1.0 INTRODUCTION These notes are designed to enable the user to load, run and use the Colony 4 MapInfo Link
software provided. They will deal with the necessary items in order to achieve this; however, they
are not designed to be comprehensive notes on the use of either Colony 4 or MapInfo software
packages used within the system. They will give necessary instruction on use and will indicate,
where appropriate, the use of necessary functions of either software packages to achieve full
utilisation of the link. Further information on the separate packages should be sought from the
relevant manuals.
The „System‟ comprises of three separate elements The Colony 4 software („Colony 4‟), MapInfo
Ver. 7.8 or above („MapInfo‟) and the Colony 4 MapInfo Link software („Colony 4 MapInfo
Link‟), within the supplied „.WOR‟ and other files. The latter controls the actions to be carried
out in MapInfo for the creation and transfer of information between the other two. Through the
rest of these notes each part of the system will be identified as defined above.
The Colony 4 MapInfo Link software is configured for Consecutive licenses. It does not therefore
require an individual License for each of the PC installations. The Consecutive licenses control
the number of users that are able to run the software at the same time. It is quite acceptable to
have the software loaded on more PCs then licenses held.
The Colony 4 MapInfo Link has additional Help information electronically within the
application. Please see the „Help > Help on MapInfo Link‟ menu options, as an additional item to
the standard Help menu.
2.0 Upgrading from Colony 3
As the Colony 3 system was designed in MSAccess and Colony 4 in SQL, and is a
completely new database and application, the Colony 3 MapInfo Link does not transfer
directly to a Colony 4 MapInfo Link. However, with a few modifications map data used in the
Colony 3 MapInfo Link can be transferred to work in the Colony 4 MapInfo Link.
With regard to the installation there are differences between the Colony 3 MapInfo Link and the
Colony 4 MapInfo Link installations. It is therefore recommended to remove the original Colony
3 MapInfo Link and reinstall for the Colony 4 MapInfo Link.
With regard to the Map data the map layer tables need to be delivered to MCPC Systems (UK)
Ltd in order to be reconfigured for the Colony 4 MapInfo Link. Any previous linkage information
should be maintained.
The MapInfo .WOR file needs to be replaced with a new Colony4SQL.WOR file which will be
supplied by MCPC Systems (UK) Ltd.
3.0 INSTALLATION The software is available for installation onto a single PC or for installation on to a network
(Depending on the licences purchased). The CD provided holds the necessary MapInfo controller

file (MapInfo Workspace - Colony4SQL.WOR) and data tables, to enable correct usage of the
link software for the platform required.
There are four parts to installing and configuring the system for correct operation. These are as
follows:

3.2 Installation of Files
3.3 Configuration of the Colony 4 Software
3.4 Relocation of MapInfo tables and configuring of MapInfo Document
This should allow for the correct execution of the system.
3.1 Set Up Database Connectivity
The ability of the system to pass information between MapInfo and the Colony 4 SQL database is
based on the correct usage of ODBC. This should have already been set up, but if not should be
set up as follows in order for the data exchange to work.
First create the ODBC connection to the ColonySQL data base. After clicking the windows
„Start‟ button select „Settings > Control Panel”, then navigate through „Administrative Tools‟ and
„Data Sources (ODBC) to create a „SystemDSN‟ with a Microsoft „SQL Server' Driver called
„ColonySQL‟.
Properties:
Name: ColonySQL
Description ColonySQL
Server: The server where the Colony Database resides
This should be set “With SQLServer authentication” and a
LoginID: Colony
Password: colony
(The password may vary by individual installation, in cases of non acceptance of the password,
contact the user's IT to confirm).
The default database should be ColonySQL, and take all other default values.
Save and test the connection when complete.
This completes the ODBC creation and the setup screen can be closed using the „OK‟ button.
It will also be necessary to set up the both connections on all PCs connected to the network that
the Colony 4 MapInfo Link is to be run on.

3.2 Installation of Files
The supplied data tables and MapInfo Workspace and will need to be placed into their relevant
folder. These are as follows:
C:\Program Files\MCPC Systems\Colony\Mapping– MapInfo „MapInfo Workspace‟
(Colony4SQL.WOR).
C:\Program Files\MCPC Systems\Colony\Mapping – All MapInfo data Files (Site, Plots &
Inventory) relating to Colony 4 MapInfo Link.
These files can be left in the C:\Program Files\MCPC Systems\Colony\Mapping folder, as
initially installed, but it is recommended to move them to a server location, for multiple user
access and archiving. If this is done the MapInfo Workspace file will require the location for each
layer to be re-directed within the MapInfo Workspace file accordingly.
Users must be aware that if the workspace is over written by saving it within the MapInfo
application then Critical “Run application” lines in the workspace will be lost and the link will
fail to work correctly. Re-directing the location for each layer should be done, with care, by a text
editor (See Appendix 2). Any problems contact MCPC Systems (UK) Ltd.
3.3 Configuration of the ‘Colony 4’ Software
The Colony 4 software has to be configured so that it points to the correct folder for the MapInfo
Software and the opening workspace. This is achieved by opening the Admin screen > System
Settings and within File locations section setting the entry for the “External GIS Mapping
Workspace file”.

