or event. Event driven programming is defined as a technique where theoperation being performed by the application depends upon the user action. Theuser interface itself does nothing except tell the computer program what to do whenone clicks the button with the printer icon on it, it sends the message to the wordprocessor telling that the print button was clicked. The word processor packagereacts by printing out the document.

    In the same way, when you write the Visual Basic programs, you musttell what will happen when the user clicks your button, or types some text into thetext box. This kind of programming where the code is executed in reaction to useraction is termed as an Event Driven Programming. An Eventis when the userperforms an action on the computer like clicking a button or selecting the menuitem. There are numerous number of events. An Event Handler is a set of instructionthat is triggered in response to an event.

    CLIENT-SERVER CONCEPT

    A Visual Basic is a client-server programming and in the client-server architecture, aclient request services from the server. The client is a computer or an application

    with which the user interacts. A server machine is a computer or an application thatsearch client machine by catering to their request. As ever a machine has resourcesit can share with other computer or a service it can perform on the behalf of theother computer. Client-Server application is one such example. They run on both, aclient and a server and they meld the best part of stand-alone and a mainframetechnology into cohesive environment. The data id fed and processed on the frontend(client) but stored and served by the powerful backend(server). The servermanages the database along with the number of clients. For example, VB powerbuilders are powerful front-end tools. Visual Basic connects to a number of back-endDBMS(data base management system) such as SQL server, Access etc. any back-enDBMS whose DBM core obeys open database connectivity (ODBC) rules can also be

    connected.

    INTRODUCTION TO VISUAL BASIC FUNCTION

    Functions are similar to normal procedures but the main purpose of the functions isto accept certain input and pass them on to the main program to finish theexecution. They are two types of functions, the built-in functions (or internalfunctions) and the functions created by the programmers. The general format of afunction is :

    where arguments are values that are passed on to the functions. There are two verybasic but useful internal functions, i.e. the MsgBox( )and InputBox( ) functions.

    MSGBOX ( ) FUNCTION

    The objective of MsgBox is to produce a pop-up message box and prompt the userto click on a command button before he/she can continue. This message box formatis as follows:

    CREATING YOUR OWN FUNCTIONS

    The general format of a function is as follows:Public Function functionName (Arg As data type, ..) As data type

    Public indicates that the function is applicable to the wholeprogram and Private indicates that the function is only applicable to a certain modulor procedure.

    INTRODUCTION TO MICROSOFT ACCESS

    Microsoft (Ms) ACCESS is a Relational Database Management System (RDBMS) use to storand manipulate large collection of information of any kind .here RDBMS refers to the organization of data in

    series of rows and columns in such a manner that any specific piece of information is available with the click o

    mouse and a few key strokes . MS-Access has tools which are easy to use and provide powerful developmen

    environment, making it an appropriate choice for novices as well as professionals .For example, Access can be use

    to enter and maintain student awards, inventory record of a warehouse, telephone no. once the record the arstored,any type of queries(question) can be asked ,reports can be created and data entry forms can be designed. AT a

    advanced level, access can be used for developing custom database applications by employing access basic and

    distribution kit for compiling Applications .

    HARDWARE AND SOFTWARE REQUIREMENTS OFACCESS

    Access is a windows 95 based problem so Microsoft windows 95 or windows NTshould be installed on a target computer .A computer may have 80386,80486 orPENTIUM based processor with minimum 8 MB of RAM, VGA graphics displayadapter and a mouse.

    1. DATABASE WINDOW:- Here all objects of a database are stored in single file having extention mbd. Theobjects are managed through the database window .

    2.DATABASE AND TABLE :-

    Database is a collection of information retained in the form of table consist of rowsand column. Each table stores information about one entity such as student,custmer product ,patient .Each row in the table represent a single record of anentity.each column contain a discrete element of information ,called a field. A fieldmight be a student name,house numbr,unit no. or telephone number. To illustratethe concept of a table,record and field ,a student database I used which usesdifferent tables to store:1. Roll number,name,fathers name and class of students (student table)2. Fee information (fees table)3. Gradation information (Grades table)The first table (student table) stores roll number,name,fathers name,date of birth,class and session of students.

    3. FORMS :-

    Forms display the data from a table or query in the format requested by user . The

    records or fields in the table are placed in the forms can be edited according to therequirement .For example, user can create a form having roll no ,name and class ofa student ignoring the other fields in the student table .

    4. QUERIES:-

    A querie is a question asked by the user to extract information according tohis /her requirement. For example , a query can be created that asks for the list ofstudents who have secured more than 70% or asks for the for the detail of Indian

    residents in a U S A . THE RESULT of a query is displaced in the form of data sheetA query is thus a set of information that changes with the contents of thesupporting table.

