COMMUNITY OUTREACH COMMITTEE 2016/17 TERMS OF REFERENCES
Introduction Awareness is the foundation of personal action and long-term community change. With a special focus on young people, ECO Singapore seeks to drive community awareness on critical environmental issues through outreach and public engagement. Through engaging ways of reaching out, we hope to nurture a community of informed, like-minded individuals who are inspired to share, collaborate and co-create. These efforts cannot be realised in silo and we are calling for all interested volunteers to be a part of our core outreach committee. The working title for the series of planned outreach activities will be called “ECO ENRICH!”, driven by our aspiration to enrich members of the public with knowledge about their environment. By engaging a host of thought-leaders, subject matter experts and practitioners, across interactive platforms, we hope to reach out to the unconverted and foster their interest on sustainability matters. Objectives of Core Outreach Committee
• Outreach to “non-converted” young people in the community to interest them in environmental issues
• Deepen environmental knowledge of the community • Build a community of sustainability-conscious young people to inspire
more projects and eco activities Scope/Topics The efforts of the Community Outreach Committee should aim to cover a range of topics that are current and worth providing insights to. To do that, it has to offer a balance of ideas that in-depth yet palatable to beginners. Regardless of topic or theme, the efforts should consistently thread through three key areas of focus; Youth, Environment, Consumerism. Target Audience of Outreach Committee

• Primary audience 15 to 25 • Secondary audience 26 to 35
Volunteers we seek are:
• Passionate and / or interested to learn more about environmental matters
• Able to commit to 12 months of appointment. • Comfortable conversing in the English language • Interested in organising events • Able to commit to meeting at least once a month; and where
necessary, at least once a week in the final month leading up to the event
Deliverables of Community Outreach Committee:
• Commit to deliver at least 4 public debate sessions over the 12 months period of appointment
• Optional 4 other community outreach activities within the 12 months period of appointment.
Important dates (mark your calendars):
• Interview for shortlisted candidates: Until first team meeting • Opening Committee Meeting: 31 January, 1pm – 6pm (ice-break,
outline key themes and implementation plans) • Monthly Meetings: 20 February, 19 March, 16 April, 14 May, 18 June, 16
July, 20 August, 17 September • Key events propose dates: 22nd April, 5th June, Sept, Dec. • Additional Meetings: These will be held every week, leading up to the

ANNEX Programmes Team Role
• To conceptualise, organise and execute the programme of the project in an effective manner
Requirements
• Commit fully for 12 months (and include post-event report submission for each event)
• Possess excellent interpersonal skills • Be resourceful and work well in a team • Be responsive over phone and emails • Must be able to handle stress well • Adaptable and able to respond to situational changes • Good eye for details and able to identify operational flaws in
advance • Possess excellent organisational skills and experience in events
management Expectations
• Designate rooms for the various sessions, workshops and exhibitions scheduled
• Allocate holding areas and VIP seating for Guests-of-Honour, speakers and presenters of the project
• Draw up a contingency plan and submit it to the Chairperson and Co-Chairperson prior to the project
• Liaise with speakers/guests for their allocated sessions • In charge of documentation of each session • In charge of facilitating compiling the final documentation and policy
outcome of the conference Admin & Logistics Team Role:
• In the initial planning phase, the team is required to look into the managing of volunteer details, information and key information of the conference with parties such as following up with emails.
• To facilitate the flow of information and resources in order to meet the needs of the project.

• Seek to integrate the information, transportation, material handling, packaging and occasional security of all the teams involved
Requirements:
• Commit fully for 12 months (and include post-event report submission for each event)
• Possess excellent interpersonal skills • Be resourceful and work well in a team • Be responsive over phone and emails • Good eye for details
Expectations:
• To follow up on all necessary administrative issues such as drawing up for proposals, plans, strategies, making phone calls to partners and associates of the project
• Each member of the logistics team will be attached to any of the following teams: Treasurer, Programmes, Logistics, Manpower & Volunteer Management, Marketing and Public Relations to help with operations prior to the project and during actual operations.
Volunteer Management Team Role:
• To issue calls for volunteers, interviews, allocation of suitable volunteers for events and / or where needed, to replace respective working team members.
• Responsible for the training and orientation of ad-hoc volunteers Requirements:
• To commit fully for 12 months (and include post-event report submission for each event)
• Possess excellent interpersonal skills • Be resourceful and work well in a team • Able to motivate volunteer team • Be responsive over phone and emails • Possess excellent interpersonal and behavioral judgment skills • Able to adapt to changes promptly
Expectations:
• Develop and implement volunteer orientation package • Recruit and train volunteer liaison officers

• Create schedule of respective volunteer roles to manage volunteer movement during conference session
• To work closely with the marketing team to develop strategy to issue call for volunteers and management
• Work with the existing team scopes to allocate volunteers • Be responsible for all volunteers and manpower involved in the project • Report to the Chairperson and Co-chairperson if there are any
problems with volunteers or manpower during the course of planning, execution and operations of the project
• Required to work on short notice if teams are short of volunteer and manpower
Marketing & Sponsorship Team Role:
• To effectively market, create awareness and opportunities for exposure of the project
• To generate sponsorship and inflow of funds for the purpose of planning and operations
• To garner support for the event and increase number of participants for the project
Requirements:
• Commit fully for 12 months (and include post-event report submission for each event)
• Possess excellent interpersonal skills • Be resourceful and work well in a team • Be responsive over phone and emails • Adaptable and able to respond to promptly to situation change • A background in marketing, advertising or business strategies and/or
design, web-design (applicants who have both will have an advantage)
• Possess good networking skills • Good design sense and skill (such as Photoshop or freehand)
Expectations:
• Develop and implement publicity & marketing strategies of project • Develop and implement sponsorship packages • Main liaison with sponsors and partners • Ensure project website is up two months before the project begins