This is done by editing the record (click the „Edit‟ button at the bottom of the screen) and
either typing directly into the field the path and file name for the .WOR file, or click on
the „Triple dot‟ button and in the opening dialogue navigating to the folder and selecting
the file name. Then click the „Save‟ button at the bottom of the screen to save the update.
The file location is set for all users of the mapping and cannot be set for each individual
user.
4.0 DATA REQUIREMENTS
4.1 Data Tables
The tables automatically opened in the MapInfo Workspace file are as follows:

There are essentially two types of data files as follows:
1. System Critical standard MapInfo files: These are the files required by the system in
order to operate the link program. These files will be delivered with the system.
2. Background standard MapInfo Files: These are the mapping files that the system will
use to display information against. These will be specific to each Authority and will
need to be loaded by each authority. There can be as many of these as is required.
The location of the data files is important to the running of the system. All system files (type 1)
should reside in a single location and be accessed by all users.
The system was designed against background Ordnance Survey vector data. However the link
program does not attempt to access this data at any time. The link will function with, or without,
background data so the user may display as much or as little as required. The user included
background mapping layers however, MUST be placed below the other system files, in the layer
order; otherwise the link may not function correctly. All background mapping files (type 2) can
be used from other existing Folder locations as required, as long as the MapInfo Workspace file is
altered accordingly and the source correctly addressed.
Users must be aware that if the workspace is over written by saving it within the MapInfo
application then Critical “Run Application” lines in the workspace will be lost and the link will
fail to work correctly. These must be replaced if removed, with care, using a text editor (see

4.2 MapInfo Workspace
The system was designed to use the following MapInfo Workspace, and this must be used to
maintain system functions.
The MapInfo Workspace for system operation is “Colony4SQL.WOR”. Any other MapInfo
Workspaces from previous versions of the system are no longer relevant and can be removed. The
MapInfo Workspace is installed as part of the installation package and should be placed in a
network shared folder, or on each PC operating the link in the following folder.

5.0 SYSTEM FUNCTIONS
The system functionality cannot be guaranteed against installations of MapInfo that are
automatically loading other applications as conflicts may arise. In this situation please talk to
your MapInfo supervisor.
The Colony 4 MapInfo Link system is designed to deal with three types of mapping data: Area
(polygon) data to represent the Allotment Plots boundaries; Area (polygon) data to represent the
Allotment Site boundary and Point, Line and Area (polygon) data to represent the Inventory
features. Since within Colony 4 these items (Plots, Sites and Inventory items) are dealt with on
different screens there are multiple ways of opening and using the Link system depending on
which Colony 4 items are to be viewed.
Though the procedures of how the Colony 4 MapInfo Link system works are much the same
whichever of the Colony 4 items are being dealt with, these notes will give full descriptions of the
link software for each of the three link items in turn.
However the Function buttons in Colony 4 will always appear as three globes at different points
of the screen:
The left hand button will open the MapInfo mapping, the centre will navigate already opened
mapping to a coordinate held within the Colony 4 data base and the right hand button will be used
in the Link item procedure.
5.1 General MapInfo Information
There are some constraints as to how the MapInfo feature data can be constructed for the Colony
4 Link software for all of the Colony 4 Items (Plots, Sites and Inventory items).
For Allotment plots, the MapInfo feature data must be constructed as polygon regions in the layer
„Plots‟.
For Allotment Sites, the MapInfo feature data must be constructed as polygon regions in the layer
„Sites‟.

For Site Inventory data, the MapInfo features data can be drawn-up in any polygon region,
polyline or point symbol style required, in the layer „Inventory‟.
The user has full control of MapInfo‟s drawing functions as needed. Information can be drawn up
for an individual feature, groups of features or whole area as required. The data must be drawn to
the specified type of data and put into the relevant layers (as above) or the link program will not
operate.
5.2 Colony 4 Allotment plots.
5.2.1 Opening MapInfo for Plots
First the Colony 4 system should be opened to the Letting Screen. To access the Colony 4
MapInfo Link software click on the left hand of the three „Globe‟ buttons, at the top right of the
data panel and the mapping will open.

5.2.2 To View specific Linked Plots
To centre the map, once mapping is open, to a specific linked plot go to the Colony 4 Letting
screen and select the required plot. Then click on the middle of the three „Globe‟ buttons, at the
top right of the data panel and this will centre the map at the co-ordinated shown on the Colony 4
record. The user then switches to the mapping and has full control of the MapInfo to alter the
view as required.
This function can only be carried out if the plot already has co-ordinates. If tried on a plot
without, the mapping window will simply not move. Plots are coordinated through the „Link‟
function.