    5. REPORTS :-

    A report displayed the information in a prescribed format. Access produce thereports by incorporating graphs, chats and different styles. It can be used to groupdata show subtotal and grand totals. Access enables a user to design reportsaccording to need.

    6. MACROS:-A macros are used to automate frequently used tasks . Access macros executenumber of actions such as opening file , displaying message boxes , validation ofdata .

    STARTING ACCESS

    To start access , double click on the MS-ACCESS icon found in theMicrosoft office . After this starting screen of ms- access appears on computersscreen .

    The procedure for creating the student database comprises of following steps:

    CREATING A DATABASE

    1. Choose new database from the file menu in the access opening screen . awindow is displayed which asks for the name of the new database and thelocation where a file is to be stored . for example , here a database created tostore student details.

    2.Type the file name as student .mbd

    3. Click the Create button to create the database .4. Now the window will be displayed on screen known as database window .The windows provides access to create tables, queries forms , reports, macrosand modulus.

    CREATING A TABLE

    1. The next step is to create a the table that will store the data . to create a table, click on the table button in the data base window. Then click on the new button. Anew table dialog box will appear displaying option of data sheet view ,designview , table wizard as well as import and link .The first option datasheet view is usedto view the data stored in table . to build up a table from a scratch, clik on designview option and click ok.

    To design a new table the structure for a table has to be defined tocreate it .the structure consist of a fields and records. Type the field name ,Data,types and description.A field name can have maximum 64 character and have any character ,number andspaces except for the period (.) square brackets [] and exclamation marks (!). thedata type of a field indicates the nature of data that the field can store. There are 8different data types as shown in table below

    2. Setting the primary key:-

    A primary key is that field in a table that uniquely identifies each record in a tabl.this field is called a simple key or primary key .for example in the table1 s_nocan be set as primary key as the value of s_no is for unique . to set the primarykey in table1 ,select the s_no field by clicking on it. An arrow will be displayedbefore the field s_no. now.

    -- Click on the arrow to select the whole row.-- Click on primary key button available in edit option on toolbar to set this field asthe primary key . A key symbol will appear next to the field name s_no .note thatindxproperty in the field properties changes from no to yes as shown fig ---- this meanss_no is indexed .indexing means data is arrange in Ascending or descending orderto assist in quick searching of a record.

We should havesome through knowledge about the present setup of Hospital Managementand working environment of various departments. We have done preliminaryinvestigation about working of Administration staff of Hospital Management.

    We have found that they have been keeping all their records in accountbooks and paper files. Records of all Hospitals within a particular period,record of all the patients admitted In the hospital and all those patients whohave discharged is kept in paper files. They also organize hospital.

    They keep records of all the annual and monthlymotivators meetings organized at Hospital. Whenever any patient admit in thehospital all the data about him, Madicines,bed,Doctors,Nurses,room_no.records properly in paper files. Some of the data of Hospital is also kept oncomputer in MS Access tables. It is difficult to input data, view data andmodify data in MS Access. person who has knowledge about MS Access DBMScan work in MS Access. There is also not any direct way to locate a particular

    record in MS Access. They have to keep all the data records and filescarefully. There is a chance of misplacement or destroyed files because ofweather condition, human error.

    They have to spend many time and manpower to keep

    these records. The cost of stationary and manpower to keep records onpaper, files are higher. So there is a possibility that if they keep all theserecords in softwareapplication, it will make their work easy and cheap. So we have analyzed alltheir needs and requirements before developing a software application.

    INFORMATION GATHERINGA key part of system analysis is gathering information about existin

    system. We study the present system to verify the problem and to define th

    performance expected by candidate system to meet user requirements. Informatio

    about existing system can be gathered by reading the document, manuals, reports

    hard copy outputs and forms of existing system and also by interviewing the use

    staff.

    In order to gather information about the existing manua

    members. We gathered information regarding the record keeping system and the

    mode of data entry. Various hard copy outputs were reviewed to get the idea to

    FEASIBILITY STUDYFeasibility study can be divided into three different

    Economical Feasibility is the most frequently usedmethod for evaluating the effectiveness of a software which is to bedeveloped commonly known as cost benefit analysis. In its study thedeveloper determine the benefits and savings that are expected from a

    proposed system and compare them with costs, if benefits out-weight coststhem the decision is made to design and Implement the system. Ourpurposed system needs only a computer and a printer along with a coupleof computer operators working on data-entry and processing. Keeping in viewthe long term benefits provided by this computer- based system, these inputcosts are minimal.