5.2.3 To Link Plots
To create linked plots, once the mapping is open, go to the Colony 4 Letting screen and ensure
that the required plot is the one showing on the screen then click on the right hand of the three
„Globe‟ buttons, at the top right of the data panel. After a moment processing the following dialog
box should appear, please wait until it does (if not immediately obvious, check the bottom bar on
the PC for a „Layer Updated‟ item and click when found).
Once this appears it can be closed using the „OK‟ button.
At this point the user should switch to the MapInfo window and select the relevant mapped plot
features that corresponds to the Colony 4 plot record to be linked using the „Select Link Objects‟
button from the „Link‟ menu (top left). If the plots are not already drawn up they can be drawn up
at this time, using standard MapInfo procedures. Choose only the same map feature type of
Polygon Areas. The selection of plots MUST be done using the „Select Link Objects‟ button from
the „Link‟ menu allowing multiple selection if required.
Once all map features are selected click the „Link Selection‟ from the „Link‟ menu (top Right).
Following this the Plot Co-ordinates have been calculated and automatically transferred between
the MapInfo and Colony 4 records to populate the Eastings, Northings fields. It may be necessary
to refresh the Colony 4 record to see the coordinates.
Linkage is now complete and the process can be started again on the next plot; select the new
plot, using the „Select Link Objects‟ button from the „Link‟ menu (top left), on the mapping and
navigate to the new site in Colony 4 being the suggested starting points.
5.2.4 Linked Plot Information
The „Feature information‟ from the „Link‟ menu (bottom Left) will show limited information
from the Colony 4 database against linked plot features. Select the individual feature using this
tool to see the information. If used against unlinked, or background mapping, the tool will show a
message that “This feature is unlinked, information unavailable”.
If the map data was translated into the Colony 4 Link format other information may be included
with the linked information fields.
5.3 Colony 4 Allotment Sites.
5.3.1 Opening MapInfo for Sites
First the Colony 4 system should be opened to the Setup > Sites / Plots > Sites Screen. To access
the Colony 4 MapInfo Link software click on the left hand of the three „Globe‟ buttons, at the

bottom of the screen. This will open the mapping to display as configured. There is only
one.WOR file so the initial view will be the same as for the opening Plots mapping.

Inventory screen at the top of the data panel (see 5.4.1 Opening MapInfo for Inventory Items).
5.3.2 To View specific Linked Sites

Sites / Plots > Sites screen and select the required site. Then click on the middle of the three

5.5 Colour Map Options
Within the MapInfo Link workspace there is a set of menu functions titled „Colour map Options‟.
These functions allow manipulation of the map presentation using the linked feature connections.
These connections are automatically updated each time the mapping is opened without the need
to re-link features.
Colour Plots by Current Status: This will create a temporary overlay which will colour each plot
based on its Current Status. Use the „clear Map‟ function to remove the coloured overlay.
Number Plots: This will number all linked plots with their plot number. Use the „clear Map‟
function to remove the Numbering.

Number Selected Plot: This will number the selected linked plots with its plot number. Select plot
first then action function. Use the „clear Map‟ function to remove the Numbering.
Produce Plan: This will create an automatic Print Layout based on the current window. This will
include Ordnance Survey Disclaimer and License number. Close Layout window using standard
window close options.
Show Legend: This will create an automatic map legend for the „Colour Plots by Current Status‟
function which will also be automatically included in the Produce Plan: automatic Print Layout.
Clear Map: Closes all other functions and reverts the mapping to its original presentation.
5.6 Closing MapInfo Window
This is done using the „X‟ button in the top of the MapInfo window or by use of the File>Exit
menu option. Upon closing the User will be asked if they wish to save any edits, if they have been
made, and then offered to save changes to the MapInfo Workspace (ColonySQL.WOR). The
former need to be saved (as required by the user) the latter should be rejected, as this does not
save linkage.
Users must be aware that if the workspace is over written by saving it within the MapInfo
application then Critical “Run application” lines in the workspace will be lost and the link will
fail to work correctly (see Appendix 2). Any problems contact MCPC Systems (UK) Ltd.
6.0 GENERAL SYSTEM NOTES
6.1 Linkage
Linkage is not dynamic. Although the Plot, Site or Inventory Item information is viewable from
the mapping without need of typing or updating, the centroid co-ordinates passed back to the
inventory are not automatically updated if the defining polygons, polylines or points are altered.
If an area is edited on a map in terms of size, position or count of features, the corresponding Plot,
Site or Inventory Item records should be re-linked so that the Colony 4 record can be up dated.
Once a feature has been linked it can be re-linked as often as is required.
Care needs to be exercised about choice of features for linkage, as incorrect re-linkage cannot be
undone.

Plot/Site/Inventory Item Linkage:
1. Switch to Colony 4 Plot/Site/Inventory screen and navigate to correct Plot/Site/Inventory
item. 2. Click Right hand Globe Button.
3. Wait for and clear following dialog box.
4. Switch to MapInfo window.
5. In MapInfo select all the features to be linked to Plot Plot/Site/Inventory record. („Select
Link Objects‟ button from the „Link‟ menu).
6. Click the „Link Selection‟ button from the „Link‟ menu.
This can be repeated as often as is required, with an option to start with the selection all the
features to be linked to the Colony 4 Plot Plot/Site/Inventory record first and then dropping
item 5.