    Technical Feasibility centers around the hardware andsoftware required and to what extend these will support our system alongwith the technical expertise required. The proposed system is technicallyfeasible because Visual Basic and Access are compatible and supports theprogram database design quite efficiently.

    In determining the Behavioral Feasibility, we make an estimate ofhow strong a reaction will the user staff make towards the development ofcomputerized system and try to keep the user response positive. Our proposedsystem needs a computer operator who only simplifies the job without bringingabout changes in way of working of existing system.

    SOFTWARE REQUIREMENT SPECIFICATIONOnce the problem is analyzed and the essentials understood, the

    requirements must be specified in the require-ment specification document. Forrequirement specification in the form of a document, some specificationlanguage has to be selected ( for example English , regular expressions, tables o

    combination of these).The requirements document must specify all functionaland performance requirements, the formats of input, output and any requiredstandards, and all design constraints that exist due to political, economic, andenvironmental and security reasons. This phase ends with validation of therequirement specified in the document whose basic purpose is to make surethat the requirements specified in the document actually reflect the actualrequirements or needs and that all requirements are specified.

    Code Testing :- The code testing strategy examines logic of the program.For this testing method, the analyst develops test cases that result inexecuting every instruction in the program, that is every path through theprogram is tested.

    Specification Testing :- To perform specification testing, the analystexamines the program specifications wherein states what the program shoulddo and how it should perform under various conditions. Then,testCases are developed for each condition or combination of conditions andsubmitted for processing. This testing does not look into the program to studythe code or path, it looks at the program as a whole.

    IMPLEMENTATION :-After proper testing and validation the question

    arises weather the system can be implemented or not. Implementation includeall those activities that take place to convert from old system to the new. Thenew system may be totally new, replacing an existing system, or it may be a

    major modification to an existing system. In either case, proper implementationis essential to provide a reliable system to meet organization.

    LIMITATION OF THE PRESENT MANUAL SYSTEM:-As is the case of with other manual system, there is lot of

    limitation in the system. Some of the limitation of the present manual system aregiven below:-

    1.Data redundancy:

    The same entries are recorded on different forms, for example patient_name

    patient_age, date_of_admission. due to redundancy in existing system , there ismore possibility of making errors that is a record in update in one registers but notin other register. It is very difficulty to maintain the source documents.

    2. Time wastage:

    A large amount of time is wasted in preparing the Performa of the reports and fillingup of required data in reports.

    3. Money wastage:

    Money is wasted in preparing the entry forms and reports. As firstly large amount ofstationary is required. Hence catalogue system is not useful, it require a largeamount of time and amount of money.

    4. Invalid data:

    While filling up the each form manually, the errors are bound to happen as a samedata is to be recorded on different forms. There may be the case when a different

    6. Difficult calculations: -

    The searching of a particular recorded in a bulky file requires a lot of timeconsuming and plain staking effort. So there is share wastage of time.

    DATA FLOW DIAGRAMFor better functioning of the system, the analyst needs

    something analogous to the architects blueprint as the starting point for thesystem design. It is the way to focus on functions rather than physical

    implementation. One such tool is the data flow diagram (dfd).The first step is todraw a data flow diagram. the DFD was first developed by Larry Constantine as away of expressing system requirements in a graphical manner; this led to amodular design.

    A DFD also known as a bubble chart has the purpose ofclarifying system requirements and identifying major transformations that willbecome programs in the system design. So it is the starting point of the designphase that functionally decomposes the requirements specifications down to thelowest level of detail. A DFD consists of a bubble joined by lines. The bubblerepresents data transformations and the lines represent the data flow in the system

    DFD SYMBOLS

    In the DFD, there are four symbols which are used torepresent the functioning of the data flow diagram. These symbols are given below:

    1) A square defines a source(originator) or destination of the system data.2) An arrow identifies data flow data in motion. It is a pipeline through whichthe information flows.3) A circle or a bubble (some people use an oval bubble) represents a process thattransforms incoming data flow into outgoing data flow.4) An open rectangle is a data store data at rest or a temporary repository of dataA DFD describes WHAT data flow (logical) rather than HOW they are processed.

    1.Processes should be named and numbered for easy references. Each nameshould be representative of the process.

    2.The direction of flow is from top to bottom and from left to right. One way to indicate thisis to draw a long flow line back to the source. An alternative way is to repeatthe source symbol as a destination. Since it is used more than once in theDFD, it is marked with a short diagonal in the lower right corner.
